Welcome to the Northern Beat Dance Academy (Lac La Biche Dance Society) The quality of our program is due in part to the hard work by all involved; Instructors, Students, Parents and Volunteers. This policy book is designed to assist you and your dancer with procedures and policy s and events throughout the year. Please read it carefully and keep it handy for future reference. Welcome, New Parents! If this is your first year with the Lac La Biche Dance Society, you are in for an exciting year! The club prides itself on being fun and interactive. All parents are encouraged to get involved and participate in fun events and initiatives throughout the year. However, we also understand that there is a lot of information to process! Please sign up for our Remind App as soon as possible and don t be afraid to ask questions! Fellow dance parents and members of the executive will be some of your best resources for current information. Watch for instructors making announcements throughout the year as well. Above all, please remember that dance is FUN! Keeping this in mind for you and your dancer will help ensure they keep a love for dance for years to come. Northern Beat Dance Academy Policy Information The following information is a breakdown of all of our policies. Please familiarize yourself and your child with this information. Membership may update policies on a yearly basis, so please take the time to read through each section thoroughly. 1) Policy book: A working document 1 This policy book is designed by our club and is owned by club members, ie: you! 2 Sections of this policy should be reviewed on a yearly basis as needed. 3 Club policy changes must be voted on by members at our yearly AGM and GM. 4 Members must be given the opportunity to submit policy changes and updates at the time of the review. 5 Policies will be accessible to the members and public on our webpage. 2) Policy Book Agreement We have created this policy book to offer our students and their parents a clear understanding of their commitments and responsibility to the club. 2 By registering with the Dance Society, I agree to read the handbook and ensure, I and my dancers follow the rules of the club and abide by the regulations stated in it. 3) Behavior Matrix Policy Beginning in 2015, the Lac La Biche Dance Society will begin incorporating our clubs Behavior Matrix. The move toward a Behavior Matrix is inspired by a regional school district policy, and is a result of our desire to incorporate a kind, inclusive, and bully free space where dancers can have fun and excel in personal development. The goal of using the Behavior Matrix is that ALL club participants, dancers, parents, volunteers, executive members, instructors and special guests will abide by our behavior matrix. Copies of the Matrix will be posted in all dance areas and it is the responsibility of each club participant to hold each other accountable to the clubs principles. Failure to follow the Behavior Matrix and other club policy s may result in you (the dancer and/or parent(s)) being asked to refrain from attending training and/or festivals. If the situation does not improve, then the dancer or the dancer s family, may be asked to leave the club without refund. Updated: May 30, 2017 Page 3

4) Lac La Biche Dance Society Anti Bullying, & Student Wellbeing Policy: The Lac La Biche Dance Society is committed to ensuring that we operate a club that is free of bullying and harassment of any description. In addition and in collaboration with our matrix, we have adopted a zero tolerance policy that provides a platform to support the rights of all attendees. We have developed a Code of Conduct to ensure that all students, teachers, parents and visitors to the club are treated respectfully and without discrimination. The code is a set of key guidelines for which every participant is expected to comply and uphold with a specific focus on students, teachers and parents. Definition: Bullying is defined as persistent, ongoing, unwelcome behavior by one or more people, that to cause physical or emotional harm to another. Bullying Includes: ongoing teasing or name calling put downs or comparisons of a negative nature spreading rumors purposeful exclusion of others Disrespectful behavior toward others Physical violence and or threats to harm another person Cyber bullying via electronic devices such as; computers to abuse harass or intimidate, mobile phone, twitter, face book and YouTube, or any other media site. Further information regarding bullying please refer to the following websites: www.bullyfreealberta.ca mypolice.ca bullying 5) Studio Behavior Policy 1 Parents must monitor their children when they are outside of the studio. It is very important that we maintain positive and good relations with the Bold Centre and its staff. 2 Clean up after yourself and others by throwing all unwanted food and garbage in the many bins throughout the facility. 3 Vandalism of any kind to the studio, posters, walls, etc., is grounds for dismissal. 4 Theft of any kind at the dance studio will result in immediate dismissal. 5 The waiting areas are not to be used as a playground, or for entertainment purposes 6 The waiting areas are not to be used as an arena for critiquing others and/or gossiping about others. 7 Northern Beat Dance Academy cannot be held responsible for missing personal items if they go jewelry, ipods and any other valuables should be left at home. 8 To avoid losses, we recommend all belongings be labelled. 9 No outdoor shoes permitted in the dance studio. 10 Parents are not to approach teachers between class to talk about any issues, text or call, or facebook instructors. 11 Instructors are not able to add any parent or student to social media in order to keep a professional relationship. 12 When an instructor enters the class, students should be ready to start. 13 The students should not talk in class. 14 Water bottles and towels may be brought into class and used at appropriate times. 15 Students should finish the class with a thank you to the instructor 16 When a guest enters the room and is introduced, students will greet them appropriately and treat them with respect. 6) Dress Code Policy Uniformity in dancewear allows the teachers to assess how well the students are implementing the technique being taught, problems with alignment, and other important aspects of dance training. Please refer to the Dress Code handed out for this year s dance season. 1 Dancers are required to abide by instructors dance and hair requirements. 2 Cover ups may be worn to and from class but may not be worn during class or in place of proper dance attire. 3 AFTER OCTOBER 15th, STUDENTS WITHOUT PROPER CLOTHES OR SHOES WILL NOT PARTICIPATE IN CLASS. 4 If your child misplaces a belonging, please check the lost & found. 5 We discard unlabeled, unclaimed items at the end of EACH MONTH. We are NOT RESPONSIBLE for lost items, labeled or unclaimed. 6 The instructor will choose group dances and the costume which she feels will be appropriate for the music. Cost of the costume is the responsibility of the student/ parent/ guardian. 7 The dance society has costumes in storage which students may wish to buy for solos, duets, or trios. Older dancers may also have costumes that have only been worn a few times that they may be willing to lend or sell. 8 Measurements will be taken of each dancer in October and costumes ordered on November 1st. 9 Please remember that there is absolutely no eating or drinking (except water) while in costume. 10 Students will be responsible for the cleaning and repair of their own costumes if they are damaged before the end of the season. 11 If a costume is borrowed and is damaged or in need of cleaning or repair the student will be responsible for the cost of the repair. 12 Students must return borrowed costumes in the condition they were received. Note: Costumes are charged at a cost which includes the costume, shipping and handling, duty, and all applicable taxes. 13 If a student withdraws from class after the costumes have been ordered, that student is still responsible for the cost of their costume Updated: May 30, 2017 Page 6

7) DROP OFF & PICK UP Policy 1 A late pickup fee of $10 is imposed if we have to wait more than 15 minutes for your child to be picked up. 2 Students under 12 must be accompanied by an adult to the dance room and picked promptly from the dance studio at the end of class. 8) CLASS OBSERVATION Policy 1 A late pickup fee of $10 is imposed if we have to wait more than 15 minutes for your child to be picked up. 3 There may be a schedule announced at the beginning of the year for studio viewing (instructor dependent). It is our philosophy that the purpose of dance class is to instruct, not to put on a show. Even the quietest observers do distract students and can make them self-conscious or apprehensive if they are constantly watched. 4 Please DO NOT enter the classroom during the course of the class for any reason even if the class is changing shoes or taking a break. Siblings not participating in a dance class must be accompanied by a parent at all times and are not allowed to run or play in any area of the studio. 9) ABSENCES & TARDIES Policy 1 Forgotten shoes or uniforms will not be an excuse to not show up to class 2 If injured, you will still be required to observe class however if you are ill you will be asked to stay home 3 Instructors must be notified within 48 hours of any illnesses 4 Students should avoid missing consecutive dance classes. The instructor will not slow the pace of their class to accommodate a student who does not attend class regularly. One absent dancer not only hurts the progress of the individual, it also inhibits the progress of the entire class. 5 Attendance will be a contributing factor for class placements in future years. 6 Students should arrive at least 10 minutes before class so they will be ready to begin. Entering class after it has begun is disruptive to the teacher and other students. 7 If your dancer is tardy or has to leave early, please advise him/her to enter/exit the class quickly and quietly after the instructor has directed them to do so. 8 The instructor should be notified by email or remind app at least 24 hours in advance of any special absence, tardy or early pick-up. 10) Class Times Policy 1 With our portal you can log in to confirm when your child will dance. 2 Class start dates will be announced the first week of September 3 If you have any questions about the class days or times, please visit our webpage (nbdallb.weebly.com) or by email. 4 A student may be moved to a different level during the first few weeks of class, at the Instructor s discretion (see below). 5 You will be informed of any changes to your child s class assignment or schedule. Please note that the schedule is not finalized until October 1 st and changes may be made up to that date. 6 All dance students have 3 weeks to decide whether they wish to continue. 7 Fees will be due after this date. 11) REGISTRATION Policy 1 Payments can be made by credit card or PayPal online through the Parent Portal. 2 Payments made by cheque, post-dated for the 1 st of each month, may be mailed to Box 2244 Lac La Biche, Alberta T0A 2C0, or in person directly to the Treasurer. 3 Any payments made by cheque or cash may only be collected by the Treasurer; please make arrangements to meet by contacting the email/phone number provided. At no time are payments to be given to the instructors, unless it s payment payable to them. 4 Dancers must be registered BEFORE attending any dance classes. The Instructor will not be accepting registration forms/payment. Any dancer information forms/fees are to be mailed directly to the Northern Beat Dance Academy, Box 2244, Lac La Biche AB T0A 2C0. 5 A service charge of $25.00 will apply to all NSF or returned cheques. (this is in addition to any service fees charged by your bank) 6 Two or more NSF cheques will result in a cash only account and payment will have to be made to the Treasurer on the 1st business day of the month All payment arrangements, $250 Volunteer Commitment cheque, and signed FOIP and Liability Waiver forms are due by October 1 st. 7 Accounts missing any of the required documents are considered Not in Good Standing and classes will be suspended until all above requirements are met. 8 Registration is not complete until the club receives the registration fee, tuition arrangements and payment or post-dated cheques, fundraising commitment debit ($100 x 2 debits), year-end commitment ($250 x 1 undated cheque), signed waiver and signed policy form. 9 Late fees on accounts are an automatic function of our computer software and are posted to accounts unpaid by the 11th of each month. 10 Previous accounts must be paid in full before the following years registration can be initiated 11 Accounts more than 2 months in arrears will be frozen and the student may not be allowed to participate until account is brought current. 12 Missed classes due to account in arrears, will be considered unexcused, and will fall under the Absentee Policy. 13 There are no refunds for tuition, costume fees or performance fees. Please do not register your child if you do not plan for him/her to attend the entire 9- month season. 14 Prorated Refunds will be considered if the student moves to a new town or provides a doctor s note showing an injury or illness that prohibits them form completing the dance season. 15 Tuition is calculated on the entire dance year (September-May) and is the same each month, including those shortened by holidays/closures. Kidsport Registration fee subsidies may be available to families who meet the eligibility criteria for Kidsport. Contact the LLB County office at 623-4323 or email us and we can direct you to an application form. 12) Fees Policy 1 Are determined by the amount of hours per week your dancer is enrolled in. This year the fees will be $75/15 minutes. ** Subject to change from year to year** 2 To calculate your fees simply add up the hours in one week that your dancer will be taking and multiply every 15 minutes by $75. **Subject to change from year to year** Updated: May 30, 2017 Page 8

Example #1: Dancer is taking one 45 minute class 45 minutes divided by 15 minutes = 3 3 x $75 = $225 for the year Example #2: Dancer is taking a 30 minute class and two one hour classes 30 + 60 + 60 = 150 minutes/week 150 divided by 15 minutes = 10 10 x $75 = $750 for the year 3 If you need any help figure out your total payment, please let us know. 13) Multi- Class Discount Policy 1 After 3 hours of classes ($900), each additional class is a flat- rate of $150 14) Payment plans Policy 1 Accounts can be paid In full by October 1st 2 Or in 7 monthly payments from October 1 st to April 1 st (Post Dated cheques must be given by October 1st) 3 Families with high dance fees are encouraged to start paying monthly fees in September, giving 8months to pay. 4 Payments are due no later than the 15 th of each month. 5 Costume deposits must be paid in full by October 15 th. If costume deposit are not received costumes will not be ordered which may result in the dancer not being able to participate in festivals or year end. 15) Costume Fees Policy 1 All costume fees are due in full by October 1 st or incorporated into the arranged payment schedule. 2 Costumes will not be ordered without paid depositby October 15th. Costumes will not be released unless accounts are in good standing, and any additional costume charges are paid in full. 3 All festival fees are to be paid in full by November 1 st. 4 Dancers with outstanding fees may be withdrawn from competing in festivals. Any accounts in arrears may be prohibited from competitions and/or community performances and recitals. 5 By Feb 1st 50% of your account must be in good standing. 6 All accounts must be in good standing before delivery. This makes it easier to hand the costumes to parents/dancers. 7 In addition to your dancer s class fees, a 75$ deposit will be added for each costume ordered (necessary for each preforming class). 8 Credits and debits will be applied to the account after the costume cost is finalized. 9 If you have cultural or religious or personal costume preferences please inform the instructor before October 1st to make arrangements. 10 If your child is doing a solo/duet and you would like us to order a costume, it is your responsibility to make arrangements with our costume rep to have a costume ordered. 11 Payments for costumes and performance fees are ABSOLUTELY NON REFUNDABLE, for any reason. 12 Any costumes that are ordered after our initial order has been placed, there will be an added cost of $25 per costume to compensate for the extra shipping and ordering costs incurred. 13 Costumes are not made custom to each student. Regardless of reason for alteration needed. Alterations are your responsibility. 14 Students are to attend the whole 9 month session. If your child is a drop, before costumes are ordered, there are no refunds of paid costume fees for any reason. 16) DANCE CLASS CHANGE / WITHDRAWAL POLICY 1 A parent/guardian must give notice in writing when withdrawing from a class. All class changes must have approval. No changes can be made after October 1st, unless written medical documentation has been provided. 2 The $35(?) change registration fee will be charged for any Sessional Dance Classes if withdrawing before the start date. No refunds will be given once the session has begun unless written medical documentation has been provided. 3 Class changes are at the discretion of the instructor. 4 Withdrawals will only be accepted in writing, either mailed or emailed to the dance society at the above address postmarked by the date announced yearly at the AGM. Written notice given by September 28 th Written withdrawal because of injury or move Written notice of withdrawal other than above Withdrawal with no written notice No fees, fundraising or volunteer cheques will be owed. Classes and Categories Offered at Lac La Biche Dance Society The Lac La Biche Dance Society is pleased to offer the community a few options in dance. Whether you want to dance as part of a fun community recreational group while exploring other creative options in life, or whether you want to live and breathe and fully commit yourself to a high commitment style of dance, the Lac La Biche Dance Society has something to fit your needs. Please read the following categories carefully before committing yourself to a steam of dance. Due to the level of group commitment needed for certain streams of dance, you must carefully weigh the options before choosing your stream of dance for the given year. Please note that whether you choose a highly committed competitive route or a more relaxed recreational route, you will be in the same technical classes as other dancers in your category. This ensures that if you choose a different stream than some of your friends, you will still have the opportunity to dance with them in our technical classes. Ballet (Cecchetti Syllabus) A syllabus focusing on classical ballet technique. A method to develop essential skills of dance (balance, poise, strength, elevation, elasticity and ballon). In order to progress in most dance styles the fundamentals learned during Ballet class is needed. Creative Movement These classes introduce children to a wide variety of skills and experiences. In a group setting, they learn to follow instructions and interact with other students under the guidance of a teacher. Children are exposed to movements designed to help develop awareness of their bodies and to control their motions through space. They are encouraged to explore different qualities of movement (e.g., walking like an elephant or scurrying like a mouse). They work in rhythm using different levels (high, medium, low) and learn to follow patterns (lines and circles). The basic movements of dance are introduced in these classes: bending, stretching, rising, jumping, turning, and running. Musical awareness grows as each child learns to hear and respond to different musical selections. Contemporary Contemporary dance is a form of musical expression which incorporates modern and post-modern aspects of dance, as well as classical dance styles such as ballet. As opposed to many forms of dance, contemporary dance is choreographed and dancers follow compositional philosophies. Broadway Broadway is a form of theatre that combines songs, spoken dialogue, acting, and dance. The story and emotional content of the piece humor, love, anger are communicated through the words, music, movement and technical aspects of the entertainment as an integrated whole. In this class the students will be learning a Broadway style dance and routines and they mouth the words and there is acting involved. They will not be receiving vocal lessons. Jazz Jazz is an informal type of dance developed in the 20th century representing our popular culture. It has roots from European music with Afro modifications emphasizing rhythm, syncopation, and swing. Lyrical Lyrical is a stylized form of jazz with the enhancement ballet technique. Students must take a ballet class as a co-requisite. Lyrical dance portrays a story or set of emotions while dancing. Students will be expected to draw from within themselves; they are not simply demonstrating movements. Combo Combo classes will be an introduction of both ballet and jazz to the dancer. Hip Hop Hip hop dance refers to dance styles, mainly street dance styles, primarily danced to hip hop music, or that have evolved as a part of the hip hop culture. Tap Tap is a rhythm-based style of dance. Tap students will learn correct foot control and transfer of weight while trying to maintain specific rhythms. TECH CLASS: In tech classes dancers learn technical dance skills only. Strengthening, stretching, across the floor, spins, jumps etc.. CHOREO CLASS: This class is for choreography only. Learning a set of movement that is put into a sequence together in order to perform at year end or in competitions. 17) RECREATIONAL DANCE Policy Each of our students has their own special interest in learning the art of dance. Some students dance for the sheer joy it brings to move with expression to music. Our recreational classes focus on fun and are geared towards current styles in music and dance. Classes are offered for boys and girls aged 3 through adult. Programs include Jazz, Hip Hop, Broadway, Lyrical, Tap and Ballet. Our teachers encourage dancers of all ages and levels to be inspired and develop their passion as they reach for their personal best. The experience of training in dance improves posture, rhythm, coordination, strength and flexibility as well as enhancing life skills such as confidence, discipline and teamwork. Recreational classes are organized by age and dance experience. Students have the opportunity to take one class or several in any number of dance disciplines. 18) COMPETITIVE DANCE Policy At Northern Beat Dance Academy we strive for excellence. We believe that ordinary children can achieve the extraordinary if they are encouraged, supported and provided with the right training. If your child enjoys dance and is prepared to work hard in a fun but firm atmosphere then our competitive program has a lot to offer. The benefits of competitive dance are numerous. Dance in any form teaches proper posture, rhythm, coordination, strength, flexibility, classroom etiquette, commitment, discipline and teamwork. These qualities are all magnified within the competitive program especially commitment, discipline and teamwork. Each dancer has a responsibility to the competitive team. Goals are set, results are achieved and team spirit is promoted. Pride, accomplishment, loyalty and teamwork are rewards that are far more important than the medals and trophies won. This intensive level of training enables each dancer to reach their full potential. Whether teaching or performing is in your child s future, the joy, excitement, friendships, and experiences are worthwhile. Anyone is welcome to audition for the competitive program. All competitive students are accepted based on evaluation. Dance experience is usually necessary to be eligible for placement. The amount of experience depends on the level and age of the company for which your child is being considered. Competitive classes will not perform in the local showcases (with the exception of performance group) but will be required to commit to 3 out of town competitions. Competitive dance classes also will perform at the Year End showcase. 19) Technique Classes Policy 1 Our initial breakdown of technique classes will be by age and technical skill. However based on a child s skill and ability a dancer may be moved up to a higher level by an instructor assessment only. 2 Dancers may do technique classes for a style of dance and not participate in the choreographic class of that style. However in order to be in a choreography class you must be in a technique class of that style. 3 Dancers are free to take as many technique classes as they want below their level. 20) Choreography Classes Policy 1 Dancers will be placed in choreo classes based on an audition. It is very important to remember that all students are individuals with very different talents, skills and ability levels; they will not progress at the same rate. In maintaining a high quality of dance education, it is therefore sometimes impossible to keep the same students together in class year after year. The most important thing is that the student should be comfortable in their learning environment, not inhibited. We are a progressive studio and ALL OF OUR CLASSES ARE CHALLENGING! Just because your child class name does not change does not mean they will not learn anything new. The class names are simply a way of identifying the classes separately for business and scheduling purposes 23) Performing Opportunities Policy Please be aware that practice by oneself and knowledge of the choreography is not necessarily sufficient to perform. Just like team sports or other group activities, dance requires group performance to achieve excellence in timing, spacing, staging, and emotion by every performer. 1 Students in all performing classes are expected to know and perform the choreography with accuracy. 2 Students should strive to meet the technical and artistic requirements of the piece. 3 Students may be removed from choreography at the discretion of the instructor at any time. 4 If a student requires extra attention to achieve excellence in choreography that student may purchase extra lessons from the instructor at their own cost. Public Performances Individual or small groups of dancers may be asked to perform locally during the dance year at Lacalta Lodge, Hospital, Heritage Centre, Schools, Fundraisers, etc. Notes/emails will be sent to parents on place and time if your student is participating. We are always looking for more public performance dance opportunities, if you hear of a fun family orientated event in the area, please let us know so we can make arrangements to showcase some of our dances in the community. Festivals Festival offers an opportunity for dancers to recognize and acknowledge other dancers, teachers and choreography. The dancers are learning from others while challenging themselves which is a valuable experience. Focus will not be placed on marks. At festival we want our dancers to try their best, represent the Northern Beat Dance Academy with their impeccable behavior and most of all HAVE FUN! win over someone else. Improve to win over yourself. Age six and up will attend festival upon instructor s discretion. The club pays for group entry fees to the festivals. Festivals for the 2015-16 dance season will be announced. Once we have registered the groups we do not receive a refund if dancers do not go. If you are unable to commit to the festivals, please contact the executive so we can register accordingly. Registrations for festivals are done in October. Dancers wanting to perform a solo/duet/small group at festival(s) need to pay the fees before entries are sent it. Please contact the executive for fee amounts and to arrange payment. Year-End Recital The Club performs a year-end recital for the community showcasing each class s efforts throughout the year. Tickets will be made available to each family to purchase before tickets go on sale to the public. Students must purchase a ticket in order to view the performance. 24) Absence Policy Competition Instructors must be informed of any vacations prior to December 31 st. If vacation is taken after this date without notice they will be pulled from all performances except recital or in some cases moved to recreational choreography- depending on the situation. Competition choreo classes Only 6 classes in total out of ALL classes with ALL instructors - including vacation (with the exception of bereavement) Recreational 3 absences per class (including vacation with the exception of Bereavement) 25) Solo/Duets/Trios Policy Dancers will be chosen based on the following criteria: 1 Physical ability 2 Mental and emotional readiness 3 Attenance 4 Commitment in all classes 5 Age of a dancer may be a consideration but not a determination. 6 Dancers will be chosen at the discretion of the instructors after a discussion between all instructors 7 An audition will take place for the instructor s limited solo spots. Parents are welcome to commission the instructor and other instructors outside of class time for a solo separately, if their child wants another solo, or if they did not receive a solo spot. 8 Commissioned solo spots will be at the instructor s discretion only. 9 Extra solo s can be paid for separately but parents will covers fees, rental space etc. 10 These will be privately agreed upon with instructor, and will be made aware of to the executive. 11 These solos will perform at festival/competition only but not at year-end. 12 Only the limited solo spots /part-time instructor s solo picks may be selected perform at year-end. 13 Both instructors have the right to decline a solo commission if they think the child in not ready for one that year. 14 All first year dancers will not receive a solo or be considered for competition until invited by an instructor after an assessment/audition. 15 Dancers are expected to practice at home in between rehearsals with the instructors. It is very frustrating both for the instructor and the dancer if they are having to spend time relearning choreography that was already taught. 26) Dancer/Society Commitment Policy 1 Dancers have the right to dance at other studios without prejudice from NBDA instructors or parents. 2 However, they may only compete with NBDA. 3 Classes at other studios outside may not conflict with regular classes at NBDA and events with NBDA will be prioritized over outside events with other studios. Note: If you are only taking technique classes at NBDA the above statement does not apply to you. 27) Make-Up Classes Policy 1 Each day of the week is allowed to have 1 snow day or sick day without being made up. 2 Dance cancellations due to weather and road conditions will be determined by bus cancellations and extreme road advisories. 3 During the school week if NLSD busses are canceled, dance will be cancelled. If busses are not cancelled, dance will not be cancelled. 4 However, if busses are running, and weather or road advertisers are existent, an absence exception may be made. 5 If a second day is missed due to weather and/or illness every effort will be made to make it up until the end of February. After February, it will be at the teacher s discretion, due to the heavy load and busy schedule. 28) Information & Newsletters Policy 1 It is your responsibility to inform yourself about the goings on of the club. Newsletters will be sent to each family the 1st Sunday of every month. 2 You will also receiveupdated with other information during the month such as upcoming events, fu ndraising opportunities, classes cancelled due to weather/illness, festivals, yearend information and more. 3 It is the responsibility of all parents to read the newsletters, sign up to the remind app and check the website for current information. 4 The Communications Director will create a newsletter every month, it will be posted on our website (http://nbdallb.weebly.com/ ) 5 Please be sure that your email is correct in the portal. 6 If you change your email it is your responsibility to update it in the portal. 7 It is everyone s responsibility to ensure they have read the newsletter, if you are having issues viewing the newsletter please contact the communications director ASAP so it can be resolved. Please be advised that if you do not complete your fundraising obligations you will be responsible for the $200 fundraising obligation; paid in full by April 1st 2016. If the fundraising obligation is not paid by the date stated above then your dancer may not take part in festivals or the year end show. Please see above for payment options. 3 If you fail to show up for a volunteer commitment without replacement, you will not be able to make up the $100 volunteer commitment again. We understand that many people would prefer not to participate in fundraising activities. We completely understand, and are happy to give families the choice. 4 If you do not want to participate in fundraising activities, please be aware that you will be responsible for paying the $200 fundraising obligation by April 1st 2016, with the option of having it broken down and added onto your monthly payments. 32) Volunteer Policy 1 To earn back a credit equal to $350 - Volunteer for an Executive position (Président, Vice Président, Secretary, Treasurer, Director At Large, etc). 2 To earn back $100 - Volunteer for a committee such as the Costume committee or the Year End Committee. 3 To earn back $100+ Volunteer for our casino in Fort McMurray and earn back $100.00 per shift. You will also be reimbursed for mileage, hotels and meals. 4 To earn back one of your fundraising commitments, $100 Sign up for a bingo, selling chocolates, raffle tickets and many more exciting opportunities. Please watch the news letters/remind App for more information. 5 The club endures fines from the Indoor Sports Association if our volunteers do not show up for bingos and it is an embarrassment to the club. When and if this occurs the club will pass the ensuing fines on to the parent that was responsible. 33) Year End Volunteer Commitment Cheque We ask all families to volunteer at one of our year end shows. Sign-up sheets will be available closer to the shows. 1 A $250 cheque (per family) is required with the class fees. This cheque will be returned upon completion of your volunteer commitment. 2 If you do not volunteer at the year-end show, your cheque will be cashed in May. 34) Injury Policy The club takes the prevention of injuries very seriously. It is extremely important that the dancer seek qualified medical assistance promptly to ensure that acute injuries do not become chronic problems. Lac La Biche Dance Society Incident /injury reports must be filed by the instructor at the time of the injury. 35) Theatre Etiquette Policy Please remember when watching your child s performance several important factors help everyone enjoy the show. These small points educate our students on theatre etiquette and make for a positive and enjoyable dance experience. 1 Turn off all cell phones and pagers. 2 Do not enter or exit during the performance and do not move around the theatre. 3 Please stay and enjoy all the performances so that each student in our school has an audience for their dance. 4 Please be as quiet as possible during the performance. 36) Festival Policy Updated: May 30, 2017 Page 19

At festival we want our dancers to try their best, represent the Northern Beat Dance Academy with their impeccable behavior and most of all HAVE FUN! Improve to win over yourself. 1 Age six and up will attend festival upon instructor s discretion. 2 Festival entry fees for classes are paid for by Northern Beat Dance Society. 3 Recreational classes will be entered into one festival and Competitive classes will be entered into three festivals. 4 Festival forms are completed and all fees are paid in November. If you are aware of a conflict and are not able to attend a festival, please let your instructor know ASAP. 5 Once festival fees are paid the club will not receive a refund but more importantly the instructors need to know for choreography purposes. 6 All solos, duets, trios or any other small groups who learn choreography outside of regular recreation/competitive classes are responsible for their own festival entry fees and fees must be paid prior to the number being registered for festival. This includes any spots that are schedule during the instructor s regular schedule or through private lessons with the instructors. 7 Dancers will work with the instructors to decide if the solo/duet/trio/small group will be considered recreational or competitive. 8 if a dancer misses a festival without 48 hour notice/teacher permission Before hand or doctors note they will be pulled from all other competitions 9 If you have any questions regarding hair, make up, tights, shoes etc, please discuss with your instructor PRIOR to festival. 10 If you need assistance arranging carpooling for your dancer to go to festival, please contact the Communications Director a minimum of one week prior to festival. The dance executive cannot make arrangements for you but can help with connecting you to other parents so you can make the arrangements. 11 All dancers should meet the instructor or designate at the festival a minimum of 1 HOUR prior to dance time and should be WARMED UP, IN COSTUME, WITH HAIR AND MAKE-UP DONE. 12 Festivals have the right to run ahead of time so it is extremely important for dancers to be ready a minimum of 1 hour before the scheduled dance time. 13 Dressing room space can be limited so having hair and make-up done before you arrived can be helpful. 14 Instructors will run through the dance with the dancers in a practice area. 15 If a dancer is not prepared, warmed up and has not run through the dance with their group, they may be unable to perform. 16 Parents are not permitted to enter the practice area. 17 No cameras, video cameras or recording devices are allowed in the theatre. 18 Any person ignoring this rule may subject the group or individual to disqualification*** - this includes taking pictures with your cell phone. 19 The decision of the adjudicators, timers and committee are final. NO ONE is allowed to approach the adjudicators, timers, etc. to question or discuss results, marks or comments etc. If everyone does not follow this rule we could be asked as a club to not come back to the festival in the future. Information regarding festival: 1 ADMISSION: There is typically a charge for spectators at the event which is often CASH ONLY. There is no charge for dancers who are participating. 2 Programs are available for purchase (often cash only). 3 Only those people with special duties and competitors will be allowed backstage. 4 Typically a photographer has been hired by the festival organizers and photos are available to purchase. 5 *** Multiple groups will dance in a category. Once they are all complete, all dancers will come back on the stage for adjudication and awards. So enjoy all the dances and once the adjudication is complete you can meet your dancer back in the dressing room. 37) Performance dress policy Work together with other parents in your class, if you forgot something, they may have extra. When you arrive at festival, if a dressing room is not assigned, just go in and find yourself a spot. Try and find others from your group. The instructors are with other groups as well so don t panic if you can t find them right away in the practice area. After your dancer is done, they will bring them back to practice area where you dropped them off. A few items that might come in handy: safety pins, Q-tips, hair pins, water, gel, hairspray, extra tights - but don t panic, if you don t have them, someone probably will. 1 Please be sure you have received hair and make-up instructions from your instructor as well as color of dance tights required for festival. 2 No nail polish or tattoos. 3 No underwear under costumes just tights (it is a good idea to have a spare pair in your bag). 4 No eating in costumes. Only water to drink. 5 If the dancers want to go watch some of the festival before/after they dance and are in costume, they must be wearing a zip up jacket over their costume. 38) Executive and Committee Policy The dance society is run by a volunteer group of executive. Positions on the executive may include but are not limited to: President, Vice President, Treasurer, Secretary, Registrar, Communications Director, Costume Director, Festival Director, Bingo/Fundraising/Casino Director, Year End/Events Coordinator etc. Other volunteer positions include, but are not limited to, Year-end committee, and costume committee. 1 In order to serve on the Executive, volunteers must sign a confidentiality agreement to protect our dancers and parents financial and personal information. 2 Executive members must also complete both criminal and child welfare checks as they will be working with both money and children. This is for the safety and wellbeing of all involved. 3 In addition, the executive meets monthly and some items may need to wait and be addressed at the regularly scheduled monthly meeting. 4 Involvement on the executive includes committing to monthly meetings, weekly (if not daily) emails/ facebook posts and actively participating in not only the role you volunteer for, but whatever needs to be done. 39) President Policy Authority and Responsibility: 1 Provides leadership to the Board of Directors. 2 Makes sure the Board adheres to its bylaws and constitution. 3 Prepares the Board s agenda with input from Board Members and the dance instructor(s). 4 Calls monthly meeting and informs all exe of the dates at the beginning of the year. 5 Chairs monthly meetings. 6 Calls and chairs 1-2 general meetings for all members throughout the year 7 Encourages Board members to participate in meetings and activities. 8 Keeps the Board s discussion on topic by summarizing issues. 9 Keeps the Board s activities focused on the organization s mission. 10 Evaluates the effectiveness of the Board s decision-making process. 11 Chairs meetings of the Executive Committee. 12 Makes sure that committee chairpersons are appointed. 13 Orients Board Members and committee chairpersons to the Board. 14 Serves as ex officio member of committees and attends their meetings when needed. 15 Makes sure there is a process to evaluate the effectiveness of Board Members, using measurable criteria. 16 Recognizes Board Members contributions to the Board s work. 17 Acts as one of the signing officers for cheques and other documents, such as contracts and grant applications. 18 Plays a leading role in supporting fundraising activities. 19 Promotes the organization s purpose in the community and to the media. 20 Prepares a report for the Annual General Meeting. 21 Orients the new Chairperson. 22 Leads the Executive Committee which manages and makes sure programs and services are implemented. 23 Acts in the role of a service volunteer, as well as a board volunteer, to assist in operating programs. 24 Makes sure that the Board governs as well as manages programs and services. 25 Hires new instructors, and renews and negotiates employment contracts with instructors in collaboration with HR committee 26 MC the year end recital or find someone who is willing to. 27 President or treasurer MUST attend all casinos. 40) Vice President Chair Policy 1 Acts in the absence of the Chairperson. 2 Serves on the Executive Committee. 3 Learns the duties of the Chairperson and keeps informed on key issues. 4 Works closely as consultant and advisor to the Chairperson. 5 Prepares to serve a future term as Chairperson. 6 Chairs at least one major committee. 7 Acts as a signing officer for cheques and other documents. 8 Orients the new Vice-Chairperson 9 Assists with organization and completion of workload. 41) Treasurer/Registrar Policy 1 Serves on the Executive Committee 2 Gives regular reports to the Board on the financial state of the organization. 3 Keeps financial reports on file. 4 Chairs the Finance Committee. 5 Orients the new Treasurer. 6 Deals with the day-to-day financial affairs with assistance of paid bookkeeper. 7 Responsible for the accounting of the funds of the organization, its budget and expenditures. 8 Keeps full and accurate accounts of all organizational receipts and disbursements. 9 Receives and banks all monies due to the organization. 10 Disburses all monies as directed by the Board. 11 Prepares and monitors overall budget with Finance Committee. 12 Prepares program budgets with Program Chairperson. 13 Submits Unemployment Insurance Commission (UIC) and Canada Pension Plan (CPP) payments to Revenue Canada for all paid staff and other payroll functions. 14 Files necessary financial reports, tax reports and audits. 15 Creates and maintains online classes, in accordance with approved schedule. 16 Works with instructors to ensure all students are in appropriate classes, and make changes as instructed. 17 Corresponds with and schedules in selected solos, duets, and trios. 18 Maintains an accurate list of registered students and families as needed for various departments and events. 19 Monitors accounts and advises instructors of student suspensions, ie; accounts not in good standing. 20 Corresponds with dancers and parents as needed. 21 Assists Casino and Bingo Rep with all associated licensing requirements and financial reporting, 22 Prepares Society Annual Return on a yearly basis, assists with organization and completion of workload. 23 President or treasurer MUST attend all casinos. 24 Prepares registration forms for upcoming dance year. 25 Creates schedules and class lists, with the help of the instructors, based on registrations. 26 Shares class lists with treasurer, costume manager, festival director, communications director and instructors. 27 Keeps lists updated. 42) Secretary Policy 1 Serves on the Executive Committee 2 Keeps copies of the organization s bylaws and the Board s policy statements. 3 Keeps list of officers, Board Members, committees and General Membership. 4 Notifies Board Members of meetings. 5 Brings official minute book to meetings. 6 Keeps record of Board attendance. 7 Makes sure that there is a quorum at Board meetings. 8 Keeps accurate minutes of meetings. 9 Records all motions and decisions of meetings. 10 Signs Board minutes to attest to their accuracy. 11 Records all corrections to minutes. 12 Keeps copies of minutes of both Board and committee meetings. 13 Distributes copies of minutes to Board Members promptly after meetings. 14 Conducts general Board correspondence. 15 Signs official documents of the organization as required. 16 Files the annual return, amendments to the bylaws and other incorporating documents with the Corporate Registry. Issues receipts. 22 Coordinates travel arrangements, accommodations, etc for instructors. 23 Assists with organization and completion of workload. 43) Fundraising Director Policy 1 Committee Chairperson is a member of the Executive Committee 2 Reviews the terms of reference and mandate of the committee as outlined by the Board. 3 Holds access to communication system to communicate fundraising initiatives and updates to members. 4 Recruits an appropriate number of committee members to carry out the mandate. 5 Takes into account committee quorum for fiscal motions. 6 Orients members to the committee s mandate and position in the organization. 7 Works with treasurer/ executive board to set fiscal fundraising goal at beginning of year. 8 Creates fundraising plan with committee. 9 Presents fundraising goal/plan to executive for approval. 10 Initiates Christmas raffle (beginning early September with draw before Christmas). 11 Participates as raffle chair and recruits (or acts as) indoor sports chair from committee. 12 Works collaboratively with other community groups to support growth and wellness of community. 13 Recognizes each member s contribution to the committee s work. 14 Delegates appropriate tasks to individual committee members. 15 Makes sure meeting minutes and other relevant information are recorded and filed. 16 Reports the committee s progress to the Board of Directors and the membership on a regular basis. 17 Orients the new Fundraising Director. 44) Communication Director Policy 1 Respond to all emails within a 48 hour time frame; if the email is intended for another board member forward the email to them within 48 hours. 2 If unable to preform regular duties for more than 48 hours, the communications director must recruit a capable executive member to preform duties while away. 3 Create a monthly newsletter by the first Sunday of every month and have it emailed and posted on the Dance website by 11:00am. 4 Attend all executive meetings. This is imperative so you are well informed, and can answer emails quickly. 5 Recommended that you attend all sub-committee meetings (this does not mean you need to give input or do the leg work) so you know what the happenings of the club. 6 Update the public facebook page regularly. Any public performances, fundraising sales/events, or special events can be mentioned. 7 Send out emails when requested as reminders or to update certain information. 8 Shares information such as the newsletter with the dance instructors to keep them informed. 9 All emails must be handled in a professional manner. 10 If you receive a written complaint you must inform the board of its nature so it can be handled Updated: May 30, 2017 Page 24

appropriately by the appropriate person(s). Sometimes the communications director will be asked to handle the matter and it must be done in an empathetic way. 11 Book the dance room on available days and keep a clear record so the appropriate dancers are charged. 12 Represent the club in a positive professional manner. 45) Costume Director Policy 1 Obtains measurements of students for festival costumes, assists with the distribution of costumes upon arrival. 2 Assists with organization and completion of costume workload. 3 Research and organize the purchase of dancewear such as jackets and pants. 4 Create information and order forms and help with distribution. 5 Organize the costume committee to assist with the workload. 6 Organizes and orders dance club promotional gear for the club. 7 Seeks executive approval on any budgetary expenses. 8 Delegates a committee member from the costume committee to be props chair. 46) Director at large Policy The Board of Directors is the legal authority for Northern Beat Dance Academy. As a member of the Board, a Director acts in a position of trust for the organization and is responsible for the effective governance of the organization. Term Directors are elected by the membership at the Annual General Meeting. Directors serve for a one-year term. Directors may be released at the end of the elected term, by resigning, or according to Northern Beat Dance Academy (Lac La Biche Dance Society) bylaws 1 Commitment to the work of the organization. 2 Knowledge and skills in one or more areas of Board governance: policy, finance, programs, personnel and advocacy. 3 Willingness to serve on committees. 4 Attendance at monthly Board meetings. 5 Attendance at meetings of assigned committees. 6 Attendance at Annual General Meetings. 7 Attendance at General Meetings or other meetings of the membership. 8 Support of special events. 9 Support of, and participation in, fundraising events. 10 Financial support of Northern Beat Dance Academy. 11 General Duties A Director is fully information on organizational matters, and participates in the Board s deliberations and decisions in matters of policy, finance, programs, personnel and advocacy. 12 Approve, where appropriate, policy and other recommendations received from the Board, its standing committees and senior staff. 13 Monitor all Board policies. 14 Review the bylaws and policy manual, and recommend bylaw changes to the membership. 15 Review the Board s structure, approve changes, and prepare necessary bylaw amendments. 16 Participate in the development of Northern Beat Dance Academy s organizational plan and annual review. 47) Director at Large Festival Director Policy 1 Works with the instructor to decide which festivals the club will be attending. 2 Prepares forms and then delivers to instructors to have them complete. 3 Calculates payments and sends in payment and registration forms to complete registration process. 4 Reviews tentative schedule and makes corrections. 5 Works with Communication manager to complete a Festival newsletter and schedule to send to parents. 48) Director at Large Year End/Events Coordinator 1 Helps plan any events and the yearend show. 2 Will be in charge recruiting and organizing of any committees formed to plan these events. 3 They, with their committee, will be responsible for planning and implanting the year end show/event. Please see Year End Committee and Special Events Committee for more details. 4 Will also work with the communication director for advertising and sending information out to parents, and any other duties required. 49) Committees Committees and some other specific positions involve less time than executive positions and are therefore considered tier two positions. These positions only have to attend meetings where their business is being discussed, not monthly meetings. These positions include but are not limited to the following: 1 Costume Committee: 1-2 people. Assists the costume director with the workload of measuring for dance costumes and distributing costumes upon arrival. Assists in researching dance attire, creating order forms, distributing clothing. Helps complete workload of costumes/dance attire. 2 Year End Committee: 5-6 people. Responsible for the successful production of the dance society s year-end recital. Duties include, but are not limited to: Prepare the year-end volunteer sign-up sheets. Works with the executive to book venues. Books sound and lighting technicians. Gets mics and equipment out of storage; ensures batteries are ready for technical rehearsal. Arranges for fans in dressing rooms. Coordinates the design, format, and printing of the program. Coordinates the design, format and printing of tickets for all performances. 3 Fundraising Committee: 3-4 people. Works with other members of the committee to creatively meet yearly fundraising goals / initiatives set out at the beginning of the year. 4 Special Events Committee: 5-6 people. To be formed just prior to events - postings will be put up requesting volunteers to sit on sub-committees, along with the executive to organize special events. Northern Beat Dance Academy Instructors 2015-2016 Shannon Roberts has a Bachelor of Fine Arts (BFA) in Dance Performance from Ryerson University and a Masters of Fine Arts (MFA) in Contemporary Dance and Choreography from York University, with experience teaching children and adults from beginner to advanced. During her Masters, Holly Small, Darcey Callison, Carol Anderson and William Mackwood advised Shannon throughout her thesis and choreographic processes. During her studies, she danced for Holly Small, Louis Laberge-Cote, Kenny Pearl and David Earle and she has been in several dance festivals and performed in Vienna under the direction of Keith Hennessy at the Impulstanz Festival. Roberts participated in the Society for Dance History Scholars Conference at York University in collaboration with Susan Lee, Don Sinclair and Andra McCartney and Saudades do Brasil with Newton Moraes Dance Theatre at the PULSE Youth Dance Conference. Shannon has a passion to travel and teach dance. In 2009, she was commissioned to China for 7 months to design a dance program that incorporated learning English. An excerpt from her final thesis pieces was shown at Dance Matter s A Woman s Work 2012. Roberts performed in What We Do by Jillian Peever at Series 808 and Freshblood in 2013. Shannon is a co-founder of Find the Floor Dance Collective and their work Perception premiered in July, in Toronto and as part of the 2014 DanceWorks Co-Works series. She moved to Conception Bay South, Newfoundland in September 2013 and was teaching Ballet, Jazz, Lyrical and Hip Hop at Jill Dreaddy Danceco, and was the director and choreographer of the first Jill Dreaddy Danceo Junior and Senior Performance Teams. Shannon had the honor to be the teaching assistant to Holly Small and Susan Cash for York University s dance Ensemble for two years where she gained administrative skills and taught class to the company as well as assisted in rehearsal directing and choreographing. She has taught Barre and TRX fitness classes as well as off-ice conditioning to hockey players (up to OHL level). Her training includes classical ballet (RAD & Cecchetti), jazz, modern, contemporary, hip-hop, dance conditioning, competitive figure skating, on and office conditioning and flying trapeze. Shannon is a responsible, ambitious teacher who strives to keep up-todate with all current dance trends in hip hop, modern, ballet and jazz. Updated: May 30, 2017 Page 27

Jennifer Wolfe started her teaching career in Edmonton in 1993. While teaching she developed a creative movement program for 3-5 year olds, as well as a progressive Jazz Syllabus for ages 6 to adult. She has enjoyed teaching all styles of dance including; Jazz, Tap, Ballet, Creative Movement, Hip Hop, and Lyrical. She attended the Edmonton School of Ballet Teacher Training program from 2005 to 2008. Over her many years of teaching she has continued to upgrade her training with workshops all over North America. She has taken classes with Master Teachers and Choreographers including Mia Michaels, Tyce Diorio, and Stephen twitch Boss.
