Dunedin Village Hall Board Minutes MINUTES June 27 th, 2018 7:30 p.m. Dunedin Hall Members Present: Jennifer Jansen (Chair), Dan Clements (Past Chair), Donna Hammill (Treasurer), Donna Baylis (Secretary), Councillor Kevin Elwood, and Judy Halliday. Members Absent: Claire De Ruiter (Booking Agent), Juanita Fournier, and Deputy Mayor Barry Burton. Staff Present: Cayla Reimer, Committee Coordinator and Amanda Murray, Culture and Tourism Coordinator 1. Welcome Chair, Jennifer Jansen called the meeting to order at 6:37 p.m. 2. Approval of Agenda Moved by Donna Hammill, seconded by Dan Clements, Be It Resolved that the Dunedin Hall Board hereby approve the June 27 th, 2018 Agenda as presented. 3. Declaration of Pecuniary Interest Chair Jennifer Jansen declared a pecuniary interest with regards to section 7.3 Small Halls Festival. 4. Approval of Previous Meeting Minutes March 20 th, 2018 Moved by Councillor Kevin Elwood, seconded by Donna Hammill, Be It Resolved that the Dunedin Hall Board hereby approve the March 20 th, 2018 Minutes as presented. 5. Financial Update Treasurer, Donna Hammill informed the Board of the current bank balance of $15,002.11, $86.64 in cash, $10,000 GIC, A/P $260.24 (Beautification) A/R $334.00 (rent/event) for a total of $25,162.51 (Treasurer notes attached). Moved by Councillor Kevin Elwood, seconded by Jennifer Jansen, Be It Resolved that the Dunedin Hall Board hereby accepts the Treasurers report, pay accounts payable and submit invoice of $234.00 to the Road Tour. 6. Facilities Community Culture and Tourism Coordinator, Amanda Murray provided two updates with regard to Dunedin Park. A memorial bench has been purchased, it will sit facing the river at the park. The family plans to host a reunion July 14 th, 2018, the bench is scheduled to be in place July 12 th, 2018 weather permitting. Amanda Murray informed the Board that a swing set has been purchased for the park. Parts will arrive 4-6 weeks and certified playground inspector will install the new equipment. Moved by Dan Clements, seconded by Judy Halliday, Be It Resolved That the Dundedin Hall Board hereby give direction to the Parks, Culture and Recreation Department to install and maintain poop and scoop receptacles, garbage receptacles and flower/garden maintenance for the Dunedin Park. 7. Events 7.1 Fisherman s Breakfast Treasurer Donna Hammill provided the Board with an update. The Breakfast went very well, approximately $2,988 was made from the breakfast event. 7.2 Yard/Plant Sale Treasurer, Donna Hammill provided the Board with an update on the Yard/Plant sale approximately $1,910 was made from the event. 7.3 Small Halls Festival Community Culture and Tourism Coordinator, Amanda Murray presented the Board with the Small Halls Festival Opening Night suggestion and asked for the Boards input. The Board approves of the event and answered all of Amanda s questions. The Board then finalized the Small Halls Festival Plans as; Thursday night kick off, Friday night euchre tournament, Saturday evening live theatre production, Sunday a Back Roads Rally stop. The Dunedin Hall has partnered up with the Purple Hills Art and Heritage Society to be a site for local artists to showcase their pieces. 8. New Business Community Culture and Tourism Coordinator, Amanda Murray presented the Board with the Smart Serve and It s Your Shift training offered to all Hall Board Members free of charge through the Township. Get ready to shine your shoes to do the skoodie um skool Join Clearview Township for the opening night of the Small Halls Festival. Celebrating 5 amazing years, this award-winning event will be sure to get everyone ready for a weekend filled with fun, music, theatre, food and morel Is there any ragtime, 1920's, prohibition type stories or history from Dunedin? Details that need to be confirmed Licensed bar - SOP, bartenders and the purchase of all beverages Is the responsibility of the Dunedin Village Hall (need to confirm) Food Clearview Township will coordinate and pay/get donations for the food expenses.
