Team Manager Purpose and Responsibility The purpose of a team manager is to provide a clear and consistent hub of communication between the entire team, the coaching staff, and the Club administrators. The team manager will be the point of contact for any questions regarding practices, travel, tournament dates, times, and locations. The team manager is responsible for distributing directions and logistical information for tournaments, play sites, and hotels. The following document includes duties and responsibilities of the team manager. Team Communications Teamsnap ISC has an enterprise license for Teamsnap. So every premier and select team will be provided a Teamsnap account free of charge. Club registrar and admin will help to get every manager setup with admin rights for their team, and help get players assigned correctly. Once setup, the manager is responsible for keeping their Teamsnap updated. Having an enterprise Teamsnap account will allow for better communications across all teams, and will take some of the mass communication burden off the managers. We ask you keep the account up to date with ALL events planned through the entire season. Player Cards/Managers Binder/Game Day Responsibilities Player Cards All players will need a player card. Players that currently have a player card with US Club will be using those cards until they expire (on August 1 st for US Club); new players without cards, if needed, will be issued interim cards with the same respective expiration dates. All players will receive new player cards for the upcoming year beginning August 1 st for US Club. Process to obtain player card: The registrar will go through the process of getting the player card from US Club. In order to get the card, the registrar will need the proof of birth from each player (see POB Section Below). Player Card Management: Once the registrar finalizes all the player cards for your team, you will receive a PDF file containing all your player s cards. The manager will need to prep the cards for games. Player cards will require the player s picture, and then will need to be laminated. Each card will need a hole punched in one corner so all cards for the entire team can be kept together on a key ring. The cards must be brought to all tournament and league games, which includes the coaches and team manager s cards. Keep very close to those cards as they are difficult and expensive to replace, and necessary for all competitive matches! Players do not get to hold on to these!! Proof of Birth (POB) All new players must provide a copy of their POB as soon as possible, only returning players to your team with a current player card from last year s ISC Gunners Premier/Select programs are considered to have met the POB requirement. When asked by Registrar to send over the POB s, please compile the individually scanned copies of all the new players POB s (birth certificate or passport) as pdf files, labeled by last name, and attach to an email to Colleen at colleen.fodness@iscgunners.org with your full team name in the subject line. Note: Players will not be included on the official team roster until their proof of birth is received. 3

ISC Gunners Medical Releases/Sudden Cardiac Arrest/Concussion Waivers/US Club Medical Release Each player electronically signs a ISC Gunners Medical Release form during registration. You will NOT need a hard copy of this medical release form your binder. You will need the US Club Medical Release for tournament check in (in some cases), and able to present at every game played. If the manager is not available at a game, they must designate someone to have the binder with all the relevant documents (including medical release) at the game. You will also need to get parents to sign the Sudden Cardiac Arrest and the Concussion Waiver forms US Club Medical Forms are good for 5 years, so you only need to collect this form from player you do not have one from. Gunners Expectations Each player and parent must complete a Gunners Expectations sheet (see Appendix A). Once complete, please put the signed sheet into your Managers Binder. Any player/parent who has not completed a Gunners Expectation form pre any event, may not participate in that event. Background Checks, Bonzi and US Club Registration: A back ground check needs to be completed for every adult that works with your kids. This includes coaches, trainers, managers, and team treasurers. It is a simple online application. Please contact the registrar for more information on links. Coaches, Asst. Coaches and Team Managers will also need a US CLUB Staff Card in order to be on the bench during league/tournament games. Please contact our Registrar in order to complete these 2 registrations before any practices with the players. Rosters for League Play/Game Day Sheets You will be provided an official roster that you will need to carry to all league games. US Club (PSPL) must bring the official US CLUB Roster and a PSPL game day sheet for league play which you can obtain at: http://pugetsoundpremierleague.com/leagues-5/match-procedures They must be typed out per game and given to the referee before the start of the game. Refer to PSPL game day checklist which is included in your manager binder. Uniforms Uniform Orders Uniform ordering is still in process. Soccer West has changed their process for 2017/18 and all orders are being fulfilled separately (ie NOT by teams). Uniform Policy Below are the practice and game policies for uniforms: Practice: Required: Practice Top, blue shorts, blue socks. When weather requires, blue/white pullover and/or blue rain jacket, black warm up pants. 4

Home Games: During Game Play - Blue jersey, Blue Shorts, Blue socks. When weather requires, white long sleeve base layer (Under Armor, Nike compression, etc). Warm ups (over game uniform above) - blue/white pull over. When weather requires, blue rain jacket, black warm up pants. Away Games: During Game Play - White jersey, Blue Shorts, White socks. When weather requires, white long sleeve base layer (Under Armor, Nike compression, etc). Warm ups (over game uniform above) - blue/white pull over. When weather requires, blue rain jacket, black warm up pants. Goalkeeper Uniform: During Game Play - Bright Green jersey, Black shorts, Black socks. When weather requires, white long sleeve base layer (Under Armor, Nike compression, etc). 5

Tournaments Premier: Directors and team coaches have selected the tournaments for each team. Coaches will work with the managers to finalize any changes in the current plan. ISC staff will register and pay for tournaments up to the allocation specified below. Registration of teams for any additional tournaments will be the responsibility of each team manager (or designated tournament coordinator). For club sponsored/paid tournaments, coaches and tournament expenses will be paid by the club. For team paid tournaments, the team will be responsible for paying the coaches and tournament expenses. For travel tournaments, this includes the coaches flights, rental car, and hotel. 2010 teams will play in 2 jamborees over the summer. 2008-2009 teams will receive 2 paid tournaments a year. 2006-2007 and 1999-2002 teams will receive 3 paid tournaments a year. 2003-2005 will receive 4 paid tournaments a year. Select: Teams get 2 paid tournaments by the club. Directors will work with coaches and managers to select appropriate tournaments. The list of players that are participating in the tournament, including guest players, must be submitted to the registrar 14 days before the first day of the tournament; no exceptions will be made. This list will designate any regular team players that will not be attending the tournament as well as a listing of any proposed guest players. Guest players often require special documentation, which may include a player card and/or release letter from a previous or current team and/or club (if other than ISC). Please consult the registrar in advance regarding specific player circumstances to assure adequate time to acquire necessary documentation. Please make your plans well in advance as out of state travel is prohibited without the requisite documentation, which cannot be expedited. Please do not plan any out of country tournaments. Rosters - Official tournament rosters need to be signed by our Club registrar and will therefore be provided specifically for each individual tournament (refer to section below). If you are having a player from another ISC premier team play with your team, you will need to notify Colleen to make sure they are put on the roster. You will also need to collect a copy of their medical form and player card and a player loan formed will need to be filled out by both club registrars. Team Paid/Travel Tournaments For all tournaments identified as team paid, the players/families that are active and on the roster for the tournament are responsible for paying the following expenses: Tournament entry fee, coaches travel expenses (flight, car, hotel), and any registration fees for guest players from outside ISC (US Club card). All expenses will be calculated prior to the tournament, and spread evenly across all players attending the event, and then added to the families Bonzi account for payment before tournament weekend. For situations where a coach has multiple teams, the coaches expenses will be spread out across all players on those teams. If there is an additional coach attending the tournament to support the teams competing, those coaches expenses will be spread across all teams that coach will support. 6

Schedules/Attendance Practice Schedules Your coaches and Directors should communicate the latest practices schedules for your team. All practice Schedules can be found on our website: Summer Practice Schedule. Please consult with your coach for any changes from the main schedule Game Schedules League game schedules are prepared by the league in which your team is participating and are usually posted the week before your league season begins. Once your schedule is posted, it will indicate the home and away game dates. For all games scheduled outside of the PSPL Development League, it is the expectation that games will not be scheduled earlier than 9 am on Saturdays or 10 am on Sundays unless agreed to by the visiting team. For teams that have more than two hours travel, games may not be scheduled earlier than 10 am and for teams traveling three hours or more, games may not be scheduled earlier than 11 am. Note: Any teams that cancel or reschedule a game without the approval of your coach or DOC with less than 7 day s notice will be charged for the field time; teams that cancel or reschedule a game with less than 3 day s notice will be charged for field time and referee fees. These are actual Club expenses, contractual obligations of field rental agreements and referee assignment that must be passed on to any team that reschedules or cancels a game without proper notice. There will be no cancellation fee if a game is cancelled due to Mother Nature. Club Scheduler is Alan Rodger (alan.rodger@iscgunners.org) Referee Assignments The referee assignment requests will be made by the Club as part of the field scheduling process after your league games schedule is released. Please verify referee assignments online for all your home matches at least 3 days in advance - http://www.ekcsra.org/. Any Questions, contact Alan Rodger (alan.rodger@iscgunners.org) Attendance At a minimum, the coach AND team manager should be informed directly of any player absences from practice or games/tournaments. Guest players must be approved by the Club to assure compliance with tournament or league rules, as appropriate, and that proper documentation has been provided. Other Duties/Items of Interest Field Reservations If you are looking to rent a field outside of your regular assigned practice or game times, for any reason (training, camps, scrimmages, etc.), you must go through the field contract manager and confirm with the respective DOC. The cities and school districts have our names and they will only be renting to us directly. If they receive a request from someone else, they will call us and let us know; please do not compromise the rapport the Club has with the city and school district field schedulers. Parent Issues If you have an ill-mannered parent that receives a caution from an official at a game, our policy will require them to attend a basic referee training course. You might want to include this policy in a team letter soon to avoid any future outbursts of unsportsmanlike conduct. Our continuing referee shortage is in part due to abusive parents and coaches. If you require support from ISC on a parent issue, please first talk to your coach. They will review the 7

situation and determine if the DOCs and Executive Director needs to be included in any solution. Referee in Pool (RIP) Our games are refereed through the East King County Soccer Referee Association (EKCSRA). We are required by their organization to provide a ref in pool (RIP) for each premier and select team in our Club. This is an absolute requirement, and necessary to assure adequate referee coverage for your matches. The team will need to recruit a parent or other adult (16 years or older by Oct 1st) player, sibling, friend, relative or neighbor that will be designated as your team s RIP. Your RIP needs to referee at least 10 games during the fall season (or spring for GU16 and above). The RIP will login to www.ekcsra.org and schedule the matches they want to work, and will accrue credit toward the minimum requirement; as your RIP referees games throughout the season, your team will receive a higher priority in scheduling. For additional details on the RIP program, please refer to the following requirements published by EKCSRA: Requirements to Become a Referee for the Ref-in-Pool Program: Grade 8 Certification: Online study (about 2 hours) 8 hours of instruction by USSF Pass 100 question multiple choice test Pay USSF $65 for certification Once you pass the course you will need to purchase a uniform and equipment. The Club will reimburse you $115 towards your expenses once you have completed the 10 game minimum. Submit proof of the 10 game fulfillment to: chere.anglin@iscgunners.org for reimbursement. Requirements of a Referee in the Ref-in-Pool Program: Referee 10+ games as Assistant Referee (or Center Referee) for East King County Soccer Referee Association (EKCSRA) this fall season (Sept 8 - Dec 31). U8-U13 recreational games are scheduled separately and Team Paid/Travel Tournaments For all tournaments identified as team paid, the players/families that are active and on the roster for the tournament are responsible for paying the following expenses: Tournament entry fee, coaches travel expenses (flight, car, hotel), and any registration fees for guest players from outside ISC (US Club card). If there is an additional coach attending the tournament to support the teams competing, those coaches expenses will be spread across all teams that coach will support. do not count towards RIP. Most first year referees for EKCSRA only officiate as Assistant Referees and only to the level they feel confident. Some referees only officiate as Assistant Referees for their entire referee careers. Ref-in-Pool referees get paid $25 to $60 per game. Team Support Team Treasurer (Optional) Each team may need a team treasurer, which may or may not be the same person as the team manager. The team treasurer will collect and disburse team money as appropriate for: 8

Tournament entry fees (for non-isc funded tournaments) Coach travel expenses (for non-isc funded tournaments) Team parties/end of season gifts Misc team gear & supplies: first aid kits, Insta-Bench, goalie gear, etc. Other team expenses as determined by the coach, team, or Club, including but not limited to: rescheduled field fees, guest player fees, additional travel or tournament expenses, and coaches travel costs Sample Team Volunteer List Below is a list of tasks that might be helpful to help recruit parents to support the team: Team Manager (You!) Appendix A - Gunners Expectations ISC Gunners Expectations -2017/18 Season ISC Gunners PLAYERS are expected to: Respect the rights, dignity and value of all people and treat them equally within the context of the sport. Adhere to guidelines, rules and regulations endorsed by the Club. Cooperate fully with the coaching staff at the Club. Be prepared and focused during practice and games. Stay fully engaged and dedicated to the team throughout the season. Promote a positive image of the Club at all times. Maintain a lifestyle that is consistent with their position as an elite athlete. Every player will be required to sign this agreement acknowledging that they have read and understand these expectations. This signed form will be returned to each team manager. Name: Date: Signature: ISC Gunners PARENTS are expected to: Parents are asked to clearly communicate their players availability in a timely manner before all events. This will allow coaches to property prepare ahead of time. Parents are asked to get their player to practice and games on-time and prepared. Parents and family members must be on their best behavior at all times when attending ISC Gunners games. Profane language or harassment of parents, players, coaches or officials will not be tolerated. The use of violence in any form toward members or visitors will not be tolerated. Parents are to observe that NO coaching is applied from the sidelines, instead encouraging the team collectively and applauding good play. Leave the coaching to the professionals. Parents are expected to take an active part in ISC Gunners by attending parent/players meetings, social functions and generally supporting the Club. Parents are requested to conduct ALL administrative processes through the ISC Gunners administrators. It is further requested that forms are NOT handed to coaches at training sessions or on game days. Parents must refrain from encroaching on the team talk before games/half time or at the end of a match. Please only approach the team when invited to do so by the respective coaches. If a parent has a reason to complain regarding team matters then he or she should direct their complaint in writing to the ISC Director of Soccer Operations (Alex Cunliffe), within 48 hours of the incident. Under no circumstances shall a parent confront a coach at a match or training session. There is a minimum 24 hour rule in place for communication, meaning a parent must wait at least 24 hours before contacting the coach in writing to discuss any matter further. Any issues that cannot be resolved between the ISC Gunners Director of Soccer Operations and a parent shall be directed to the attention of the ISC Gunners Executive Director, and/or Club President. Every parent will be required to sign this agreement acknowledging that they have read and understand these expectations. This signed form will be returned to each team manager.
