City of Alpharetta Recreation and Parks Commission Meeting: Thursday, February 12, 2015 Prepared: Friday, February 13, 2015 Prepared by: Alice Smith, 678-297-6104 COMMISSION MEETING SUMMARY Public meeting of the Alpharetta Recreation and Parks Commission held February 12, 2015. This summary is provided as a convenience and service to the public, media and staff. It is not the intent to record proceedings verbatim. Any reproduction of this summary must include this notice. I. Roll Call Chairman Ben Easterling Commission Chair Ben Easterling called the meeting to order at 7:05pm Commission present: Kristina Appen, Ben Burnett, Jarrett Long, Bill Lusby, Cheryl Rand, and Wendi Schutt Commission absent: Shuntel Beach and Dennis Mitchell City staff present: Mike Perry, Jodie Gilfillan, Eric Milley, and Alice Smith City Council present: Jim Gilvin II. Pledge of Allegiance III. Recognition of Guests IV. Approval of Minutes of January 8, 2015 Motion by Mrs. Rand to approve the minutes of January 8, 2015 commission meeting as written. Second by Mrs. Schutt. No discussion. All in favor. Motion carried. V. Old Business General discussion of tennis fees VI. New Business VII. Committee Reports 1. Administration Committee Mr. Easterling Jodie Gilfillan discussed pool revenues/expenses projected for the proposed city pool renovations

Pool expenses escalate every year due to old equipment; there will be better efficiency with new equipment so you could see a cost savings With all the new features and improvements entrance fees could increase Looking as some new programs to offer at the pool At this point for the cost of renovating the pool we don t know if this will be a capital project or bond Mr. Easterling wanted to remind the commission of the CIP tour next month 2. Parks Committee Mrs. Rand Committee met at Brooke Street Park and had some concerns; pathway with steps, placement of seasoned statues of garden area, need for more benches, and improvements to restroom facility in parking garage. Mr. Perry stated once the landscape architect and the contractor have turned the project over to the city then staff can go in and make adjustments Right now the contractor and our park staff are making sure the trash cans are emptied We would not add more benches without approval from administration 3. Recreation Committee Mr. Lusby Committee met and agreed to amend the youth athletic association guidelines to include resident participation requirements for all select/travel/elite teams This will bring compliance across the board for everybody Mr. Lusby made a motion to accept the Youth Athletic Association Guidelines for 2015 as presented. Second by Mr. Long. No discussion. All in favor. Motion carried. VIII. Partner Association Reports A. AYSA - Mrs. Appen There are 400 girls registered and 325 are recreation players The association was concerned that as the girls get older will they have any variation on the residency issue? No desire from commission to waive any requirements They have added a couple of new board members Continuing to look into out-sourcing concessions They are working on getting new equipment Mr. Perry stated the concrete for the batting cage on field 7 has been poured and field 6 should be done soon

B. AYBA Mrs. Rand Tryouts were held for the past two weekends The official games begin the first Saturday of March C. AYFA - Mr. Long Discussions are ongoing concerning AYFA and the Milton program; City Council is now involved Brandon Jacobs, a former NFL player, is now affiliated with the program and he will bring his travel team The association is looking into scheduling games with Sandy Springs and Roswell Elections are coming up with 2 open seats D. NMML Mr. Easterling Golf tournament for April 13 th sold out in two days They will be taking 280 children and their families to the Gas South Ringling Brother s Circus Spring softball registration has gone out, orientation begins April 4 and first game will be April 18 th Working on preparations for their summer camp E. Ambush Mr. Easterling Spring season began with U8 to *14 teams all returning to training on Monday, Feb 2 nd Working closely with ARPD staff to reserve the upper grass field as much as possible. Ambush is utilizing Milton Center on Thursday night as a back-up Game scheduling for Pre Academy, Academy and Select are all in process; should have schedules finalized in the next 10 days; first games are Saturday, March 7th February is tournament season for Select and Academy soccer Ambush teams will be participating in tournaments in the Atlanta area and BUSA Vulcan Cup in Birmingham in March Ambush is working with ARPD staff to utilize Peach Jar to advertise in May for club tryouts IX. Park Service Report Eric Milley Wills Park outdoor basketball courts are almost complete Replaced doors to the chemical room at the pool Scoreboard on WP field 4 is up but not wired Staff has been busy painting all restrooms

Replacing bulbs on all fields to include scoreboards Filling in washed out areas and raising canopies of the trees Adding trees to Cogburn and Wills Park Painted picnic pavilions at Cobgurn and Wills Park North Park batting cage at field 7 has been concreted, waiting on turf to come in to cover the concrete Working on quotes for batting cages 1-4 Ordered hitting frames for t-ball fields X. Recreation Service Report Lisa Cherry s written report 2015 Spring/Summer program registration is going on now Spring youth athletic teams are practicing; games begin March 7 th Wills Park baseball field 4 scoreboard was installed this week Staff is working on plans for spring teen and adult basketball and adult softball Staff is working on FY2016 maintenance and operations budgets Anna Virgo s last day with us is February 13 th ; the Recreation Coordinator position is posted with a closing date of February 17 th Event Updates: February 17 th Alpharetta Golden Age Club luncheon XI. Director s Report Mike Perry Staff has been busy working on capital projects Will have tour for commission members Friday morning, March 6 th or 13 th ; will send out information once finalized Mrs. Rand stated city residents have all the garden plots at Wills Park; water will be turned on in April XII. City Council Report Jim Gilvin It is budget time so please let him know if there are projects you would like to discuss Councilman Gilvin and Mitchell along with Mr. Perry toured the Spruill Arts Center in Dunwoody; facility is very impressive with arts center and community playhouse; run by non-profit organization that has been in place for 40 years Plans are to tour Abernathy Arts Center next week We are under the assumption that the city will get the library from Fulton County once the new one opens so we are touring art facilities in the surrounding areas for ideas If AYFA would like for Councilman Gilvin to speak with Milton officials please let him know
