Annual General Meeting Club Pavilion Thursday 9 th November at 7.30pm 1. Minutes of Last AGM Issue as no notes on the reports. And no reports attached as an appendices, Phil Austin and Andrew Morris were not elected on to the committee. Minutes suggested they were published online, has not been done but we hope this will be done in the future. Minutes approved 3. Matters arising from Minutes Electronic Scoreboard priority on last minutes, still not resolved. Sub committee started with regards to this and Dave in constant liaison with Merv Durrant. Minutes suggested they were published online, has not been done but we hope this will be done in the future. 4. Chairman s Report DB to send Helen Chairman s Report 5. Treasurer s Report Different format to last year. New accounts package, which will be continued for the future year. Online banking also now been set up and making it much easier to keep on top of the accounts. Broken even this year. The score board money has been paid into the deposit account and will not be used for anything else. Thanks to Frank for all the fundraising over the past year. Sports Club membership better process this year for collecting the money. 755 gone to the sports club for our subs, was not paid out correctly last year. Sponsorships look down but actually we re better off, last year we had 3 one off donations. Thanks to Captains, Managers etc, totally up to date with all payments and receipts for this cricket season. Andrew Morris asked are there any areas at risk that the Treasurer needs our help with or that we should be aware of? Be aware that we ve not spent any money on ground equipment this year. Mentioned that committee will be planning a budget for the next year based on this year s figures.

Stock should this be added to the accounts? Thousands of pounds of stock not shown in the accounts. Do we need a balance sheet? To be considered by new Committee. Accounts Proposed Giles Stogdon Accounts Seconded Andrew Morris 6. Junior Cricket Report This year has been a very special year for the Juniors 4 teams went to play at the Ageas Bowl. U15s, U13s, U11s Boys, Oliver Cup Plate, U11 Girls Spirit of Cricket Winners Thanks given to all the coaches and Nerys. Junior Coaches had a meeting a month ago, and there were various matters that were raised. Main points: - Match fees unanimously agreed that we would like these to be included within the subs collected at the start of the season. Perhaps a little unfair on those that don t play, but we re here to play games and improve their cricket. It would potentially streamline the juniors and make coaches lives easier as well. Committee to decide upon these fees in the New Year. Looks like numbers are on the up for next season. Wield U11s joining, Adam will be putting forward two teams next season. - Overseas Player disappointed by the lack of involvement by the Overseas on a Thursday evening. There s a condition in the contract that they should help at the coaching every week, and this was rarely the case this year. It needs constant reminders not only from the Juniors but particularly from Committee members, that it s a significant role for them to be involved in this. - Alex E should absolutely be the case that the Juniors should draw up a rota, so that the overseas coach knows where he should go when. There should be a very clear structure in place for him. Giles confirms it is in the agreement, and it s a question of managing it. - Still seeking a new U9s coach for next season as HS stepping down. Nerys has sent a round robin email to U9 parents, with very little take up. - Andrew Robson Club annual health check has been passed Clubmark. - Fairly busy winter training schedule includes U11 and U13 girls, 2 x U9 teams at a tournament in Winchester and indoor nets start second week of January. - Just one member going through their coaching qualification this year - DB thanks all the coaches and teams for their hard work. 7. First XI Captain s Report Giles to send copy to HS 8. Second XI Captain s Report Achieved what they set out to do which was to stay in the league. Thank you to all that stepped up to help out when they were short.

9. Women s XI Captain s report Alex delegates to Andrew Morris. Third season now in outdoor and indoor leagues. They continue to grow in membership, time to do better in collecting subscriptions! They played friendlies at the start of the season based on teams outside of the Hampshire League. Played 2 won 2. Division 3 played 7, won 4, lost 3. Thanks to David for postponing start of Presidents match and big crowd to watch! Softball Festivals 2 teams of non-cricketing females who had joined us that year entered the festivals. The MUGA opening ladies assisted in the opening. Girls to Women s RCC Committee supported a specific girls team in 2016. Future? That success has been recognised by HCB. They have selected Ropley as 1 of 8 in the county to go forward and be supported by them for the next season. They go into schools for us now, make sure we re known to them All Stars players will now be signposted to one of the 8 teams. Chawton School has been a great asset to us so far, so by being part of this programme, HCB will go and deliver 10 free cricket lessons to Ropley, Sun Hill and Chawton courtesy of RCC giving back to the community. U11 Girls are going to Riverside Park in Winchester for a festival on Sunday, and 3 further festivals being played between now and end of December. Next season we ll be entering U11s again and are looking to establish an U13 girls team too. Numbers have increased by 100% already, most new to cricket or joining from other clubs. We nominated players to go through to District Trials 3 for U11s, of the 3 that went forward 2 have been successful. We ve inherited from Tichborne Park an U16 District Player, and Louise Hardy is playing now with the U17s County Squad. 10. Indoor Cricket and U19 Manager s Report Friday s indoor cricket open to males, females and juniors. Played 3, won 2 lost 1. Cost neutral to the club. U19s League that we ve played in for 3 years. Aim to encourage U15s etc to keep on playing and stay in cricket. 1 st 2 years were very successful. However too competitive and lots of strong players involved, not those that have just come back to the game. This year we were unable to get a team together, so we had to pull out of the remaining 5 games. No loss to the club financially, many other teams in the league also didn t manage to put out teams. U17s Kerry Cup was good and all resources should go towards that now. 13/14 year olds can come along and play too. 11. Election of President BREAK! DF picture donated of 9 of the presidents of the club.

DF stands down now as has filled the position for 3 years. New president to be elected. Giles nominates Chris Graham has been a supporter and player at the club for a very long time, carrying roles of Chairman, captain, active player, active financial backer too. For years that included putting up the overseas player. Nick Gerrard seconded and carried. 12. Election of Vice President/s Vice President s not re-elected. Giles has a nomination for an honorary Vice President. Giles nominates Dave Forrest as an honorary Vice President. Seconded by Andrew Robson. All agreed. 13. Where are we at this current point in time?.db asks the floor their views on having an overseas player. This will be taken forward into the new committee and decided by them. Dave Forrest new committee being elected, and it s got to facilitate something that it s not sure they are embracing. People that want an overseas player are not even present. They are the only team not represented tonight, other than through Giles

Andrew Morris agrees with DF. That money could be used for good quality coaching, to bring on the juniors on a Wednesday night senior nets that will fill the gap and take them forward. Needs to be taken forward by the new committee. Les not sure his concern is the selection of people 2 of the last 3 years, we ve not seen the performance on a Saturday. No guarantee that the individual can produce in league cricket. Giles been involved with selection for past 5 or 6 years and we re fishing in a smaller and smaller pond. As we don t play premiership cricket. We rely heavily on the agents to make recommendations. Jack keen to come back if healthy enough. Keen because if properly managed that person can contribute a lot to the management of the ground/square/juniors etc, most have added to the camaraderie of the club each year. Andrew Robson think they add value to the club in a lot of ways time is of the essence, pool is small. Any scope for looking for sponsorship to cover the expenses flights, accommodation etc. Adam Wheeler 15% of clubs expenditure is attributable to the overseas player, and what are the aspirations of the club from a playing perspective? Opportunity would be there for local players and junior players to come up and fill their gap. They would then find their natural level at a 1 st XI playing performance. DB as a new committee we would aim to get this position sponsored to reduce the costs. 15. AOB Include Sunday Team Report on Agenda for next year. Quentin Sandell Juniors contribute a lot of money into the club would like to see some of that directed back to them. More about giving the kids the best opportunity and the return they get on the 3/4k is not good at the moment. Review how we can improve this, with kit, coaching etc. The money should be ring fenced specifically for them to encourage more to come along. Giles discussion happens every AGM. Juniors do bring a lot of money to the club. The coaches have historically all been volunteers, what seems to be lost in this discussion is the fact that the Juniors get the benefit of the Sports Club, the benefit of the grounds that are maintained by the club. It s one club, not split out into sections. To ring fence money between the two would be quite challenging for the treasurer who would then have to cross charge for using the facilities of the club. Anne Carter can applications be sent to the committee and then reviewed by them for certain things that are required. The club realises that the Junior element is so important and provides funding back where it can. Quentin s point - specifically about the coaching. It would be nice to see more emphasis being put into that element, not just through an overseas player. Hasn t worked yet.

Frank Real potential for a club divide. Not enough integration between Juniors and seniors. Committee is under-represented by people involved with the Juniors. Junior aspirations and senior aspirations are not aligned. And if we do want to be unified, we need more of a mix. Voice of the juniors isn t as loud as it should be, particularly on the committee. Numbers of the Juniors have been substantial really. Giles agrees with Frank committee can have as many people on it as it wants. And can be done later, not necessarily now. If you don t maintain the top level of the club, or offer the juniors the right level of cricket, they will go to other clubs. Sustain the position of the club. Something for them to look up to. Could potentially lose all of the investment. Jayne On juniors side 1 st s side could turn up and coach with the juniors, would inspire them. Doesn t happen at the moment. Only an 8 week period so would be nice for them and the 2 nd XI to get involved more regularly. DB comprehensive action plans and proposals to put forward. Sub committees are working on a number of things that have been touched on this evening. Looking forward to put a number of things in place. Hopefully these will enhance what is already being said. DF recognises from discussions going on behind the scenes that DB gets it and understands where we are. Good committee heading forward and should be embraced. We re not being driven now by the 1 st XI anymore. Right people to address it and a good cross section. DB we re starting to move in the right directions already, and we ll continue to move things forward.
