1. Introduction Special Olympics Results Information System - Basketball The purpose of this document is to define the Results procedures for Basketball, while setting the framework for the operational development of the sport during Games-time operations. 3. Procedures 3.1 Results Service and Competition Management Support This part of the Procedures section focuses on processes related to the gathering, processing and distribution of information concerning competition progress and results and the acquisition and processing of data that the GOC Competition Management require in order to prepare for and manage competition. The role of this document is to record in chronological order the results processing during competition (Divisioning schedules and reports, match lists, results, etc.). 3.2 Pre-Games Activities Competition-related information must be available on the first day of operation of the Venue Sports Information Desk and the Special Olympic Village Information Desk. Upon arrival at the Special Olympic Village, most teams and media require the latest release of the competition format and the Games schedule. The last few weeks before the Games can be hectic; hence, the competition management will need to prepare aspects of this information weeks in advance or as early as possible. 3.3 Schedules and competition format Most of the Games participants will receive the Games schedule from different sources before they arrive in the host city. Schedules will be printed in a number of publications that the Games Organizing Committee (GOC) will send to SOI. Schedules will be available on the official web site. Despite this, experience shows that high-demand items of information after teams and journalists arrival are the competition schedules. It is highly likely that participants will want to check for any last minute changes in the schedule. Additionally, they will want to verify other information about the competition, such as competition phases. All the above information should be available in the following output: Basketball Daily Event & Session Competition Schedule (Excel) This output will be distributed on the first day of operations of each client. Before the Competition Schedule is distributed, it needs to be approved by the Basketball Technical Delegate allocated by SOI. BASKETBALL (BK) Version 6 Page 6 of 31

Once the content of this output has been agreed between the Technical Delegate and the GOC Competition Management, it will be distributed to all clients. Should it become necessary to change data in the above-mentioned output after verification and distribution, the GOC Competition Management will immediately send corrections by electronic means with the new date and version. 3.4 Pre-competition Activities After the Technical Delegate arrives in the host city, he will work with the GOC Competition Management on the final preparations for the Games. During the period before the start of the Games, a lot of time will be spent on final checking of the participants data and the preparation, checking and correction of other information, if necessary. It is important that the process for transferring this data from its official source to the Organizing Committee is agreed much earlier and that any planned technology solution is properly tested. 3.5 Pre-event Activities 3.5.1 Head Coaches Meetings The initial Head Coaches Meetings (HCM) will be organized one (1) day before the start of competition for Women s, Men s and Unified teams. One (1) hour prior to the meeting, the following information should be ready and available to all delegations upon arrival at the venue Sports Information Desk (SID). (Rpt.1) Competition Schedule (Excel) (Rpt.2) Team Roster 3.5.2 Divisioning After the divisioning process is completed, the GMS Team will produce the following outputs: (Rpt.3) Divisions List (Rpt.4) Match List - Per Division, Preliminaries (Rpt.5) Scheduling Report - Per Day The aforementioned outputs will then be available to the teams at the venue & Village SID. 3.5.3 Before the match, Preliminaries At the beginning of each day the following output should be available: (Rpt.6) Scheduling Report - Per Court This output will be printed by the GMS Team and distributed to each Field of Play (FOP) by Results distribution runners. This output will serve primarily as the Officials checklist for the day s matches. 3.5.4 After the match, Preliminaries After a match is completed, the referees and coaches will sign the score sheet, which is the official record for the respective match. A designated Results distribution runner will then take the score sheet to the GMS room and the GMS Team will produce the output with the match result. The results of the games appear in the following output: (Rpt.7) Match List - Per Division, With scores After a printout is produced by the GMS Team, the Results distribution runner will make copies and the result: a) will be posed up on the bulletin board for teams/athletes to see and b) will be distributed to the other main clients of the sport. 3.5.5 After the completion of Preliminaries According to the approved competition format for the Basketball tournament, after the completion of the round robin phase, there will be a semi-final and a final for each division of 4 teams. For each division of 3 teams there will be not a semi-final and a final but there will be only double round robin competition. 3.5.6 After the match, Semifinals After a semifinals match is completed, the referees and coaches will sign the score sheet, which is the official record for the respective match. A designated Results distribution runner will then take the score sheet to the GMS room and the GMS Team will produce the output with the match result. The report will be distributed to all relevant client groups by result runners. 3.5.9 After the completion of all Basketball tournaments After the completion of all divisions final matches, the following output will be produced: (Rpt.13) Summary Results (Excel) The report will be distributed to all relevant client groups by result runners. 3.6 Real time data presentation The public scoreboard is one of the critical elements in the production of a Basketball competition. Along with the action on the field of play, it is the center of all attention for keeping spectators abreast of the competition. In addition, the public scoreboard and video board can be used in an infinite number of ways to supplement the action and turn the competition into a live production rather than a sterile sequence of events. During warm-ups, for example, the scoreboard can be used to entertain the crowd with trivia, news, or last minute announcements. A brief history of an event has been successfully presented in the past just before the start of events and helps to build a sense of anticipation in the crowd. It should be noted that the design and implementation of a good public scoreboard and video board production are very time consuming and difficult to manage. It is not the intention of this document to describe all that can be done in this area, but only to note that it can be done, and what information is mandatory or minimally required. 4. Distribution Table The table has been created to show all relevant outputs, Description / Delivery Time and all involved client groups. It identifies which result/report go to which client and the quantity of each delivery. It also shows the method of delivery and the location that it will be delivered.
