Soccer Club of Guilford Board Meeting Meeting Minutes June 12 th, 2014 Opening: The General Meeting of the SCOG Board was called to order at 7:27 PM on June 12 th, 2014 in the Guilford Community Center by Joe Guerra its President. Present: Joseph Guerra, Meg Malatesta, Duncan McClintock, Victoria Corsini, Brett Donoghue, Dan Miller, Joshua Krusewski, Shadi AbuGhazaleh, Tim Paris, Enrique Rivera Absent: Gene Mulone Attendees: John Hess Approval of Agenda The agenda was unanimously approved. Approval of Minutes General Meeting A motion to accept May minutes was made by Meg Malatesta and seconded by Victoria Corsini. Board Member Reports President Joe Guerra 1. Repeated from Previous Meeting - Actively pursuing filling the vacant positions of Vice President and Treasurer. No traction as of yet. 2. Five injury reports have been filed in the last month. They will be signed tonight and submitted to CJSA. The SCOG Year To Date Financial Statements and all Statements back to Fiscal Year 2009 are available in printed form at tonight s meeting. Included for Each Fiscal Year: Balance Sheet, Profit and Loss, Profit and Loss Detail Entries. Vice President Unfilled Position Treasurer Unfilled Position Submitted by Joe Guerra 1. Collection of W9 for Referee and periodic vendors is underway and about 50% complete 2. Reconciliation of 2013 and 2014 Payroll is nearly complete. 2.1. Adjustments to errors in Q1 2014 payroll for W2 purposes are complete. 2.2. Reconciliation of Checks issued, Checks Cashed, Checks Not Cashed and W2 s for 2013 is nearly complete. It appears 6 coaches in 2013 did not cash 11 checks but were on their W2 s. We are nearly finished in reconciliation and confirmation of this and will issue no-taxable checks to them when complete totaling we believe $2,804.85 2.3. Soccerfest First Niagara account is closed and funds are back in Citizens bank Soccerfest account. Final statements from bank have been received

2.4. Guilford Savings Bank Account that was discovered has been dormant since at least January 2013 and being charged $5 dormancy per month. We are negotiating to get so if not all funds back. We are also planning a total move to GSB. 2.5. Access to Citizens Bank as a signatory to Soccerfest account has been provided to Soccerfest Chair and treasurer. Web access provided to SF treasurer. Debit cards and PIN s delivered to SCOG PO Box and available tonight for SF chair and treasurer 2.6. SF treasurer has been given access to SCOG QuickBooks Online. This is to eliminate any Off-line SF books and reconciliation. 2.7. A member was asked and assigned the task looking at the clubs books has been provided for Citizens bank, QuickBooks online and ADP payroll. 2.8. All invoices for IHR T-Shirts are paid. GSG $ 890.00 378.84 498.96 415.80 489.72 37.97 Costs $ 2,711.29 Sponsors $ 2,800.00 Profit $ 88.71 3. CJSA Registrations are fully paid 4. Extension to file 2013 SCOG taxes was filed and accepted by the IRS 5. Applications for Guilford Savings Bank Accounts are in hand and can be signed by all available parties. Credit Card transactions totaling $6,158.40 were transferred today from SCOG Account to SF Account and are not reflected in the P&L as a reduction to SCOG and increase to SF. Director of Coaching Josh Krusewski Season going relatively smooth, some little issues on occasion as normal Some common coaching themes that have been addressed and need to continue to be reinforced - Downtime at training (coaches talking)

- Lack of consistent, appropriate warm-ups - At times in both training and games getting away from priorities, instead (coaching for Saturdays) Summer Camp launched - Cliff younger kids - Brett older kids Training options over summer - Personal and small group - Age specific technical training once a week Held U10 parent meeting - Opened interest registration - Looks like there will be changes to structure Tryouts ongoing, keep the rain away - Duncan secured turf in case - One canceled 6/9 but got it in on 6/11 Coaching assignment puzzle is ongoing. Very difficult with personal preferences, etc Director of Recreational Programming Brett Donoghue U5 Micro. Adam Cohen and staff do a great job with the kids. Feedback from parents has been extremely positive. U6/7 Micro. Like the change we made where the kids start playing right away, then technical work/games and finish up with playing again. Nicolae and Neto are positive and upbeat and do a great job with the kids. U8 Rec- Girls and Boys. We are planning a street soccer day on June 21 from 12-1:30 on Leete#1 and will invite everyone. No pressure to come. All small sided games where players rotate game to game. Will send email out with details. In-House Rec Coordinator Boys Meg Malatesta Winding down to end of season. Micro U6 and 7: End date of June 21 st. Have not received any feedback from coaches regarding how weekly lesson plan is going. Boys U8: Last game to be played June 14 th? Looking to do Street Soccer on June 21 st. Brett will expand on. OR make up week 1 or 2. Need to decide and get on schedule ASAP to give appropriate notice to parents. Boys U9 and 10: Last game in house June 14 th. Joe Conte tournament weekend of June 21 st. This was offered to all players. Entered 2 teams based on players that committed. **Need to organize player evaluations for all coaches (including Everson for micro) to fill out.** In-House Rec Coordinator Girls Tim Paris Tim Paris is stepping down as In-house Rec Coordinator Girls. o Have identified a good candidate to replace Tim. U10 game issue. One team felt the other was being too physical. Perhaps caused by an overly competitive coach.

Wallingford Boys U-17 went on to Finlas Guilford U-14 Boys great showing at 1 win-1 loss-2 2 draws vs county Premier Guilford U-13 Boys participated as well. Travel Director Shadi AbuGhazaleh Report for June: I reported that everything was going smoothly. We had mostly been focused on the upcoming Joe Conte tournament, and that preparations were coming along. All teams were registered for the tournament. The U10 boys team rosters were done (with several late requests wait-listed) and the girls team rosters were being finalized. Tryouts are being conducted across many of the fields, with a backup of the GHS Turf Field should there be rain or P&R decides to close the fields 2. There have been many cancellations of practices and games due to field closures this spring 2.1. Majority of the games, as well as some of the practices, were moved to alternative fields 2.2. The IHR Directors and Commissioners were very creative and accommodating when suggesting alternative sites for both games and practices 3. Very wet spring and it continues rain forecasted for today, tomorrow and Saturday 3.1. Pray for light rain and no thunderstorms 3.2. Next week looks better 4. Working with CJSA system and the Registrars to upload to the SCOG system the CJSA permanent number so upload of Coaches and Players is easier. League Athletics now allows this. Current Registrations are same as last month. No additions or subtractions. Soccerfest Website. The Chairs of SF have asked and give permission to de-commission the SF website and use the SCOG website. The process was ongoing but needed to be completed quickly as it was realized this week that someone on the SF committee mistakenly broke the site and all the navigation. The work to redirect GuilfordSoccerfest.org to GuilfordSoccer.org was completed in a hurry yesterday and the propagation of the proper navigation has made it nearly around the world now. 24 hours is typical for this propagation. All traffic to SF now goes to SCOG and the available pages. The SF chairs have been told of the additional functionality now available. Soccerfect Treasurer Joe Guerra

A committee of Dan Miller and John Hess will evaluate vendors for Travel Comp uniforms. 3. Travel Comp Policy will require one parent to be resident of Guilford. 4.
