1 VISITATION CONTEST Contest Period: April 1, 2016 through March 31, 2017 Submission: Electronic submission is highly recommended CHAIR: Mitzi Stockel PURPOSE: to encourage friendship and the exchange of ideas among Lions, Lioness and LEO Clubs. DEFINITIONS: 1. VISITATION - a visit to a Lions, Lioness or LEO Club in which the member is present for the major portion of the meeting or other club activity. 2. OFFICIAL VISITATION - attendance at another club s meeting, social, project or fundraiser by 3 members or 10% of the membership of the visiting club as shown on the April MMR. Qualification for Club Visitation Awards and Top Club. Contest points must consist entirely of Official Visitations. 3. UNOFFICIAL VISITATION - a visit by less than 10% of the club membership. VISITATION AWARDS - Individual and Club 1. ROUND TAIL AWARD - Nine (9) visitations to Lions, Lioness or LEO Clubs in the Zone, with no club visited more than twice. For Zones with less than nine (9) Lions clubs, other clubs in your Region may be substituted. 2. SHORT TAIL AWARD - Fifteen (15) visitations to different Lions, Lioness or LEO Clubs in the Region. For any Region with less than 14 clubs, clubs outside their Region may be visited in the District may be substituted. 3. LONG TAIL AWARD - Forty (40) visitations to different Lions, Lioness or LEO Clubs to include all the Lions Clubs in the Region. Visitations to other Districts may be counted for the additional visitations, but not more than six (6) such visitations can be used. 4. ROAMIN LION AWARD - Fifteen (15) visitations to different Lions, Lioness or LEO Clubs outside of District 4-C5. Individual credit for this award may accumulate for 3 years. Five substitutions will be permitted for attending another District, Multiple District or International Convention or Leadership Forum OFFICIAL POINT SYSTEM: 1. Individual Visit to a Club less than 25 miles 1 points 2. Individual Visit to a Club less than 50 miles 2 points 3. Individual Visit to a Club 50 miles or more 5 points 4. Club Official Visit less than 25 miles 10 points 5. Club Official Visit less than 50 miles 20 points 6. Club Official Visit 50 miles or more 50 points One-way mileage from the visiting club s meeting place to the host club s meeting place will be used
2 to calculate point value in the table above. VISITATION CONTEST Continued REPORTING: Club secretaries will issue Visitation Records to each member for recording visitations. The club president or the club visitation chairperson will maintain the Visitation Record for his or her club. Visitation made during month should be reported to the club secretary, before the 30th of each month, to ensure inclusion in the Activity Report. The completed individual visitation record, certified by the club secretary, must be submitted to the District Visitation Chairperson no later than April 4. CLUB AWARDS: First, second and third place awards for Lions Clubs and first place for Lioness and LEO Clubs will be recognized. PROTOCOL: 1. Contact the host club president or secretary, at least 48 hours in advance of the intended visitation, advising them of the date of visitation and the number in your party. Individuals may visit spontaneously, without notification. However, the meeting place of the club should be verified. 2. Bells and gavels are the only items subject to borrowing, and then only between the opening and closing of a regular meeting, as provided in Article IV of the District Constitution and By-Laws. Any of the club s property MAY NOT be removed from club. SPECIAL NOTES: 1. Only one visitation to the same club in the same month may be counted. 2. Joint meetings may be counted as a visitation to all the clubs with 2 or more members attending. Only one joint meeting may be counted during the year. Region or District meetings, activities, social, or projects and Student Speaker Contests, at any level, may not be used as joint meetings. Joint meetings will not count toward the Club Visitation or Top Club Contest Awards. 3. In computing members required, round off 10% of the club membership (i.e. 36 requires 4). Minimum is 3 members. 4. Award qualification requirements for LEO members are established by the LEO Coordinating Committee. You may use the Club Visitation Record on the following pages to record your progress.
