4 Club Director Membership Requirements 4 Clubs will need to have a Current director before they can be added to the USAV Membership site drop down list. 1. 6 6 Step One When to Activate Clubs need to be activated for the club name to appear on the Club Selection drop down list for club members to select during registration. Questions: Contact Carol Anderson at or New Clubs should activate as soon as possible after forming. Any out of region club wishing to become an Iowa club must receive permission from their Regional Commissioner.

7 Step Two Complete Club Activation Form 7 2 If you are forming or combining clubs select a unique name. Name must be approved by the region office. The Club 5 digit code will be assigned by the region office to prevent duplication.

8 8 Club Types, Teams & Forms

9 9 Club Types 1 One-Team Club. These clubs may NOT borrow players from any other club or team. 2 Multi-Team Club program. For school or groups that have several teams either in the same or different age groups. Advantages: The teams can share a practice facility, coaches, and share players for tournament teams. (Note you can only play or coach on 1 team per tournament.) It allows players within the club to progress to a higher classification as their skills improve.

10 2 Ways Clubs Band Together Note: a club cannot affiliate with clubs from other regions Mega Club- - Needs to fill out 1 club activation form Allows players to play on their local school team and on Elite teams. All teams must have the same 5 digit club code in their team code. The clubs joining are called main club and sub clubs. A sub club may complete an activation form so their information can be posted. 2. Affiliated Clubs Club Activation form completed by each Affiliated club with affiliated nomenclature in their name (QC). These clubs will be associated with the main club with an identifier in their name. Examples QC at the start of their name. Examples- QC Liberty All Stars, QC Platform Elite, QC Iowa Rockets Because of the QC teams can borrow players for Iowa region non-qualifying events only.

12 Insurance Form A USA Volleyball Club receives insurance coverages for clubs and facilities as part of their membership Old Clubs with new Directors contact the Region Office to receive renewed certificates. Insurance Request forms to cover clubs and facilities The insurance certificates for last year s clubs and facilities are ed after September 1st, when a club has reactivated. If you have not received them contact Devon Wells at devon@iavbreg.org 3 New facilities may be added during the season and can be done on the same day by contacting the region office. devon@iavbreg.org

13 13 Tryout Form Tryout form must be completed for all tryouts even if they are a closed tryout (invitation only). Fill out ASAP, or at least 2 weeks before tryout. The form insures that tryouts are sanctioned and insured. Form may be found on the Region website under the Club Director s Page. Tryout Rules All participants are registered members All staff registered members, background screened & SafeSport certified Must use Iowa Region commitment dates when offering bids

14 14 Other Forms the Club Could Submit These forms found on the Forms page- Club Directors 1. Tournament Sanction Forms 2. Player Waiver form for Grade or Gender Teams Submit this form with player s names and uniform numbers so they may be added as players to a Grade team because of age or gender. 3. League Only team rosters Submit this form with league only player s names and uniform numbers so they may be added as players to a League team.

16 General Individual Registration Information Before participating in any activity (tryout, practice, etc.): All participants need to be current (paid). 2. All participants must register themselves online. This included Players (Parent/Guardian must complete), Club Directors, Team Representatives, Coaches, Chaperones, Referees, Scorers and Tourney/Site Directors. For Proof have them bring: 3. Their Membership Card printed from WebPoint in Quick Link or on left side bar. with Registration Confirmation. If they selected your club - Check the current member tab. If unable to complete online. Paper forms and fees should be collected by the club and submitted in one batch with a check for the batch. Submit collected forms within hours. The region office will have to enter so it may take a few days for them to appear in your club.

17 Club Member Registration Help Give members the COMPLETE CLUB NAME not the team name. If a club member registers and is not listed in the current club members: Medical Release form should be turned into the club. Check their confirmation for club or undecided. Required for juniors Check club lapsed list to see if they really registered. Recommended for team staff If they chose the wrong club contact the region office. 18 Tryout Memberships Selection Tryouts Options $15 Junior Tryout membership $15 - ($15 applies on upgrade to full membership) Recommended (best value) for members doing 2 or more days of tryouts. 5 tryout dates only $10 One Day membership - ($10 applies on upgrade to full membership) for a single day of tryouts Select the date of the event not the date applying 18

19 Junior Age Definitions 19 Age Chart: Iowa Age Level team No waivers will be given to teams competing in events that qualify a team for National Competition. No boys allowed on girl s age level teams. Iowa Grade Level teams may have waivers for players that do not meet the age requirement so long as they are in the appropriate grade. Boys may be waivered on to a girl s grade level team only for teams 8 th grade/14u or younger. Male Only Players who were born on or after Sept. 1, 2003 (2018/19) who neither have completed nor are in a grade higher than 8th grade during the current academic year are eligible to play in the 14 & Under division.

20 Electronic Signatures on Registrations To make the USA Volleyball membership legally binding: 1. All adult members register themselves. 2. Junior age members must be registered by parent/guardian. The individual completing the registration for a junior player is representing that he/she has legal capacity and authority to act for and on behalf of the minor. A membership is INVALID if a Coach/Club Director register their players. 20

21 Electronic Registrations Needed for online registration, the Adult applicant or Parent/Guardian of the junior The last 4 digits of their Social Security # or Their Driver s License or State ID number. These forms require the Electronic signature Waiver & Release of Liability, Code of Conduct Junior Club Personnel Code of Ethics (when required). Background Screening (when required). To activate the Electronic Signatures Open/read quickly each form listed above. Then click the acceptance boxes to complete the process. Note final registration includes written copies of waivers and codes. 21

22 22 Online: All participants must register themselves online. Online or Paper Registrations Paper forms and fees (use only as last resort) Make sure all information is complete and legible on the form. Collect by event (tryout/tournament) and submit within hours. Send one check for the batch. Applicant write check to you and you write the check to the region. Entry by Region office will take up to 1 week.

24 Sanctioned Junior League Members 1 League Players may use the League Only, fee ($40), staff must use the $50 Full Membership. 2 League teams may sign up for 2 Silver tournaments. Players are restricted to playing with only league teams and cannot substitute on a regular tournament team without upgrading their membership. 3 League or League Only added to the end of team name Players must/will be placed on teams by the Region office. Submit A League Only Team Waiver Including Names and Uniform numbers.

26 Coach Requirements All Requirements must be met before a Coach is placed on the roster. 1. Coach s IMPACT certifications IMPACT courses are FREE online through the USAV Academy. Coaches must signup through Webpoint. 2. USOC SafeSport certification Required of all coaching staff before interacting with junior athletes. SafeSport courses are FREE online through the USAV Academy. Coaches must signup through Webpoint. 3. USA Volleyball Junior Club Personnel Code of Ethics. 1. The Online Membership process populates form, once the adult indicates they will be working with a junior club, officiating or directing at junior events. 2. If an adult member needs the form at a later date they will find a link to their form in their membership A USAV Background Screening is need for an adult (18 years old) when they are associated with a junior program or working junior events. 1. The Screening must be passed and is good for 2 years. During the registration process this form will appear if you indicated you are working with junior programing.

27 Junior Age Assistant Coach Requirements USA Volleyball Junior Club Personnel Code of Ethics. Junior age assistant coaches must submit a hard copy of the Junior Personnel Code of Ethics. Signed by both the junior aged coach and their parent/guardian. Send to IA Region Office, 8170 Hickman Road Ste. 5, Clive, IA FAX: SafeSport certification SafeSport is needed for all coaches before interacting with junior athletes. Current USOC SafeSport training completed instructions are on the region SafeSport website page. Coach s IMPACT certifications Coach can not be on a team roster until completed. Certification can be done Online for FREE through the USAV Academy. Coaches must signup through their Webpoint membership once current. 27 USAV Background Screening When a Junior Aged Assistant Coach becomes 18 years or older, they need a USAV background screening. When officially 18/older go on line and complete the form in their USAV membership area.

28 28 Junior Club Helper/Chaperone Requirements A USAV Background Screening SafeSport certification USA Volleyball Junior Club Personnel Code of Ethics. Needed for an adult (18 years old) associated with a junior program or working junior events. Valid for 2 years Screening process is part of membership registration if you indicated you are working with junior programing. Is needed for all team staff before interacting with junior athletes. The Online Membership process populates form, once the adult indicates they will be working with a junior club, officiating or directing at junior events, If an adult member needs the form at a later date they will find a link to their form in their membership. Chaperones must be 25 years of age.

30 Sanction your tryout by filling out the Tryout Sanction Form Post information in club brochure or on website for parents. inform players if you are looking for all positions or just filling a few positions on an invitation team. How many players per team- maximum, minimum Club fees and extras fees (uniforms, post season events) team selection, practice time playing time. Club Preparation

31 31 Workers at the tryout need to be: Tryout Staff Current USAV members. (Note: Last season memberships good through Oct 31) Have a current USAV background screening. Have a SafeSport certification.

32 32 Club Tryout fees should NOT include a membership cost. Tryouts Participants should do their memberships online if possible. Tryout Membership options Check membership by viewing membership cards they print from their USAV WebPoint membership Memberships from last season are valid though October 31. Tryout Memberships are good for 5 dates One day membership - player will need to show confirmation If a paper registration form and fees are collected you must mail them in on the next business day. If a Non-USA member is participating in the tryout the facility insurance is no longer in effect.

33 Participant Membership Info The One Day and Junior Tryout memberships are upgradable Do Not select the Full Membership until you are chosen by a club. 33 Upgradable to a Full membership and the $10 or $15 fees will be applied to the cost of the full membership. Best option is the Junior Tryout membership Upgrade by renewing your membership from the membership page. NO refunds of full membership are issued if you do not make a club.

Club selection option on upper right hand, this selection is for the season. ONCE you select a club you are committed to that club. You will not be allowed to change or transfer to another club during the season UNLESS you have made an error selecting the club name - if so contact Carol@iavbreg.org or call

35 Age & Grade Team Definitions may be found on the Club Directors page of the region website. Age Level Teams Can participate in out of region events, Qualifiers, Bid events & Nationals. Grade Level Teams Can participate Iowa Region Gold & Silver events. Players must be the age listed (or younger) through August 31st Players must be in the corresponding grade to age. No Age waivers are given to teams competing in events that qualify a team for National Competition. Boys are allowed on girls grade level teams 8th grade (14U) or younger. No boys allowed on girl s age level teams. 12U - 6th grade, 13U - 7th grade, 14U 8th grade etc. Unlimited number of boys allowed 35

36 Tryout Dates 1 The Iowa Region supports the IGHSAU and will not sanction High School club tryouts that take place while athletes are still in season All offers made at any tryout, early or fall, must be honored until the region commitment dates. 3 4 Early Tryouts Fall Tryouts Allowed after the USAV National Championships. For Girl s it is until the Iowa Girls High School season starts practices. For grades 8th(14U) or younger Players may participate in High School tryouts after their High School season is completed. This is an IGHSAU rule. Please reference their website for any information.

37 37 A club or team may offer a player a position in their club or team at anytime. Offers by Clubs Coaches or club directors may NOT ask/force players to give a verbal/written commitment before the Iowa Region commitment dates. Limited number of offers Clubs may not extend more offers than the number of players accepted for the team Offers are on the table until the commitment date or they are refused Clubs may issue new offers once an offer is refused or expires (commitment date). Commitment Letter as proof of acceptance A Hard copy can be signed on the spot, or an electronic copy of the commitment letter may be sent and signed electronically. A Player acceptance by invitation must be followed up with a signed Commitment Letter. Commitment Letters Kept in case of dispute Original kept by the club Copy kept by the player/parents

38 Offer Period for 15U and older Offer Periods: Any offer made in either the Early Tryout or Fall Tryout period, must be kept open until the final commitment date. No earlier date for a decision may be requested. A player may commit at any time. After the commitment date the offer may be withdrawn by the club. Commitment date for 15U and Older 4 PM on the Wednesday following the State of Iowa Girls High School Volleyball Tournament. For tryouts which occur after the state tournament, 4 PM on the Wednesday following the tryout. 38

40 Club Tryout Violations 40 Coaches or Club Directors Violation of Tryout Policies Forcing Commitment: Coaches or club directors forcing a player to give a verbal or written commitment before the dates listed above. Club Penalties for above violations Release all team members for that particular team. These players will then have the option to play on the team that is reformed or tryout/play for other clubs. Not Holding Position: Coaches or club directors not holding the offered position. Qualifier Restrictions: Furthermore, the team in which the violation occurred will not be allowed to play in any Qualifying event in the Iowa Region or Nationally. Out of Region Events: Banned from out of region events held after the Iowa Regionals.

41 Player Tryout Violations Player Violation of Tryout Policies Player Penalty: All the listed violations result in player suspension for the entire season. 41 Common violations: May only sign one (1) Commitment Letter. Backing out of the commitment, or attending another tryout. Falsification of Commitment Letter: If a player falsifies any part of the Commitment Letter, including the date. This suspension will be upheld by all other USAV Regions Out of Region Events: Banned from out of region events held after the Iowa Regionals.

42 Use of Commitment Letter 42 Club It is the only proof the region will accept of a player s commitment to your club. Spells out most of the areas of contention with parents and players. Player s & Parents Proof that the club offered and accepted the player for the stated position, teams etc.. Is a written document that spells out promises made when the player accepted the position. Make sure all specifics about teams, playing time etc. are correct before signing. Once you sign with a club the player is committed for the entire season and may not change clubs for any reason except moving out of the area.

43 43 IMPORTANT SEASON INFORMATION

44 New Announcements 44 The Region has partnered with The Art of Coaching Volleyball and each coach in the region (Head and Asst) will receive a FREE Premier membership to their website with access to drills and educational materials. Once a coach is put on a roster in Webpoint the office will contact AOC and the coach will receive registration materials. This is a $100 benefit that is FREE to all of the coaches in the region as a benefit of being a USA Member with the Iowa Region. The Region will be partnering with the AVCA and will have more awards and educational opportunities for your coaches and recruiting help for players. IMPACT certifications will be FREE and On-Demand through the USAV Academy. Coaches may sign up and take the certifications from their computer at home. All coaches must be IMPACT certified before they are added to the playing roster. For 14U and younger teams there still must be two adults helping with the work teams. One adult must be either R1, R2, or standing below the ref stand. The second adult can either be working at the table or may monitor the score table by standing or sitting near the crew. Teams 15U and younger may take the ref and score modules together. The coach MUST take the certification online before the team takes it together. Once this is done the coach needs to a team list to al@iavbreg.org. Clubs may hire a qualified clinician to give a ref and score clinic to your club. The clinician must be approved by the region and it will be the club s responsibility to pay the clinician. All members who attend the clinic will receive credit. There is a new recruiting policy for clubs and coaches. You may find it on the region website. Please make sure you read very carefully. The Board of Directors feels that certain issues needed to be addressed and is reflected in the new policy.

Club Members that completed the clinics last season are STILL certified this season. Members must register for the clinics through their USA membership. This is the same process as previous years.
