SWAC January Winter Meeting January 12, 2011 Cedars Restaurant 1. President Chris called the meeting to order at 2:34 pm. He wished everyone a Happy New Year and welcomed Alisa Cooper (Cabri) who has taken over for Colleen Carleton who retired as of Christmas. Motion 10/11-008 Agenda for the January Winter Meeting be adopted. Rob Englot/Marc Benjamin 3. Motion 10/11-009 Minutes of the September 2010 Meeting be adopted as posted on the website. Old or Unfinished Business a) Motion 10/11-011 Approval of the following positions: Basketball Referee in Chief Adam Jackson Soccer Referee in Chief Dale Perry Rob Englot/ Rosalie Flynn b) Discussion was held about awarding medals for the SWAC nine man football team. This had been tabled from April 10, 2010. Tim Miller will also investigate what other teams have been doing. 6. Reports: a) SHSAA Section 1 Rep Val Gordon reported from the December Executive Meeting/Presidents Meeting. i. There will be a motion going into AGM about the VB playoff structure involving 2 pools of 5. ii. VB host sites. iii. Basketball conferences have been posted. iv. No key or line changes for basketball required. Check new rule changes. v. Officials release time discussions were held. vi. New official game ball volleyballs (you aren t required to change right now) vii. Sepak Takraw and Handball festival invited sponsorships. viii. Check website and enrollment numbers. b) Chinook School Division Kyle McIntyre wished everyone a Happy New Year! Tim Ramage sent his regrets as he was unable to attend. i. A letter was sent to the Division Board from Kevin Vollet regarding eye wear in singles badminton. As of now our Division Policy states that only the doubles teams are required to wear protective eye wear. ii. Motion 10/11-013 SWAC s recommendation to the Chinook SD regarding wearing protective eyewear for badminton is all Junior and Senior badminton players must wear protective eyewear for all interschool play and SHSAA competitions. Rosalie Flynn/Janna Walker iii. If our division attends the Badminton Regionals in Regina on May 7 th, our teams will be required to wear protective eye wear in singles. iv. SWAC does not have an Athletic Handbook of Safety Guidelines. Kyle will talk to our director about maybe forming a sub committee to look into this. c) Athletic Director Deb Reamer Recap of the Fall Activity Report i. Refer to attached copies. ii. Congratulations to all the schools who received medals and sportsmanship awards. (Fox Valley, Frontier, Swift Current, Leader and Cabri).
iii. Motion 10/11-014 Recommendation that SWAC set a maximum fee for golf of up to $10.00 per head for sand green fees, and up to $20.00 a head for grass green fees. Motion 10/11-015 If you bring 5 or more players with golf there must be 2 adults to supervise (walk or cart), if they don t bring 2 supervisors, then only 4 players can golf. Janna Walker/Alisa Cooper v. Amendment to this motion. You must make prior arrangements with the commissioner to provide supervision. Janna Walker/Val Gordon vi. Discussion was held to continue with cross country host rotation. vii. Decision to go back to running cross country in the original order. d) Officials Commissioner Todd Anaka i. Official s registry can edit on line. ii. Talk about raising the VB pay scale. iii. Getting harder and harder to get new officials, more are needed. iv. Clinics may need to be earlier. v. Suggestion to set up a registry of SWAC officials? vi. More hands on officiating may be needed. e) Website Marc Benjamin 7. Section Meetings- Cypress, Rolling Hills, and Whitemud met to finalize host sites and commissioners for winter and spring sports. 8. New Business- a) AGM will be held in Saskatoon on June 22-24, 2011. You need permission to attend before applying. b) AGM - District door prizes. Ideas? Deb s suggestion - purchase 2 tickets to the Rough Riders Home Opener and a bottle of wine from the Cypress Hills Winery.
c) Awards Committee deadline to have names in to the committee will be no later than April 15. Meeting Date: April 20 th at 1:45pm (prior to the SWAC Spring Meeting) Chris, Terry, Randy, Marc, Carson, Deb. d) Forward Planning Committee Meeting Date: April 4 th at 3:30 (following the PD meeting) Chris, Val, Terry R, Amy, Leanne, Chinook rep, Deb. Location to be announced. e) Budget Committee Meeting Date: TBD Chris, Todd, Terry, Patti, John, Deb. f) SWAC singlet Recommendation to add Southwest to the front (all capitals, one word) Motion 10/11-016 Contact the company, Stitchmaster and have them add the logo with Southwest to the SWAC singlet. Facilities decision made by SHSAA Living Sky Casino Rooms booked at Holiday Express with 2 meeting rooms. Presidents Golf Elmwood Golf Course Door Prizes Each school provide 2-3 door prizes with logo. Social Events Wed. night informal, casino Thurs. night structured, off site Host committee luncheon approximate cost $3000.00 Map Grant will bring in $500.00 SWAC will absorb $1000.00 Find $1500.00 in sponsorships Committees need committee heads, talk to Janna for details Planning Meetings and responsibilities: Aug. 2011 April 2012 June prior to event h) Curling change- now allowed 2 teams per school.
