1 Request for Bid Q00882 Custodial Supplies Addendum #1 February 28, 2017 All changes to the Request for Bids are valid only if they are issued by written addendum. Each respondent should acknowledge receipt of any addenda in their bid submission. Each respondent, by acknowledging receipt of any addenda, is responsible for the contents of the addenda and any changes to the quote therein. Failure to acknowledge receipt of any addenda may cause for rejection. If any language or figures contained in this addendum are in conflict with the original document this addendum shall prevail. This addendum consists of the following clarifications: 1. Replace the Product worksheet pages 18 through 28 with the attached revised product worksheet 2. Replace the existing vendor worksheet in excel with the attached. 3. In case where the case being provided is different than requested, provide the correct, and part number in your response with the corrected conversion to meet our usage requirements. 4. The successful bidder(s) is expected to provide the College with its annual requirements for the products listed herein. 5. The College expects the successful bidder(s) to work with the College to maximize freight costs. Currently the College orders paper products every 2 3 weeks. Smaller quantity items are generally ordered once per month to maximize shipping cost and streamline the ordering process. This addendum consists of the additional information based on questions received to date: 1. If we are not able to provide the specific brand name listed on the bid, should we even submit the RFB? Response: the Instruction to Bidders Section 14 and the detailed specifications, alternatives are acceptable for most of the items on the bid. An in the column for Brand Name required indicates the specific items where the Brand is required. 2. Just to clarify the only products that are no sub are products that have an in column G that says Brand Name Required?? Response: If the line has an in Brand Name Required, only the brand and model number requested will be accepted. Where specific Name Brand items are requested, an Equal will not be accepted. The specification is for that specific product only. 3. On Category A number 2 the JRT Jr 2ply toilet paper if quoting a different manufacture that has 12 roll per case instead of 8 we put the 12 in? What goes in the per box? The new number of Cs? And when totaling the price we would multiply by 631cs rather than 947cs. Response: a. Line #1 p/n The correct case count is 8 rolls per case, not 6 we have corrected this on the attached revised bid form. b. Line #2, p/n The correct case count is 6 rolls per case, not 8 we have corrected this on the attached revised bid form. In your response place the you are bidding in the column and convert the pricing to an equivalent unit price and extended price. The converted prices should be included in your grand total. Also note on the pricing worksheet the correct unit price for the case size being provided. 1

2 c. The estimated annual usage is a case count, not individual rolls. d. Note the College does not plan on replacing the existing dispensers. 4. If there is a change in the Manufacturers numbers from what you have in the 3rd column MFG. what column do you want the new or corrected part # put? Response: The alternate manufacturer and model number bid should be placed in column J & K (Mfr. & Mfr. Model Number). 5. Like Diversey they have added a 9 in front of some of their product numbers. Response: Most of the Diversey product numbers require adding a 9 in front of the existing part number. Revised spreadsheet attached. 6. Item 28 3M Wax/Floor Finish 5 gal box the number is not a good number. What is the name and correct number of the 3M floor finish you want? Response: The correct part number is 3M Low Maintenance 25 Floor Finish, Gallon Bag, 4 Gallons per case Revised spreadsheet attached. 7. Is this proposal for 1 year? Response: Note on Page 3 of the bid: Term of Contract: The term of the contract will be for one year, with an option to renew for three (3) additional (1) one year periods. Initial contract term will be from May 1, 2017 April 30, Additional questions or clarification: #47. 3M 8541 You mean CS of 20 there are 4 boxes of 5 20 per cs Response: Correct. 9. #48 3M 8550 You mean Box of 10 pads the 8550 has 4 boxes of 10 pads per case. Or do you mean Cs of 40. Response: We use 40 pc annually. We presently receive 2 boxes of 20 throughout the year. 10. #53 In you say 10 case /20pc What do you mean? There are 20/cs 4Boxes of 5 ea. Response: We use 200 individual sponges a year. 10 cases of 20pc. We have updated the unit of measure from 10 Case / 20 PC to 1 Case/20 PC. We have also changed the quantity from 5 to 10 (cases). 11. #55 2ea you mean 1pk of 2. Response: We use 25 packs of 2. We have updated the unit of measure from 2 each / to 1 Case / 25 PC. We have also changed the quantity from 25 to 2 (cases). 12. #70 UNS920Y is now BWK920Y. Many of the UNS numbers have changed to BWK Response: Our vendor still references the UNS, so we do as well.
