This is an opportunity for members to enjoy an educational and networking experience which will improve member relationships while providing an opportunity for growth. Reservation for all parties will not be made until payment is received in its entirety. Once registration forms and payment are received, there will be no refunds, no exceptions. Similarly, booths will not be sold or changed once registration and payment has been received. Registration for the convention will be available onsite at an increased rate. Registrants will receive confirmation and acknowledgment of registration and receipt of payment. Please bring all confirmations and receipts with you to present at the convention registration desk. Note that if there is a discrepancy and you cannot present your confirmation and receipt, you and/or your group will be charged the higher on-site registration fee(s). Social Functions Wrangler Gold Buckle Gala: Monday, December 2 The 6th Annual Wrangler Gold Buckle Gala will be held Monday, December 2, 2013 at the South Point Hotel and Casino Grand Ballroom. This event will kick off the PRCA National Convention and will honor the 2013 Legend of ProRodeo. A silent and live auction will take place during the evening s event. Welcome Reception: Tuesday, December 3 Make sure you are among the crowd to witness the first official introduction of the 2013 Wrangler National Finals Rodeo Contestants and selected Contract Personnel. This is a standing room only event, so make sure you arrive early to get a great spot. Awards Banquet: Wednesday, December 4 The annual PRCA Awards Banquet will begin with a cocktail half-hour followed by a gourmet dinner and highly anticipated awards reveal of the 2013 PRCA Year-End Award Winners. Tickets can be purchased for $65 prior to November 15th or $85 if purchased after November 15th. Tickets are not guaranteed to be available after the November 15th deadline. Presentation Structure at a Glance TOPICS SUBJECT TO CHANGE Tuesday, December 3rd will be breakout sessions based on rodeo committee purse. Each purse size will be in a different designated breakout room moderated by industry professionals and PRCA Staff. Each session will be 2 hours in total length with a coffee break mid-session. Each session will cover the same set topics, but will be relevant to each specific committee size allowing committees a structured networking format. Wednesday, December 4th will feature 4 presentations in a large group format. Attendees will be educated on a range of topics from PRCA Livestock Welfare to Developing & Maintaining a Web Presence. Thursday, December 5th various presenters will be featured for 25 minute presentations in a traditional breakout format. Topic subjecst are to include: Marketing your Area and Developing & Maintaining a Volunteer Program. Convention Goody Bag Item Participation Items must be provided in a quantity of 1200. All items are subject to the approval of the PRCA. Should you wish to participate by providing a goody bag item for convention attendees, please contact Amy J. Rodgers at the National Headquarters regarding your interest. All interested parties must confirm participation no later than November 15, 2013. Items can be shipped directly to the PRCA if delivered prior to November 15. Contract Personnel Trade Show Costs & Policies The PRCA Trade Show is an invitational, non-commercial event. All vendors must be current, eligible PRCA Members or PRORODEO FANZONE Members at the time of registration. To become a PRORODEO FANZONE Member, visit: www.prorodeofanzone.com. In order to be eligible to attend the PRCA National Convention as a PRORODEO FAN- ZONE Member, you must at least be a bronze buckle fan. THE SALE OF PRODUCTS IS PROHIBITED. If you have not purchased a booth nor will be sharing with someone, you may not set up, advertise, or pass out business cards at the trade show or outside the trade show entrance. The purchase of additional booths is permitted for both Contract Personnel Members and PRORODEO FANZONE Members. PRORODEO FANZONE Members who wish to purchase more than one booth space will not be allowed to share space with another PRORODEO FANZONE Member or Contract Personnel Member. Only PRCA Contract Personnel Members will be permitted to share a booth. There will be no more than 2 members per booth, NO EXCEPTIONS! Those that had a booth at the 2012 Contract Personnel Trade Show may reserve the same booth, if and only if, their application is submitted no later than August 1, 2013. After August 1, 2013 booths will be assigned on a first-come, first-served basis. PRORODEO FANZONE Members who wish to have a booth at the trade show will be assigned a booth after all other PRCA Contract Personnel have been assigned, and will only be assigned a booth if there is one available. All booth registration applications must be received by October 1, 2013 in order to be eligible for participation in the 2013 Contract Personnel Trade Show. Below are the benefits of purchasing a booth for the 2013 Contract Personnel Trade Show. Additionally, should you bring in any items that you cannot hand carry yourself without the use of the dock, you will be required to use the freight services provided by the Trade Show Management Company. The loading dock will not be accessible to you to unload and load your own items. If you cannot hand carry the items yourself without the use of the dock, you will be required to pay for freight service. Oversized & Unconventional Booth Aids If you will have a trailer that will need to be parked near the South Point Hotel, Casino & Spa, you must submit a request no later than November 1, 2013 in order to be considered for approval. Confirmation of a designated parking area, should approval be granted, will be given no later than November 15, 2013. Requests for parking may be made directly to Amy J. Rodgers at the PRCA National Headquarters. All booth holders are able to decorate their booth as they wish, with a few exceptions. There may not be any motorized vehicle (motorcycles included) within your booth unless you are granted permission from the Las Vegas Fire Department (which includes an application and all applicable fees). If it has a motor that needs gasoline for fuel, you will have to submit a request for approval with the Las Vegas Fire Department. Additionally, large booth aids, such as video play-back screens, may or may not be able to be located in the trade show area depending on the size of the unit. Therefore, we ask that should you wish to use any unconventional aids in your booth, including generators, that you submit a formal request stating your planned booth decor. This will allow for your aids to be reviewed for approval by the PRCA, South Point Hotel, Casino & Spa along with the Trade Show Service Provider. All requests may be made directly to Amy J. 2013 Trade Show Booth Layout & Information Those that purchase a booth are free to decorate their booth in any way they wish as long as it does not infringe on neighboring booth boundaries or the aisle. All trade show participants will receive an information kit from the Trade Show Management Company by mid- November. Note that you are not required to purchase any additional equipment, furniture, etc. unless you desire to do so at the cost they provide. Any additional services you purchase through the Trade Show Management Company will be handled by the Trade Show Management Company. The PRCA will not receive or take payment for those services.
