Activities News Havasu RV Resort s Fun & Games NOVEMBER 2015 Upcoming Events: Halloween Parade - Oct 31st Board Meeting - Nov 10th at 10:00 AM in AC Welcome Back Party - Nov 12th 4:30 to 8:00 Thanksgiving Dinner - Nov 26th. Dinner at 1:00 PM Sign up in the office Activity Committee Report Welcome back everyone! Hope you had a great summer! We are looking at another winter season here at HRVR and hoping you are looking forward to it too. Again we will be needing volunteers to help out at various activities. So start thinking just what you might be interested in to lend a helping hand. Or better yet, get a group together and host an activity of your choice. We will again have the sign up sheets available at the Welcome Back Party. Remember, if you could host or volunteer for just one event in a season, it would be so helpful. It s a great feeling knowing we are all doing our part. Thanks, hope you have a great winter!! Connie McMenamy Changes to HVRV Activities Committee Changes to the HRVR Activities Committee At the end of the 2014-2015 season, officers of the HRVR Activity Club, then a 501(c)7, non-profit social club voted unanimously to dissolve our nonprofit and become a Resort committee reporting to the HRVR Board of Directors. Over the summer, the appropriate actions were taken with the Arizona Corporation Commission and the IRS and our non-profit status was dissolved. We unanimously voted to become the HRVR Activities Committee reporting directly to the HRVR Board of Directors. We have also spent this summer creating our Policies and Procedures the document that will establish the Policies of our Committee and the Procedures which we will follow to accomplish our goals. The HRVR Activities Committee Provisional Policies and Procedures are now completed and have been reviewed by the Board. These will be posted on the website by November 1. If you are interested in how the Activities Committee will work going forward, we invite you to check these out on the website. For the next couple of months we will have a comment book in the HRVR office for those who have ideas or suggestions, comments or concerns, regarding what is or is not included in these procedures. Our plan is to finalize this document by the end of December and present it to the HRVR Board of Directors for their final approval at the January or February Board meeting.

Page 2 Ticket Sales for Upcoming Events/Breakfasts HRVR ACTIVITIES COMMITTEE TICKET TUESDAY SALES We will be trying a new ticket sales approach this season. It is called Ticket Tuesday and the general idea is described below. As with the Provisional Policies and Procedures of the Activities Committee, this is a trial program, and can be tweaked to make it better. Comments/ideas in the Office Comment Book are welcome. GENERAL Tickets will be sold once per week on Ticket Tuesday from 2-4 PM at the Club House. Tickets will be sold only at the Club House. Receipt book coupons will be used as tickets. All Events will be pre-sold in advance of the Event. TICKET SALES PROCESS Tickets will be on sale for any Event or Breakfast up to one month before the event. Monthly breakfast tickets will be sold in advance AND at the door on the day of the Event. Pre-sold tickets will be $2 less than those sold at the door. TICKET SALES POLICIES Ticket sales will be handled as follows: o For an Open Event (where there are no space or service capacity limitations), owners may request tickets for specific guests. o For a Limited Event (where space or service capacities are limited) Owners or Renters with visitors may place their visitor s names on a waiting list. This will allow all Renters and Owners in the Resort to have first priority for the event. One week before the event when sign-up is closed, Owners with visitors should check at the Ticket Tuesday sales to see if their waiting list visitors can attend. o Free Events (ones supported by Activities Committee proceeds) are for Resort Owners and Renters only. Visitors may attend these events, but will be charged a $5/person entry fee. Before close of sales, tickets may be returned for full refund to Ticket Sales Staff on Ticket Tuesdays. The Activity Club Treasurer or other designated Activity Club Officer will be present at the end of tickets sales on Ticket Tuesdays. The Treasurer will balance all ticket sales monies. NOTE: All Events at HRVR are planned and conducted by volunteers for our Resort s owners and renters. If there are Event glitches, such as no-shows or other complications, we ask that all attendees be patient with any unforeseen difficulty. There will be no refunds distributed at an Event. The Activity Club will review each Event and, when necessary, respond in a manner befitting the problem.
