4 1. Our Historic Club Wollongong Swim Club is the oldest swimming club in the Illawarra. Commencing in 1926, the club operated from Wollongong's Continental Baths in Cliff Road for many years, transferring to our current pool at Beaton Park in At the opening of the Continental Baths in March, Wollongong's Mayor, N. M. Smith, read a message from Father Neptune urging the people of Wollongong to 'assist their Council in keeping the baths clean and a thing of beauty'. The Mayor refuted rumours about the baths' cleanliness and congratulated the Wollongong Swimming Club on its re-appearance. The program for the opening of the Continental Baths organised by the Wollongong Swimming Club included a 50-yard ladies race, novelty competitions such as the 50-yard Scout Handicap and musical buoys. A member of the Spit Baths Swimming club set a record in the 50-yard freestyle and backstroke events. The Wollongong town band played." During World War 2, the Club again went into abeyance, being restored by NSW Swimming in In the 1980 s the Club moved its base from the Continental Pool to that of the Beaton Park Pool, which incidentally was built for the Club as a trade off with Stage 1 of the Port Kembla Coal Loader. In 2004, the Club s name was changed to Wollongong Swim Club. We are affiliated and pay fees to South Eastern Swimming Association, Swimming NSW and Swimming Australia Limited. 4

5 2. Introduction and Welcome Welcome to the Wollongong Swim Club. The purpose of this handbook is to provide you with the information you need once you become a registered member of the Wollongong Swim Club. It also provides the tools to access further information regarding swimming as part of a club. 2.1 Club Objectives and Mission The aim of our Club is to foster a love of swimming in children and to provide a happy, safe and friendly family environment where children progress to that of reaching their full swimming potential. We cater for swimmers of all levels and capabilities, encouraging participation in club pointscore evenings, meets in the SESA region including the SESA Championships and other major swim meets, such as NSW Country Championships, NSW Age and Open Championships, Australian Age and Open titles and Pacific School Games. Wollongong Swim Club Inc is part of the South Eastern Swimming Association (SESA) which covers 25 clubs from Helensburgh in the north to Eden on the far South Coast extending to Cooma and Jindabyne in the Snowy Moutains. South Eastern Swimming Association (SESA) 3. The Constitution and Rules of the Club Our Club functions through our Constitution, By-Laws and Our Club Handbook. 1. The Constitution (which must be approved by Swimming NSW), provides the framework of how our Club is established and managed. 2. Our By-Laws outline how our Club operates at a more functional level, incorporating various rules of our Club. 3. Our Club Handbook sets out an explanatory guide to Members on how we operate in detail as well as, information and further rules by which Members must comply. 4. Code of Conduct We have a Code of Conduct for parents and caregivers, which can be found on our website. Our By-Laws provide for the requirement with which all Members must comply. The Code of Conduct applies within our own Club, at the Beaton Park Leisure Centre, at SESA Carnivals, Swimming NSW and Swimming Australia Limited. Our Member Protection Policy also contains a Code of Behaviour for Club Officials, Competitors and Spectators. 6 5. Member Protection Policy Our Club adheres to the Member Protection Policy issued by Swimming Australia Limited. The policy can be found on our website. 6. Club Information Information about Wollongong Swim Club can be accessed via our website Please become familiar with the Wollongong Swim Club website where you will find lots of information about the club. We also send out a newsletter Beneath the Dome each month via with the latest news, results and upcoming events. A notice board is also placed at the entry to the pool with photos of swimmers in action on a Friday Evening. 7. Club Management 7.1 Annual General Meeting (AGM) Annual General Meetings by Law must be held in May in each year. All members of the Club are encouraged to attend the AGM. Members over 14 years of age are welcome to become active members through election of the Club Committee or by joining Sub Committees to help in the running of our Club. 7.2 Life Members President, Publicity and Promotions, Col Bruton is a Life Member of Wollongong Club having been a member of the club for over 30 years. Col is currently a Delegate to SESA and Swimming NSW. Vice President, Technical Officer, Rob Newell is a Life Member of Wollongong Swim Club having been a member of the club for many years. He is Credited to Level 3 Technical Official, which allows Rob to referee to Olympic and National level. Rob is a WSC Delegate to SESA and Swimming NSW. Rob Newell is also a Life Member of SESA and has recently been given the 20 year service award. Chief Timekeeper, Lawrence Bond is WSC s longest serving member of over 40 years and a Life Member of the Club. A qualified and certified Chief Timekeeper with Swimming NSW. 6

7 7.3 Committee The Club is managed through a Committee of Volunteers. The Committee meets on a monthly basis, the second Monday of each month upstairs at the Wollongong Tennis Club, Beaton Park, Foley s Road, Wollongong. The Club Committee consists of the Executive Officers plus other members elected to various positions. 8 8. Coach s Report Our Club Coach and Education Officer is Chris Buchanan. He has been invited to assist Coaching State teams at various levels. Chris is currently recognised as the outstanding Coach in Illawarra. He has successfully brought the Wollongong Club from 7th and 5th place in the SESA region to be the 2015 and 2016 Winter Premiers and Relay Premiers. Chris has Coached 5 Club swimmers on the 2015 State Team for the Pacific School Games and in 2016 he had 6 Australian Age and Open Championship swimmers. In addition he trains Jarrod Dyer who is a member of the 2016/17 NSW Multiclass Squad. 9. Club Captains 9.1 Election of Club Captains Club Captains are elected in conjunction with the Wollongong Swimming Club Annual General Meeting by a nomination and election process. The following guidelines apply to those seeking the position of Club Captain: Must be a registered member with Swimming NSW and a competing financial member of the Wollongong Swim Club. The term of captaincy is 1 year. Swimmers wishing to be considered for club captain must be 13 years old or over at the date of the Annual General Meeting. Attendance at both the summer and winter point-score is required. Must agree to the follow roles and responsibilities of being a Club Captain as outlined above. Be self-nominated on the official nomination form. 9.2 Roles and Responsibilities of Club Captains Captains must demonstrate exemplary behaviour and act as role model for the younger members of the Wollongong Swimming Club in all instances. Assist with the set-up of marshalling area, chairs and pool dive blocks at point-score. Assist officials within the Marshalling Area to maintain order. Where possible, assist with preparing equipment for Point-score evenings. Make yourself known to, and assist new swimmers. Assist with packing away and storing of Point-score equipment. 9 10. Registration Club Registrar, Nicole Nugara handles the WSC formal part of Members affiliation with Swimming NSW and the Member s registration numbers. Membership to our Club is open to anyone who enjoys swimming and would like to compete at point-score nights and/or carnivals. Membership takes effect from the time you and your child/children become registered with Swimming NSW How to Register Membership fees are due on the 1 st October each year and covers 12 months from the 1 st October to 30 th September each year. This is an annual subscription fee. The fee includes insurance for Members and registration with Swimming NSW and SESA. Due to insurance risks, fees must be paid prior to any Swimmer taking part in club events. It is a requirement that any swimmer under the age of 18 years at the time of registration with the Club, has at least one (1) Parent / Caregiver of the swimmer also register with Swimming NSW as either a swimmer or non-swimming Member of our Club. Each swimming member is issued with a registration number which has to be quoted on all carnival entries. Please ensure you keep your address current so that we can add you to our list of Members. If you change your address, or obtain one for the first time, please inform us as soon possible, so our records can be updated Fees Payable summer and winter The fees for the year remain the same and can be paid on-line via the club website (Join Now) for new swimmers and by secure link sent to for current members. 10 11. Seasons Our swimming year is divided into 2 seasons consisting of summer and winter. The summer season starts at the beginning of October each year and runs through (excluding school holidays), until the middle of March. Summer season consists of 14 weeks point-score and two weeks club championships usually held at the University of Wollongong Pool. The summer presentation evening is held in April. The winter season starts at the beginning of May and runs until August. Winter season is only for 10 weeks point-score (excluding school holidays) until the end of August with 2 weeks of Club Championships held at the Beaton Park Pool. The winter presentation evening is held in September. 12. Development of a Swimmer 13. Point-score Nights Swimmers are informed each week by of the 3 strokes that will be run on the Friday night. First event any evening, is always the freestyle and this will be followed by backstroke and breast-stroke. The following Friday evening the events will be Freestyle first, then individual medley and butterfly. Any changes to the program will be placed on the website and in the club newsletter. Entries for point-score are to be submitted via to: wollongongswimclub@pointscore.com by 5.00 pm each Thursday. These entries go to the point-score convenor who prepares the entries for the Friday night point-score. Point-score commences at 6:30 pm sharp. We are required to vacate the pool by 8.00 pm. 10

11 13.1. Entry Fees for Point-score Entry Fee for each Point-score is $5 per swimmer for all swims on the evening. The fee is paid at the door when you come into the pool. Late entries can be excepted providing it is before 6.15 pm. Please note however, that this $5 per evening is non-refundable should the swimmer not attend on the night unless the point-score convenor has been notified prior to the commencement of point-score. Club entry fees for each club point-score evening contribute towards the operating costs for our Club. The fee covers the hire of the pool and contributes towards the cost of medals and trophies and other awards given out at our Club s Presentation evening. It is not required for anyone to pay any admission fee at the front counter at Beaton Park for point-score evenings Events for Point-score Each week there is a choice of three strokes over five distances. You can swim one, two or all three strokes but only one distance of each stroke. Week 1: Freestyle: 12.5m, 25m, 50m, 100m and 200m Backstroke: 12.5m, 25m, 50m and 100m Breaststroke: 12.5m, 25m, 50m and 100m Week 2: Freestyle: 12.5m, 25m, 50m, 100m and 200m Butterfly: 12.5m, 25m, 50m and 100m Individual Medley: 12.5m, 25m, 50m, 100m and 200m An will be sent out informing parents what events are being held each week Requirements for Point-score As a general guide, it is suggested each swimmer bring: Swimmers and Goggles Swimming Cap Towels (may need more than 1 in winter) Warm Top Water Bottle A BIG smile and lots of humour Swimmers can also bring along Uncles, Aunts, Grand Dads and Grandmas. Children should be encouraged to place all their items in a swim bag and a check list carried out by the child. This helps to teach them a little responsibility Workings of Point-score Swimmers are awarded points for each swim on the evening, based on how fast they swim compared to their previous Personal Best Time, known as P.B s 11

12 Points are awarded as follows: Participating in and finishing in a race 1 point 0 to 2 seconds slower than your best time 2 points Equal to your best time 3 points Up to 2 seconds faster than your best time 4 points More than 2 seconds faster than your best time 6 points 13.5 Swimmer of the Week award Each week there is a Swimmer of the Week award for the swimmer with the highest number of Points on the night. In the advent of an equal number of Points, the Swimmer with the highest number of seconds taken off P.B s, becomes the Swimmer of the Week. Swimmer of the Week awards are presented at Presentation Night Point-score Awards All members registered as swimmers with Swimming NSW, may participate in our point-score events. To be eligible for a point-score award at the end of the season, a swimmer must participate in at least 50% point-score evenings during that season. Age trophies are awarded based on the Swimmer s age as at the first evening of either Point-score. Awards are presented in both the summer and winter point-score season, to those swimmers who have achieved the highest number of points for the weekly point-scores. Swimmers are awarded for 1 st, 2 nd and 3 rd placings in each of the following age groups: 6 years and under: 7 & 8 years: 9 & 10 years: 11 & 12 years: 13 & 14 years: 15 years and over: both Boys and Girls both Boys and Girls both Boys and Girls both Boys and Girls both Men and Women both Men and Women At the end of each season, there are numerous categories of awards that can be achieved. Awards are given to the swimmer with the highest number of points in the under 12 and over 13 years of age categories. The swimmer with the most number of points is awarded as the club pointscore champion with 2 nd and 3 rd overall also receiving recognition. The overall point-score champion also becomes King or Queen of the Beaton Park Pool, until the next Presentation Evening. 12

13 13.6 Progressing at Point-score We love having young members of our Club and watching them progress as their swimming skills improve. Swimmers and their parents generally know when they are ready to progress from 12.5m races to the 25m races. Swimmers also realise when they are capable of advancing from the 25m races to those of 50m or longer. Parents should be aware of our requirements, that Swimmers who can swim the 12.5m or 25m events better than the nominated times listed below, should graduate to the 50m races in that stroke. 12.5m in 15 seconds or less and 25m Freestyle in 25 seconds or less 12.5m in 15 seconds or less and 25m Backstroke in 25 seconds or less 12.5m in 15 seconds or less and 25m Breaststroke in 25 seconds or less 12.5m in 15 seconds or less and 25m Butterfly in 25 seconds or less 14. Club Championships Club Championships are held at the end of each season. This is different to point-score as each swimmer is racing against their peers rather than points for improvement. The Club Championships determine the best swimmers in each age group and gender of our Club. Summer club championships are held in a 50 metre Pool, usually on a Saturday afternoon, while our Winter Championships are held in the Beaton Park 25m Pool, over 2 evenings. All Members may participate in Club Championships, however to be eligible to win an award, a Swimmer MUST swim in at least 50% of Pointscore evenings which have been conducted during that season. Members who have not met the Point-score attendance criteria may still compete as a guest swimmer, but will not be entitled to an award Entering Club Championships Swimmers enter by completing an entry form two weeks prior to the end of each season available at the entry on point-score nights. The entry is currently $15 per swimmer and must be paid at the time of entry. Age is determined by the first day of the Championships even if they are held over several evenings. Entries will NOT be accepted on the day of club championships Club Championship Events Trophies are awarded for 1 st, 2 nd and 3 rd places in each of the age groups for both male and female swimmers. 13

14 Our Club Championships races are held for each age group and gender category, which is the same for as the point-score awards. The following races are part of our Club Championships: 6 years & under:- 12m or 25 m Freestyle, 12m or 25m backstroke, 12m or 25m breaststroke and 12m or 25m butterfly *NB: The longer race is worth twice the points as race the shorter 7 and 8 years:- 25m or 50m Freestyle, 25m or 50m Backstroke, 25m or 50m Breaststroke, 25m or 50m Butterfly and 25m or 50m Individual Medley *NB: The longer race is worth twice the points as race the shorter 9 and 10 years:- 50m Freestyle, 100m Freestyle, 50m Backstroke, 50m Breaststroke 50m Butterfly and 100m Individual Medley 11 and 12 years:- 50m Freestyle, 100m Freestyle, 50m Backstroke, 50m Breaststroke 50m Butterfly and 200m Individual Medley 13 and 14 years:- 50m Freestyle, 100m Freestyle, 100m Backstroke, 100m Breaststroke, 100m Butterfly and 200m Individual Medley 15 years and over:- 50m Freestyle, 100m Freestyle, 100m Backstroke, 100m Breaststroke, 100m Butterfly and 200m Individual Medley 15. Presentation Evening A Presentation Evening is held at the end of each season at the Master Builders Club in Wollongong. The date is decided by the Committee during committee meetings when deciding dates for each season. Each family is asked to pay an admission fee of $10.00 to cover the cost of the hire of the room. Awards are presented for point-score, club championships and outstanding swimmers and most improved awards plus awards from Swimming NSW such as JX awards Support for Representative Swimmers WSC supports swimmers who have achieved a high level of representation. To achieve a club representative WSC jacket a swimmer must meet the following criteria: Be a current registered financial member Achieved a NSW Country or State SC or LC qualifying time and competed at this event at that level. Compete in at least 50% of point-score swims over the last season and/or competed in two carnivals representing WSC including SESA championships. Once a jacket has been achieved, the club presents those swimmers who again achieve a qualifying time for NSW Country or NSW State titles with another gift of recognition. Gifts may include towels, drink bottle, shirt or beanie etc that can be used when the swimmer represents the club at these championships and other carnivals. 14

15 The Committee makes decisions about providing gifts to representative swimmers based on the club funds available at that time JX Program The Australian Junior Excellence Program (JX), recognises rewards and encourages junior swimmers who, through their development of aquatic skills and fitness, achieve a high standard of swimming excellence. Under the revised program, swimmers aged from 9 to 16 years, who accomplish times set by Swimming Australia, qualify at Green, Bronze, Silver and Gold standard, depending on their best performance/s during the season. For doing so, qualifiers receive special recognition by way of: Publication of their name on the Swimming NSW website A JX prize pack including a cap, poster and certificate 16. Carnivals and Swimming Meets Our Club competes at various swimming carnivals throughout the south coast region, Sydney and the occasional Trip away. Carnivals are usually a great day or week-end away where our swimmers have fun competing and cheering on friends in the races. Parents also have a good social day, getting enjoyment from watching their own children, including their friends, striving to reach their full swimming potential. We encourage all Members to consider attending Carnivals and joining other members in what is usually a top day. The Race Secretary will inform members via of upcoming carnivals that Members may be interested in attending. Upcoming carnivals are also on our website, in the newsletter or on the Club notice boards It is encouraged that swimmers attending Carnivals, who wear Swimming Caps while competing, wear a Wollongong Swim Club Cap. In some pools it is compulsory to wear caps. We encourage all Members to participate in carnivals. 15

16 16.1 Entering a Carnival Firstly obtain a carnival Programme that has a numbered list of Events 16.2 Competing at Carnivals (Meets) On the day of the Swimming Carnival: Warm up - there is usually a warm-up time listed in the programme before the Carnival starts. A good warm-up is essential in preventing injury and in preparing for the day s racing. Report to the Race Secretary when you arrive. Report to the Coach before each event and after for your racing tips. 16

17 Know the event numbers you are competing in. If necessary, write them down. Bring a hi-lighter to highlight your events in the Programme. Programmes are generally available as you enter the pool, along with the sale of raffle tickets or sometimes you need to download a programme and print prior to attending the carnival Each carnival has a claim board which has the event being claimed and the event being swum. Watch the claim board throughout the day to watch for your event so you know when to report to the marshalling area. If you wish to withdraw from an event, please ensure that you notify the carnival hosts (usually the Chief Marshall), at least six (6) events in advance. Please do not fail to turn up, as failure to report is impolite, tending to reflect badly on our Club. Have your Wollongong swim cap and goggles ready, then report to the marshalling area for your upcoming race when the claims board indicates marshalling now for your event. Do not go too early, as you may add to congestion in the marshalling area. Swimmers are much better off resting with the Wollongong Club group. Follow the instructions of the Chief Marshall and Check Starter. Be certain that you represent Wollongong Swim Club in a polite and helpful manner. After your race, exit the pool from the nearest stairs after the whistle has been blown indicating you have been given approval to leave the pool. Never climb out of the pool over the touch pads, as you could be disqualified for doing so. The most important aspect of all- enjoy yourself. Swimming and competing is fun. Remember, it s not important where you come in a race, your aim should be to improve your time and record a Personal Best What you should take to the Carnivals Things to bring to a carnival: Towels, you may need more than 2 in winter Racing goggles plus a spare pair Wollongong Swim Club Cap, plus a spare cap Swimmers plus a spare Drinks to ensure you are kept hydrated. Lots of water and perhaps a sports drink or fruit juice for carbohydrate and salt replacement Plenty of food to snack on during the day that is health and easily digested An esky or food cooler Chairs, rug and shade Outdoor clothing to keep you Warm/Cool depending upon the weather Sunscreen, hat, sun glasses and good sun protective clothing - not all pools provide enough sunshade for everyone 16.4 Relay Selection for Carnivals Occasionally, the club is invited to select a relay team to compete at local, SESA, NSW Country or NSW State titles. 17

18 An expression of interest for entering in a relay for local and SESA carnivals will be sent via by the Race Secretary. A relay team is selected by the Head Coach in consultation with the Race Secretary and Team Manager. Selection for the team is based on the fastest swim times recorded with the club and Swimming NSW in addition to other relevant factors taken into consideration by the coach such as current fitness and team strengths. Being asked to represent the club in a relay is a privilege and all swimmers are expected to remain committed to the team once a position has been accepted. Pulling out of a relay team without adequate notice or good reason may make that swimmer ineligible for selection in a relay at the next carnival Roles of Swimming Officials at Carnivals Timekeeper s use a combination of manual watches and automatic timers called dolphin watches to record the official time for the swimmer in their lane. Turn Judges observe from each end of the pool to ensure that the turns comply with the rules applicable to each stroke. Judges of Strokes observe the swimmers, alongside the pool, ensuring that each rule relating to the different strokes is complied with. Starter Takes control of the swimmers from the Referee to start the race by saying Take your mark, waiting until there is no movement from any swimmer on the blocks, and giving the start signal. Referee has overall authority of the competition and ensures that all rules are followed. They instruct all officials and have any violations of the rules reported to them Team bonding at Carnivals It is encouraged for members to sit together when attending a Carnival. This promotes team bonding, friendships and support for all. Swimmers like to cheer each other on if we are all together. Sitting together also assists the Coach and the Race Secretary ensuring that all swimmers are ready for their race on time Timekeeping at Carnivals All carnivals are run by Volunteers therefore; a carnival needs people from all clubs to help out. It is a requirement of membership with our Club that parents with children swimming at Carnivals must assist with our Club s timekeeping obligations. To share the workload, a roster will be worked out on the day. Wendy is the person who orders, and sells our Club Apparel Our Club offers the following apparel to all Members Swimming Cap Polo Shirt T-shirt (both short and long sleeved) Short sleeve $ Long Sleeve $ Hoodies - $ Orders are taken on Point-score nights or by to Wendy at. 18. Volunteering We are a Volunteer organisation, with many of us having other family and sporting activities. There are many things that need to be done for any Club to operate. WSC is no different and relies on people just like you parents and grandparents, who happen to be Volunteers. The saying many hands make light work is necessary for the club to function without the same people doing all the work. We encourage all caregivers to become actively involved in the WSC. You can help in many ways by assisting at Point-score or Club Championships by timekeeping or we always need Volunteers to help set up and to put away equipment on a Friday evening. You can become a Technical Official such as Starter, Check Starter, Marshall, Assistant Marshall, Chief Timekeeper, Gear Steward and Property Officer. WSC attends numerous carnivals during the year where caregivers are required to assist with timekeeping. Look for active volunteering not only to aid your children on Club evenings, or perhaps, join as a Member of a sub-committee or of the Club Committee. Be prepared to voice your opinion at a Committee meeting in making a difference to help our club be the best Swimming Club it can be. 19
