Memorandum TO: THRU: FROM: Burgess Hanson, City Manager Kara Petty, Director of Parks and Recreation Ryan Reckley DATE: February 19, 2014 RE: Summer and Out of School Surf Camp Contract Renewal Staff is requesting the approval of the City Commission to renew the contractual agreement for summer and out-of-school surf camp programming with Island Surf and Sport, Inc. This recommendation is based on the success and positive feedback from last year s program offerings, capacity and experience of the entity, and overall operational plan. The program brought in approximately $88,556.70 in its second year and the contractor splits the gross profit by 70% to contractor and 30% to the City of Deerfield Beach. This contractual agreement will allow the Parks and Recreation Department to continue to offer a well rounded surf camp that includes surf instruction, career exposure, and nature and health education at no cost to the City of Deerfield Beach. If further information is needed regarding this item, please do not hesitate to contact me. Staff recommends the City Commission approve this contract renewal option. RESOLUTION NO. 2014/ A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF DEERFIELD BEACH, FLORIDA AUTHORIZING THE SECOND RENEWAL OF THE CONTRACT WITH ISLAND SURF AND SPORT, INC. FOR SUMMER AND OUT-OF-SCHOOL SURF CAMP PROGRAM PURSUANT TO RFP #2011-12/06 WHEREAS, the City is currently under contract with Island Surf and Sport, Inc. for the Summer and Out-of-School Surf Camp Program pursuant to RFP#2011-12/06; and WHEREAS, the initial term of the contract was for one year, ending April 2, 2013; and WHEREAS, the contract provides for two additional one year renewals; and WHEREAS, the City exercised its option to renew for an additional one year, ending April 2, 2014; and WHEREAS, the contract provides for a gross profit split of 70% to Island Surf and Sports, Inc. and 30% to the City of Deerfield Beach; and WHEREAS, this contractual agreement second renewal will allow the Parks and Recreation Department to continue to offer a well rounded surf camp that includes surf instruction, career exposure, and nature and health education at no cost to the City of Deerfield Beach; and WHEREAS, Staff recommends the second renewal of this contract; NOW, THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF DEERFIELD BEACH, FLORIDA, AS FOLLOWS: Section 1. The above referenced Whereas clauses are true and correct and made a part hereof. Section 2. The City Commission does hereby renew the contract with Island Surf and Sports, Inc. Island Surf and Sports, Inc. for the Summer and Out-of-School Surf Camp Program pursuant to RFP#2011-12/06 for an additional one year period ending April 2, 2015. The City Manager is hereby authorized to execute any necessary documents relating to the Bid award. Section 3. This Resolution shall become effective immediately upon adoption. 1

TO: FROM: FOR: Kara Petty, Director of Parks and Recreation David Santucci, Purchasing Manager Commission Approval of Contract Renewal DATE: February 18, 2014 RE: Summer and Out of School Surf Camp Programming, RFP #2011-12/06 The City is currently under contract with Island Surf and Sport, Inc. for the subject program. The initial term of the contract was for one (1) year, ending April 2, 2013. The contract provided for two (2) additional (1) one-year renewal options. The City exercised the first renewal option and the expiration date of the current term is April 2, 2014. In 2013 the program brought in a total of $88,556.70. The Contractor s proceed from the 70/30 split was $61,989.69, and City s revenue split was $26,567.01. Your department has confirmed that they are pleased with the success of the program and the relationship with the Contractor. Renewal of this contract requires Commission approval. Please ensure this item is on one of the regularly scheduled March Commission Meeting Agendas. If it is approved the final term of the contract will begin April 3, 2014 and end April 2, 2015. DS
