INFORMATION BULLETIN No. 1 The Organizing Committee of SZEGED 2018 the 11th IDBF Club Crew World Championships, in conjunction with the Hungarian Dragon Boat Federation (HDBF) and the International Dragon Boat Federation (IDBF), cordially invite Club Crews from around the world to participate in the Club World Championships, which will be held at the on Maty Regatta Course and on the river Tisza in Szeged between 17 th and 22 nd July 2018 in Hungary. The opening ceremony will take place on the 16 th July. 1 Hereby we would like to thank you all for replying and sending back so many Statement of intention forms we have requested in the 1 st newsletter. All IDBF Members, Dragon Boat Organizations and National Canoe Federations from Countries or Territories where there is no IDBF member existing, are welcome to attend the IDBF Club Crew World Championship and may do their entries directly, subject to the approval of the IDBF Executive Committee. RACE COURSES The 200m and 500m races will be organized at the on 6 racing lanes, that is located about 10km away from the city while the 2km races are planned to be organized in the center of Szeged on the river Tisza. COMPETITION REGULATION AND RACING RULES The Championships will be conducted under IDBF Competition Regulations and Rules of Racing. For the 2018 Club Crew World Championships Edition 7 (March 2016) IDBF Rules of Racing will be applicable and Edition 6 of the Competition Regulations will be applicable. Copies can be downloaded from http://www.idbf.org/docs. For the 11th Club Crew World Championships, each IDBF Member may sanction up to 5 of their Member Clubs in each Competition Class in Standard Boats and 2 Clubs in Small Boats. One club is permitted to compete with only one crew in a competition class. CLUB CREW MEMBERSHIP REQUIREMENTS The practice of Clubs recruiting paddlers specifically for a CCWC is against the intention of the IDBF Competition Regulations and the spirit of the Championships. Any Club found not to be complying with IDBF Competition Regulations 4.3 and 4.3.1 shown below, will not be allowed to progress to a Final and will be drawn in the outside spare lane in all other rounds of each competition entered. CR 4.3 Club Crews: In IDBF Championships for Club Crews a Racer can only represent one Dragon Boat Crew. See Bye Law 12.3 for the definition of a Dragon Boat Club Crew. All competitors must have been bona fide members of the Dragon Boat Crew that they represent, for at least SIX (6) months before the Club Crew Championships in question. CR 4.3.1 A bona fide Club Member is one that has regularly trained and/or competed for the Club Crew that they represent during the minimum period of six months shown in 4.3. A bona fide Club Member will normally be resident in the Country in which the Club Crew is located. A Club Member who trains and competes with a Club Crew from a different Country or Territory or a geographical Region within a Country to the one in which the Club Member himself (or herself) is normally domiciled, will only be considered as a bona fide Club Member if they can prove that they have physically attended their Club to train or compete for a period or of at least twelve (12) weeks, over a minimum period of two (2) racing seasons.

PROVISIONAL PROGRAM This program is provisional and is intended to assist the crews with their planning. IDBF Council Meeting 2 ENTRIES All entries to the Szeged 2018 CCWC must be sanctioned by the IDBF member organization to which that crew belongs, where one exists. Crews from countries or territories where there is not an IDBF member, may compete subject to the agreement of the IDBF Executive Committee. PROVISIONAL ENTRIES National Federations are requested to make the Provisional Entry for their Clubs on the following link https://idbfchamps.org/idbf by no later than Friday, 9 th February 2018.

Entries can only be submitted online. This will be open from 10 th January 2018. The IDBF member country or region (local federation) gets a master PIN directly from IDBF, to be able to register online the Provisional Entry. National Federations must be fully paid up members of the IDBF to enable their clubs to enter. Invoices for Annual IDBF Membership fee for 2018 will be issued by 15 th January 2018. Provisional entry is to be submitted by the IDBF member organisation NOT the club. In case an IDBF Member (local federation) does not know the complete list of clubs entering a competition class they still can submit the Provisional Entry without names and, these clubs can be entered with name to be advised, but these clubs must be named latest when submitting the Final Named Entry. The IDBF members should generate the PIN codes for their member clubs and team managers. Team managers can upload/update database and submit Confirmed Entry and Final Named Entry using this specific PIN code online. In case of Countries or Territories where there is not an IDBF Member, or it is unknown, clubs willing to attend from such country should contact the Office of the Organizing Committee at registration@dragonboat.hu. Office will assist and check the issue with IDBF and if the responsibility can be identified than they will give the adequate contact. In case there is not an IDBF Member, then further information and approvals will be provided by the IDBF Executive Board. In case of any technical (IT) questions in first place please contact the Office of Szeged 2018 at registration@dragonboat.hu. 3 DIVISIONS, RACING & COMPETITION CLASSES & ENTRY CONDITIONS Both Standard and Small Boat Championships are on offer. Classes may be combined in the early rounds of competition but the Grand Finals will be separate. Each IDBF Member may sanction up to 5 of their Member Clubs in each Competition Class in Standard Dragon boats and 2 Clubs in the Small Boats one crew only per Club. If a Club wishes to enter a Standard and Small Boat in the same competition class, the competitors in the Standard Boat must be completely different to those in the Small Boat, So the 26 competitors (including reserves) in the Standard Boat must be completely different to the 14 competitors (including reserves) in the Small Boat, except for Mixed Crews. When a Club enters a combination of Standard and Small Boat teams in the same competition class must combine to form Standard Boat mixed crews. The following table shows the way in which Standard and Small Boats combine into Standard Boat mixed crews, where X is the entry. Competition Class E.g. Senior A Open Women Mixed Open Women Mixed Open Women Mixed Standard x x x x x Small x x x x MIXED CREW REQUIREMENTS Standard Boat Crews The crew must consist of a minimum of 8 and maximum of 10 paddlers of either gender. Drummers and Helms can be of either gender. This means that for a full crew of 20 paddlers 10 must be males and 10 females. For 18 paddlers then you can use 8 women and 10 men or 9 women and 9 men or 10 women and 8 men. Small Boat Crews The crew must consist of a minimum of 4 and maximum of 5 of either gender. Drummers and Helms can be of either gender.

In all competitions to qualify for World Championships status, at least six (6) entries, from different Countries or Territories per competition class are required. Competition Classes with three (3) to five (5) entries will be given IDBF Championship status, and less than 3 entries per class will be classified as demonstration races. Breast Cancer Paddlers (BCP) Crews; All Cancer Survivors Crews (ACS) and Paradragons together with Adaptive Paddlers Crews, (ADP) will race in Standard and Small Boats in their respective s on 200 and 500m. There will be 2000m Standard Boat races offered for them as well. All members (paddlers, drummer, and steersperson) of a breast cancer crew must be breast cancer survivors (a person having received a breast cancer diagnosis) Double rostering of paddlers (including drummers and helms) between s is discouraged. The Officials will NOT delay races for any transfer between crews. 4 STANDARD BOAT Racing Class Open Women Mixed Premier Senior A Senior B & C BCP ACS/ADP University Under 24 Junior A (A only) SMALL BOAT Racing Class Open Women Mixed Premier Senior A Senior B & C BCP ACS/ADP University Under 24 Junior A (A only) AGE REGULATIONS Junior A 13 th to 18 th birthday falls in the year of the competition. U24: the 13 th to 23 rd birthday falls in the year of the competition. University crews: 18 th or later birthday falls in the year of the competition and is a fulltime student of a University or a college (proven by the institute) in the year of the competition. Premier Class: no age limit. Senior A 40 th or later birthday falls in the year of the competition. Senior B 50 th or later birthday falls in the year of the competition. Senior C 60 th or later birthday falls in the year of the competition. All age groups, ages shown above are as at 31 Dec 2018. / Year of competition is 2018.

Note: The Drummer in a Senior Crew and the Helm (Sweep) in a Junior or University Crew do not need to conform to the relevant age limits shown below. DRAGON BOATS IDBF Specification dragon boats (IDBF 1222 & IDBF 912) will be provided for the Championships. PADDLES Crews are informed that only IDBF Spec 202a Racing paddles will be permitted in the CCWC Paddles can be rented at the regatta site. 5 PERSONAL FLOTATION DEVICES/AIDS (PFD/PFAs) Under the IDBF Competition Regulations participants are not normally required to wear PFDs when racing, unless the Chief Official so decides for the Junior Racing Classes or in inclement weather. However, approved PFDs will be available from the Organizing Committee for those participants who may wish to use them, by prior notification and application. REGATTA FEES An IDBF fee and a Championships Admin Fee is to be paid by every athlete, coach and team official attending the Szeged 2018 CCWC. An IDBF Fee of USD 40 per person is to be paid by all adults and USD 20 per person is to be paid by Junior, U24 and University participants. For this CCWC an Administration Fee of EUR 65 per person for adults and EUR 35 per person for Juniors, U24 and University will be charged by the Organizing Committee. The Administration Fee of Supporters will be EUR 20 per person while children under 12 years will be free. The competition area can only be accessed with a valid accreditation card. The Administration fee includes participation on the Opening ceremony and the Closing Party too. REQUIREMENT DEADLINE DATE Provisional Entries + nonrefundable Admin Fee Deposit of EUR 500 per Club. 9 th February 2018 Accommodation 2 nd deposit (round up to 50%) 1 st April 2018 Confirmed (Numerative) Entries 20 th April 2018 Final Named Entries with IDBF fee + the Administration fee less the 31 st May 2018 Admin fee deposit paid. Remaining balance of accommodation, transportation, meals and any additional services booked through the Organizing Committee. Please note that late payment of the Entry fee will require a surcharge of EUR 250 per Club, so please ensure you meet the given deadlines. The participation of the clubs, submitting late Final Named Entries, and their accommodation into the race program, cannot be guaranteed. If it is still solvable, Late Named Entries will require a late entry fee of EUR 50 per club, payable to IDBF to cover the admin costs of making late changes to the racing program.

CREW / CLUB HISTORY We prepare a publication for the Championships and we would like to ask all clubs to send us the club s logo, few photos and a short description. In one of the coming Newsletters we will give you further details and the deadline. VISA Hungary is within the Schengen Area. Visas issued by one of the Member States are also valid for Hungary. The Schengen visa and entry regulations are only applicable for a stay not exceeding 90 days. The Visa Application Form is available for Stay less than 3 months from here: http://konzuliszolgalat.kormany.hu/visaapplicationforms. The application should be submitted not more than three months before the start of the intended visit. ACCOMMODATION The Organizing Committee commissioned Holiday 55 Hungary Ltd to deal with accommodation, transportation and catering services for Szeged 2018. In the 1 st newsletter we already gave some details about accommodation and transfer services and we will continue informing participants by newsletters. The Organizing Committee blocked large amount of accommodation in and near Szeged, but most of them had already been reserved by participating teams. The remaining available capacity is limited, but we try to do our best to offer alternatives and reply all requests. The Organizing Committee managed to block several high school and university hostels, too, and this dormitory capacity can accommodate participants at a very reasonable cost.

Participants booking their accommodation through the Organizing Committee should pay the 1 st deposit to secure rooms at the booking (percentage vary accommodation to accommodation and it is specified in the quote) and they will be entitled to use the shuttle and transfer service (that will operate on race days) complimentary. For those team who wish to book directly or the Organizing Committee cannot provide adequate accommodation we prepared a contact list of other accommodations. The list will be circulated as part of the next Newsletter. Bookings should be done directly not through the organizing Committee. Complimentary transportation/shuttle is not available for these accommodations. 7 TRANSPORTATION Arrival/departure transfer: such transfers (from train station or airport and back) can be requested from and booked through Holiday 55 Hungary at a fee. Booking conditions and rates will be detailed in the 2 nd Bulletin and in the coming Newsletters. Local transportation: On Race days, the Organizing Committee will provide transportation to the regatta sites. Within Szeged a shuttle service will operate with different routes and from outside Szeged the Organizing Committee will provide transfers to the venue in the morning and back after the races. Participants booking accommodation through the Organizing Committee will be entitled to use the raceday transfer service complimentary while others would have to purchase a transferpass to be able to use this service. Rates and conditions will be published in the 2 nd Bulletin. RACE DAY LUNCHES There will be lunch available at the venue in various price categories.
