WJAA Meeting Minutes Tuesday, November 22, 2016 at Old High School at 8:30 pm Present: Brandon Lindsey, Kristie Earley, Tim Pelletier, Jamie Gilvin, Rachel Chase, Sarah Negley, Mike Hatter, Shane Hensley, Scott Brown, Adam Utter, Ashley Scott Late arrival: Jeff Cummins, Jessica Charles Absent: Kelley Hensley, Chad Sackrider, Johnathon Light Motion to open meeting : Sarah Negley, 2 nd Shane Hensley at 8:40 pm Secretary: Minutes from last meeting were sent via Kristie Earley email, prior to tonight s meeting, to all board members with a hard copy present at tonight s meeting. 1. Tim to add all of the minutes to the WJAA website. 2. Kristie to transfer all of the files to Rachel at the next meeting. President s Report: Brandon Lindsey Vice President s Report: Jeff Cummins Treasurer s Report: Jessica Charles 1. Thanks to all of the board members for what we have accomplished over the past two years! Goodbye to Kristie, thanks for your contributions! Thanks to those who are moving onto new positions or continuing with current positions. Please work as hard as possible continuing on for the next two years. 1. How are you going to make a difference? Make your position a positive change for the organization and allow for growth. Challenge yourself to come up with new ideas. Always apply best practice! 1. $34,779.29 in main account 2. $774.30 in concession account 3. $698.93 in savings account. 4. Still need to pay water and sewer for month of December, otherwise all bills are paid. 5. Basketball Report: Jeff Cummins Wrestling Report: Chad Sackrider (absent) Brandon/Mike straight into the account. 7. Vote to deposit full 15% into savings (equal to $6750):. 8. Johnathon did not collect over $1000 of soccer registration fees. 9. Reps must get the code for free registrations (for kids with financial difficulties) for all sports so that kids are rostered appropriately and have signed the waiver form. 1. 140 Kids are signed up, hoping to increase the kindergarten and first graders with the instructional program. 2. All teams are now practicing. 3. CABYL teams schedules are out. 4. CBYBA team schedules are still under review. 5. Kristie made a flyer to recruit more K-1 graders for the instructional program. It will be handed out Monday at school. 6. Jeff had to tell a family that their fourth grade son could not play for WJAA due to them not living in Williamsburg or going to school at Williamsburg. 7. Tournament: was run by the Girls HS program grades 7-12. We received a profit of $750 form the tournament that will go towards a new controller for the scoreboard at the old HS. HS made $1700 from the tournament. This helps to promote the collaboration between the HS and WJAA to allow us to use the old HS facilitates. 8. HS coaches did all of the evaluations for grades 5 & 6. 9. Motion to spend $299 on 10 new basketballs and one bag: 1. Scheduled all tournaments 2. Not hosting any tournaments as of now. Will look into hosting another one next year. 3. 25 kids are signed up so far. All kids that are practicing must be signed up.

Baseball Report: Mike Hatter Softball Report: (no rep) Soccer Report: Johnathon Light (absent) Tim Pelletier, Brandon Lindsey, Jeff Cummins Cheerleading: Sarah Negley 4. December 1 is the deadline for CYA insurance. 1. No report 1. Still need a rep. 2. There was a rules meeting. 1. Tim removed all the pads. Plans to bag up and label all of the nets, and keep them in a locked trash can. Jamie will help Tim disassemble all of the goals. 2. U-14 girls made it to the state finals and lost 2-1 to Visitation. Finished 2 nd place in the state! Way to go girls! Overall record was 19-1, scoring 115 goals for the season. Five girls will be moving up to the HS team next year. 3. U-12 girls also went to the state tournament. Great job girls! 4. Jeff interested in starting a winter conditioning program on Friday nights through the winter months. Would like to get Futsol equipment to use in the gyms. Motion to approve spending up to $400 for Futsol equipment to be used and stored in the gym: Yes 10, No 0. 5. Eastgate SAY may be going to CCSA; we need to approach them about joining Five Points. We could then form our own SAY organization. Eastgate President is Brian Mahaffey. 6. We could develop a premier team for each age bracket if the program grows. 7. Thanks to Johnathon for his years of service as the soccer rep. 1. Meet the squad night was a success. 2. 26 girls are signed up total. 3. Need website open again for 2 more kids who want to join. (Jeff opened it until Sunday). 4. Uniforms cost $66 5. Cornhole tournament was approved for March 18 at the HS. Kristie interested in having a bake sale

Would cheerleaders be willing to travel with the teams? 1. New register worked better once the Wi-Fi was fixed. 2. Thanks to Sarah, Jessica, and Rachel for their help at Haunted Woods. 3. Lowell is coming to winterize the concession stand next week. 4. Need to contact the Coke rep. 5. Moving stuff from the concession stand to the old HS this Friday. Jessica plans to help. 6. Planning to get a small griddle to use for cooking hamburgers during basketball games this season. 7. Jamie needs to fix the weather stripping on the concession door. 8. Certification: 8 hour class, minor offense if we don t go. Whoever goes will be the manager. 9. Need to call Kim Jeffers to thank the boosters for collaborating with us this year. 1. Has information for the Pick 3 Fundraiser. Will discuss it at the January meeting. 1. Basketball schedule needs put on the Google calendar. 1. $1800 spent on zero turn mower. It is gas powered, 2003, with <500 hours. Used it to mow the park and it worked well. 2. Tractor is at L. Woods to get the roll bar removed. 3. Owe Cahall s $100 for delivering and picking up the tractors that were borrowed/used for the Haunted Woods. 4. Need to move the wooden haunted woods sign out front when the tractor is back, as it is too heavy to lift by hand. 1. Schumacher sign- If anyone knows who bought it approach them about donating the sign to us.

New Business 2. Duke land-got an email back, it won t be reviewed until the first quarter of 2017. Keep asking and check back in March or April 2017. 3. Concession bathrooms- Need to get estimates or volunteers to make 2 new bathrooms in the concession. $335 is spent every month on porto-lets. Needs further discussion and plans for design. 4. Sports/Athletic Barn- American Carports- need to get estimate. Neil Doss estimate- $14000 to add to the current barn. Concrete not included. 5. Santoro Land- Quote from Richard Moore $3000 to excavate land. We still owe him $1000 for grading and straw which he would wave if he gets the job. Motion to approve $3000 spending to excavate property for soccer fields: Yes 10, No 0. 6. Shirts for board members- tabled for now. 1.
