To note any items from the Regional Manager 5. To receive the Treasurer s report 6. To agree the date of the next AGM 7. Any other business
2 Meeting 1. Apologies were received from the following individuals from the Regional Committee: Ashley Hutchinson, Melanie Cumberland, Andy Bullock and Juliet Paterson, and also member Paul Shergold. 2. The minutes of the previous AGM held on 11 October 2015 were agreed. There were no action points recorded. Regarding the possibility of organising Regional Relays, it was reported that this suggestion would be carried forward to 2017, for consideration by the Regional Committee (RC) when discussing the Adult regional championship races. 3. Officers were appointed for 2017 as follows: Chair - Derek Biggs (DB) Vice-Chair - Roger Wakeling (RW) Secretary - Jane Wild (CJW) Treasurer - Ashley Hutchinson (AH) Adult Regional Championship Co-ordinator - role to be assumed collectively by all members of the Committee Junior Race Series Co-ordinator - Melanie Cumberland (MC) Technical Officer - Lorraine Ferris (LF) Communications Officer - Kathryn Blackie-Taylor (KBT) Substitute representative for Council - Jane Wild (CJW) and Roger Wakeling (RW) Any other Officers to be agreed by the AGM as necessary - no other officers were thought to be necessary for next year. By way of succession planning, it was proposed and agreed that during 2017 CJW should accompany DB to Council meetings, attending as an Observer, with a view to possible hand-over in future. 4. The Regional Manager DH spoke to his report which had been previously circulated. For reference, the full text of the South West Region Manager s report for the 2016 Season to end of September 2016 follows: 1. Coaching Delivery In the coach education programme at the time of the AGM consisted of two Level 1 and two Level 2 Triathlon coaching course. There were only 2 empty places on these courses. The course programme for has initially been set at one Level 1 and one Level 2 course. 2

Course to make a small profit for the region and one club bursary was given to Cornwall Go Tri organiser Exeter 16 booked on the course Course to make a profit for the region and one club bursary was given to Tavistock triathlon club Currently assessing whether to run additional courses in Level 2 course costs were reduced by 10 to 540 for Level 1 course fees remained the same at 350. Coaches Continuous Professional Development (CPD) A Head coach s workshop was held in Bristol; this was fully booked with 10 coaches attending. 2. Regional Delivery Club Development There are 81 triathlon clubs affiliated for 2015 and 77 affiliated for The number of clubs is holding steady, and the drop in numbers is due to race teams not affiliating. There were 5 new clubs registered in 2016: Blue Planet Triathlon Millfield Triathlon Club North Cotswold Tri & Run Team Passion Fit Team Plymouth College DH has worked with a number of clubs to resolve issues around governance and has helped those with problems varying from lack of pool time to enhancing their offers to members. We maintain a good geographical spread of clubs in the region and our members continue to benefit from the good work done within those clubs. Events The number of registered events for the 2016 season is up on 2015 (see below). This is in some part due to an increase in new Go Tri events (10) 3
4 which has, and continues to be a main thrust of DH s work. He has also worked with a number of organisers providing support with branded equipment and training days. Go Tri events in 2015 (14) equivalent to 10% of total events and in 2016 (24) equivalent to 15% of total events. New Events in caveat - this can be difficult to be absolutely certain, as events may not keep the same name year in year out. However, these are sense-checked to a degree: We have 20 new events plus the 10 new Go Tri events. In events submitted their post-race information (95%). 5 British Triathlon Membership Membership of British Triathlon is growing with memberships taken out in 2016 rising to 2177 from 2061 in Our membership team has been working on the offer to members and this will be a focus going forwards. We have particular hotspots for membership around the big cities and towns and it peters out in the more rural areas, this has always been due to the geographical spread. Ratios of female to male members % to 72% % to 67% This is very positive and can be attributed to our work with the This Girl Can initiative. Highlights 2016 and plans for 2017 Highlights Tewkesbury Tri have delivered their 3 rd novice training programme and this has lead them into a novice open water programme which they developed over the summer. Working with organisers to deliver pre-event workshops to enhance their current offer to participants and drive up their numbers; this is happening currently in Wiltshire, Dorset and Somerset. These vary from complete days to 2 hour workshops. These have been successful with the organisers reporting that the customers are enjoying the rounded and holistic approach. 22 novices attended Tavistock Triathlon Club s Make Your Move to Tri workshop. The workshop was a huge success with 6 attendees becoming full members after attending the day plans Sport England funding will be announced for the next cycle in the New Year. The funding level will determine the details of the work programme and targets. DH will continue to support event organisers and clubs with a varied number of Go Tri, Open water and novice training packages. DH will also facilitate coach education with extra courses as needed. 5. In the absence of AH, DH also delivered the Treasurer s report, indicating that in the last quarter (July to September) there was an overall deficit of 1, but with the region maintaining a healthy bank balance of 9,449.33, as at the end of September
6 Thus, the year to date (1 April to 13 October 2016) current account shows a balance of 8,542.32, following receipts of 1, and debits totalling 13, During the year the RC has received income from coach education and the TE grant and used these monies to support the activity of the SW Regional Academy, the Junior Race Series and Adult Championship. The RC would however welcome more applications from clubs for grass roots support. This financial period so far has seen notable outgoings for royalties and payments to the BTF ( 5,174.00), supporting coach education ( 6,852.64), the Junior series ( 1,594.75) and the Regional Academy ( ). In the next few weeks following the AGM receipts of 5, (Level 1 coach education) and 8, (Level 2 coach education) are forecasted, along with a confirmed regional grant of 3,600, so securing the region s funding policy for the next twelve months. There are outstanding liabilities (cheques not yet presented) of 1,406.67, so providing a working capital of 7, It was noted that a new Treasurer (AH) joined the RC during this financial period, and also that the RC had decided to reduce the Reserves from 3K to 2K, in order to maximise the funds available to continue to develop the sport in the region. The Committee plans to improve communication with clubs and organisations and welcomes idea and requests of support for new initiatives to help grow the sport of Triathlon within South West England. 6. The date and time of the next AGM was decided as 2pm on Saturday 21 October 2017 with the venue to be confirmed. Bath University was suggested as a possible venue for the meeting. 7. There were no items of any other business raised, other than to record that the RC felt that the South West Region of Triathlon England was active in supporting its many members. As there were no other comments, suggestions or questions from attendees the 2016 TE SW AGM was then closed. ENDS 6
