Thanked the State Board for allowing them to go. They learned a lot and had a great time. Challenges to date Do we refund camping? o Would need a vet and/or medical note. o Chris motions to allow athletes to request a refund for stalls and/or camping with a written letter (or email) to the state board. Wendy seconded the motion. o Discussion

2 Could hold out an admin fee for processing the refund. Camping for the state meet is a wash. Portable stalls are $75 apiece. Will need a final count by day and by district for camping. o Chris withdrew her above motion. Wendy withdrew her second. o If you do need a refund send a letter (email) to the state board requesting so. Lights Who is responsible and when do the lights get turned off/on? Arena will be open until 11 PM on Wednesday. Leave one bank of lights on in the barns. Need to work amongst yourselves (districts/teams) to make sure lights get turned off/on. NW will take care of the portable lights. Horse Health There are some Isolation stalls. There is a vet coming twice a day to walk through the barns. Please send any sick horses home. Will be a farrier on the grounds for the meet. Additional Officer Nominations Still Open. Voting of state officers will take place at PNWIC. PNWIC Once an event is over please send athletes into the office to indicate if they are going to PNWIC. Patches Are in the office. Sportsmanship Nominations/Awards Will be doing at every awards presentation. Please turn in nominations to the office. Arena Open Arena will be open until 11 PM on Wednesday, Friday, and Saturday. Unless being used for an event.

3 Candi s Keys Who has them? Please get them back to Candi or at least let her know you have them. Drag Schedule Will likely make things run a little longer. Let your districts know please. Equipment All equipment for each event will be at the specified arena ready to go. Nick is supervising all set up as much as he can. Tennis Ball Toss Who is benefitting? Sound Equine Options in Troutdale. A horse rescue/adoption non-profit organization chosen by the athletes that attended AYHC. Prize is a headstall donated by Jozee Girls. TETWP Will benefit a local cancer fund. Opening Ceremony Will go in 5+ Drill order. Stalls Do not have to strip stalls. Golf Carts Please return where you picked them up. Radios One per district. Rules and Judges Chairs o Karen and JoAnn will each have one. Candi gave a quick tutorial on how to use the radios. Channels o Channel 1 EMT. o Channel 2 State Board members. o Channel 3 Gates. o Channel 5 Private if needed.

4 Shavings Each stall has 2 bales of shavings. Can purchase more bags at Coastal or other feed stores. Do have some if someone needs them in a pinch. Announcer for games tomorrow Cary is not able to be here tomorrow. Know of anyone that can help us out? Michelle might have someone. Will let us know. Music Do we want music for gaming and penning? Yes, appropriate please. Barb needs all your Working Pairs and Dill music tonight no exceptions. State Meet Records (Gaming, Roping, and Daubing) Will be listed on the top of the gate and timer sheets. Will include record forms with timer sheets. Meals Light breakfast will be available. Snacks. Will provide lunch. Dinner will be around 5 PM. Please recycle bottles and cans for the Oregon National 4-H Horse Judging Team. Bikes and Dogs No bikes anywhere there are horses. Dogs only allowed in camping area. Shirts Extra shirts are available in the OHSET trailer. Candi does have a box of some also but they will need to be returned to get the appropriate logos on them. Trailers Go up on the hill unless a living quarters trailer being used for camping. Executive Assistant Marketing Report (See attached) PNWIC brochures and flyers are now ready. WA will also have some to promote PNWIC at their state meet. Please let Candi and/or Karissa know if you have any questions. There are other organizations that are doing surveys about the horse industry. Would like to see OHSET advertised in other horse/youth publications and organizations. Still a lot of work to make OHSET really known.

5 Conflicts with the Schedule Please contact another district chair to trade/switch. Can be done up until the class starts. Scholarship Winners District chairs please get those winners to Denise.
