3 Race preparation Services tent All the Pentathlon des neiges activities are based in the big services tent in front of the Musée national des beauxarts du Québec. Athlete check-in, distribution of race kits and microchips, souvenirs shop, medals ceremony... everything is located in the services tent. If you need anything, the services tent is the place to go or ask. Parking You are invited to park at Collège Mérici, next to the Pentathlon des neiges site (755 Grande Allée Ouest, Québec, QC G1S 1C1). A special $8 fare is offered to the Pentathlon des neiges visitors. Some other parking lots are also available on the streets nearby. Shuttle A shuttle will leave Hôtel Château Laurier to the Pentathlon des neiges site on February 24 and March 2 and 3. Complete schedule will be available online (pentathlondesneiges.com). Please check the «services» page on the website. Race kit The distribution of the race kits will take place on the race day, into the services tent. Race kits are prepared for each solo participant, tandem and team in preparation for the race. This package contains everything you'll need for your race (competitor number, bike plate, meal coupon, etc.), with the exception of the microchip. Microchips and waiver The microchips will be issued on race day, in the services tent. To pick up the microchip, each team or tandem is MANDATORY required to submit the liability waiver form, signed by each of the members of the team or tandem, to the volunteer responsible for distributing the microchips. To make it easier for you to collect signatures, you will find on the Website a copy of the waiver form, which you can print out and have your teammates sign in advance. In the tandem and team format, the microchip must be transferred in the transition zone, at the gate designated for your team. If you forget to transfer the microchip, the participant on the course must return to the team's gate to make the transfer. During the race, the microchip must be worn on the ankle at all times. No microchip, no time... no ranking! After the race, you are responsible for returning the microchip. There will be volunteers at the finish line to help you with this, but it is your responsibility to give them the microchip. A fee of $150 will be applied to any participant whose microchip has not been returned. If you don't cross the finish line, please return your microchip at the check-in table in the services tent. 1

4 General rules The general race rules are available on the "Essentials" section of the website. It is your responsibility to be aware of the rules before the race. The no respect of the rules can lead to a penalty or a disqualification by Triathlon Québec officials. An unsportsmanlike conduct can also lead to disqualification. You can find more information about the ethics code and the Triathlon Québec general rules online: Equipment locker A locker will be set up next to the services tent to hold bikes and other equipment. The locker room will be open from the opening of the reception at the beginning of the day until 30 min after the last medal ceremony of the day. A fee will be charge for the use of the locker. A free self-service equipment yard will be also available if you want to store your equipment free of charge. Transition zone Space allocation The transition zone is an important part of the race. You must have your competitor number to be allowed through the athlete entrance and have access to the transition zone. A space identified with your competitor number will be reserved for you, where you can drop a single piece of equipment for each discipline as well as a small bag for your personal belongings, as long as you comply with the limits of the space available. Services area A services area will be set up near the transition zone. This zone will be reserved for the persons wearing a competitor number. A heated trailer as well as chemical toilets and a mechanical workshop will also be included in the waiting zone. Schedule of the transition zone At any time, only participants wearing their competitor number are allowed in the transition zone and in the services area. Attendants will at no time be allowed in the transition zone. Also, children (with or without strollers) of the participants will not be allowed in the transition zone, regardless of their age. Athletes will access and exit the transition zone via the athlete entrance. Volunteers will be there to direct you. The zone will be open at least one hour before the start of your race, so that you can drop off your equipment. It will close 30 minutes before the start of the race, to allow equipment to be checked by the Triathlon Québec officials. Finally, the transition zone will open again after the races, to allow you to pick up your equipment. The schedule could be very tight between different races. It would be much appreciated if you retrieved your equipment as quickly as possible after the race. Any remaining equipment that prevents the next participants from getting settled in will be removed from the transition zone by the volunteer staff. We assume no 2

5 responsibility for your equipment. Please show civility and courtesy to the participants who follow you by removing your equipment from the transition zone as quickly as possible. If you want to enjoy the post-race celebrations, you can drop them at the equipment locker until your departure. Regulations of the transition zone Equipment may be checked by the Triathlon Québec officials at any time before, during and at the end of the race. Refer to the regulations about any limitations, and make sure that you have the right equipment. All the members of the team can remain in the transition zone during the race. However, so as to not hinder the participants who are racing, everyone must remain near the fence to avoid blocking the path and getting in the way of the racers. This said, we reserve the right to limit access if a team or teammates fail to respect this rule. Only the participants wearing a competitor number are allowed in the transition zone. No spectators will be admitted. Program of the race Distances and courses Distances and details of every race courses can be found on the Pentathlon website. You will find more information on the "Courses" footer section of the website or on the specific page of your race (under the "Courses" tab). It is your responsibility to take notice of the courses and the number of laps you must perform before your arrival at the race. Pre-race meeting There will be a meeting with all the participants 25 min before the start of the race in the transition zone. This is where you will receive the final instructions and, if need be, will be informed of any last-minute changes. Attending this meeting is mandatory for all participants, whether you're registered solo, in tandem or in a team. Start of the race The Pentathlon des neiges starts with the biking event. The start of all the challenges will be directly at the site of the Pentathlon des neiges, in front of the Musée national des beaux-arts du Québec. The bikes will be installed in the starting area, on the site of the Pentathlon des neiges. Places will be assigned according to competitor number (except for the Families and friends challenge). You have to wait until the end of the pre-race meeting before to settle your bike. A penalty from the officials could be given for the no-respect of this instruction. Biking Depending on the challenge in which you're participating, you will have to complete more than one lap. Each lap is completed at the intersection of the lap and the transition. It is not mandatory to set foot on the ground when you go through the Pentathlon site. You will therefore have the choice between running alongside your bike or continuing to ride over this snowy track. On the last lap, you will not complete a full lap. You must go to the transition zone by the south via the access path near the Terrasse Grey (observation belvedere). Once in the transition zone, you should go to your gate to complete the transition. 3

6 Time limit to complete the stage If, 30 min after the start (for short distance) or 45 min after the start (for the long distance) of the race, you do not have started your last lap, the volunteer staff and the officials will indicate you the path leading to the transition zone. Important reminder concerning the biking event: - Wearing a helmet is mandatory. You can use a skating, cycling, hockey or any other type of safety helmet. - Tread pattern tires are mandatory ("slick" tires with or without treads, are prohibited). - All kind of stud is allowed (rubber, metal). - The tires must not have treads. - All kind of bikes is allowed (mountain bike, cross, road) if it has the regulatory tires. - Don't forget to install on your bike the ID plate included in your race kit. Directions for the start For all the challenges, the start will be "Le Mans" type; at the start signal, cyclists will be "on foot" and must run to get their bike, placed in the starting area prior. Once racers have picked up their bike, they must continue to run alongside it and get on only once they have crossed the mounting line. For the course that runs on public roads, the streets will be closed to car traffic. You therefore don't need to follow the usual road signage. Security will be ensured by the Ville de Québec police department, the officers of the National Battlefields Commission, and many volunteers. All the competitors must show civility and good sportsmanship, while adjusting to cycling in winter conditions Running As with biking, you must go through the Pentathlon site to complete your various laps. The part of the race on the Pentathlon site will be on the snow. Note to the teams: don't forget to transfer the microchip! Cross-country skiing You must only secure your skis to your boots in the access zone, located immediately after the transition zone, not at your gate. On the other hand, you must remove your skis in the access zone located at the entrance of the transition zone. You must go to the gate holding your skis and poles in your hands. When going through the transition zone, be careful not to accidently hit other competitors with your poles and skis. Make sure that the tips of your poles are pointed toward the ground, and those of your skis toward the sky. A penalty and/or fine may be applied if you fail to respect this rule. When you enter the course, you must give way to the competitors already on the track. Anywhere on the course, you can use the classic or skate skiing style. The track will be set accordingly. Skating Track Two corridors will be built to facilitate the transition between the transition zone and the ice ring. When you enter the ice ring, you must give way to the competitors already on the track and keep to the right as much as 4

7 possible while you build up your speed. Finally, you must take the corridor at the entrance of the transition zone to leave the ice. For those using Nordic blades, you need to install and remove them either in the transition zone or on the chairs next to the rink entrance. You cannot install or remove your blades anywhere but on a chair. Chairs will be available in the two corridors. In skating, unlike all other disciplines, you always keep to the left lane (the inside of the ring). Overtaking is done on the right. You should therefore never skate on the right, except when you're overtaking. For safety reasons, the rink is one way. It is illegal to skate in the opposite direction. If you miss the exit, or if you need to return to the transition zone, you must make a full lap. Important reminder: - Wearing a helmet is mandatory. You can use a skating, cycling, hockey or any other type of safety helmet. - There will be no refreshment stations during the skating event. You can have a flask on you if you want. - You must be sitting in order to install and remove your blades. Either in the designated transition zone or on the chairs next to the rink. Counting laps One of the easiest mistakes to make in speed skating is losing count of your laps. There are various tricks you can use to avoid this. Find one that suits you best. The important thing to remember is that your last lap must end in the transition zone, not on the ice. Therefore, if you have to do ten laps, when you pass by the corridor to exit the rink for the ninth time (nine laps completed), you will need to exit on the next lap, that is, the next time you reach the exit corridor. Count the tenth lap when you get to your gate in the transition zone, since this is where you started your first lap. If your count is "10" on the rink and you continue to skate, you will be making one too many laps. Read the rules to know the consequences of one or more missed laps. Snowshoeing As you leave the transition zone, you must go through the first tunnel to access the snowshoe track. When you come out of the tunnel, you must turn left to access the track. The track will be marked with small flags. Follow them throughout your race. Over one segment of the track, you will be side-by-side with the skiers. Make sure to share the space and respect your corridor, especially when going over the tunnels. You must always keep to the left/reverse side of the skiers. On your last lap, you must go over the first and second tunnel one last time, after which you must take the exit toward the finish line, going through the third tunnel. The signposting on the track will point you in the right direction. One last sprint before the finish line! Time limit to complete the stage If, 2:45 after the start (for short distance) or 3:45 min after the start (for the long distance) of the race, you do not have started your last lap, the volunteer staff and the officials will indicate you the path leading to the transition zone. 5

8 Note that snowshoes will be checked to respect the dimensions set forth in the regulations. Refueling There will be refreshment stations on routes and at the finish line. You can get water, energy drinks, granola bars and in some places, depending on the temperature, hot broth. It is not possible to refill your bottles at the refreshments stations. Number of laps to complete It is your responsibility to count your laps and to know the number of laps you still have to perform before going to the transition zone. The volunteer staff is there to show you the different options but not to tell you where to go. Before the race, take time to think about the number of laps and duringthe race, count them! You can have penalties and even be disqualified in case of missing laps. For the Families and friends challenge, the toddlers may, at your discretion, complete only half of the laps. End of the race After the race, you are responsible for returning the microchip to the volunteer staff. There will be volunteers at the finish line to help you with this, but it is your responsibility to give them the microchip. A fee of $150 will be applied to any participant whose microchip has not been returned. If you don't cross the finish line, please return your microchip at the check-in table in the services tent. Transition zone and equipment removal At the end of your race, you must remove all your equipments from the transition zone. Please be sure to wear your competitor number if you want to access the transition zone. No competitor number, no access! The transition zone is secured until the end of the last races of the day and until all the equipments have been picked up. It is a security measure for you and your equipment. Your gate may be reused by another competitor or team. Please show courtesy to the other participants, the transition zone must be completely cleared after the race. It is not a locker. All equipment staying in the transition zone after a race will be directly removed from the zone and left with no surveillance near the participant trailer. It is your responsibility to make sure to take all your equipment back to your car so that you can then enjoy the post-race ceremonies. You can also use the equipment locker or the free equipment yard. Post-race Display and protest of results The race results will be shown live on television inside the tent. If you have objections regarding a race or an outcome, you will have 15 minutes after having crossed the finish line to file a protest. The procedures for filing a protest are set forth in the Triathlon Québec regulations, and they must be respected. The race results will be also available online on the pentathlon website and the Sportstats website ( 6

9 Medals ceremony The award ceremonies will take place in the services tent. You will find the ceremonies estimated timetable at the end of this document. Note that the medals will be awarded by category, and not just according to general ranking. You must be present at the ceremony to receive a medal or award. If you are not present, you will forfeit this privilege. All bursaries will be given by transfer via PayPal, no check will be issued. Post-race snack In your race kit you will find coupons giving you free access to a snack (except for the elementary and high school invitational tournaments, on February 28 th and March 1 st ). Don't throw them away! It is also possible to buy additional meals on site. The snack distribution will take place in the services tent. Showers Showers will be available at Collège Mérici, next to the Pentathlon des neiges site: 755 Grande-Allée Ouest, Québec, QC G1S 1C1. Personal belongings There will be no place reserved for personal belongings. During the race, you will be allowed to keep a bag in the transition zone for storing a few pieces of clothing or personal equipment. However, you should note that space is limited. Please take note that the services tent is not a locker, you should not leave your bags or other personal belongings in it. You can use the participants' trailer but have the courtesy to only use the needed space because of the important number of participants. Additional Details Missing items The missing items will be store at the reception desk in the services tent. Thank you to bring us the items you could find or to recover your lost items! Spectators There are multiple areas for spectators to follow the progress of the race, whether it is near the transition zone, the finish line or next to the skating oval. The spectators will have access inside the cross-country ski and snowshoe courses. The entrance is via tunnel #2. Tell your family and friends. Spectators have access to the services tent to go warm up, visit the shop, or get refreshments. 7

10 Souvenir gift Each person registered in the Pentathlon des neiges is entitled to a souvenir gift for participating in the event. It s possible to pick up your gift at the five Québec Mountain Equipment Co-op (MEC) stores (Quebec City, St- Denis, Marché Central, Laval and Longueuil). First aid The Canadian Ski Patrol (CSP) will be on hand to ensure safety on the course and first aid services. Mechanical service There will be a MEC workshop free of charge in the transition zone where you can have your equipment repaired or get some technical advices. MEC staff will be there to help you with last minute repairs on your bike or gliding your cross-country skis. Bad weather The races are scheduled to take place, rain or shine, hot or cold. However, in the event that a major storm or extreme temperatures are forecast, watch for information about any changes to the program in our newsletter (PentathLettres). Unless you receive a special notice from us, consider that the races will take place as planned. Ethics and politeness Please be courteous toward the other participants and ask politely to give way if you are faster than them. On the other hand, if you are slower, give way to the other participants. Remember that without the many volunteers you will encounter throughout the day, we wouldn't be able to afford to offer you the opportunity to participate in this unique race. Please don't hesitate to thank them! They will appreciate it. Any misconduct toward a volunteer may result in immediate disqualification.
