September 30, 2016 A meeting of the Board of Directors of the Monarch at Royal Highlands, Inc. was held at 8:00am in the Great Hall Meeting Room. Also in attendance was Sam Floyd from Par for the Course Management and Linda Eaton, Monarch Food & Beverage Director. Vice President Dick Therrien A motion was made by Ray Smith to approve the Capitalization Rules document that was tabled from the last meeting. The motion was seconded by Marshall Leich. Golf Ray Smith Ray reported that the event survey and the golf calendar will be discussed at the next golf committee meeting on Wednesday of next week. There is no cable no access to the amenities?
The price of an undeveloped lot is $14.40 going to $16.30 yet our bill (The Golf Course) is $4,728/yr when it should be $586.80 not the $4,728.00 annually? This is taken off the budget proposed by the Board of Directors for 2017 RHPOA! I m just thinking that this is a rip off and it could save the Club $4141.20! Answer: Since 2005, The Monarch at Royal Highlands, Inc. has been paying RHPOA s billing that should be computed as an annual charge or assessment equal to three times the basic annual assessment imposed on the owner of a lot in the development on which a home has been built. This is according to Section 3.9 of the RHPOA Declaration of Restrictions (accessible on the RHPOA web site). It has apparently been negotiated at some time in the past that we will be charged a constant $95 per month less than the computation of three times one built lot's assessment. Monarch management has reviewed this and will not dispute the 2017 increase. Entertainment Diane Christie Future entertainment plans are: October 12 th Taco Bingo October 19 th Name that Tune November 2 nd Italian Bingo November 16 th Lorrie from the NoteBenders December 14 th either Golf Cart Parade or Bingo January 18 th or 25 th tentative plan for Danny & Johnny Marketing Marshall Leich Outside play will be less than budget in September. Also, the Eagles group was a no-show in September. The reason has not yet been determined. Director of Operations Sam Floyd Sam reported that there are no present needs for staffing. Sam presented a proposed lease agreement for a 2012 model 4500 mower. The mower has 2,078 hours. The previous owner and mechanic were contacted and they reported no problems with the mower. The lease would be $791/month for 48 months with a $1 buyout at the end of the lease. Sam reported that our usage for this mower would be about 40 hours per month. Acquisition of a leased mower was approved at the September 9 th meeting.
Sam reported that the ice machine that is used to fill coolers on the course needs to be replaced. He will be looking for a used machine. Golf course equipment repair and maintenance was higher than budget in August and September. October 6 th we will begin providing information to our CPA for the annual review. President Harry Taylor Harry noted that Linda Gietz, Treasurer should be given access to Quick Books in order to more easily review the accounting system details. Sam was opposed to this request but will be discussing with our accountant to determine how to accomplish this request. The meeting adjourned at 9:30AM.
