Introduction Dear media representatives On behalf of the press office, we cordially welcome you to our Media-Guideline edition the guidelines for accredited media representatives at the 2018 White Turf. Please note that accreditation enquiries can only be accepted online through the White Turf website. We look forward to welcoming a great number of media representatives in February 2018, and would like to wish you a successful stay. Press office White Turf St. Moritz 1.1. Accreditation Process WHO CAN RECEIVE AN ACCREDITATION The accreditation for the 2018 White Turf is exclusively reserved to media representatives with a valid identification card from a recognized national or sports media organization or a photographers association. ONLINE ACCREDITATION Applications for accreditation can only be made via the White Turf website. CONFIRMATION AND TICKET All accreditation inquiries will be answered by within two weekdays. Please note that if your accreditation is confirmed, we will send your personal print@home ticket by . The ticket enables access to the event area.the ticket is not transferable. ON-SITE REGISTRATION On each race Sunday, showing a valid ticket at the main entrance and the registration at the press centre is compulsory. Media-Guideline 2018 Page 6 / 18
7 1.5. Legal Terms Accreditation for White Turf only allows the taking of photographs and/or films for the sole purpose of news coverage of White Turf in the media (print and/or online reporting covered by the press). Swiss-Image is in charge of taking official race photographs. The photographs are ongoing published on during the day. The use of photographs and/or films is prohibited in advertising as well as in any kind of commercial communication. Advertising with photographs and/or films of the White Turf event is exclusively allowed to official sponsors of White Turf. Ambush marketing will not be tolerated. Photographs and/or films of the White Turf event are not allowed to be offered for commercial communication of third parties. Governing law is Swiss law; place of jurisdiction is St. Moritz / Canton of Grisons (Switzerland) Drones The usage of drones is for safety reasons not allowed on the entire event location. The only exception is for the drone of the official White Turf film production. Media-Guideline 2018 Page 7 / 18
8 2. Journalists / Photographers / TV 2.1. Important information ACCESS AUTHORIZATION Following the compulsory registration in the press centre on every race Sunday, the media representative has access to: the event area the press centre the reserved seats on the stands the confirmed zone (see section 2.2). On entering each of these areas, the journalist must present the ticket to the security staff without being asked. ARRIVAL IN THE EVENT AREA AND REGISTRATION On each race Sunday, all accredited media representatives must show their print@home ticket at the main entrance to get access to the event area. The following registration at the press centre is compulsory on each race Sunday. DRONES The usage of drones is for safety reasons not allowed on the entire event location. The only exception is for the drone of the official White Turf film production. ENGADINE / ST. MORITZ Information concerning the Engadine / St. Moritz is provided online on the tourism organisation website: FOOD & BEVERAGES Light refreshments and a selection of drinks are available to all accredited persons free of charge in the press centre all day long. FURTHER INFORMATION Current information as well as details of the different races can be consulted at any time at Media-Guideline 2018 Page 8 / 18
9 INTERVIEW AND PORTRAIT REQUESTS Requests for interview and photo sessions must be made in advance at an early stage at the press office. LIABILITY The press office assumes no liability during the event for lost, stolen or damaged items. Deposit of all items is at everybody s own risk. MAGAZINE 2018 The 2018 White Turf Magazine will be available for download from the middle of December onwards at Furthermore, it will be distributed in the press centre on each race Sunday. MEDIA RELEASES The press release of each race Sunday will be sent in German and English by at about 7 p.m. to all media representatives. OPENING HOURS OF THE PRESS CENTRE ON THE FROZEN LAKE On each race Sunday, the press centre is open from 9.30 a.m. to 4.30 p.m. and an assistant will be available. OVERNIGHT STAY AND ARRIVAL Hotel reservations and costs for overnight stays are the responsibility of the accredited person. The press office has neither reductions nor reservations at its disposal. The tourism organisation Engadin St. Moritz offers information concerning hotels and possibilities for overnight stays. PARKING Parking on the lake is strictly forbidden. The following car parks are available: Serletta multi-storey car park (St. Moritz near the lake) Quadrellas multi-storey car park (St. Moritz village) Polo lawn Du Lac car park Islas car park near the ski jump Media-Guideline 2018 Page 9 / 18
10 PHOTOGRAPHS Swiss-Image is in charge of taking official race photographs. The photographs are ongoing published on during the day. A username and password for free download can be requested by from Claudia Grasern-Woehrle at media@whiteturf.ch. PUBLIC CONVENIENCES Public conveniences are available all over the event area. RACE PROGRAMME Every accredited media representative receives the current race programme free of charge after registration in the press centre. RACE RESULTS Race results are published in the press centre after each race and can be downloaded online at RESERVED SEATS ON THE STANDS For the media representatives there are reserved seats on the stands, which are available after successful registration in the press centre. Taking photographs or filming with tripods is discouraged on the stands as free visibility must be ensured. STABLES Visiting the stables is only possible from Monday to Saturday, accompanied by a person from the press office, after prior registration. TICKET Every accredited media representative receives a print@home ticket by . After registration with the print@home ticket at the main entrance the media representatives are allowed to enter the event area. The registration at the Media centre afterwards is compulsory every racing Sunday to every accredited media representative. WORKPLACES ON THE LAKE A separate, heated room is at the disposal of the media representatives in the press centre during opening hours. It includes: Seating furniture and workplaces (limited number) WLAN and ISDN connection Workplaces cannot be reserved or confirmed in advance. Media-Guideline 2018 Page 10 / 18
11 2.2. Important additional information for Photographers and TV ACCESS AUTHORIZATION Photographers and TV teams who are accredited with the White Turf will be assigned working zones. The zone assignment is made by the press office. It is binding for each photographer and TV collaborator. On entering each of these areas, the journalist must present the mark (armband or jersey) to the security staff without being asked. EQUIPMENT Photo equipment / TV equipment will be re-checked on site. LEAVING THE EVENT AREA Before leaving the event area, photographers and TV staff with an assignment for zones A or B, who are accredited for another race Sunday, are asked to make a new application in the press centre for the zone assignment on the next race Sunday. This can only be confirmed if there is free capacity. SPECIAL CAMERAS We kindly ask photographers with special cameras (panorama cameras etc.) that need a particular stand to contact the press office. Media-Guideline 2018 Page 11 / 18
12 2.3. The three zones The assignment of the zones is binding. In the case of violation of these rules, the accreditation will be withdrawn. The rules are as followed: Entering the racecourse is strictly forbidden. It is strictly prohibited to stand near the finishing line (inner and outer rails). From the starting gate a distance of 10m (for persons) or 5m (for remote cameras) must be maintained. Race procedures must not be obstructed in any way. The instructions of the racing officials must be followed. ORDER OF EVENTS The zone designated for the accredited person on a race Sunday will be announced and confirmed to the media representatives in the accreditation confirmation, which will be sent in advance by . SHORT ZONE OVERVIEW ZONE A Inner rails / inner oval, presentation ceremony on the racecourse after the finish, the area next to the presentation stage during presentation ceremony, outer rails and event area. ZONE B Presentation ceremony on the racecourse after the finish, the area next to the presentation stage during presentation ceremony, outer rails and event area. ZONE C Outer rails and event area The chronology of the zones is hierarchical: Photographers of Zone A also have access to Zone B, Zone C etc. AVAILABILITY Everybody assigned a certain zone is obliged to give his mobile number to the press office. Availability at this number must be ensured all through the race Sunday. Media-Guideline 2018 Page 12 / 18
13 ZONE A Those assigned to Zone A, have access to the following areas: Zone A Inner rails / inner oval presentation ceremony on the racecourse after the finish area next to the presentation stage during presentation ceremony Outer rails Event area ASSIGNMENT The assignment of the strictly limited access authorisation is made by the press office. It is exclusively reserved to horserace photographers who have the necessary long-term turf experience and the appropriate professional equipment. IDENTIFICATION Accredited photographers and TV collaborators who are assigned to Zone A will be identified by a pink armband to be worn on the right arm. This armband will be handed out in the press centre during the compulsory registration on every race Sunday. A new allocation of the number on the armband, which is not transferable, will take place on every race Sunday. Only this pink armband will allow access to the inner oval. After the last race the armband must be handed in to the press centre by 3.30 p.m. at the very latest. Media-Guideline 2018 Page 13 / 18
14 GUIDELINES AND RULES OF CONDUCT In addition to the general rules valid for photographers and TV collaborators, the following binding rules are effective in Zone A: The pink armband and the number it bears must be clearly visible at all times on the right arm, above the jacket. Photographers are not allowed to lean against the rails or poles. It is strictly forbidden to lie down under the inner rails. It is prohibited to stay 5 metres around the finish line at the inner rails. To avoid scaring the horses, it is advised not to kneel or squat down directly next to the rails. A minimum distance of 1.5 metres from the rails has to be respected in general. Camera holdalls and any other equipment must be deposited at a distance of 5 meters from the rails. The first quarter of the bend in the inner rail must always be kept free in order to allow photographers with telephoto lenses on the outer rails to have a clear view and to take photographs in an unhindered way. 20 meters in front or behind the finishing line, photographers with short focal length lenses are not allowed to lean over to the racecourse, in order not to obstruct visibility for colleagues with telephoto lenses. Upon consultation, photographers with long focal length lenses are allowed to lean over to the race course with the upper body in front of the stands and at the finish. As soon as the winning horse reaches the finishing line, they must immediately lean back to the inner area. During the race, everyone in the inner oval must stay calm and not make any rapid movements. The only access to the presentation ceremony on the racecourse is through the entrance next to the judges tower. Mind the horses and the persons leading them and follow the instructions of the personnel. At the end of the presentation ceremony, the racecourse and the entrance to the presentation stand must be vacated immediately. If horses get loose and run free, the photographers and TV collaborators must alert each other. The installation of remote cameras on, next to, or under the starting gates is strictly prohibited. After consulting the principal starter, remote cameras may be installed at the necessary distance of 5 meters from the starting gate. The principal starter s instructions are final. REMOTE CAMERAS The use of a remote camera must be announced at the accreditation inscription. Important: If remote cameras are operated by assistants, they must also be registered at the press office! Media-Guideline 2018 Page 14 / 18
15 ZONE B Those assigned to Zone B, have access to the following areas: Zone B presentation ceremony on the racecourse after the finish area next to the presentation stage during presentation ceremony Outer rails Event area ASSIGNMENT The assignment of the limited access authorisation is made by the press office. It is exclusively reserved to photographers and TV collaborators who have the necessary professional equipment. IDENTIFICATION The accredited photographers and TV collaborators who are assigned to Zone B will be identified by a blue, numbered jersey. This numbered jersey will be handed out in the press centre during the compulsory registration on every race Sunday. A new allocation of the number, which is not transferable, will take place on every race Sunday. Access to the presentation ceremony on the racecourse after the finish is only permitted to people wearing the blue numbered jersey. After the last race the numbered jersey must be handed in to the press centre by 3.30 p.m. at the very latest. Media-Guideline 2018 Page 15 / 18
16 GUIDELINES AND RULES OF CONDUCT In addition to the general rules valid for photographers and TV collaborators, the following binding rules are effective in Zone B: The blue numbered jersey must be clearly visible at all times above the jacket. The only access to the presentation ceremony on the racecourse is through the entrance next to the judges tower. Mind the horses and the persons leading them and follow the instructions of the personnel. At the end of the presentation ceremony, the racecourse and the entrance to the presentation stand must be vacated immediately. If horses get loose and run free, the photographers and TV collaborators must alert each other. Media-Guideline 2018 Page 16 / 18
17 ZONE C Those assigned to Zone C, have access to the following areas: Zone C Outer rails Event area ASSIGNMENT The assignment of access authorisation is made by the press office. It is exclusively confirmed to media representatives with a valid and approved press card. IDENTIFICATION No special identification is necessary for Zone C. GUIDELINES AND RULES OF CONDUCT For Zone C there are no further rules in addition to the general rules valid for all photographers and TV collaborators. Media-Guideline 2018 Page 17 / 18
18 2.4. Special information for TV teams DOCUMENTATION TV teams who wish to have access to the inner oval, the stables and the VIP area for a specified reason, can request this at the press office in advance. If authorisation is granted, the TV teams will always be accompanied by a person from the press office. DRONES The usage of drones is for safety reasons not allowed on the entire event location. The only exception is for the drone of the official White Turf film production. PARKING Special conditions are valid on the frozen lake for outside broadcasting vans.
