PENNRIDGE YELLOWJACKETS SOCCER ASSOCIATION General Meeting Minutes November 16, 2016 Guest Speakers: (Dan Estep) Futsal proposal - running a training opportunity (U10 level) for area kids of any organization (not just PYSA) Indoor, school gym type area Questions/comments from Board: o Juan: What is the goal? Dan: 7-8 kids - 1 team to start o Juan: Would the PYSA name be associated with this program? Dan: It could go either way, depending on how much PYSA wants to become involved o Andrea: Likes the idea - but needs to know the commitment will be there. Dan: needed to confirm trainers will be locked-up - which he has confirmed. o Juan: What is the benefit to the club? Dan: There will be a benefit to whichever club jumps on board with this proposal o Juan: There are other programs in the area (AFA, Total Soccer) - how is this different from them? Dan: There are quality programs in the area, but he has some different ideas he wants to bring to the table. o Dan Brown: Will not go forward without the PYSA name having some type of involvement - needs to have the name, if we are involved in any way. o Schools need 1 contact name, per club, and they require us to ask for time in August - unsure if we can go back now and ask for additional time. o Andrea will look into securing additional school time. What is the timeline? Dan: would prefer Fridays - December through March o For insurance purposes, must sign medical release and all participants would need to register through our website to register as a PYSA program. o Scott: could be negative if 80% of the players are non PYSA players. It could also deter non-pysa players from joining a PYSA labeled program. Registration - no charge on website for Futsal. Participants will pay Dan Estep directly, but will need to register online to sign waiver. Will need logo for Futsal uniforms - or can use 'PYSA' at a discount Old Business: October meeting minutes - approved by all present at meeting Treasurer's Report: Charlie Bratchford (not present) Assets and liability report distributed 1st Vice President - Intramural: Juan Ayala Elementary school equipment should not be used while we are using their facilities (mats, equipment, kicking ball in hallway, drinks in gym, etc.) Water bottles allowed, but must stay outside the gym 1st Coach for the evening at a particular school - if they are not using their time, they need to alert the school or the next team will not be allowed in the school
2nd Vice President - Travel: Dan Brown Training at gym - keep eye on siblings Keystone training on Monday nights underway Keystone rules: no punting the ball, don't play on or with the net, no sitting or playing on side of field, no cleats on turf Monday night training is paying for Tuesday night team training Spring League - Rock and ICSL open for registration Coaches evaluations to be sent on December 1st to parents for input on coach o This is to assist with coach development o Parents to hand them in at banquet o Dan Estep: can we bring in a paid coach developer for the coaches that need assistance in an area where they need help? o Dan Brown: We have looked into that and will review the coach evaluations to see if that is a possibility. This is not to be a 'witch hunt' to oust a coach, but rather to see if there is any needed areas of improvement for a particular coach. Fields: We need to seed and aerate the fields (no chemicals can be used). We do have the township's permission and can start next week, after travel season ends. Each field would be $1200 - $1500.00 Dan would like to add another set of Bow nets. Juan suggests 4x6 Banquet: Tentative date is January 7th (6pm - 9pm) o Dan would like to use Subway or Country Place for catering o Roughly 154 registered travel players: 300-350 estimated guests o Travel gifts for players and coaches: Players: T-shirts Coaches: stopwatches (using UA promo money) o 1st Year travel players will receive leftover Concussion tournament medals (19) o ICSL will supply trophies for winners Head Coach/Referee: Bill Rumley n/a Sponsorship Coordinator: Drew Minko All sponsor plaques have been hand delivered Dick's Sporting Goods plaques were mailed with a letter of thank you Tournament Coordinator: Presented by Andrea Only made $5000 from last tournament (goal of tournament is to make money for Total Soccer training) Some teams still have not paid - confirming with Charlie Proposing to move to a 3v3 style tournament: o Help with field contraints o Charge will be $200.00 per team o Will allow for more teams to play o Alleviate using the turf field, but we would need to buy more bow nets @ $100-130/net. $12 fields (need to purchase 8 more) o Continuous clock - sub on the fly Questions/comments from Board: o Drew: Could foresee issue with favoritism amongst players and picking teams, if team gets split up o Michelle: Will there be a multi-team discount? If a team wants to bring 3 teams, will they still be charged $600.00? Andrea: Most likely no multi team discount
Need to follow up on: o Referre cost - can we get them to agree to a flat fee? o Tournament cost: $180.00 for early registration fee and $200 for regular cost o $2500.00 to purchase 8 more Bow nets o Field paint cost o Saturday, June 17th (Saturday of Father's Day) need to confirm we will have access to the fields at this time. Have confirmed this will not interfere with any of the area's dance recitals o Dan Estep and Dan Brown both suggest cutting the playing time down from 24 minutes to 14-18 minutes o Have different times scheduled for age groups o Model after Quakertown 3v3 Tournament Juan: In the past, Intramural (fall and summer) has covered the cost of Travel. The tournament helps to cover the cost of player development (Total Soccer training and Keystone). December 9th- Seyler Elementary School will be holding their 'Tinsel Town - Kids Shop' - need a PYSA representative on hand Suggested Holiday special for Intramural sign-ups for upcoming season Adult Futsal @ Nexgen - Friday Nights Drew - Inquired about a PYSA Bingo night.
