1 Date: Thursday, October To: 2018 Vawdon Cup Participants From: Daniel Rushworth, Sport Manager Subject: 2018 Vawdon Cup Finals Series Update & Scenario Overview: Essential Reading The New South Wales Touch Association (NSWTA) wishes to advise that we are currently exploring all possible scenarios in relation to the impending wet weather and how the Vawdon Cup can be completed in the allowable schedule. To assist in this process, we have provided the below details for Affiliate Coordinators, Referees and Team Management to please review them very carefully, as there may be significant changes throughout, that impact them directly. As per our previous correspondence prior to last weeks washout there are numerous scenarios provided for the participants of this event. Whilst there are certainly a number of options listed, it is imperative to acknowledge that any and all changes to the competition will be circulated via the following means; Direct to all participants confirming any changes, if any. NSW Touch Smart Phone App Push Notification and subsequent article/memo. Please ensure that this has been updated since the last ios 12 update for iphones and as always push notifications turned on. NSW Touch Football Website NSW Touch Football social media channels; Facebook, Twitter and Instagram. N.B With all of the above, any decision will be communicated prior to 3pm on Friday 19 th October Given the nature of this memorandum and its content we request that all participants are patient in the release of information. NSW Touch Football will release the detail as soon as possible. Obviously, the weather conditions have produced circumstances that are less than ideal. We appreciate all participants understanding and support in working with us to ensure we can conclude the 2018 Vawdon Cup. Finally, we request once again that all stakeholders that view the information contained in this correspondence to please review details carefully to avoid confusion. So, where we are at currently in terms of venues? We can advise that at this point in time; 9am October 18 th both scheduled venues for games on Friday 19 th October; Jones Park, Banks Street Merrylands (Westmead TA) and Vale of Ah, Auld Avenue Milperra (Bankstown TA) are OPEN. Venues What venues could be used throughout the remainder of the 2018 Vawdon Cup Final Series? Bankstown; Vale of Ah Reserve Auld Avenue Milperra Chifley; Chifley Sports Reserve Bunnerong Road Chifley Tempe; Waterworth Park, Bayview Avenue Earlwood Westmead; Jones Park, Banks Street Merrylands 2145.

2 What if more Rain Falls and Fields Close? As mentioned previously, we are reviewing all situations/ground status and can advise of the following, should things remain the same or the status of one or both Westmead and Bankstown venues becomes closed on Friday October 19 th. So What now in Relation to the 2018 Vawdon Cup? We have modelled several scenarios which intend to assist in the competition being completed in the coming weeks. In summary we can advise the below, however it should be read in conjunction with each of the full scenarios listed later in the document; Scenario 1: View Page 3 In summary: The competition continues as per schedule and further detail is available in Scenario 1 on page 3. Scenario 2: View Page 5 In summary: The competition loses the use of Westmead due to wet weather for the 19 th October, however Bankstown fields remain open. Westmead s games are rescheduled to Tempe on the same evening at the same times as originally scheduled. Further details available in Scenario 2 on page 5 Scenario 3: View Page 7 In summary: The competition loses the use of both Bankstown and Westmead for the 19 th October. If Tempe and Chifley are Open for use, the draw will be redrawn (excluding the Inclusion Premier League) and played at those two venues on the 19 th October. Further details available in Scenario 3 on page 7 Scenario 4: View Page 9 In summary: This involves all venues being unavailable due to wet weather for the 19 th October. As such the Semi Finals would be restructured with some semi finals moved to the 26 th October and remainder of semi finals played on the morning of October 27 th followed by the Grand Finals on the same afternoon. Further details view under Scenario 4 on page 9 Scenario 5: View Page 12 In summary: This involves all venues being unavailable due to Wet Weather on October 19 th, October 26 th and October 27 th This would follow in the structure of Scenario 4 and games moved to November 2 nd followed by the remaining Semi Finals and Grand Final played on November 3 rd. Further details view under Scenario 5 on page 12 The status and scenario that will be implemented will be advised through those communication channels on Friday 19 th October prior to 3pm. Grand Final Information We can confirm that the 2018 Vawdon Cup Grand Finals will be held at Chifley Reserve, Bunnerong Road Chifley on Saturday 27 th October. In this particular case, Westmead being closed and Bankstown remains open the following would apply; All games scheduled for Bankstown would continue as planned All games scheduled for Westmead would transfer to Tempe (Waterworth Park, Bayview Avenue) at the same time as already scheduled. 9 Scenario 4 This scenario involves All fields being closed on Friday 19 th October; In this case the following would be rescheduled; Week 1 of Finals (19/10) would be rescheduled until Friday 26 th October at Vale of Ah Reserve Milperra (Bankstown). With the remaining Semi Final Week 2 and Grand Finals played on Saturday 27 th October at Chifley. To ensure parity across the competition, the following would occur; o All 4 team final series would become a knockout. The scheduled 1v2 and 3v4 games would be changed to 1v4 and 2v3 and be played on Saturday, 27 th October. This change would ensure that all teams play the same amount of games on Grand Final day. The following divisions would be impacted here; Girls Youth League Division 1 Girls Youth League Division 2 Mixed Division 1 Mixed Division 2 Men s Division 3 Inclusion Premier League o All 6 team final series would remain in their advertised structure. The elimination games from Week 1 (3v6 and 4v5) will be played on Friday 26 th October at Vale of Ah Reserve Milperra (Bankstown). The remaining week 2 finals games along with the Grand Finals would be played on Saturday, 27 th October at Chifley. 12 Scenario 5 This scenario includes the washouts of games scheduled for Friday,19 th October, Friday, 26 th October and Saturday, 27 th October. If these games are all washed out this would cause the entire structure as per Scenario 4 to move to Friday, 2 nd November and Saturday, 3 rd November. Should this be washed out the competition would be abandoned and the Minor Premiers would be recorded for official records as the Champions. Unfortunately, with the scheduled State of Origin on November 9 th and 10 th in Redcliffe Queensland this date is unavailable for further reschedules. Further to this, there are numerous other set schedules past this time including the impending State Cup and does not allow for the Vawdon Cup to be rescheduled further. 15 Rationale The NSWTA have taken into account calendar issues, venue availability, regular Affiliate competition play and participant impact in reschedule the finals matches. In making any decision to adjust or postpone the Final Series due to the washout of venues, the NSWTA has utilised the following two (2) clauses: a) The operations of the 2018 Vawdon Cup event as per Clause 3.1 Control of the Event on Page 7 of the 2018 Vawdon Cup Conditions of Entry: The Event Coordinator in conjunction with the Sport Manager & General Manager will be in charge of all matters relating to the Tournament. Any matters not covered in the General Conditions or Tournament Conditions will be determined by the above Officials and their decision will be final. b) A Force Majeure Event as per Clause Force Majeure on Page 34 of the NSWTA General Conditions of Entry: A) If NSWTA is unable to perform, in whole or part in any obligation under these regulations of a Force Majeure Event, NSWTA is relieved of that obligation under these regulations to the extent, and the period it is unable to perform. B) In addition to NSWTA has no obligation to refund to any individual or team any fees paid if it is unable to perform by reason of a Force Majeure Event. FORCE MAJEURE EVENT: for the purposes of these regulations a force majeure event includes but is not limited to any or all of the following: Acts of God including flood, drought, earthquake, storm, cyclone, fire, explosion, epidemic; or War or Act of Terrorism; or Riot or civil disturbances; or Permanent injunction of any duly constituted court of competent jurisdiction; or Any fact, circumstance, matter or thing beyond the reasonable control of NSWTA. Player Eligibility Players who have participated in at least three (3) matches across the competition and were available to participate in Round 12 had it been played last week will be deemed as eligible to participate in the Finals Series. For example: If a player has played five (5) matches in Division 1 and four (4) matches in Division 3, the Round 12 match will be deemed as participating in the lower ranked division, i.e. the player will Page 15

16 be available to play in the Finals Series for both divisions. However, this is not the case if they played six (6) matches in Division 1 and four (4) matches in Division 3; they would only be eligible for Division 1.
