Intrductin 1.1 The gverning bdy f Grve Schl has adpted this plicy t help the schl meet its respnsibilities fr safeguarding and educating children, fr regulating the cnduct f emplyees and fr cmplying with legislatin cvering the use f infrmatin and cmmunicatin technlgies and digital and mbile devices. 1.2 This plicy was adpted by the gverning bdy n 18 th July 2016 and will be reviewed annually in the light f guidance frm the lcal authrity r earlier if the lcal authrity issues further guidance in the light f particular circumstances r develpments in infrmatin and cmmunicatin technlgy. 2. Basic principles 2.1 In adpting this plicy the gverning bdy has taken int accunt the expectatin by Ofsted that rigrus e-safety plicies and prcedures are in place in the schl, written in plain English, with cntributins frm the whle schl, updated regularly and ratified by gvernrs. 2.2 The plicy applies t all members f the schl cmmunity, including staff, pupils, vlunteers, parents and carers, gvernrs, visitrs and cmmunity users wh have access t, and are users f, the schl s infrmatin and cmmunicatin technlgy systems r wh use their persnal devices in relatin t their wrk at the schl. 2.3 The gverning bdy expects the head teacher t ensure that this plicy is implemented, that training in e-safety is given high pririty acrss the schl, that cnsultatins n the details f the arrangements fr e-safety cntinue with all emplyees n a regular basis, and that any necessary amendments t this plicy are submitted t this gverning bdy fr apprval. 2.4 The principal cntext fr this plicy is the need t safeguard children. It will be applied in cnjunctin with the prcedure fr safeguarding children apprved by the Birmingham Safeguarding Children Bard. It will als be applied in cnjunctin with the schl s behaviur and anti-bullying plicies fr pupils and with the rules and prcedures gverning the cnduct f emplyees. 2.5 The gverning bdy expects the head teacher t arrange fr this plicy t be published t all emplyees and vlunteers in the schl and fr necessary instructins and guidance, particularly n acceptable use, t be given t pupils in a manner suited t their ages and abilities. 3. Rles and respnsibilities Gverning bdy 3.1 The gverning bdy will cnsider and ratify this e-safety plicy, and review it annually in the light f guidance frm the lcal authrity, r sner if the lcal authrity issues new guidance in the light f particular circumstances r develpments in infrmatin and cmmunicatin technlgy. Gvernrs are expected t fllw the plicy in the same way as vlunteers are expected t fllw it, including participating in e-safety training if they use infrmatin and cmmunicatin technlgy in their capacity as schl gvernrs. 3.2 Gvernrs are respnsible fr ensuring that prper prcurement prcedures are used if they decide t purchase infrmatin technlgy services frm an external cntractr and that City Cuncil r ther reputable specialist advice is taken n the specificatin fr thse services t ensure prper security and safeguarding f children. Head teacher 3.3 The head teacher is respnsible fr ensuring that the gverning bdy is ffered apprpriate supprt t enable this plicy and its applicatin t be reviewed regularly, and t ensure that ther schl plicies, including that n pupils behaviur, take accunt f this e-safety plicy; the gverning bdy is given necessary advice n securing apprpriate infrmatin and cmmunicatin technlgy systems; the schl btains and fllws City Cuncil r ther reputable guidance n infrmatin and cmmunicatin technlgy t supprt this plicy; the schl has a designated senir persn t c-rdinate e-safety and that this persn has adequate supprt frm, and prvides supprt t, ther emplyees, particularly the designated senir persn fr safeguarding; there is effective cnsultatin with all emplyees, and ther users f the schl s infrmatin and cmmunicatin technlgy systems, t take accunt f the particular features f thse systems and educatinal, technical and administrative needs; the schl prvides all emplyees with training in e-safety relevant t their rles and respnsibilities and that training is als prvided t vlunteers and schl gvernrs wh use infrmatin and cmmunicatin technlgy in their capacity as vlunteers r gvernrs, as the case may be; pupils are taught e-safety as an essential part f the curriculum; the senir leadership team is aware f the prcedures t be fllwed in the event f a serius e-safety incident, including an allegatin made against an emplyee, and that all emplyees knw t whm they shuld reprt suspected misuse r a prblem ; recrds are kept f all e-safety incidents and that these are reprted t the senir leadership team; necessary steps have been taken t prtect the technical infrastructure and meet technical requirements f the schl s infrmatin and cmmunicatin technlgy systems; there is apprpriate supervisin f, and supprt fr, technical staff; any utside cntractr which manages infrmatin technlgy fr the schl undertakes all the safety measures which wuld therwise be the respnsibility f the schl t the standard required by the schl and is fully aware f this plicy and that any deficiencies are reprted t the bdy which cmmissined the cntract. Other emplyees 3.4 Other emplyees are respnsible fr undertaking such respnsibilities as have been delegated by the head teacher cmmensurate with their salary grade and jb descriptins; participating in training in e-safety prvided by the schl and in cnsultatins abut this plicy and abut its applicatin, including e-safety within the curriculum; using infrmatin and cmmunicatin technlgy in accrdance with this plicy and the training prvided; reprting any suspected misuse r prblem t the persn designated by the schl fr this purpse. Pupils 3.5 Pupils are expected t use infrmatin and cmmunicatin technlgy systems and devices as they have been taught and in accrdance with the schl s behaviur plicy and the instructins given t them by staff. Other users 3.6 Vlunteers, including gvernrs, wh help in the schl and wh use infrmatin and cmmunicatin technlgy systems and devices in helping the schl are expected t participate in training in e-safety prvided by the schl and in cnsultatins abut this plicy and abut its applicatin, including e-safety within the curriculum; use infrmatin and cmmunicatin technlgy in accrdance with this plicy and the training prvided; reprt any suspected misuse r prblem t the persn designated by the schl fr this purpse. Parents 3.7 Parents wh help in the schl as vlunteers are cvered by 3.6 abve. Parents wh are nt vluntary helpers in the schl are nnetheless subject t the law in the event f misuse f infrmatin and cmmunicatin technlgy. 4. Acceptable use 4.1 The use f infrmatin and cmmunicatin technlgy shuld fllw the fllwing general principles: This plicy shuld apply whether systems are being used n r ff the schl premises. The schl s infrmatin and cmmunicatin technlgy systems are intended primarily fr educatinal use and the management and administratin f the schl. During wrk breaks apprpriate, reasnable persnal use is permitted. Data Prtectin legislatin must be fllwed. Users must nt try t use systems fr any illegal purpses r materials. Users must nt disclse their passwrd and they shuld nt write it dwn r stre it where it is pssible that anther persn might steal it. Users must nt attempt t use anther persn s user-name r passwrd. Users must reprt as sn as pssible any apparently illegal, inapprpriate r harmful material r event t the persn designated by the schl. 4.2 Emplyees, vlunteers and gvernrs shuld: nt pen, cpy, remve r alter any ther user s files withut that persn s express permissin; nly take and/r publish images f ther peple with their permissin, r, in the case f pupils, the permissin f their parents r guardians; when recrding r publishing such images fr educatinal purpses shuld nt attach t thse images any names r ther persnal infrmatin enabling identificatin; as far as pssible cmmunicate with pupils and parents nly thrugh the schl s fficial cmmunicatin systems and nt publish persnal cntact details thrugh thse systems; if they ccupy a senir pst in which they need t keep e-mail and ther messages cnfidential, ask the schl fr a separate e-mail address fr this purpse; if they use persnal devices during their wrk (subject t the agreement f the schl in the case f emplyees), ensure that the systems which they use are secure, prtected with passwrds and encrypted; nt use persnal scial netwrking sites thrugh the schl s infrmatin and cmmunicatin technlgy systems; nt pen any hyperlinks in, r attachments t, e-mails, unless the surce is knwn and trusted; ensure that their data is backed-up regularly in accrdance with the rules f the schl s systems; nly dwnlad r uplad large quantities f infrmatin if they have permissin t d s, in rder t avid verlading the schl s systems; nt try t install any prgrammes r alter any cmputer settings unless this is allwed under the rules fr the schl s infrmatin and cmmunicatin technlgy systems; nt deliberately disable r damage any infrmatin and cmmunicatin technlgy equipment; reprt any damage r faults t the apprpriate member f staff. 4.3 Use f scial media netwrks r sites, whether by pupils r emplyees, shuld be subject t the same standards as the schl wuld expect fr behaviur and cnduct generally (as set ut in the schl s cde f cnduct fr supprt staff and the Teachers Standards fr teachers). The schl accepts the separatin f private life and wrk and will nt cncern itself with peple s private lives unless it appears that the law has been brken, r that an emplyee is in breach f cntract, r that the schl is, r will be, brught int disrepute. 5. Educatin and training 5.1 Educatin and training in e-safety will be given high pririty acrss the schl. 5.2 The educatin f pupils in e-safety is an essential part f the schl s e-safety prvisin and will be included in all parts f the curriculum. 5.3 The schl will ffer educatin and infrmatin t parents, carers and cmmunity users f the schl abut e-safety. 5.4 Suitable training will be prvided thrugh the schl fr all emplyees, as part f inductin and subsequently during their emplyment in the schl. There will be a regular review f the training needs f all staff and the cntent f training shuld be kept up t date. The training will be linked t training abut child prtectin and data prtectin. It will cver related matters such as the law n cpyright f electrnic materials. 5.5 Vlunteers and gvernrs wh use infrmatin and cmmunicatin technlgy during their wrk will be ffered the same training as emplyees. 6. Data Prtectin 6.1 The schl will ensure that its infrmatin and cmmunicatin technlgy systems are used in cmpliance with current data prtectin legislatin and that all users are made aware f the schl s data prtectin plicy, including the requirement fr secure strage f infrmatin. 7. Technical aspects f e-safety 7.1 The schl will seek t ensure that the infrmatin and cmmunicatin technlgy systems which it uses are as safe and secure as is reasnably pssible by taking reputable advice and guidance n the technical requirements fr thse systems. 7.2 The schl will undertake regular reviews f the safety and security f its infrmatin and cmmunicatin technlgy systems. 7.3 Particular attentin will be paid t secure passwrd prtectin and encryptin fr devices lcated in the schl and mbile devices. 7.4 The schl s systems will als prvide fr filtering internet access fr all users, preventing access t illegal cntent, and with additinal filtering fr different grups f users fr inapprpriate cntent. 7.5 The schl will ensure that its infrmatin and cmmunicatin technlgy systems include standard, autmated mnitring fr illegal materials, prfanity, and unslicited materials (generally knwn as spam ). It shuld safeguard children and adults against inapprpriate use. It shuld prvide the head teacher and senir leadership team with regular reprts t indicate whether r nt there have been any incidents. 7.6 Additinal mnitring may take place as part f an investigatin fllwing evidence f apparent misuse. 8. Dealing with incidents 8.1 Any suspicins f misuse r inapprpriate activity related t child prtectin shuld be reprted as prescribed in the Safeguarding Bard s child prtectin prcedures. 8.2 Any suspicins f ther illegal activity shuld be reprted t the head teacher, wh shuld take advice frm apprpriate persns (accrding t the nature f the suspected activity and the individuals apparently invlved) and, depending n the advice and the utcme f preliminary investigatins, shuld reprt alleged criminal activity t the plice and may als instigate disciplinary prcedures. 8.3 Suspicins f inapprpriate, as distinct frm illegal, use f infrmatin and cmmunicatin technlgy shuld be reprted t the head teacher r ther designated member f the senir leadership team fr investigatin and apprpriate actin. This may lead t infrmal management discussins, imprved training r, depending n the nature f the alleged misuse, investigatin under the disciplinary prcedure fr emplyees, r the schl s behaviur plicy fr pupils.
