1. FOREWORD The Health & Safety Manual is designed t help us manage ur wrk safely in the ffice, strage units n site and during events. The manual cvers mainly the issues within the ffice and strage envirnment and fr events it shuld be read alngside Event Safety arrangements t prvide wider detail when cnsidering events. There are risks inherent in mst human activities and it is impssible t avid them cmpletely. This manual is a cnscientius attempt t identify the hazards we might encunter in the curse f ur wrk and t create and maintain a system aimed at recgnising and dealing with them. Our success depends n ur awareness and ur careful adherence t the health and safety measures in this manual. Ultimately it depends n every ne f us. INTRODUCTION A cpy f this Manual will be available at: Unit 11, Empress Business Centre Chester Rad, Manchester M16 9EA It will als be available n all event sites s that all emplyees and temprary staff may have access t it t be aware f their duties and respnsibilities f the Health and Safety at Wrk Act 1974. The Maynineteen Limited Health and Safety Manual, applies mainly the United Kingdm. Hwever where wrk utside this United Kingdm is undertaken then this manual will be fllwed and cmplimented with any lcal legislatin, guidance gd practice and event specific safety arrangements. It is in the fllwing three sectins. Sectin A - Plicy Statement Sectin B - Respnsibilities f Pst Hlders and Individuals Sectin C - Safety Arrangement Ntes Emplyees are requested t exercise care in the use f the Manual taking particular nte f the fllwing: (i) (ii) Fr brevity Maynineteen Limited is referred t as the Cmpany. The ntes are nt necessarily cmprehensive; they shuld be read in cnjunctin with relevant Statutry Dcuments, British Standards, Event Specific Dcumentatin and Technical Standards etc.

3. SECTION A 3.1. Health & Safety Plicy Statement GENERAL POLICY The Cmpany recgnises its respnsibilities under the Health and Safety at Wrk Act 1974 and assciated Regulatins made under the Act in respect f its activities at its ffices, strage areas, event sites and ther sites where their wrk is undertaken. It is therefre the Cmpany s plicy t cnduct its activities in such a way that, s far as is reasnably practicable, the health and safety f its emplyees, vlunteer staff and thers wh may be affected by its activities are reduced and managed. The Cmpany plicy is embdied in the fllwing bjectives: T set and maintain apprpriate standards fr health and safety as they relate t emplyees and thers affected by the Cmpany s activities. T maintain these standards by fllwing statutry requirements, established best practices and guidance and, where and when apprpriate, t review and imprve these practices n a cntinuing basis. T ensure that all emplyees and thers affected by the Cmpany s activities are infrmed f these standards by effective training, cmmunicatin and supervisin. T ensure health and safety respnsibilities are prperly assigned and that all emplyees understand their respnsibilities and discharge them with reasnable care. T encurage the participatin f emplyees in accident preventin and the prmtin f effective jint cnsultatin in health and safety matters, and t see that suitable arrangements exist within the Cmpany t further such jint cnsultatin. T c-perate with the apprpriate Lcal and Natinal Authrities in matters relating t the health and safety f emplyees f the Cmpany and, where reasnably practicable, f thers wh may be affected by Cmpanies activities. The plicy will be subject t review and revisin as necessary and any changes will be brught t the ntice f emplyees f the Cmpany as sn as reasnably practicable after they have been made. RESPONSIBILITIES AND ORGANISATION The verall implementatin f the Cmpany plicy is the respnsibility f Katie Cmbes respnsible fr health and safety wh will be accuntable t the ther Owner Directr. The Directr will in turn expressly delegate the day t day implementatin f matters relating t health and safety utlined in the abve bjectives via Managing Directr, Senir Accunt Manager and Accunt Managers, Event Staff respnsible fr each area f activity in respect f events and in respect f the day t day activity f the ffice t the Managing Directr. Whenever respnsibility is delegated, its extent, the authrity assciated with it and the accuntability fr it, will be clearly defined and brught t the ntice f emplyees and where necessary t ther acting r wrking n behalf f the Cmpany as sn as reasnably practicable.

Fr the Office, The Managing Directr and as apprpriate selected staff will be respnsible t the Owner Directr respnsible fr health and safety fr btaining and giving her advice n health and safety matters and fr reprting t her n the effectiveness f the steps taken in respect f the Cmpany s activities within the Office and Strage areas. Fr the strage Areas, The Managing Directr and as apprpriate Staff will ensure that fr the day t day activities f the Cmpany within the strage areas, staff fllw the warehuse safety arrangements. It will be up t the Managing Directr t ensure that all safety arrangements are fllwed. Fr Events managed by the Cmpany, The Senir Accunt Manager, The Accunt Managers and as apprpriate the Accunt Executives will be respnsible t the Owner Directr fr health and safety and the Managing Directr will be respnsible fr btaining and giving (advice n health and safety matters and fr reprting t her n the effectiveness f the steps taken in respect f the Cmpany s activities. The Senir Accunt Manager, the Accunt Manager and the Managing Directr will ensure that arrangements are in place t ensure that all temprary staff, vlunteers and cntractrs are cmpetent and capable f undertaking the tasks required f them in respect f health and safety. ARRANGEMENTS The Owner Directr respnsible fr health and safety and as apprpriate, the Managing Directr, the Senir Accunts Manager and Accunt Manager will arrange fr the preparatin and issue f an event plan cntaining details f the arrangements fr health and safety matters based n the cntrl measures identified by risk assessment and legal requirement. The Event plan which will be kept up-t-date by the Senir Accunt Manager r as apprpriate by selected staff. These plans are t be regarded as an integral part f the Cmpany Health and Safety Plicy Statement. Cpies f these Plans, where relevant, will be made available fr reference t staff, vlunteers, and cntractrs. These Event plans will cntain up t date details f the arrangements fr the prvisin f safe plant and equipment; the arrangements fr the handling, strage and transprtatin f any substances; the prvisin f supervisin, infrmatin and training; the maintenance f safe and risk free places f wrk including safe access and egress; the maintenance f healthy wrking envirnments; and the measures necessary t cmply with the specific requirements f Regulatins made under the Health and Safety at Wrk Act 1974. LIAISON WITH OTHERS HAVING STATUTORY DUTIES RELATING TO HEALTH AND SAFETY Because many f the Cmpany s activities are carried ut in public areas, n sites cntrlled by thers and in c-peratin with varius Agencies and Cntractrs the Cmpany will ensure that there is a full exchange f health and safety infrmatin t all relevant parties and will put arrangements in place t establish full c-peratin between thse parties. Fr the activities fr the ffice and strage envirnments the cmpany will prvide any r all paperwrk t the Enfrcing Authrity as part f inspectins undertaken by them.

Suitable steps will be taken fr establishing the apprpriate prcedure t be fllwed where any Cmpany emplyee is f the pinin that cnditins at the site, Office r the strage areas he is visiting are inadequate r defective such as t prejudice his health and/r safety. Each emplyee shuld nte that he r she has a statutry duty t cperate with thers in the fulfilment f their duties under the Health and Safety at Wrk etc Act 1974. Respnsibility f Emplyers and their staff fr Health and Safety INTRODUCTION It is imprtant that bth the Cmpany and its staff understand their respnsibilities under the Health and Safety at Wrk Act 1974 (HSW Act); and in particular fr the health and safety f nncmpany persnnel, e.g. cntractrs emplyees. The HSW Act is framed in such a way that each circumstance will require a separate assessment f the actin required t cmply with it. It is therefre impssible t have rules, which can be universally applied. Hwever, basic knwledge and understanding f the legislatin will equip staff t make the necessary prfessinal assessment f the situatin and take the apprpriate actin. CRIMINAL LAW -V- CIVIL LAW A cmmn misunderstanding revlves arund the legal psitin r liability as it is ften referred t. The HSW Act and all its assciated legislatin are CIVIL LAW, i.e. the law f the land. Failure t cmply with such legislatin culd be regarded as a crime and the miscreant culd be prsecuted in a Magistrates r Crwn Curt, ending up with a criminal recrd. Any cntractual bligatins (e.g. under the ICE Cnditins f Cntract) regarding health and safety are CIVIL LAW i.e. part f a private agreement between tw r mre parties. Failure t cmply with a cntract can nly be redressed by an actin fr breach f cntract. Similarly a party wh has suffered injury r lss may chse t pursue an actin under the CIVIL LAW fr cmpensatin due t the Duty f Care nt being fulfilled caused negligence. S fr the same incident, e.g. an accident n site, it is nt uncmmn fr there t be a prsecutin under the CIVIL LAW fr failure t cmply with statutry law and separate actin under CIVIL LAW fr breach f cntract and/r negligence. The standard f prf required fr a successful actin under the CIVIL LAW is usually much higher than under the CIVIL LAW. The

tw shuld nt be cnfused and these ntes will cnsider the CIVIL LAW, i.e. the HSW Act as it applies t an emplyer and its staff. HEALTH AND SAFETY AT WORK ETC ACT 1974 The main aims f the Act are in plain wrds, that the Cmpany has a statutry duty t care fr the health, safety and welfare f: Their emplyees; and Other peple wh may be affected by their activities (e.g. the emplyees f ther cmpanies sharing the same building, cntractrs used by the cmpany in relatin t the business premises r n events and t members f the public). Mst staff will be aware f the abve but t understand hw that duty shuld be implemented, it is necessary t lk at the legislatin in mre details DUTIES OF THE COMPANY TO ITS EMPLOYEES Sectin 2(1) f HSW Act sets ut the duties f the Cmpany t their emplyees t ensure, s far as is reasnably practicable, the health, safety and welfare f its emplyees at wrk. The principle f this Sectin is generally understd but the interpretatin is ften difficult. Sectin 2(2) details the areas t which the duty particularly extends, namely: (a) The prvisin and maintenance f plant and systems f wrk; (b) The safe use, handling, strage and transprt f articles and substances; (c) The prvisin f sufficient infrmatin, instructin, training and supervisin fr emplyees; (d) The maintenance f a safe place f wrk with means f access and egress; and (e) The prvisin and maintenance f a safe wrking envirnment and arrangements fr welfare. By applying the reasnably practicable cncept t the relevant areas, we can decide what actin shuld be taken t cmply with the HSW Act. A key cncept in the HSW Act is that thse under a duty shuld ensure the safety f persns s far as is reasnably practicable. An assessment shuld be made in which the quantum f risk is placed in ne scale and the sacrifice, whether in mney, time r truble, invlved t avid the risk is placed in the ther. If it can be shwn that there is a grss disprprtin between them, the risk being insignificant in relatin t the sacrifice, the cmpliance with that duty wuld nt be reasnably practicable. DUTIES OF THE COMPANY TO PERSONS NOT ITS EMPLOYEES Sectin 3(1) f HSW Act requires an emplyer t cnduct its undertaking in such a way as t ensure s far as is reasnably practicable, that persns nt in its emplyment wh may be affected are nt expsed t risks t their health and safety. It is this which creates mst uncertainty particularly with regard t the emplyees f a cntractr. It shuld be understd that Sectin 3(1) will be applicable t all yur activities. (It shuld, hwever, be remembered that ther emplyers, e.g. a cntractr, wuld have a similar duty under Sectin 3(1) fr the safety f yur staff). The best way t ensure cmpliance with this sectin is t be seen t be acting in a prfessinal manner.

RESPONSIBILITIES OF INDIVIDUALS Sectins 7, 8 and 37 f the HSW Act set ut the bligatins f individual Emplyees, Directrs and Accunt Manager. The first tw f these lay dwn general duties applicable t all emplyees. The third des nt impse any specific duties but enables individuals t be prsecuted in respect f ffences cmmitted by emplyers. SECTION 7 Duties f emplyees at wrk t take reasnable care fr health and safety f herself and thers. Cperatin as necessary t enable emplyers t fulfil duties. SECTION 8 Duties f emplyees nt t interfere with r misuse things prvided fr health and safety. SECTION 37 Where a bdy crprate has cmmitted an ffence and it was cmmitted with the cnsent, cnnivance, r due t neglect, r any directr, manager, secretary r similar ffice, he as well as the bdy crprate shall be liable t prceedings. If a cmpany, Lcal Authrity r ther Crprate Bdy is in breach f a health and safety requirement then if it can be prved that the breach f the requirement was due t a Directr, Manager, Cmpany Secretary, cnsent (in the sense f allwing smething wrng t take place r cntinue) cnniving (turning a blind eye) r neglecting (failure t d an act safely) then the directr, manager r cmpany secretary can be prsecuted instead f r as well as the cmpany. We are all Cmpany emplyees including the ccupiers f psts with specific respnsibilities with the Cmpany health and safety rganisatin. The cmpany plicy exists fr ur benefit fr ur health and safety at wrk and its success depends essentially n ur cntributins t the health and safety measures that cnstitute it. Temprary staff (e.g. secnded, cntract and agency staff) are treated as Cmpany emplyees fr the purpse f the Cmpany plicy they shuld undertake the same respnsibilities as Cmpany emplyees tgether with thse f any pst in the Cmpany health and safety rganisatin t which they are appinted. OTHER KEY LEGISLATION Under this the principal act, ther acts and regulatins are enacted frm time t time. These must be implemented as and when they cme int frce. Wrthy f nte are the s called Six Pack : 1. Management f Health and Safety at Wrk Regulatins 1999 2. Wrkplace (Health, Safety and Welfare) Regulatins 1992 3. Health and Safety (Display Screen Equipment) Regulatins 1992 4. Manual Handling Operatins Regulatins 1992 (as amended 2002) 5. Persnal Prtective Equipment at Wrk Regulatins 1992 (as amended) 6. Prvisin and Use f Wrk Equipment Regulatins 1998 SOME GENERAL ADVICE Be alert at all times t detect hazards, particularly thse arising frm changed circumstances. Be prepared t ask whenever a health and safety measure is nt fully understd r whenever faced by a prblem r unfreseen situatin. If in dubt, ask.

Be aware f and make allwances fr the effect f fatigue and stress. Have yur wn and thers health and safety in mind when planning and carrying ut wrk. CONCLUSIONS The HSW Act places a respnsibility n emplyers, their directrs and staff. It is hped that these ntes will help yu t understand thse respnsibilities and what shuld be dne t ensure cmpliance. The act is dynamic and can be applied t any wrk activity. With thught and a prfessinal attitude bth the spirit and the letter f the Act can be met. RISK ASSESSMENTS / SAFETY ARRANGEMENT NOTES (SANs) It is a legal requirement under several pieces f legislatin but principally The Management f Health and Safety at Wrk Regulatins 1999 fr the Cmpany t assess the risks t the emplyees and any thers wh may be affected by ur wrk. This allws us t identify the measures needed t cmply with the Health and Safety legislatin. Generic Risk Assessments and nes relating t the ffice and strage areas are fund under sectin B belw. These will be reviewed if circumstances change r if the need arise frm shrts falls identified caused by change in activities; r new units are acquired. The Accunt Manager fr each event is respnsible fr ensuring that Event Specific Risk Assessments are prduced, in sme cases by the Health and Safety Cnsultants; fr checking that these are apprpriate fr the event; and where instructed fr implementatin f the cntrl measures indicated. The Senir Accunt Manager will ensure that this has been rganised and implemented by the Accunt Managers. (S)he in turn will advise the Managing Directr and where necessary the Owner Directr f the arrangements and the implementatin f the arrangements. This manual cntains detail belw Safely Advisry Ntes (SAN s) based n generic and ffice/event based activities knwn t the Cmpany and may be applicable in satisfying the cntrl measures identified in the Risk Assessments specific t the jb being carried ut. The guidance n health and safety aspects f ur wrk and arrangement fr implementing the abve. Where there is any questin that the SAN des nt specifically cver the risks cncerned in any case then an additinal risk assessment shuld be carried ut and if necessary a specific SAN prduced fr the new jb.

SECTION B RESPONSIBILITIES OF POST-HOLDERS AND INDIVIDUALS 4.1 Owner Directrs The Owner Directr respnsible fr health and safety is respnsible t all ther wner Directrs fr the implementatin f the Cmpany Plicy in accrdance with the current Plicy Statement. She is als respnsible fr ensuring that either suitably cmpetent and qualified persns are available n his staff, r frm external cnsultants, t advise n matters relating t Health and Safety. The Directr is respnsible fr the implementatin f the Cmpany Plicy fr staff wrking under their cntrl such as ther Directr, Accunt Manager, staff etc. She has a duty t keep the Cmpany Plicy under review and recmmending necessary r desirable mdificatins via the Bard f Directrs. The Directr is respnsible fr mnitring the implementatin f the Cmpany Plicy and taking such actin as is necessary t maintain its effective functining. Must set a persnal example at all times. Mnitring the implementatin f thse parts f the Cmpany Plicy fr which she is respnsible and taking prmpt actin t remedy any deficiencies. Being alert and encuraging thers t be alert t detect hazards, particularly thse arising frm changed circumstances and arranging fr apprpriate precautins t be taken. Arranging in cnsultatin with the Health and Safety Cnsultants that the Cmpany Plicy cntains adequate instructin and guidance fr thse matters fr which he has respnsibility. Advising the Health and Safety Cnsultant f any area where he cnsiders the existing risk assessments t be in need f review, where wrking cnditins are changed, r f any accidents which have ccurred. Taking apprpriate actin t maintain his ability (particularly in respect f training, infrmatin and resurces) t undertake his respnsibilities. Taking all reasnable pprtunities f cnsulting staff n health and safety matters and encuraging suggestins fr imprvement. Liaisn with ther building tenants/ccupiers n matters relating t health and safety and the use f shared space. Setting a persnal example at all times. 4.3 Senir Accunts Manager

Fr all the prjects that are rganised by the cmpany, she will instructs thers respnsible fr cmpliance with the Cmpany Plicy fr the safety f the event in respect f the safety management f staff, vlunteers, Freelance Wrkers, Cntractrs, any ther persns attending and any ther parties wh may be affected by the event activities. They will ensure that the Accunt Managers have cnsidered and implemented all safety arrangements identified by the Accunt Managers. The Senir Accunt Manager is respnsible t the Managing Directr and the Owner Directr. The Senir Accunt Manager will ensure that the Accunt Managers, and where apprpriate, the Accunt Executive has implemented the fllwing areas f the Cmpany Plicy: Ensure Cmpany emplyees wrking n the event be they permanent, temprary r vlunteers has been established and implemented in accrdance with the Cmpany Plicy and any ther specific safety arrangements. T ensure that, where necessary, arrangements with the Health and Safety Cnsultant fr the preparatin f a suitable risk assessment and where apprpriate Event Plan fr each event has been rganised. T ensure that all arrangement fr the presence nsite f suitably cmpetent and qualified Event Safety Crdinatr has been identified and arranged. T ensure that there is suitable mechanisms in place fr mnitring the implementatin f thse parts f the Cmpany Plicy relating t event safety and Event Risk Assessments. Ensuring that there are suitable mechanisms in place and pprtunities f cnsulting staff n health and safety matters and encuraging suggestins fr imprvement. Setting a persnal example at all times. 4.5 All Emplyees (and Temprary Staff) We are all Cmpany emplyees including the ccupiers f psts with specific respnsibilities within the Cmpany health and safety rganisatin. The Cmpany Plicy exists fr ur benefit fr ur health and safety at wrk. Temprary staff (e.g. cntract, agency staff, freelance wrkers and vlunteers) are treated as Cmpany emplyees fr the purpse f the Cmpany Plicy. They shuld undertake the same respnsibilities as Cmpany emplyees tgether with thse f any pst in the Cmpany health and safety rganisatin t which they are appinted. The success f the Cmpany Plicy depends essentially n ur cntributins t the health and safety measures that cnstitute it. As emplyees we all have respnsibilities fr which the main legal basis is in the Health and Safety at Wrk Act 1974. Sectin 7 f the Act states: It shall be the duty f every emplyee while at wrk t take reasnable care fr the health and safety f herself and ther persns wh may be affected by his acts r missins at wrk; and As regards any duty r requirement impsed n his emplyer r any ther persn by r under any f the relevant statutry prvisins, t c-perate with her s far as is necessary t enable that duty r requirement t be perfrmed r cmplied with. Sectin 8 f the HSW Act states: N persn shall intentinally r recklessly interfere with r misuse anything prvided in the interest f health, safety and welfare in pursuance f any f the relevant statutry prvisins. Attentin is drawn t the fllwing respnsibilities: Knwing the scpe f matters cvered by the Health and Safety Manual and being cnversant with thse parts relevant t ur places f wrk we d. Reading health and safety ntices displayed at ur places f wrk and being prepared t act n them in emergency. Sme general advice: Be alert at all times t detect hazards, particularly thse arising frm changed circumstances. Be prepared t ask whatever a health and safety measure is nt fully understd r whenever faced by a prblem r unfreseen situatin. Be aware f and make allwance fr the effect f fatigue and stress. Have yur wn and thers health and safety in mind when planning and carrying ut wrk. If yu need advice n any aspect f health and safety, d nt hesitate t ask the managers wh has access t the Cmpany s Health and Safety Cnsultants wh can prvide further advice if needed.

4.6 Freelance Wrkers Apart frm any specific respnsibilities that may be given t Freelance Wrkers, they must: Make themselves familiar with and cmply with the Cmpany s Health, Safety and the event specific safety arrangements at all times. Be aware f the significant hazards that they may be expsed t whilst undertaking the Cmpany s business, and f the cntrl measures that the Cmpany has implemented t reduce the risks, t the lwest level reasnably practicable. Observe safety regulatins and instructins at all times. Be aware f the emergency prcedures that are in place whether they are wrking n the Cmpany s premises r n-site. Wear the apprpriate persnal safety equipment and use any safety devices prvided as and when required t d s. Reprt all accidents, near misses and dangerus ccurrences t their Accunt Manager and/r the respnsible Directr fr Health & Safety as sn as pssible. Take reasnable care f the health and safety f her/herself and f any thers that may be affected by his/her acts r missins. C-perate with any duty r requirement impsed by the Cmpany when acting under the requirements f health and safety legislatin. Nt intentinally r recklessly interfere with r misuse anything that may be prvided in the interests f health and safety. Immediately reprt any serius issues t his/her Line Manager that may affect the health and safety f themselves r thers. 4.7 Health & Safety Cnsultants Apart frm specific respnsibilities already apprtined, where a Health & Safety Cnsultant is appinted t assist the Cmpany t: Mnitr the Cmpany s cmpliance with current health, safety and envirnmental legislatin. Directrs, Managers and staff in all matters pertaining t and in cnnectin with health and safety and their respnsibilities. Assist r undertake accident and near miss investigatins as instructed by the Cmpany. Act as the pint f cntact fr the HSE and the Lcal Authrities and any ther Enfrcement Officers whenever necessary. Keep the Directrs and Accunt Managers f the Cmpany up t date with any changes, develpments r additins t health and safety legislatin. Identify and facilitate any health and safety training required by the Cmpany s emplyees. 4.8 Other Persns/Cmpanies Wrking n Cmpany Premises r n Events Persns wrking n the Cmpany s premises r n event sites, wh nt emplyed by the Cmpany have a duty t: Ensure that the health and safety f themselves and thers is nt put at risk by their wrkrelated activities. Cmply with the Cmpany s Health, Safety, Envirnmental and Fire Safety Plicies at all times. Make themselves familiar with the Cmpany s emergency evacuatin prcedures and First Aid prvisins. Maintain a high standard f husekeeping t reduce the risk ff trip/slip hazards and fire risks. Immediately cmply with any instructin given t them regarding their safety r that f thers. Ensure that fire exits are never bstructed r blcked with items under their cntrl.

4.9 Cntractrs The cmpany n mst ccasins instructs cntractrs t undertake wrk within sme ffice areas and n site. Within the ffice areas cntractrs undertake maintenance wrk and repair wrk. Fr events n site cntractrs in general prvide a services r infrastructure t accmmdate the event. The Cmpany, in hiring the services f its wn cntractrs, intends t fulfil its respnsibilities under Health & Safety legislatin and gd practice by taking reasnably practicable steps t ascertain the level f health and safety awareness and cmpetence f such third party rganisatins. Each directly emplyed cntractr will sent a Safety Evaluatin and Cntractr Safety Infrmatin dcument indicating the infrmatin required and instructins n hw wrk in the ffice r n event sites are t be cntrlled. Only cntractrs satisfying the pre checking prcess will be cntracted t wrk fr the Cmpany. All persnnel and cntractrs, wrking n site will be required t wrk with the regard fr their wn and thers health and safety, in accrdance with current relevant legislatin and gd practice, and within their cmpanies wn health and safety management framewrk. Each cntractr will be required t put frward the Nminated Safety Cntact wh will be respnsible fr the activities f his cmpany n site r in the ffice. Cntractrs will ensure that all wrk equipment and tls, vehicles and lifting equipment are suitable fr their intended use and have been prperly maintained and where apprpriate examined, tested and certified. Cntractrs will als be required t ensure that their emplyees are cmpetent t use and r install any vehicles r equipment invlved in their cntract.

5. SECTION C 5.1 Arrangements fr Health & Safety MANAGEMENT The Cmpany attaches great imprtance t the prtectin f its emplyees and thers frm accidents, fire and expsure t any cnditin r substance that might cnstitute a hazard t health. This prtectin must be led by pr-active health, safety and envirnmental management systems and relies upn training, expert advice, regular audits, incident/ near miss reprts and recmmendatins frm the Health & Safety Cnsultant t implement changes in wrking practices when required. The Cmpany where reasnably practicable and apprpriate will: Make use f advances in technlgy and technical prgress. Adapt wrk t the individual rather than vice versa. Create a culture within the Cmpany that is cmmitted t healthy and safe wrking practices and is always mindful f the envirnment. After the setting f standards the Cmpany s perfrmance will be measured by the audit prcess, the aim being t identify areas fr imprvement and thrugh Line Managers implement the necessary actin. Health surveillance will be included in the audit. This audit will be undertaken by cmpetent persns r utside specialists as required. Where apprpriate emplyees will be infrmed f the audit s findings. The Cmpany s Health, Safety is the first step in the planning f preventative and prtective measures. These measures are necessary if the Cmpany is t btain the high standards f health and safety required. Standards will be set that are measurable, attainable and realistic. Staff, resurces and systems will be put in place t achieve these standards. Hazards and risks will be identified, assessed and cntrlled thrugh eliminatin, substitutin, reductin and r training and supervisin. GENERAL STATEMENT OF RISK The effective assessment and cntrl f risks is central t the management f safety. Suitable and sufficient risk assessments are essential t all areas f wrk invlving significant freseeable risk. The Cmpany s management will ensure that there is input frm its emplyees, especially thse persns directly invlved in the wrk activity. Electrical faults r ther technical issues directly related t the installatin wrks Nise Arrangements fr ensuring that pedestrians and vehicles circulate in a safe manner. Ensure that all wrk equipment r infrastructure used n site is safe and fit fr purpse. Cnsideratin n crwd dynamic and public safety n events. T cntrl these hazards and reduce the inherent risk t the lwest reasnably practicable level, the Cmpany undertakes the fllwing, with the aim f cntinually reviewing and when necessary mdifying and imprving its prcedures: ON THE COMPANY S PREMISES All emplyees f the Cmpany will receive apprpriate manual handling training as part f the inductin prcess when jining the cmpany. Nise assessments are undertaken where necessary and apprpriate hearing prtectin equipment is distributed t thse emplyees affected. Bth active and passive fire preventin measures including fire detectin and extinguishing devices are in place at the Cmpany s premises. A cmpetent persn regularly checks these devices. Only cmpetent electricians are authrised t discnnect r make cnnectins t the Cmpany s electrical supply. Where apprpriate prtable appliances will be inspected and tested in accrdance with the Electrical Engineers Cde f Practice. All emplyees wh are habitual visual display screen users will haven their equipment and wrkstatin assessed annually. The Cmpany n request will als finance regular eye tests fr these emplyees. Regular inspectins f all areas where slips, trips and falls may ccur will be undertaken by the management and the apprpriate remedial actin will be taken t remve hazards and crrect defects. ON SITE Pre-event planning meetings are held with all clients and the Directrs, and Managers will ensure all parties are aware f their cntractual bligatins as well f thse laid dwn under current health and safety legislatin. The Cmpany s Health, Safety, Envirnmental and Fire Safety Plicies alng with the apprpriate risk assessments are t be distributed t all relevant parties t ensure a clear understanding f the hazards and risks assciated with the event. Only cmpetent persnnel are used in the cnstructin and erectin f structures, stages and sets. When suspending significant lads, lad calculatins fr the structures and lifting peratins will be undertaken with the Safe Wrking Lads will be checked n any permanent lifting pints befre use. Falls frm height are cntrlled by the requirement fr freelance wrkers and cntractrs t wear suitable apprved safety harnesses and t be cmpetent in recgnised rpe access techniques. In accrdance with the Cmpany s Drugs & Alchl Plicy and the Terms and Cnditins f Purchase fr Freelance Wrkers and Cntractrs any persn fund under the influence f alchl and r illegal substances i.e. recreatinal drugs will be escrted immediately ff site. A cmpetent persn will supervise all persns lading and unlading equipment frm trucks.

Emplyees are prvided with hearing prtectin when wrking in nisy envirnments, as per the nsite risk assessment. Ensuring that there are suitable plans and persnal, whether they be staff r security in place t manage any crwed dynamics assciated with events. This list is nt exhaustive and mre detailed assessments are cntained in the Cmpany s task specific Risk Assessments. The Cmpany s management wh s H&S respnsibilities are detailed in this plicy are required t identify and assess all significant risks and hazards t which their staff, freelance wrkers, clients, cntractrs and members f the public may be expsed. They are then t implement the apprpriate cntrl measures as far as is reasnably practicable. The Directrs and Managers are respnsible under the Management f Health and Safety at Wrk Regulatins1999 fr the cmpletin f suitable and sufficient risk assessments. Assistance and advice in the cmpletin f these assessments is prvided by the Cmpany s Health and Safety Cnsultant. COMMUNICATION The prcedure fr emplyees encuntering any health, safety, welfare r envirnmental issues is as fllws: The emplyee reslves the issue and infrms his/her Directr r Manager f the actin taken. If nt within the emplyees capability, refer the issue t their Directr r Manager and if apprpriate the Health & Safety Cnsultant. The Directr r Manager reslves the prblem and the Health & Safety Cnsultant is infrmed as necessary. The Directr r Manager r Health & Safety Cnsultant infrms the Owner Directr. OCCUPATIONAL HEALTH With regard t ccupatinal health, the Cmpany will take all reasnable practicable steps t help emplyees maintain gd health and will prvide assistance t thse emplyees wh may be experiencing health prblems r wrk related stress. In certain jb rles a medical examinatin may be a cnditin f engagement, but it is imprtant that all emplyees understand that this is fr their wn benefit. TRAINING & COMPETENCE The Cmpany shall take int accunt the capabilities f all its emplyees in the cntext f their designated wrk activity. Training will be prvided as necessary especially inductin training. Additinal training will be cnsidered if changes ccur in: The wrk activity The envirnment The use f new equipment New technlgy Event safety and management Training will be repeated as necessary and will be within the nrmal wrking time f the given emplyee.

FIRST AID The Cmpany will ensure that adequate prvisin is made fr First Aid fr emplyees, freelance wrkers and cntractrs bth at all the cmpanies ffices and whilst wrking n-site. Training t the ne day Appinted Persn level is t be given t the relevant persns and any ther emplyees wh the management deem apprpriate. This will enable these individuals t take charge f a medical emergency situatin and summn prfessinal medical help. Event Managers will establish what arrangements are in place fr the prvisin f n-site First Aid. ACCIDENT REPORTING The Cmpany Accident Bk is lcated at the cmpany s premises and/r in the Prductin Office/area n site. Any emplyee r freelance wrker wh suffers an accident in the ffice whilst invlved in the wrk activity must ensure that the accident/incident is reprted as sn as pssible t the Managing Directr wh will recrd the accident/incident in the Accident Bk. All On-site accidents must be reprted t the Accunt Manager r Accunt Executive when they ccur. A recrd f the accident shuld be recrded in the Accident Bk. STATUTORY REPORTING OF ACCIDENTS/INCIDENTS Majr injuries, dangerus ccurrences and sme specified diseases must be reprted by law t the Health & Safety Executive Incident Cntact Centre. All reprtable accidents shuld be reprted as sn as pssible by telephne t the RIDDOR Htline where the details will be nted and cpied t the Lcal Enfrcement Authrity respnsible fr the area in which the accident ccurred. COMPETENT ADVICE T assist the Cmpany in undertaking the measures needed t cmply with the statutry requirements and prhibitins impsed upn the Cmpany by Health and Safety Legislatin and subsequent Regulatins, the Cmpany will seek frm time t time the assistance f external Cnsultants, when the apprpriate cmpetence is nt available frm within the Cmpany.
