Matters arising from those minutes 3.1 Item 11.1 SW Event Conference to be considered at another meeting. 4. Correspondence - none. 5. Acknowledgements SWOA chairman and committee would like to thank clubs who organised events on behalf of SWOA: BOK for the British Orienteering Long Distance and Relay Championships 2015. NGOC for the SWOA Middle Distance Championships 2015. WIM for the SWOA Sprint Championships 2015. NGOC for VHI 2014. SARUM for the Compass Sport Cup round 2015. WSX for the Yvette Baker qualifying round 2015. 6. Treasurer and Membership Secretary s report: 6.1 Income and Expenditure since 15 January 2015 (last meeting). Balance in hand is 8272.87. See Appendix 1. Memberships for 2015 are: senior 462, junior 101, family 248; total units 811. Nicholas Maxwell noted junior competitor numbers had gone up and seniors had reduced. Mark Lockett said he would add a note on VHI accounting (which is spread over a 3-year accounting period) on the next SWOA accounts. 6.2 SWOA grant application form It was agreed that the SWOA grant application form designed by Mark Lockett was appropriate and should be now used by all applicants. Mark said the form was now on the SWOA website. He would bring the Excel sheet showing grants to date to next meeting. Mark was thanked for his work. Mark Lockett. Requests must be made before event date. Katy Dyer agreed to add a list of successful grant applicants to Secretary s chat for SINS. Zac Hudd 50% of 300 Stockholm (JROS). Chloe Potter 50% of approx. 300 Badaguish (BOF). Zac Hudd 50% of 120 Anticipated requests: a) Meg Somers (Lagganlia), Lucy Tonge (Deeside), Cecilie Anderson and Eddie Narbutt (Badaguish). b) Applicants for the JROS tour to Gothenburg are also expected. c) Tom Dobra for Trail O World Championships Croatia 2015. 7. Fixtures 7.1 BOC 2015 report: Report written by Dave Urch BOK coordinator was discussed. See Appendix 2. 7.2 British Sprint and Middle Championships 2018: The organising body is SWOA. Christine Vince KERNO offered to be coordinator; proposed Katy Dyer, seconded Mark Lockett, carried. (SWOA appoints and the Events and Competitions Committee approves; Chris James and Ernie Williams have given their approval for this appointment.) Technical advisor: Arthur Vince KERNO. Finance officer: Andy Reynolds DEVON. Further officials will be sought; this with a view to the fact that SWOA are hosting JK 2021 and people may want to gain experience during 2018. Christine Vince will write an article for SINS about BSpC / BMDC 2018. Christine Vince. Areas considered: Richard Sansbury had asked clubs for suggestions, which are listed below: Sprint: Exeter, Bath, Marlborough and UWE. The committee favoured Bath followed by Exeter. Middle: Stock Hill, Killerton, Buller s Hill, Penhale, Inny Foot, Great Ridge, Knockalls. The committee favoured Stock Hill followed by Great Ridge and Buller Hill. Richard Sansbury is to continue with venue confirmation. Richard Sansbury 8. Colour coded badge scheme Christine Vince has contacted club coaches; the coaches in general and SWJS in particular favour the scheme. Cost of new badges 2 + VAT. Christine will be considering whether the scheme could be extended in some form to reward regular colour coded runners and club volunteers. Christine Vince 1

9. SWOA sponsored club courses 9.1 It was agreed that qualification for a SWOA sponsored course should include advertising in at least one edition of SINS before the course date. 9.2 SWOA/NGOC Event Safety Workshop, 2 June 2015. There were 6 candidates (5 NGOC and 1 BOK); tutor Katy Dyer. A very useful and thought provoking workshop. List of attendees sent to BOF. 9.3 SWOA/KERNO First Aid course 16 May 2015. No report has yet been received. Katy Dyer 10. Controllers Recorder of Controllers report. See Appendix 3 Richard Cronin NGOC approved as Grade C controller. Proposed controllers courses, dates/locations to be confirmed: a) Grade B and C courses, tutors Mike Forrest BOK and Charles Daniel BOK, near Bristol. b) Grade C course, tutor Arthur Vince KERNO in Somerset. c) Grade C course, tutor John Warren WIM near Ringwood, autumn 2015. Richard Sansbury asked for more publicity on these courses. Arthur Vince and Katy Dyer. 11. South West Junior Squad Jeff Butt sent a report. See Appendix 4 Trevor Bridle (treasurer SWJS) reported that the bank balance is 1823.26 as at 02.06.2015. 12. Coaching and Development Christine Vince gave a brief report. WIM have two people who want a coaching course; Christine to put a notice in the next SINS asking for more candidates. DEVON are appointing a volunteer coordinator. 13. SWOA 50 th Anniversary events 21/22 Nov 2015 13.1 Most clubs now have an event arranged on either 21 or 22 November. 13.2 Publicity that could be initiated by SWOA for these events was discussed. The following points were agreed: SWOA website should have an Anniversary section including an event location map. Clubs to register the anniversary event as an activity ; if this is done and no results are published, there is no BOF or SWOA levy. Mark Lockett will provide 100 for each club to activate a Facebook campaign. Erik Peckett to inform clubs. Erik Peckett, Katy Dyer 14. SWOA 50 th Anniversary Buffet Saturday 5 September: Christine Vince reported that the initial locations had not proved to be suitable, and was investigating further. Suggestions were made for suitable caterers. Post-meeting note: a caterer has been found and Chagford Village Hall has been booked. 15. Rewording of What SWOA Does document The changes required for this document mostly concern grants, which have already been approved in committee; therefore the document can be updated without further ado. Katy Dyer 16. SWOA AGM: change of date and venue It was agreed to hold the AGM on 20 September 2015 about 4.0pm at Ibsley Village hall near Fordingbridge, after the WIM Galoppen. (It will not be held after the Caddihoe Chase on 5 Sept). To be confirmed. Katy Dyer. 17. English Orienteering Council AGM report Christine Vince attended the EOC AGM, held after the British Long Distance Championships at the Speech House Hotel. See Appendix 5 18. Any Other Business 18.1 Richard Sansbury asked how to get more clubs interested in sending juniors to the Yvette Baker Trophy events. 18.2 Dick Keighley said that WIM has abandoned the Dorset schools league due to schools lack of interest. The club will now have a monthly colour coded Saturday event (with coaching) in local parks. 18.3 Erik Peckett said that there was no central funding for meetings of the Map Advisory Group, and asked for SWOA funding to travel to meetings up to three times a year (central England). The committee thought this was a good idea provided that BOF agreed and that minutes were published officially. Erik to discuss this with Chris James ECC. Erik Peckett 18.4. Nicholas Maxwell DEVON and Dick Keighley WIM have agreed to stand for election as committee members at the AGM in September. They were thanked. 19. Appendix 2 to SWOA Minutes 3 June 2015 BOC2015 report BOK delivered a very successful British Orienteering Long Distance and Relay Championships over the 18 & 19 April weekend. Final entries were 1415 for the Long Distance races (plus 79 for the colour coded courses) and 313 teams for the Relays. Not quite as many as hoped for but difficult to predict especially with JK15 being held only 2 weeks beforehand and event on non-holiday weekend. Apart from the Controllers BOK provided all the main officials, many of whom had been involved with JK14. Not ideal as it added pressure with most of the work on BOC15 being done within a 10 month window. Excellent experienced team however who worked well together. BOK also provided all but one of the team leaders (and function coordinators) as well as most of the manpower over the weekend (at least 200 units of work) with support coming from NGOC (20) and other SWOA clubs namely DEVON (2), QO (4), SARUM (7), NWO (2), WIM (3) and KERNO (2). Entries for the British TrailO Championships were just under the expected 50 mark, the event being organised by Dick Keighley of WIM and supported by NGOC. Dave Urch BOK Coordinator 4

Appendix 3 to SWOA Minutes 3 June 2015 Recorder of Controllers Report 1 NGOC held a Grade C controllers course on 14 th March with Clive Caffall (Grade B) as the tutor. There were five attendees from NGOC, two from BOK, one from outside SWOA. 2 This has resulted in one application for appointment, from Richard Cronin of NGOC. He has fulfilled the requirements, so his application needs formal approval at this meeting. (Note: the chairman duly signed Richard s form.) 3 Steve Robertson is a Grade B controller, formerly a member of EAOA, who has now moved to QO and is added to the SWOA list. Appendix 4 to SWOA Minutes 3 June 2015 South West Junior Orienteering Squad report From the South West Junior Squad s point of view, we've been busy racing at JK & the three British Championships. Will be announcing the team for this year's Junior Inter Regional Championships, to be held on Cannock Chase on the last weekend of September, before the end of the month. A good number of selections for the British Orienteering and Junior Regional Orienteering Squads' Tours this year. Lagganlia (JROS) - Meg Somers & Rachel Potter. Appendix 5 to SWOA Minutes 3 June 2015 English Orienteering Council AGM 2015 report From the Chairman s report: in 2014 CompassSport produced Christmas cards for sale in support of the EOC and JROS, raising 1000 for EOC; unfortunately this will not be repeated for several years because of the amount of work involved. BOF have said that there won t be any money for EOC this year. Suggested that the EOC should be part funded by a levy on the various regional championships SWOA committee to discuss by email? Accounts: financially sound at present; regional per capita contribution for 2015 unchanged at 65p; mileage rated unchanged; athlete contributions raised by 5. Home Internationals: a Sprint event was trialled, being the cumulative time over two races (Edinburgh and Stirling Race the Castles); this was fun, but EOC cannot commit to support in future. Interland: John Rye had made a proposal to the other nations, namely that England should field two teams one from the East of England and one from the West of England for a one-off trial. The total athlete numbers involved would be much the same as they are now. EOC in favour provided other nations agree. VHI Ultra-Vet class: John Duffield had been asked at the last AGM to raise the possibility as there are an increasing number of competitors in this class who would not be selected when there are younger athletes who also qualify in the present categories. Further investigation is ongoing, but it is not thought that the other nations would agree to this. Christine Vince 7
