TENNIS NSW RE-AFFILIATION YOUR 2016/17 HOW TO GUIDE DUE 30 JUNE, 2016

After another year of growth, success and learnings, Tennis NSW heads into the 2016/17 year as determined as ever to achieve our goal of ensuring more people are playing tennis for longer. With over 100,000 registered players on courts around the state, tennis is one of the fastest growing sports in NSW and it is you, our Clubs, Associations and Facility Operators, that play such a crucial role in making tennis people s number one choice. Our top priority at Tennis NSW is delivering the best service possible to our Affiliates, whether that is through connecting your Club to a Participation Leader, guiding you through a lease agreement with Local Government or providing the framework and policies to ensure your Club and players are safe on and off the court. One of our four organisational values is Teamwork, and over the next 12 months Tennis NSW will continue to work hard ensuring our affiliates have all the tools they need to achieve success; but we need to work as a team in order to ensure tennis continues to grow. As part of your affiliation, you are required to submit a list of registered players and their details to us. A clean and upto-date data warehouse is crucial, not only as a means of communicating important information and updates to our Members, but as a way of maintaining an accurate census of tennis across the state and as a measurement of success when pushing for Government funding or applying for grants. It is also important to note that the Tennis Australia National Insurance Program covers personal accident insurance only for players registered with Tennis NSW. As Tennis NSW continues to work closely with Tennis Australia on revolutionising our online systems, we have put together this simple e-brochure to give you all the information you need to complete your affiliation renewal online. With the changes to My Tennis, please take the time to read through the instructions and feel free to give the office a call if you require assistance. This document will highlight all the benefits you will receive through affiliation and outline how you can pass these on to your players. Insurance: Tennis Australia s National Insurance Program covers: Public and Products Liability insurance, Directors and Officers cover Personal accident insurance for all registered players. While your Club and staff are secure upon affiliation, please be sure to register your players with Tennis NSW to ensure they re covered as well. Member Protection: Tennis NSW is committed to the health, safety and wellbeing of its members and participants and as an affiliate, you are able to utilise Tennis Australia s comprehensive Member Protection Policy. This policy covers: Child Protection, Harassment Abuse Discrimination Social networking How to lodge an official complaint Other policies affiliates can utilise include the Anti-Doping Policy, the Disciplinary Policy and the Code of Behaviour.

A TA Coach Member is bound by a carefully outlined Tennis Australia Code of Conduct and the Member Protection Policy, making your Club a safer working environment for both coach and players. If you would like to know how you can ensure that your Association, Club or Facility Operator is a Tennis Australia Coach Member, please contact one of our friendly staff. TNSW highly recommends that affiliated Clubs hire TA coach members.

On-Court Programs: As a TNSW affiliate, you can access: ANZ Tennis Hot Shots* Coaching Community Play Leagues and the National School Participation Program (NSPP) Fitbit Cardio Tennis* Sydney Tennis League and Regional Tennis League Through ANZ Tennis Hot Shots, your Club could enjoy a day on court at the Apia International Sydney through the Kid s On Court Program or one of your participants could be travelling to the Australian Open as an ANZ Tennis Hot Shot of the Year. Free Tennis Days: Your Club can join the Free Tennis Day campaign, where we will help you host a free open day to attract new members. We will provide you with the resources you need including event signage artwork, registration forms, posters and media release templates. Clubs that run a Free Tennis Day will earn points for their town to secure a main draw player to support at Australian Open 2017. * available through TA coach membership with specific program packages

So, as an affiliate of ours, we re making sure you have access to everything you need: SAFETY FUN EXCELLENCE FUN: Pre-Sale Ticket Opportunities: Have fun on and off the court with exclusive member pre-sale opportunities for Australian Open Series events and the Australian Open. All TNSW registered players will have the opportunity to secure tickets to any of Australia s Summer of Tennis events, including the AO, before the general public. Registered players are also able to enter Tennis Australia s exclusive Wimbledon and French Open ticket ballot. Rewards: To thank the administrators that make it all tick, there are two exclusive events held during the Apia International Sydney. Club Presidents receive an invitation to attend Presidents Reserve at Apia International Sydney while long-standing volunteers can be nominated to attend the Service to Tennis Lunch, both of which include tennis tickets, hospitality and a guest speaker.

Our aim is to deliver on the core objectives for your venue of: Sustainability Accessibility Community Accountability Places to Play: Our Places to Play team are on hand to provide assistance with: Facility planning and management Funding advice Business development planning via Operational Health Check Training and education opportunities for venues and operators As well as this assistance, affiliated clubs are eligible to apply for the National Court Rebate Scheme, a program which can help to restore and revitalise your venue with future development works. Local Government Advocacy: if you think you need to build a stronger relationship with your local council, please contact our friendly team about how we can assist you in approaching your Local Government Authority. Tournament Sanctioning: All affiliated Clubs and Facilities are able to apply to host tournaments, with more than 400 played throughout the state each year.

It will also allow you to run Sydney Tennis League and Regional Tennis League sanctioned competitions. Club Management Software: My Tennis is the custom built software that allows you to manage your membership easily online. The My Tennis upgrade allows new and returning players to join your Club online while also giving administrators the opportunity to vet applications. Create draws, check ladders and manage competitions and tournaments through League Manager and Match Centre and obtain an official National Rating. Marketing: Increase your Club awareness and communicate important updates through a free website. You ll also have access to templates to help with media releases, posters, brochures and flyers.

Click on the menu below This year, there are two options when it comes to renewing your Affiliation: 01 RENEW ONLINE Renew online through MyTennis by 17 June and be rewarded. You ll need to have joined tennis in order to get started. If you are yet to do so, visit www.tennis.com.au and click Join in the top right corner. Once joined, call TNSW on (02) 9024 7600 to have your administration rights activated. 02 ONLINE DOESN T WORK FOR ME? If you are unable to complete your renewal online, someone from the office will give you a call in June to see how we can guide you through the process. To add a new contact, click the New Contact button. All Clubs must list an MPIO/Working with Children Officer Once all the information on this page is up to date, click continue to move on. If you need to check information, you can save your work as draft and come back to it at another time BACK NEXT

If you have more than one facility, they will be listed initially and you can click on the facility to view/edit details If a facility is missing or you have a new facility to add, click on New Facility and you will be able to search for it in the database. If you need to remove a facility, click Disconnect Facility BACK NEXT

To add a court, click New Court Review and edit amenities where necessary. If you wish to add an amenity (e.g. pro shop, gym), click Add Amenity. When information on this page is up to date, click Continue Complete the additional information field by clicking on the answers most appropriate to your facility BACK NEXT

For completing your Re-Affiliation online before 17 June, we ll send you out six dozen WILSON Australian Open tennis balls. You ll also go in the draw to win a $1000 cash grant for you Club, Association or Facility. PLEASE NOTE: As a renewing Affiliate, when you sign into My Tennis, you will already be assigned a Membership Category. Your category is assigned based on information provided to Tennis NSW in the previous affiliation period and determines the fee you will pay. If your circumstances have changed over the past year and you need to update your Membership Category, you will need to ring the Tennis NSW office on (02) 9024 7600. Changes including email addresses, phone numbers and committee member details can all be done in My Tennis.
