3 Welcome to the Freehold-Old Bridge YMCA Winter Swim Season! Please take some time to carefully read through and review this handbook with your swimmers. This is very important. The information in this year s handbook may have changed. FOBY Philosophy The FOBY Swim team exists solely on the strength and character of its swimmers. Each member of the team must believe that no one swimmer is bigger than the team as a whole. We recognize that by coming to practice prepared to do our best we are setting ourselves up for success. The rewards for our dedication can be measured not only by our results in the pool, but by the self-confidence, discipline and time management skills that come through hard work. Mission Statement It is our goal for every level of our team to build a love of the sport. The swimmer that enjoys the challenges associated with the demands of hard work will be successful both in and out of the pool. There are no shortcuts; consistent and persistent effort is a pre-requisite for achievement in swimming. Every athlete is different; individual success is not always indicative of the amount of effort put forth. The process of setting and achieving goals allows us to grow as individuals and helps swimmers learn to take responsibility for their actions. Technique and drills will be stressed in practice to improve all strokes. Practice does not make perfect, but perfect practice does yield improvement. The coaches will set the tone for a safe, challenging and motivating environment by continually learning and striving for improvement. The same demands that we make of our swimmers: attendance, attention to detail, accountability and a positive attitude are standards to which we also hold ourselves. The values of the YMCA: honesty, caring, respect and responsibility will be instilled upon individuals via our commitment to sport and fitness. Through dedication to youth development our goal is to not only have all swimmers achieve success and reach their goals in the pool, but also to become individuals who contribute positively to the community. page 3

4 SWIMMER S GUIDELINES Practice Group Placement: Swimmers are placed in their practice groups based on: age, ability and commitment. The placement of each individual is made by the coaching staff and is in the best interest of the swimmer and the team, both currently and for long-term development. The coaching staff puts much time and effort into making a choice that will not only be most beneficial to the individual s swimming career, but also to their development as a person. ONLY the head coaches can make a decision to change a swimmer s practice group. Practice Group Descriptions: Red Practice Group Ages: 10 & Under Minimum Required attendance: 2 practices a week (50% of offered practices) Required equipment: fins and pull-buoy This is the beginner level of our swim team. At this level the emphasis is on teaching skills that develop good stroke technique and learning practice etiquette. The primary objective is swimming the strokes legally. Our goal is to help the children feel successful and have fun so that they are able to develop the foundations for a lifelong love of the sport. Green Practice Group Ages: 9-12 Minimum Required attendance: 3 practices a week (75% of offered practices) Required equipment: fins and pull-buoy At this level swimmers must be able to swim all four strokes legally. Coaches will begin to build cardiovascular endurance and familiarize the swimmers with the concept of keeping intervals. There will be continued emphasis on proper stroke technique through drill work and stroke correction. Coaches will work with the swimmers to encourage the characteristics of a good teammate respect, listening to coaches, following directions, and responsibility. Orange Practice Group Ages: 8-11 Minimum Required attendance: 3 practices a week (75% of offered practices) Required equipment: fins and pull-buoy At this level swimmers must be able to swim all four strokes legally. The emphasis on proper stroke technique will continue, and coaches will begin to build cardiovascular endurance through drills, sets and activities. Coaches will continue to work on the skills necessary to compete in the sport of swimming: working with teammates, following directions, listening to the coaches, and having fun. page 4

5 Blue Practice Group Ages: Minimum Required attendance: 4 practices a week (80% of offered practices) Required equipment: fins, pull-buoy, paddles and snorkel Stroke technique and basic race strategy will be emphasized with swimmers in this group. Endurance and aerobic training using freestyle and IM-based interval training sets will be utilized daily. The main focus is perfecting the strokes using drills and detail-oriented training. More advanced dryland training with an emphasis on core strength and stability will be done more regularly to strengthen the primary muscle groups used in competition. Swimmers will meet with coaches to develop plans and create personal goals in and out of the pool. Team spirit and YMCA core values will be promoted to create well rounded individuals as well as athletes. White Practice Group Ages: Minimum Required attendance: 4 practices a week (80% of offered practices) Required equipment: fins, pull-buoy, paddles and snorkel At this level, the focus is on stroke technique while working on overall athletic conditioning and cardiovascular endurance using freestyle and IM training. An emphasis will be placed on learning and applying basic race strategies and techniques. The coaches will work with swimmers to understand and use time standards to set personal goals and to achieve these goals using interval training in practice. Turning swimmers into athletes while nurturing and growing the love of the sport and the team is the goal of this group. Black Practice Group Ages: 12 & up Minimum Required attendance: 4 practices a week (80% of offered practices) Required equipment: fins, pull-buoy, paddles and snorkel Swimmers at this level will continue to build endurance using freestyle and IM-based training sets. Swimmers will be expected to have basic knowledge of drills, technique and equipment. Athletes will meet with coaches, in a classroom setting to discuss swim technique and individually to discuss goal setting and how best to achieve them. Dryland will be used as an important tool to supplement and accentuate the training done in the water. Swimmers will begin to take personal accountability in their training and be fostered into leadership roles with the team. Silver Practice Group Ages: 14 & up Required equipment: fins, pull-buoy, paddles and snorkel This group is designed for our High School athletes whose primary focus is their High School Swim Team. Swimmers in this group will be full members of the FOBY swim team and able to participate in both dual and invitational meets and attend all FOBY events. From September-November 15 this group will have a full practice schedule with 6 practices available a week. Practices will focus on stroke technique while working on overall athletic conditioning and endurance using freestyle and IM training. From November 16-February the practices will decrease to only 2 practices a week so that swimmers can focus on their High School swim season. page 5

6 Gold Practice Group Ages: 13 & up Minimum Required attendance: 90% attendance Required equipment: fins, pull-buoy, paddles and snorkel This group is our most elite level of FOBY. At this level we prepare swimmers for all distances as well as stroke specific training. Training will incorporate sets that work on stroke technique, race strategies and endurance. The coaches will regularly discuss leadership skills, personal accountability, team support, and hard work. The swimmers at this level are expected to act as role models for the team. Coaches will frequently meet with the swimmers to set goals, outline strategies to reach these goals and measure their progress. Communication between the athletes and coaches is essential in helping the athlete to reach his/her personal goals. General Practice Rules: 1. Swimmers must be ON TIME to practice. 2. Swimmers must stay for the entire workout. 3. Equipment must be brought to every practice. Swimmers must have their equipment bags with them on deck; swimmers will not be permitted to go get their equipment once practice has begun. Swimmers must arrive at every practice with: cap, goggles, water bottle, and the equipment required of their practice group. 4. Swimmers cannot be on the pool deck when another practice group is in the pool. 5. Swimmers will ONLY be permitted to practice with the group into which they were assigned; no exceptions. If a swimmer comes to a practice group other than their own, they will not be permitted to swim. 6. Parents are NOT permitted on the pool deck during practice. 7. Swimmers must listen to coaches and follow directions during practice. 8. Swimmers must be respectful of teammates at all times. Swimmers must respect each other s personal space. 9. All swimmers must scan in at the front desk before each practice. 10. All swim team members are guests while at the facility and must act accordingly. All swim team members must respect the facility, in particular the locker room. If any swim team member is found to be misbehaving, the group will lose their locker room privilege. 11. There is NO PARKING in the fire lanes at either facility. Parents arriving to pick up swimmers should only park in designated parking spots. 12. If swimmers do not meet the minimum required attendance for their group, they will be required to try out for FOBY the following season. 13. Weekend Practices: Although there is currently no formal practice scheduled for weekends, the coaches will be writing up practice sets and posting them for swimmers to do, individually, during open swim times at either facility. ALL SWIMMERS are highly encouraged to take advantage of these open swim sets. page 6

7 Prohibitions: The use or possession of tobacco, illegal drugs, or alcohol by any team member is strictly prohibited during any team activity. Any malicious defacement or destruction of property at home or away pools will not be tolerated. The individual or individuals, not the team, are responsible for any vandalism or damage. If such occurs, the swimmers and his/her parents will be held financially accountable. Practice Discipline Policy: Discipline policies can and will be enforced by any coach, at each age group or practice group at any time. Every swimmer is given a warning with an explanation to his or her unacceptable behavior. After the initial warning, the following steps will be taken: First warning: 2 minute Time Out with explanation Second warning: 5 minute Time Out with explanation. Third warning: The swimmer will be asked to sit out the remainder of the practice and will then meet with the coach at the end of practice. This will be enforced for swimmers who stop and disrupt practice for any reason. Any swimmers with reoccurring injuries that force them to stop often will need to see a doctor; soreness is normal, pain is not good! Lane space is limited. Any swimmer with a problem must get out of the water and talk to a coach. Standing on the wall interferes with swimmers trying to complete the set and will not be tolerated. Bullying Policy Agreement: As defined by the New Jersey Coalition for Bullying Awareness and Prevention, Bullying is an act or threat that is unprovoked, repeated, aggressive, intended to cause fear, distress, harm, may be physical, verbal, or psychological in nature or combination, and may be bias/prejudice. Acts of bullying may include name-calling, slurs, epithets, put-downs, taunts, teasing, bodily harm, hitting, kicking, tripping, shoving, taking or damaging personal property, saying/writing inappropriate things, starting rumors, public humiliation, deliberate exclusion, and coerced actions. (New Jersey Coalition for Bullying Awareness and Prevention.) Any Freehold-Old Bridge Swim Team member observed bullying will have their parents notified by the coach. If the problem persists, the FOBY swim team may remove the offender from the team. page 7

8 SWIM MEETS Types of Swim Meets: Dual Meets: A dual meet is one YMCA competing against another YMCA. Boys swim against boys, girls swim against girls. Our FOBY team is currently broken up into 4 squads: Girls Yellow, Boys Yellow, Girls Purple, and Boys Purple. Dual meets usually run about 2 hours long. These meets take place on Saturdays, October through December. Some meets are run at our home facilities (Freehold and Old Bridge) and other meets are away. Directions to all facilities can be found on our website. A dual meet consists of events in every stroke for every age group. Swimmers remain in the same age group the entire season. The swimmers age as of December 1, 2016 determines their age group. At the end of the meet, relays for each age group are swum. Swimmers are usually entered in at least two individual events, determined by the coaching staff. NO SWIMMER is permitted to leave a dual meet early. All swimmers must stay until the conclusion of the meet. Our dual meet teams need all of our swimmers at every meet. If a swimmer does not show up, relays cannot swim and coaches are left scrambling to fill lanes. All swimmers must declare their intention to attend or decline by the Wednesday prior to the meet. Swimmers and coaches are transported by bus to dual meets. Swimmers are required to ride the bus to the meet as part of the team. If a swimmer is not riding the bus home from meet, they must provide the coach with written permission. The form for this can be found on the website. This form MUST be returned to the office at least two days prior to the meet. Oftentimes the bus will stop for food on the way home from meets, so it is advised the parents send their swimmers with money. There are no entry fees for dual meets. YMCA Invitatio nal Meets: An invitational meet has swimmers from many different teams competing against one another. Invitational meets give every swimmer a great opportunity to compete in events in which they are not able to compete in at duals meets. Some invitationals require a qualifying standard in order to compete. Times for each swimmer are submitted in advance and the swimmers are sorted into heats and lanes. Invitational meets usually last about 4 hours per session. Swimmers compete in their age-group based on their age as of December 1, Swimmers are charged entry fees. Please note: Meet fees are non-refundable. Once a swimmer commits to an invitational meet FOBY sends the entries and entry fees to the host team. Since the YMCA fronts these entry fees, after the registration deadline has passed on Team Unify, the swimmer s PME account must still be charged even if they scratch from the meet. Transportation is not provided. USA Invitationa l Meets: USA Invitationals are run similarly to YMCA Invitationals with two notable differences. 1) In order to compete at a USA Invitational swim meet, your swimmer must be USA registered (a $60.00 annual fee). 2) Swimmers compete in the age group based on their age as of the first day of competition. page 8

9 Invitational meets fill-up out quickly so it is imperative that the website be checked frequently and the swimmer s availability be entered as quickly as possible. Please either commit or decline as soon as the meet is posted. Once the entries are sent to the host team we can no longer make any additional entries. Tri-Meets: In January and February, in the place of dual meets, FOBY swim team will participate in meets against two other local YMCAs. Tri-meets are usually broken up by age group. There is no transportation provided to these events and there is no entry fee. Mini Meets: These are meets for our 8 & Under swimmers only. There are entry fees for Mini Meets and transportation is not provided. Final Folly: This is the YMCA invitational meet that FOBY hosts at its facility on January 22nd. Please note, it is required that all parents work at our team hosted meet. Championship Meets: Championship meets are held February-March, and ALL championship meets have qualifying times. These meets are the culmination of the competitive season. YMCA Championships are structured: 8 & Unders Bronze Silver 12/U States 13/O States YMCA Nationals USA Championships are structured: 8 & Unders 12/U Silver/Bronze 13/O Silver/Bronze Junior Olympics Zones: This is a USA Swimming regional meet for Age Group level swimmers. New Jersey Swimming sends its top level swimmers to this meet, and there are meets in the Spring and Summer. For more information, please see the website at: njswim.org/subtabgeneric.jsp?team=eznjslsc&_stabid_= YMCA Nationals: Qualifying for this meet is a primary goal of most swimmers. In order to attend this meet swimmers must be at least 12 years of age. How to Attend Swim Meets: In order to attend a swim meet, the swimmer must commit via Team Unify in a timely manner. All of our swim meets will be posted with a registration deadline. Once the deadline passes we can no longer make any additional entries; NO EXCEPTIONS. For dual meets the deadline will be the Wednesday prior to the meet. For Invitational meets, the deadlines will be much farther in advance as they close out quickly. If a swimmer is planning to attend an invitational meet they must commit immediately once the meet announcement is sent out. If a swimmer is only available for certain days or sessions of a meet, please make a notation in the Notes box of the commitment page. For most meets the swimmer will simply be declaring Yes, please sign [swimmer] up for this event or No, thanks, [swimmer] will NOT be attending this event. For other meets, the swimmer will be able to select specific races. For all swim meets the head coaches will make the final decision regarding event choice. The coaches will take into consideration the events that have been chosen, but they may make changes based on what they page 9

10 believe will be best for the swimmer and team at any particular meet. Please note: Meet fees are non-refundable. Once a swimmer commits to an invitational meet FOBY sends the entries and entry fees to the host team. If, once the registration deadline has passed, a swimmer s plans change and they can no longer attend a meet to which they had committed, the coaches will need notification so that the swimmer can be scratched. However, since the entry fees will already have been paid to the host team, the swimmer s PME account will still be charged. Swim Meet Rules: 1) Swimmers must arrive 10 minutes prior to warm-up times. If the swimmer does not arrive at warm-up on time they WILL BE SCRATCHED FROM ALL EVENTS. 2) Swimmers must wear their team suit and cap at all swim meets. Tech suits are only permitted at coach-designated meets. If a swimmer wears a tech suit to a meet without permission the swimmer will not be permitted to swim. 3) ALL swimmers MUST remain at dual meets until the meet ends. All swimmers MUST check in with a coach before leaving an Invitational meet. 4) Before and after a race swimmers are required to see a member of the coaching staff. Feedback prior to and after their races is crucial to swimmers learning what they did well and what are their areas of improvement. 5) Swimmers are required to sit with the team short visits to parents are permitted, but team unity is encouraged. 6) Swimmers are encouraged to support their teammates before, during and after their races. 7) Swimmers should make sure to bring: extra goggles, extra caps, warm clothes, dry towels, nutritious snacks and plenty to drink to every swim meet. Meet Discipline Policy: First incident: Warning with explanation Second incident: Meeting with coach upon end of meet (home meets) or upon return to YMCA (away meets). After the first infraction, parents will be notified in person or by phone by the coach of the behavioral situation. After the second infraction, the swimmer will not be able to return to practice until their parent has met with the necessary coaches. After the third infraction, the swimmer s team status will be reviewed. Season Structure: Practices will run from September 12, March 10, 2017 (Practices will continue after this date for higher level championships qualifiers). The athletes will be trained to focus primarily on their performance at the mid-season meet, in Long Island, and the highest level championship meet for which they qualify at the end of the season. Both YMCA and USA have championship meets held in February and March (see pg. 13). A banquet(s) will be held in April to celebrate the end of the season. At the banquet(s) all swimmers will be recognized for their participation with a gift. Special recognition will be given to the Most Valuable, Most Improved and Coaches Award from each practice group. page 10

11 Swim Team Fees: An initial $100 deposit, due July 29, 2016, to secure the swimmer s place on the team, may be made by check, and must be accompanied by signed Parent Contract, Swimmer Contract, (located at back of handbook), Draft Agreement (available from Freehold front desk) and Medical Release forms (located on website). Deposit checks should be made out to YMCA and placed in the Swim Team Mailbox. Please note swimmer s name and practice group on check. Credit card payments for the deposit may be made at the front desk AT THE FREEHOLD FACILITY ONLY. Practice Group Fees: Practice group fees differ depending on the swimmer s group placement. After the initial $100 deposit, the practice group fees will be broken down into 4 monthly payments (9/6, 10/6, 11/6, 12/6) as follows. A valid credit card on file is required in order to register for the FOBY swim team (form also located at back of handbook). All practice group fees will be automatically charged to the credit card. Membership fees are paid at the front desk at either location. Financial Aid: The Freehold-Old Bridge YMCA offers financial aid to individuals who qualify. An application can be picked up at the front desk and returned to Jodi Pelano by August 31st. PME Account: All invitational meet entry fees will be deducted from your Pre-Paid Meet Entry account. The swim season MUST begin with a balance of $ Throughout the season, entry fees to events will be deducted. Invoices will be ed on the 1 st of each month. A negative (-) amount in the PME account means that the family has that much credit in their account. A positive (+) amount means that the family owes money. If the family gets an invoice for $15.00, they should be submitting a check for $65.00 to maintain their $50.00 credit. Each family is responsible for checking their meet fee account throughout the season. Please note: if a balance becomes positive, money is OWED and swimmers will not be able to register for meets (including dual meets). Please make sure that a negative credit is maintained to avoid missing any meet deadlines. To submit money into a PME account, a check, made out to YMCA should be placed in the swim team mailbox. Please make sure to include PME and the swimmer s name and practice group in the memo. Do not pay PME at the front desk. page 11

12 USA Registration: The fee for USA Swimming registration is $ Any swimmer planning on registering as a USA swimmer must submit fee and registraion form BY OC- TOBER 15, We will not be registering any swimmers with USA Swimming after October 15th. Checks should be made out to YMCA and placed in the team mailbox. The registration will be valid through 12/31/17. Work Bond: Due dates: All families are required to submit a check for $ per swimmer (with a maximum of $ per family) to ensure that all team members fulfill their volunteer obligations. The check should be post-dated to April 1, 2017 and made to the YMCA. The check will only be deposited if the family has not met the minimum volunteer requirements by the end of the season or is a no-show for 2 assignments. Due by July 29, 2016: $100 Deposit Signed Parent Contract, Signed Swimmer Contract, Medical Release Due by September 12, 2016: $50.00 PME Deposit $ Post-dated Work Bond Check ($ max per family) (PME and Work Bond checks must be separate checks) Due October 15: $60.00 USA Registration and form Parent Volunteer Requirements: Without the help and support of our swim team parents, our team could not exist. In order to effectively run our swim team, we require that parents commit to a minimum number of volunteer hours. By volunteering, parents not only ensure that our events run smoothly but also set a positive example for swimmers by showing responsibility and willingness to be a part of the FOBY community. Minimum Volunteer Responsibilites: All parents must work: at least 2 dual meets (Families with multiple swimmers on the team will be required to be prepared to work 1 additional job per swimmer after the first child) Final Folly One volunteer position for each invitational meet attended *For invitational meets you will not always need to work, but you must be prepared to do so. Dual meet job assignments for the season will be made and released as soon after the meet schedule is confirmed as possible. Invitational meet timing assignments will be posted the week of an invitational meet. If you are assigned to time and cannot, it is YOUR RESPONSIBILITY to find a replacement. If you know in advance that you will not be accompanying your swimmer to a meet, please team administrator at least 10 days prior to the meet start date so that you will not be given a timing assignment. The head timer at every meet will have a list of all volunteers by position. You must sign in with the head timer in order for your job to be recognized as completed. If, by the conclusion of the season, families have not met the minimum requirements, or were a No-Show for two assignments, the $200 work bond check will be deposited and become a donation to FOBY Swim Team. page 12

13 Swim officials: Swim officials are a vital component at all meets and FOBY is required to provide officials at any meet to which we send swimmers. In order to volunteer for this position, training is required. Each fall our YMCA league offers training courses. If any parent is interested in learning more, please contact our official s coordinator, Adam Yee at adam.g.yee@gmail.com. 16 FOBY Swim team parent contract Please tear out, sign and return with deposit I promise to fulfill the following obligations and commitments to the Freehold-Old Bridge YMCA Swim Team as parents of a swim team swimmer: [initial] I will work at least 2 dual meets (Families with multiple swimmers on the team will be prepared to work 1 additional job per swimmer after the first child), Final Folly, and be available for one volunteer position for each invitational meet attended. I understand that failure to show up for two jobs assignments will result in forfeiture of my work bond. In order to help prevent this forfeiture, it is my responsibility to find a replacement in the event that I cannot fulfill a given work assignment. I understand that, after the registration deadline has passed on Team Unify, all meet entry fees are non-refundable. I will be aware of swim team activities I will have my child(ren) at practice on time. I understand that only coaches and swimmers are allowed on pool deck during practice. Parents are not permitted on pool deck during practice. I will carefully read all team s and correspondence. If I have any questions, concerns and issues, I will discuss openly with the FOBY coaching staff. I acknowledge that I have read the FOBY Swim Team Handbook and understand all policies and procedures in this handbook. 17 FOBY Swim team swimmer contract Please tear out, sign and return with deposit I promise to fulfill the rules set forth below as my obligation to participate on the Freehold-Old Bridge YMCA Swim Team: Rule 1: All swimmers must show good behavior, at all times. This includes being courteous to your fellow swimmers, coaches and others who may be in the building. Rule 2: Be prepared to work out with proper equipment (suit, goggles, buoy, fins, water bottle, etc.) when you arrive. Rule 3: Team suits ar NOT to be worn during practice, only at meets. Only FOBY swimming apparel is to be worn at swim meets. No other team s cap, suit, shirt or other apparel will be acceptable. Rule 4: Practice will start on time. Late arrivals will be placed into whichever lane the coaches feel will cause the least disuption to the practice. Rule 5: Participation to the best of your ability is required at all times. You must be prepared to practice with intensity for the entire time that you are at practice. Rule 6: There is required attendance for each practice group. This information can be found in the team handbook. Any practice conflicts must be communicated to the head coaches. If you do not meet the attendance requirement, you may need to try out again next year. Your spot is not guaranteed. Rule 7: The use or possession of tobacco, illegal drugs, or alcohol by any team member is strictly prohibited during any team activity. I have read the rules set forth and agree to them. I realize that if I break any of these rules that I may be suspended from practice sessions or swim meets, and that my parents will be notified of that fact.
