Apologies for Absence Apologies for absence were received from; Andrew Gazard, Malcolm Lynden and John Stephens (treasurer). 2. Previous Minutes Thursday 8 th January 2009 The acceptance of minutes was proposed by Mike Pheysey, seconded by Chris Fairhead and agreed by all. 3. Matters arising List of actions The committee has received three payments from the hunt action closed. Laminated notice action Ian Knapp carried forward. Ian said that he would also provide a notice board for the notice. Flood lighting between the car park and the MUGA o Chris Fairhead to arrange a working party o Ian Knapp to erect pole o Chris Fairhead to contact Roger to connect up the lights Coaching Sessions action Malcolm Lynden no progress. Links for swing chains the new links have just arrived. It remains for the swing seats to be raised and the new links fitted. Action Mike Pheysey. Copy of RoSPA report for Parish Clerk action closed. Grass cutting action Chris Fairhead. The committee thanks Allan Knapp for cutting the grass in the interim. Removal of old mower action Malcolm Lynden. No progress, Neil Vizard needs to be reminded about removing the old mower in the Pavilion s store room. Copy of risk assessment for secretary s records action Chris Fairhead. A copy has been sent to the parish clerk, but it remains for a copy to be placed in the playing fields records. Oil heater inspection action carried forward. Prohibition sign action Malcolm Lynden. No progress. Toilet tap and seat works carried out - action closed. Matters arising from the November 6 th 2008 meeting New car park (parts 1 & 2) the works have been carried out. All that it remains is for Malcolm Lynden to get the contractors to roll the scalping action Chris Fairhead. Helpers for event action closed. 4. Site improvements / development 4.1 Development grants & strategies Mike Pheysey submitted the South Gloucestershire Council grant form for children s play areas (Playbuilder funding) and has been subsequently informed that we have made the short list action closed. The action to check with Matthew Riddle if there are any further avenues of investigation that can be pursued has been overtaken by events action closed. The report by Derek Garrett s soil consultant on the football pitch was delayed until the end of the meeting see Appendix A. 5. Maintenance 5.1 Play equipment The children s play area is in need of more bark chippings action Ian Knapp. The newly arrived swing chain links need to be fitted action Mike Pheysey. As the RoSPA report seemed to be favourable towards the dairy matting underneath the swings, it was suggested that the committee find out how much it costs now as an alternative to the high maintenance bark chippings action Mike Pheysey. 5.2 Grass cutting Current the Playing Fields does not have a grass cutting contract. The committee decided to carry on in an ad-hoc basis using Andrew Gazard s equipment, to whom the committee felt it should offer a donation. The hedges will need cutting before too long, Ivor Stafford volunteered to contact Jim Hopkins and Richard Cornock action Ivor Stafford. 5.3 Main hall Paul Feltham offered to provide details to Chris Fairhead of somebody who could service the heater action Paul Feltham. 5.4 Updating of prohibition sign No progress. 6. Andy McDonald has contacted Thornbury Sailing Club and their secretary will raise our event at their meetings and would welcome a poster in the club house. Ian Knapp volunteered to contact last year s disco man to provide fill-in music and at the end action Ian Knapp. The overall plan is for the event to follow the usual PFC fund raising event; acts, bar, bus, bouncy castle, BBQ, disco. There is to be an additional quick meeting to distribute tickets, posters and finalise event timings. Thursday 16 th April 2009 Chris Fairhead s home, Chapel Road. 7. Any other business Ian Knapp said that he would bring a proposal for the bookings of the MUGA to the 16 th April meeting for consideration by the committee action Ian Knapp. The actions about the proposed car park extension from the 8 th January meeting are carried forward. However the allowed maximum spend for the work was increased, Ian Knapp proposed that a maximum limit of 1300 should be set (less 500 from the Power Station), seconded by Chris Fairhead, all agreed. Ian Knapp mentioned that some repairs to the Pavilion guttering were needed. To allow the wiring up of the car park flood lights in time for the Cricket Club and Playing Field Committee s fund raising events which are both before the next normal business meeting, Ian Knapp proposed that the committee approve a maximum limit of 300 to be spent, seconded Andy Mcdonald, all agreed. Ian Knapp reminded the committee of the importance of getting more sponsorship for our fund raising event as well as early ticket sales. The aim is to pass the break-even point before the evening so the costs are safely covered even if the evening is washed out by the weather. Mary Jennings would like to pay for a bench to be placed in the playing fields in memory of her late husband Don. Andy McDonald proposed that the committee accept, seconded Mike Pheysey, all agreed. 8. Date of next meetings Thursday 25 th June 2009 at 7:30pm at the Pavilion, Westmarsh Lane. APPENDIX 1 Report on Football Pitch 02.04.09 BRIEFING NOTE: Soil report for Derek Garret Thornbury. This is preliminary report before the soil tests are back. This soil test should be back early next week. Observations Having walked the pitch and dug some holes in it; it was obvious that the water was not percolating through the root zone. The pitch was very uneven in its finish. The grass was struggling to grow amongst the water and moss. Figure 1 As you can see form the pictures the water is on the surface but the root zone is reasonably dry at 2-3 inches but once you did a hole the water drains off the surface straight away. The grass looks sick, this will be due to the water logging and also may be some chemical imbalances, and the soil test will highlight this. Recommendations before the soil test results: 1) Use Derek s OxyGenerator to break the surface compaction, make sure that the root zone is dry enough to do this. 2) Apply Some Granulated calcium sulphate, use 500Kg/Ha applied as soon as the Oxygenerator has been through the soil. 3) Apply a soil water penetrator and moss checker, Seagreen High Iron and activator. 30L/Ha Seagreen High Iron and 2L of the Activator ( this will help pull the water through the root zone ) 4) Apply a root and grass stimulant, use Seagreen Foliar plus TE at 30L/Ha, this could be sprayed with the high iron and Activator. 5) Other fertiliser I will advise when the soil results come back Costs: OxyGenerator: Derek garrets hire rate Granulated Calcium Sulphate 220/T delivered.
