2 Welcome to Beachwood Swimming! This document is meant to be a helpful guide to the ins and outs of the Beachwood Swim Team. It has been compiled and updated from the suggestions and comments of many seasoned veteran swim parents. If you still have questions or concerns after reading this guide, please feel free to speak with the swim team chair, any of the committee chair people, or any parent hanging around at practices or meets who looks like he or she knows what they re doing. 2

4 PRACTICES Times Practices are held Monday through Saturday from 7:00 a.m. through 12:00 noon, as well as the day of and after swim meets. Beginning in early May, the team holds after-school practices at the club. Specific times are posted on the website and in the Drift newsletter. Generally, older kids practice earlier in the morning and the younger kids later. The days surrounding swim meets are crucial to the coaches as they prepare the kids for the meets and debrief them after. As a rule, the coaches expect the kids to be at practice every day once school is out. Your child will reap the benefits of consistent training as they see their times improve from meet to meet. That said, the coaches realize that summer means vacations, sports camps, etc. If your child needs to miss practice, he/she should let the coaches know in advance. It keeps the coaches from having to guess when and if your child will be coming to practice. Arrival Time for Practice The practice times listed on the website and in the Drift are the actual times that the kids should BE IN THE WATER. In order to facilitate this, they should arrive about 10 minutes early. Generally, the kids gather in the pavilion area until they are called on deck by one of the coaches. Weather Practice will be held in all weather. In the event of lightning, the swimmers will be instructed to leave the pool area until it is deemed safe to go back into the pool generally 20 minutes. If we have enough notice regarding inclement weather, an message will be sent. This information will also be posted on the website. Please make it a habit to check the website daily for up-to-date information. What to Eat and When It s a good idea to eat something light at least an hour before practice. Suggested items include bagels, muffins, cereal, and juice. Swimmers need food especially carbs, for energy, so it s unwise to skip the morning meal. For early practices (7:00 a.m.), your child should drink juice and grab a bagel for the ride over. What to Bring to Practice Besides their suit, swimmers will need goggles, towels, swim caps and flip-flops (for showers/locker rooms). Chlorine can be hard on suits, so reserve your team suit for meets. You can purchase extra suits at most sporting goods stores and even Costco. In addition, practice suits are usually available at swim suit try-on days (held early in the practice season) and at mini-meets and finals. Goggles are usually a necessity because chlorine can irritate eyes. Goggles should make a good seal on your child s face to minimize leaking and fit comfortably. Junior or youth styles work well for younger swimmers. You can find goggles at any sporting goods store as well as Target, Kohl s, Costco, etc. Swimmers with long hair should wear a cap. It keeps their hair out of their eyes and mouth and also provides some protection from the chlorine. It s important to remember to let your cap dry after practice. Don t leave the cap in the bottom of a swim bag or wrapped up in a wet towel. They tend to tear more easily and become sticky if this happens. 4

5 Other items of use after practice are warm clothes (tops and bottoms), shampoo and conditioner, soap, and a healthy snack. Team Suits In general, we get a new team suit every other year. This year s suit will be provided by Different Strokes in Auburn Hills and will be on sale at the club on a date that will be announced several weeks ahead of time. You can also order a suit directly from them. Go to different-strokes.com for their store hours and exact location. Beginning Swimmers/Pre-Team We have a variety of abilities on the team and all get to compete. Please note the requirement for the preteam and competitive team has changed this year..a child MUST be able to swim front crawl the width of the shallow end unassisted with their face in the water. Our coaches will evaluate all kids wanting to swim, and work with the child and the parents to determine whether the competitive team, the pre-team, or Beachwood s swim lesson program is the right choice. We ve had many kids move from the pre-team or the lesson program to the competitive team as the season progresses. We really encourage all kids who are interested to check things out, even if they just want to watch a practice or two. Talking to the Coach Because safety concerns preclude allowing parents on deck during practice, Coach Venos is available to speak with parents each day before practices begin (before 7:00 a.m.) or after they have finished (after 12:00 p.m.). If this is not convenient for you, please leave a message at the desk and he will contact you. You may also feel free to speak to any of the assistant coaches when they are not on deck supervising swimmers. Questions and concerns may also be directed to Peggy or Dan Brandenberg, the Swim Team Chairs. Bagel Days At practice the morning after every meet, bagels & juice are served in the pavilion after each age group s practice (except 8 & Under - they grab their bagels before their practice). One bagel per swimmer, please! Annual Pancake Breakfast At one practice each season (date to be announced in the Drift and on the website) we treat our swimmers to a homemade pancake breakfast. A fun Beachwood tradition you don t want to miss especially if one of our high school boys tries to set a new club record for the number of pancakes eaten! Swimmer s Ear Swimmer s ear, or external otitis, is an inflammation of the outer ear canal, usually caused by bacteria. Chlorinated pool water contains fewer bacteria but dries out the skin surrounding the ear and makes it easier for bacteria to attack. To prevent swimmer s ear: 1) Make sure your child s ears are dry after swimming. If they feel water in their ears have them shake it out. 2) Check with your doctor about using eardrops. 3) Earplugs can be used but can make it hard to hear the coach at practice. Swimmer s ear symptoms include itching in and around the ear lobe and/or pain when the ear is pulled or tugged. Call your doctor for treatment if your child has either of these symptoms. 5

6 SWIM MEETS Beachwood belongs to a group of 12 teams in the Northwest Suburban Swim League (NSSL). The NSSL website is a great resource at You can find maps to clubs, meet schedules, results, etc. Swim meets with Beachwood vs. one other club (called dual meets ) are held once or twice a week, usually on Mondays and Thursdays. **New this year the NSSL has decided that all dual meets will begin at 5:00PM. If we are the home team, we usually warm up first at 3:00PM. If we re the away team, we usually warm up second, usually at 4:00PM. Please check with the coaches and on the Drift newsletter to make sure of the times before the meet. The meets usually last about three hours, and there is often a party afterwards. ATTENDANCE The coaching staff assumes that your child is going to attend every meet unless you notify them otherwise. If your swimmer is not going to be able to attend a meet, you need to notify the coaching staff ahead of time by clicking the I Can t Swim link on the website or sending an directly to Caoch Venos at michaelvenos@gmail.com. BEFORE THE MEET Check the Drift newsletter or for the time your child needs to arrive at the meet for warm-up. This can vary from meet to meet and CAN be as early as 3:00 pm. If your child tells you the coach wants them there earlier than the time in the Drift, believe them. If you want to verify the time, you can Lance Farr or check the web site, Maps to other swim clubs are posted on the Beachwood website and on the NSSL website. Please allow extra time for traffic and construction. Assist your child in packing their swim bag. (See What to bring ). Your child should stay out of the sun and rest on the day of meets. The coaches don t want to see swimmers in the sun all day at Beachwood on the day of a meet. In fact, meet days are great days to go see that summer blockbuster you ve heard about. Swimmers should eat meals high in carbs. Plan on them eating a light meal two hours before the meet. What Swimmers Should Bring Here are the expected items: team suit, goggles, caps, towels, warm clothes, flip-flops, and water. You should also bring your Buddy Bag (more on that under Buddies ). Here are a few other helpful items: cards, books and simple games to pass the time during long meets. However, expensive electronic games, phones and MP3 players are better left at home. You may want to pack some small healthy snacks or extra money for snacks. If it s a daytime meet, sunblock is very important and many kids will bring large golf umbrellas to seek shelter from the sun. Make sure to label everything from swimsuits to trinkets. What Parents Should Bring Although this is a summer sport, it seems many times we ve had meets in weather that feels more like late fall or winter. The weather can change rapidly so we suggest parents have warm clothes too. Keep an extra pair of warm clothes in the car for everyone at meets, just in case. 6

7 You will want to bring a highlighter to use on the heat sheets. It helps to bring a permanent marker in case your child wants you to write their event, heat & lane numbers on their hand. Umbrellas come in handy rain or shine. Consider bringing folding chairs, as seats fill up quickly and some meets may have a shortage. Sunglasses and visors come in handy at day meets and in the early evenings. Finally, bring money for snacks, drinks and heat sheets. DURING THE MEET During The Meet - Swimmers When you arrive at the meet, your child should check in with the coaches to learn their warm-up routine. After warm-ups, make sure your child is in the team area to participate in the team cheer. Meet line-ups will be posted near the team area. Big buddies, coaches, and marshalling parents help the younger swimmers write the numbers for their event(s)/heat(s)/lane(s) in marker on the back of their hand. This helps them remember when to be ready to swim. Once you get the hang of things, you can do this, too. Your child should stay in the meet area during the meet. This is important for team unity and helps prevent kids from missing events. Swimmers will check in with you to tell you their events, when they need money for snacks (which should be healthy and light), and for praise after they swim. Parents are not allowed in the team area or behind the blocks (only exception: parents who have officially volunteered for a position that requires them to be there i.e. timers, runners, etc.) During The Meet Parents Buy a heat sheet from concessions (or whoever is selling them) and see what events your kids are swimming Ask any veteran parents if you have questions It is imperative parents keep out of the areas around the starting blocks and at the end of the lanes where 8 and unders get out of the water. Parents in these areas only add to the organized confusion, and not in a good way. Your swimmer needs to pay attention to any last-minute instructions from the coaches, listen for the start, and hear their time at the end of their swim. Some swimmers have even missed events because they were distracted by their parents while on the starting blocks, so we will strictly enforce this rule. Heat Sheets Heat sheets are programs for the meet. They list who swims what and when. They are on sale at all meets for $1.00 each. Look for them at concessions at Beachwood meets or one of the swim parents will be walking around selling them. At away meets, you ll have to find the parent with an armful of sheets and pockets full of dollar bills. Don t forget to check the relays and never leave a meet without checking with a coach. Your swimmer may end up swimming a relay even though he/she isn t originally listed in that event. Meet Mobile Meet Mobile is a smartphone app available for download from itunes or other online app store. Many teams, including Beachwood, use Meet Mobile to offer online programs of the meet. You can view swimmers events, meet schedule, results, and even the meet score. However, Meet Mobile won t list the heat & lane assignments for your swimmer, so purchasing a heat sheet is still handy. 7

8 Buddies All swimmers are assigned a buddy for the swim season. Older, more experienced swimmers are matched with younger and/or less experienced swimmers to help them learn the ropes at swim meets. The Buddy Chairperson will assign the buddies and place a list on the swim board before the first meet. The buddy list will also be posted on the website. Before each meet, the buddies will find each other and check together what events each swimmer will swim. The buddy program is a mentoring program for the older swimmers to help and encourage the younger swimmers to do their best! Having an older swimmer cheering on their Buddy to a best time is a great way to show team spirit! There is also a tradition of buddies giving each other a small Buddy Bag before each meet. This shouldn t be elaborate - generally, a healthy snack and a drink is fine. NO SUGAR OR CANDY, PLEASE: the purpose of the buddy program is to grow team spirit, not waistlines. A good bag could include a granola bar, piece of fruit & a Gatorade or water. As will be discussed later, one of the best parts of Beachwood s buddy system is making and delivering Finals Buddy Signs to you buddy s house before your buddy swims in A or B Finals. Who Swims What First, EVERYONE swims at the meets, unless they have sent an I Can t Swim to Coach Venos. Not showing up for a meet leaves an open spot which another swimmer could have filled. It s unfair to the coaches and other swimmers to just not show up for a meet. If your child is ill, call someone who can notify the coach. Swimmers can be entered in a maximum of three events per meet: two individual races and one relay, or one individual race and two relays. Coach Venos will post the meet lineup in the pavilion the morning of each meet. Exhibition vs. Points Whether a child swims exhibition or for points is at the total discretion of the Coach. Either way, your child s participation is a valuable asset to our team. For points means that the child s finish position determines the amount of points accumulated for the team score. Exhibition swims do not go into the team score, yet provide valuable insight for the coaches in determining future events, training and progress of all swimmers. At any meet, you ll see very experienced swimmers competing in exhibition events and even some new swimmers competing for points. Swimmers generally compete in their age group. However, on occasion, if we don t have a full complement of swimmers in an older age group, a younger swimmer may be asked to swim up. It allows younger swimmers to swim for points when their age group events might have been filled. Additionally, it allows 8

9 the coaches to work with different combinations of swimmers and strokes to plan for the future. At Beachwood, swimming up is considered an honor! Eats at the Meets Remind your child that they are at the meet to swim, not to eat! Small snacks are fine but watch the timing and the content. Concessions are available at most meets. Items range from 25 cents to a few dollars. Choices vary widely and can include candy, fruit, cookies, brownies, hot dogs, salads, and hot and cold drinks. Volunteers/Donations At each HOME meet, Beachwood families are expected to bring a food item to be sold at the snack bar. Because the meets are run entirely by volunteer parents, every family is also required to volunteer at the swim meets or other swim events. Each family should count on filling a minimum of two volunteer spots. We provide training for all positions and do not expect perfection. New swim parents will find working at the snack bar, helping at dinners, or after-meet parties a breeze. But really all jobs require very little on-thejob training. New this year, we re using to fill the home meet and other swim event volunteer spots. An will be sent out with a link to register for spots online, or you can check the Beachwood website under Swim/Forms & Documents for the registration link. Also new this year, we re going to be tracking volunteer hours to make sure you ve fulfilled your family obligation. Any Cheering/Team Support The kids really appreciate having you cheer for them during and after their events. Parents are off the hook and NOT expected to critique their swim strokes - that s what we pay the coaches to do. Although swimming has many individual events, at Beachwood we stress the team aspect of the sport. Please cheer for all our swimmers! How Did My Child Do? Upon completion of a race, each swimmer should do the following: 1. Ask their timers for his/her time in the event 2. See the coach immediately after their event for a short debriefing session about the race After that, they like to come and visit the stands to receive their deserved praise from you and all the parents. Following your visit, please encourage your child to return to the team area. Occasionally a child may be disqualified or D.Q. d or deeked because of an improper start, stroke, turn or finish. The official will speak with the swimmer and/or coach about the problem and the coaches then work on it at practice. If a child is D.Q.'d from a for points swim, they are ineligible to receive an award for that event and their finish position does not count towards the team score. Don t be alarmed if this happens: it s probably safe to say almost every swimmer has been D.Q. d during the course of their swimming careers, even Michael Phelps! 9

10 At the end of the meet, it is the responsibility of the parents to: 1 Keep track of those times and ribbons 2. Congratulate your child on his or her effort Leaving the Meet Never leave a meet until your swimmer has checked with the Coach. In addition to the obvious safety reasons, the coaches need to know who is available to swim in a relay. Your swimmer may end up swimming a relay even though he/she wasn t originally scheduled for that event. Plus, even if they are not swimming in a relay, they are encouraged to stay until the end of the meet to cheer on their teammates. Awards All the exhibition ribbons are the same (rainbow) color. Ribbons awarded to point swimmers vary according to place. All ribbons have their event and time printed on a label on the back. Awards for meets are usually available about 5-10 events AFTER the child finishes swimming. It varies by club, but you can usually find these on a ribbon board, table or in hanging bins. Also new this year, Beachwood swimmers unclaimed ribbons will be placed in an alphabetized hanging file folder bin by the swim board near the front desk. If you didn t get your ribbon at a meet, check in the bin. Ribbons not claimed by the end of the summer will be recycled & used next year. Bad Weather Meets are held in all types of weather, rain or shine. They are postponed only for lightning. Meets will be delayed until the lightning passes. This will only be decided at the meet, not in advance. In the event that the swimmers are removed from the pool, DO NOT LEAVE THE MEET! The hosting club will only call the meet if the bad weather doesn t clear out after an extended period. They will wait a minimum of 20 minutes after lightning to resume the meet. Swimmers usually gather in the club locker rooms. The best thing to do is to wait under a shelter (usually near the food stands) for word. END OF THE MEET/AFTER THE MEET Whether we win or lose, whether we are home or away, the Beachwood team always gathers at the end of the meet to cheer for the opposing team. Your child should always take part in this cheer. Even though it gets a little late, this is a major reinforcement of our TEAM effort. Our swimmers and parents are responsible for cleaning up the areas we use at the meets. At away meets, the swimmer should pick up trash, unclaimed towels, etc. and leave our team area clean. At home meets, the same applies for our team area. Did We Win or Lose? Usually the score will be announced multiple times during the meet and usually right before the relays. Relays can make it or break it for a team, deciding whether or not we win the meet. This makes the relays very exciting and very loud, as all the swimmers on both teams will be cheering wildly for their team. 10

11 Regardless of whether Beachwood wins or loses, remind your swimmer to always exhibit good sportsmanship. After-Meet Parties At home meets, there is usually an after-meet party scheduled and we often invite the other team to stay and join us (although they don t always stay). This means something to eat for the kids (and, if left over, for the parents) and sometimes music and dancing. After away meets, we do one of two things: hit McDonald s (at 13 and Woodward) and/or stay for the aftermeet party. Sometimes the hosting club will invite us to join them for pizza or ice cream. The coaches will let the swimmers know what the plan is. If we go to McDonald s each family is responsible for their own costs. It is usually very crazy, but fun and we do call ahead. Please, remember to supervise your children & make sure we don t leave a mess behind. We re representing our club. 11

12 SPECIAL MEETS Venos Invitational The Venos Invitational is a pre-season time trial held solely for Beachwood swimmers. It is usually held on one of the first Saturdays in June (see website for specifics). Each team member swims each stroke according to his or her abilities. The purpose of the meet is to allow the coaching staff to assess the progress of each swimmer as well as to allow athletes and their families to experience a swim meet before the dual meet season begins. Plus, it s a great reminder for returning swimmers of how much fun meets can be. Senior Night At the last home swim meet of each season, we begin the meet with a special ceremony honoring our swimmers who have graduated from high school that year. They are treated to a special pre-meet dinner, share their fondest memories of their years swimming at Beachwood and are presented with a small gift from the team. It s a touching ceremony that you and your swimmer don t want to miss. Mini-meets There are three mini-meets scheduled during the swim season. One is for 8 & Under swimmers, one is for 9 & 10 year old swimmers, and one for swimmers age 11 and up. These events are held on Saturday mornings. All mini-meet information will be posted on the website. Mini-meets do not follow the normal schedule of events. At these meets, the children swim against other swimmers their age, not their age group. This means they will compete only against other 7 year olds or only against other 9 year olds depending on their age. While some of the normal events are held, there are also additional events, such as individual medleys, longer distance races and for the older kids, a relay-only meet. Coach Venos chooses the events they swim in at the mini-meets. Awards are given for the first 12 places. Additionally heat winner ribbons (or prizes) are sometimes given. Mini-meets require a separate registration no registration, no participation. The registration form is located on the Beachwood website under Swim/Forms & Documents. Breakfast is usually available for purchase. The meets usually last until noon. A and B Finals Every season concludes with the Finals Meets. Each swimmer will swim in one or the other meet unless they have sent an I CAN'T SWIM to Coach Venos. Even if you are sure which Finals meet your child will attend, send an I Can t Swim if you will be gone at that time. A Finals determines the league champion for the year and each club s league standing for the next year. All 12 NSSL league member teams will compete. Each club is allowed only two entries per individual event and one entry per relay event. B Finals does not limit the club s number of entries per event. The number of events each swimmer may swim is limited. It is up to the host club's discretion whether or not to hold relay events, due to time constraints. 12

13 The coaches will select and post a list of swimmers for each of the finals meets the week before B Finals. Most swimmers in our league swim at B Finals. If you have any questions or concerns regarding the placement of your child, please feel free to contact the coaches. Earlier in the week of each Final, the team will hold a Finals Pasta Dinner at Beachwood. This is a don t miss event for all swimmers. Swimmers and their families enjoy a pasta dinner and each swimmer receives a coach-created paper plate award. There is no additional cost for the swimmer, but additional family members who attend will pay a small fee. The committee chairs for the pasta dinners will generally send an invitation several days ahead of the event so that they can properly plan for the number of people who will be attending. The evening of each finals pasta dinner is also the night the swimmers deliver their Finals Buddy Sign. Every swimmer makes a yard sign to inspire their buddy at their finals meet. THIS IS A BIG DEAL! You ll need to find out which finals event your buddy will attend. The goal is to have the sign on their lawn the night of the dinner, or no later than the night before their meet. Be creative, be sneaky, and have fun. You can buy metal sign brackets at some hardware stores or sign shops. If you use sticks, take a mallet, staples, and tape. If you have any questions, talk to the buddy chairs. Concession stands are available at both finals. The NSSL also designs and sells a Championship T-shirt available at both finals. Plan on bringing the same supplies you would for any daytime meet. Expect a large crowd and a walk from your parking spot. B FINALS This is a one-day event where all clubs compete. Placement in heats and finals is determined by each swimmer s official time from the dual meet season. Awards are given for places The events held are the same as those at regular season meets. The meet is held by age groups: older swimmers will compete in the morning; younger swimmers swim in the afternoon. Buy a program. They are under $5 and are great keepsakes. It will help you keep track of the meet. While it may take only 10 minutes to swim two heats of the 8 & Under 50 butterfly, it may take quite awhile to get through 23 heats of 8 & Under freestyle. The program will help you judge how long you have to run and get a drink or go check the placement board and not risk missing your child s event. The programs also list information on winter swim clubs. A FINALS If you didn t know already, A Finals has been held at Beachwood for the past 20 years! This is a two-day event held the last weekend in July. All 12 NSSL league member clubs participate. The preliminary meet on Saturday is divided morning and afternoon by age group, with relays held in between. Preliminaries (or Prelims) are held on Saturday, with up to two swimmers from each club competing in each event for a place in the top 12 spots, which return on Sunday. Of these 12 swimmers, the top six finishers will return to swim in the Championship Finals. Finishers 7-12 will return to compete in the Consolation Finals, both held on Sunday. The top 12 relays will also return to compete on Sunday. 13

14 Warm-ups on Sunday start as early as 7 a.m. After warm-ups, a long-standing Beachwood tradition is to have our A Finals Championship swimmers go to the nearby home of one of our Beachwood families for bagels, drinks and a final pep talk from the coaching staff. Following this, they return to the club for the start of the day s festivities. Special opening ceremonies are held with a parade of clubs. All clubs are introduced and special presentations and acknowledgements are given. Each team generally has some sort of theme or costume. All team members are encouraged to attend, whether they competed in A or B finals. The day s events begin around 9 a.m., and are usually concluded around 4 p.m. Medals are given for places 1-6 and are given out on a regular basis throughout the meet. Breaks are taken periodically for presentation of the medals and pictures. At the end of the meet on Sunday, the NSSL League Champion Team is announced based on the performance that day. A Championship trophy is awarded to the top team. A Finals Volunteers Beachwood has earned the privilege of hosting A finals for the past 20 years due to our top-notch facilities and the outstanding manner in which our membership participates in putting on this event. This event is a significant source of pride for the club, as well as a major contributor to the club s revenue. It also requires a high level of volunteer support from our swim families, as well as the general membership. Each swim team family is requested to work a minimum of one shift. Sign up is first come, first serve and the full list of opportunities will be sent out via and the link posted on the club website. You will also be asked to make a food donation for the concessions. 14

15 SEASON S END Team Banquet The culmination of the swim season is the Swim Team Banquet held on the Sunday evening of A Finals. Cost information and registration sheets will be posted on the swim board, on the website, and in the Drift. There s no additional cost for the swimmer, but there is a fee for additional family members who attend. There will be trophies and recognition of all swimmers, senior acknowledgements, a fantastic video show, and gifts presented to the coaching staff. Winter Swimming If this has been the fun and rewarding experience we promised, there are many opportunities to continue swim training in the fall, winter, and spring. You ll find information on these clubs and contact information listed in both finals programs.
