August 25, 2016 Meeting called to order 7:03 pm In attendance: Holly Mathias, Linley Heath, Jill Melick, Xann Mather, Tom Wertzbaugher, Crystal Wertzbaugher, Jessica Madsen, Julia Dennis, Kristine Haskell, Ashley Smith, Nathan Shivers Treasurer s Report Savings $11,567.02 * Checking $17,386.22 CD $4,826.69 CD $7,036.27 Net worth: $41,161.65 *Savings includes students deposits and fundraising money for Nashville trip Approve May 2015 Minutes Band Report 69 students enrolled in HS band (increase from 52 last year) Great turn out for Marching Band Preview Performance, BBQ and Lock in on August 20th UNI Panther Band Day optional Saturday, Sept. 10th $10, permission due 8/26 Jazz Band I and Show Band auditions will be Sept. 6 9 (please sign up now for your audition time) Choir Report 120 students in 2016 2017 RVC Conference Honor Choir in October will send 12 students All State workshop in Muscatine on Sept. 10th, currently 10 students preparing for All State (auditions are October 22nd) Show choir will need dress fittings soon Drama Report A few rehearsals for MacBeth (leads) have already taken place Auditions for smaller parts will take place next week (Aug. 29 Sept. 2) Mr. Kelly is not planning to take students to Thespian Festival need to ask Mr. Nelson if he would consider taking students Old Business Compass Rose Fundraising Event (Aug. 20 21, 2016) Saturday shift went really well most work was setting up tents & tables Sunday shift was not great next year, if we participate, we will need more people Not all of our students that signed up, showed up
Some kids and families left early without permission Next year, need to have a pre event meeting led by our Volunteer In Charge and possibly take a bus to the event and back to make sure everyone is there for their full shift Nashville 2017 42 students and 3 chaperones currently signed up Some families having issues with online system Ashley emailed our BrightSpark representative on Aug. 25 to get help resolving this Kristine is willing to compile fundraising profits from May deposits, 2015 evergreens, 2016 Casey s cards to make a list of how much fundraising money each student has we will aim to get this done in the first week of September Garment Bags Ashley ordered 25 new nylon (green) garment bags for marching band Nathan will order new garment bags for tuxes and dresses Remind text message system Is it working well to keep parents updated? Unanimous positive response, works great, parents really like it New Business Band uniforms All students got a uniform that fits! Color Guard raised $467 at MidWest One Bake Sale to purchase Carmen costumes Next year, need to set up very specific times for each grade level to pick up uniforms so that we don t end up with such a long line of students waiting to get uniform Garage Sale See attachment for survey results most respondents are interested Crystal Wertzbaugher and Jess Madsen will organize First step choose a date for sale Second step find a location (Ashley will check the WLCSD calendar) Third step Crystal and Jess will put together an information packet Fourth step Ashley and Nathan will communicate packet to families and contact advertising outlets (district sign on Columbus St, WL Index, etc) Apparel Sale We have received fundraising offers to hold apparel sales from Believe Kids, FanCloth and other national fundraising retailers After discussion, we decided to stay local and ask LiberTees to help us set up an apparel fundraiser when we order 2016 Carmen band t shirts 2016 2017 Fine Arts Booster Patron Letters Ashley will update the letter from last year with new dates Holly will stuff the envelopes in September with Patron Letters and Evergreen flyers, then mail to businesses
Ashley will ask Stefanie for the list of 2015 2016 patrons, email out to all the parents at tonight s meeting, and we will see if we have ideas for new patrons (new businesses in town, etc) Evergreen Sales Pizza Upcoming Events Jennifer is willing to organize again Discussed proposed timeline: October 7 hand out wreath packets October 28 wreath orders due November 2 send orders to the nursery November 16, 17, 18 wreath pick up (need to check with Millages) Linley motions, Kristine seconds this year students will earn 25% of TOTAL SALES (NOT PROFIT ) for their evergreen sales this helps increase students who make an effort to sell wreaths and helps students raise more money for Nashville Trip Holly will get pizza and Gatorade for Sept. 17 marching band competitions (kids eat in between competitions at Mt.
