5 Welcome to BOC 05 How to manage your BOC account Account number This helps us identify you. You will often need to quote this number, for example when paying your invoice. Keep your number handy when visiting an outlet or calling the Customer Service Centre. Payments We offer a variety of payment options to ensure it is as easy as possible for you to do business with us. In our retail outlets we accept cash transactions in addition to cheque and credit/debit cards. Where supplies are on account, our preferred method of payment is via Direct Debit. Five days additional credit is available for those who choose this payment method. Also, you get plenty of time to check your invoice while your money stays in your account working for you, until the Direct Debit date. Please note a trade deposit may be required for customers not paying by Direct Debit. Alternatively, payment via cheque, BACS, CHAPS, internet banking or credit/debit card is acceptable. An additional non-direct Debit invoice fee is charged to cover the extra costs. BOC s standard payment terms are by the 20th of the month following supply. Payment within this time will ensure your gas and equipment supply remains uninterrupted. If you have any problems in meeting these terms, please contact us for further assistance on If payment is not received by the due date, then supply may be interrupted until payment is made and a late-payment fee may be charged. Manage your account online For your convenience, you can now manage your BOC account online. Simply register to view and pay your account balance, check statements and invoices, view current holdings and check your order history.

6 06 Welcome to BOC Charges associated with cylinder gases There are four elements associated with gas purchases from BOC: gas price, environmental and energy surcharge, fixed charge and cylinder rental. Why 4 different price elements? The different price elements cover different costs associated with supplying cylinder gases. Each one of our customers is unique and wishes to trade with us differently. Customers may use the same amount of gas each year but some will want to hold higher cylinder stocks than others, some will want to order more frequently than others and some will want their orders delivered while others will prefer to collect. We believe that charging for each element independently is fair to each customer so they only pay for the services they require and allows them to choose how they wish to trade with us. Gas price This is the price for the actual quantity of gas in the cylinder and it is based on how much it costs us to produce it. Gases such as acetylene and argon are more expensive to produce than a gas like oxygen, so you would expect to pay relatively more for them. Cylinder rental BOC has a rental charge for all cylinders. BOC ensures the quality and safety of its cylinders by performing regular tests, repairs if needed and replacement of cylinders. Cylinders and valves are regularly upgraded in line with new technology. Cylinder rental also gives you the flexibility to swap empty cylinders for full cylinders at any of our locations, take more cylinders as and when you need them and return them when you don t. BOC has developed options to suit a range of customers cylinder payment and business requirements and offers monthly, annual, 3 yearly and 5 yearly rentals. The longer-term rental options offer substantial discounts. These are ideal for customers with steady cylinder holdings and must be paid in advance. Please note you will be charged for a full month if you return a cylinder midway through the month. If you return your BOC cylinder without taking a replacement before the annual rental period expires, pro rata refund will be made for any whole month(s). This applies to annual rental only. Additional cylinders will be charged on a pro-rata basis. Additional surcharges may be applicable to some locations, particularly islands. Environment and Energy Surcharge The manufacture of industrial gases is highly energy intensive. Very large quantities of electricity are required to run air separation plants that produce oxygen, nitrogen and argon. Carbon dioxide and hydrogen are both produced from natural gas. Propane is produced by refining crude oil. The Environment and Energy Surcharge is applied to recover exceptional movements in energy costs and is increased or decreased in line with current costs. For propane the surcharge is charged per kilogram of product supplied, for other cylinder gases it is charged per cylinder of gas supplied. Fixed charge This charge is made for each transaction and covers the costs associated with maintaining our sales outlets and processing your transactions when you do business with us. These costs vary depending on whether you want us to deliver or prefer to collect and so does the fixed charge. In the case of delivery, the charge includes an element to cover delivery costs. For collections, the charge includes an element to cover the costs of maintaining our extensive network of BOC Retail Outlets and Partners. Other costs are the same whatever the transaction because we still have to process the order and invoice you.

Our details Our address and VAT registration. Invoice address The address to which your invoice will be sent for all delivery locations you have asked to be billed together. Sales This section lists your purchases for the month. Our contact details Please contact us if you have an invoice enquiry. Invoice number The unique number BOC has created to identify this invoice. Quote if you have a query. Account number This is your main Payer account number, which links all of your locations together. Quote this if you have a query. Invoice total The total amount due for payment. Payment with the payment slip should reach BOC in full by the date due shown, unless paying by direct debit. Product information (cylinders) This shows product purchased, cylinder size, number of full cylinders supplied, and the price charged per cylinder. The second number is the number of empty cylinders collected. Below each product is the Environment and Energy Surcharge for that product. Note: For Cryospeed liquid gas products, litres is the unit of measure. For small volumes, a minimum charge is applied. Customer Message Box Promotional messages to keep you informed about BOC offers and initiatives. Advice note (sales) This is the number on the advice note we gave you when we made the supply. Purchase order number The order number you quoted to us. We can set up purchase orders to cover a period of time or to a maximum value for supplies, rental or both. Fixed charge Fixed charge is the delivery or collect charge. This is applied to each transaction regardless of the number of cylinders. Location account number Our records of where your cylinders are located. Rentals Listed under this heading are the cylinders that are due for a rental charge this month. Cylinder rental details For each cylinder size being charged for rental, the invoice line details: Number of cylinders being charged The start date of the rental The amount charged per cylinder Number of months being charged Note: Please refer to your terms and conditions for more information. Payment slip On the last page of the invoice is the invoice payment slip, which should be returned with your payment by the due date shown. If you pay by Direct Debit, the payment slip will indicate that no payment is required. Customers paying via BACS and requiring to fax or their own remittance number can use the fax number: or remit.advice@boc.com Total This amount should be sent in full by the date shown. If you have paid for your supply through our network of retail outlets or Direct Debit, you will still receive an invoice for your records. In these cases you should have received a receipt for your payment and can ignore the payment due information.

8 08 Welcome to BOC Accounting for your cylinder stocks Cylinders are expensive and it is in your interest that you and BOC control them carefully. To help you keep account of your cylinder holdings, BOC operates an electronic Cylinder Tracking system that records the unique serial number of every individual cylinder supplied to each customer and returned. Cylinder tracking Every BOC cylinder has its unique barcode scanned at point of supply and upon return to BOC Every transaction is recorded and uploaded to our fully integrated Cylinder Tracking management system Each individual cylinder supplied is allocated to the customer s account Each individual cylinder returned to us is taken off the account on which it was originally supplied, irrespective of who returned it Follow these guidelines in order to keep control of your cylinder holdings. Do Ensure that all cylinders supplied to you have been scanned and check that each individual cylinder is listed on the supply advice note before you sign the note or BOC driver s handheld scanning device Ensure that all cylinders returned by you have been scanned and check that each individual cylinder returned is listed on the supply advice note before you sign the note or BOC driver s handheld scanning device Always return to BOC the cylinders that were supplied to you if you return cylinders that were originally supplied to another BOC customer these will be removed from that other party s BOC account, not yours and your cylinder holdings will not reduce Report any cylinder losses to BOC as soon as possible so that we can adjust your account accordingly. Please be aware that charges may be made for lost cylinders Do not Swap, lend or borrow BOC cylinders from another BOC customer as your cylinder holdings will be incorrect. Remember all cylinders supplied to you will remain on your holdings until they are returned to BOC. If you have given a BOC cylinder to a third party, that cylinder will remain on YOUR account and you will retain responsibility for it until it has been returned to BOC. If you return cylinders that were originally supplied to another BOC customer these will be removed from that other party s BOC account, not yours and your cylinder holdings will not reduce Tamper with, swap or remove collars or barcodes from the cylinder. The collars are specific to the particular cylinder and provide crucial safety and tracking information. In order to aid resolution of a query it may at times be necessary to reveal to another customer the name and delivery details of the returning or initially supplied account.

9 Welcome to BOC 09 Cylinder safety Safety is of paramount importance to BOC. There is no higher priority for us than the health and safety of our customers, colleagues, contractors, suppliers and local communities. This section provides important information on the safe handling, storage, transport and use of gas cylinders. Standards and transport regulations BOC gas cylinders are designed and constructed in accordance with British and European standards and specifications and comply with the requirements of the applicable transport regulations. These standards define the material from which the cylinder is made, the method of construction and any initial testing whilst the transport regulations define the cylinders test-pressure, the maximum fill pressure and the method and periodicity of testing. Safety Datasheets A Safety Data Sheet (SDS) provides you with all the details you need to understand about the gas you are using, how it can be used, stored, what to do in an emergency etc. and should be used as a basis of any risk assessment that is required. You can view and download any SDS from our website, or get a copy from our Customer Service Centre by calling Identifying BOC cylinders To minimise potential hazards the operator needs to know what product a cylinder contains and this is provided by the cylinder label or collar. The hazard of the gas may be confirmed by reference to the colour of the cylinder shoulder. Visit our website if you would like to access BOC s wealth of experience in safety, giving you the security and peace of mind you need to run your business effectively. A cylinder without a label should not be used and returned to BOC. If you are unsure of a gas cylinder s contents do not accept, handle or use it. The cylinder label or collar identifies the gas contents of the cylinder and provides vital safety information. The format is shown in the diagram below. 10 10 Welcome to BOC Safe storage and movement of cylinders Most cylinders are large, heavy and are relatively unstable due to the base diameter to height ratio. It is important to understand that they are potentially dangerous if not treated with care and respect. The following sections offer some guidance on how to safely move and store cylinders. Transporting Cylinders When cylinders are collected from a BOC Gas & Gear store you will be provided with the information you need to establish your obligations under the Carriage of Dangerous Goods and Use of Transportable Pressure Receptacles Regulations. Everyone carrying gas cylinders in a vehicle should follow basic safety requirements. Drivers should be trained in the associated hazards and dangers of gases, the safe handling of gas cylinders and what to do in an emergency Vehicles used for the transportation of gas cylinders should be open. If this cannot be achieved the vehicle should be well ventilated. Toxic gases must not be carried in a closed vehicle unless specifically designed for the purpose A 2kg dry powder fire extinguisher is required as a minimum on all vehicles carrying gas cylinders Cylinder valves must be closed whilst in transit and any equipment disconnected Cylinders should be secured properly and should not project beyond the sides or ends of the vehicle If a leak is suspected, park the vehicle in a safe place and contact BOC More detailed advice about transporting cylinders is available from our Gas and Gear stores. 11 Welcome to BOC 11 Storing Cylinders Cylinders must be stored in a location free from fire risk. This includes away from sources of heat and ignition and flammable materials. Make sure there are suitable means of extinguishing fires. The storage facility should be easily accessible for cylinder movements with manual handling distance kept to a minimum If possible, access should be restricted to authorised personnel only The storage facility should also be sited on a smooth, level surface, which is well drained and non-flammable Clear access for the emergency services should be maintained at all times Store cylinders upright and secure them Vertically standing cylinders should always be secured to prevent them falling over if accidentally knocked Any area where cylinders are stored should have suitable signs displayed Do not store other products in a cylinder store, particularly flammable material such as fuels, oil, paint or corrosive liquids as this may result in a hazardous situation Do not use the store as a work area for tasks such as welding and cutting Full cylinders should be stored separately from empty cylinders and labelled appropriately Certain gases are incompatible and should be segregated to reduce hazard potential Cylinder handling When handling gas cylinders, it is advisable that the following precautions are followed: Only people trained in cylinder manual handling should move cylinders and only over short distances Larger cylinders are heavy. Manual handling risk assessments and training should be undertaken Safety shoes and gloves should be worn Cylinders should be handled with care and not knocked violently or allowed to fall Cylinders should be moved with the appropriate type and size of trolley Cylinder valves must be closed when moving cylinders and equipment should be detached Over longer distances, use appropriate trolleys or pallets and firmly secure cylinders into them Never roll cylinders along the ground on their side as this may cause the valve to open accidentally. It may also damage the cylinder, identification label and paintwork

12 12 Welcome to BOC Safe Practice To avoid any potential accidents we recommend that you regularly undertake the following procedures. Valves Valves should be fully closed when cylinders are in storage. Rotate stock Storage arrangement should ensure adequate turnaround of stock. Empty cylinders Do not store empty cylinders longer than necessary. This applies particularly to cylinders which normally contain flammable, corrosive or toxic gases. Before handling gas cylinders ensure that as a minimum the following personal protective equipment is being worn: Gloves Safety shoes Eye protection Suitable gloves should be used when handling cylinders and safety shoes should also be worn to prevent the operator from crushing injuries. In awkward work locations additional protective clothing such as a hard hat may be required. The correct eye protection should also be worn when handling or connecting cylinders to avoid injuries when high pressure gas is accidentally released. Always wear eye protection carrying the CE mark. Plan for emergencies If a cylinder is damaged, contact BOC immediately The people with responsibility for storing or using gas cylinders should be trained and familiar with the procedure to be followed in case of an emergency Storage area layouts and emergency procedures should be carefully planned, recognising the possibility of an emergency arising In case of an emergency, call ; available 24 hrs a day, 365 days a year.

13 Welcome to BOC 13 Safety training & audits Gas safety awareness workshops Whether gas usage is a large or seemingly small part of your business, knowledge about the properties and potential risks of different gases can lead to increased levels of safety. BOC offers a wide range of safety training workshops and courses to support the safety needs of your business and its employees. Our training courses include safety with gas cylinders, refrigerants, laboratory gases, cellar safety, cryogenic gases and healthcare. Safety training workshops are available through a number of different means and include trainers visiting your premises to undertake delegate training onsite and through open courses held at venues around the country throughout the year. For people that require a more flexible method of gas safety training then we also offer e-learning packages online. Occupational Health and Safety audits (CP7 & GN7 checks) Gas welding and cutting equipment must be checked regularly. The British Compressed Gases Association (BCGA) Code of Practice 7 (CP7 -The Safe Use of Oxy-Fuel Gas Equipment) and Guidance Note 7 (GN7 - The Safe Use of Individual Portable or Mobile Cylinder Gas Supply Equipment) recommend that regulators and flashback arrestors are checked annually and replaced every five years. Qualified BOC Inspector can perform CP7 and GN7 checks.
