Proposed B Gregory. Seconded Chris Butler 003 Matters Arising There were no outstanding action points. 004 Commodores Report Barry Lloyd presented his report as Commodore. He thanked the team from last year. Carla Gregory and Keiran Graham in their roles as Chairman, the Board members Chris Byron, Tony Dormer, Hans Karlsen, Brian Gregory, Paul Wragg, Kevin Hillyer, Chris Butler, Patrick Spink and Sue Payne-Butler as Co. Secretary and Kevin George for his role in Sailing. A chart of the Club structure was briefly explained. He stressed that the roles could be arduous and thanked everyone for their efforts in running the Club. BL reviewed the year s objectives - following up the membership survey, growing the club and maximising boat usage.

2 He then focussed on the successes including 99% approval rating from survey results, membership level maintained, RYA sailing school, fee structure maintained, successful summer cruise/cruise in company, the club dinner dance, boat replacement and the financial planning for the future. He thanked all the support teams specifically Bosuns, Training, Bookings, Sailing fees Treasurer, Talk to CB-P, Website Maintenance/Development, the Marketing Team and the New Boat Team. 005 Sailing Report (incorporating Training Report) Chris Lemon presented the Sailing Report on behalf of Kevin George. The areas of Bookings and Cruising 2011 were addressed. Boat utilisation had improved with the biggest change being training in the winter months. The summer cruise is key to utilisation and was well subscribed. New Speedbird was well used. Boat utilisation data was shown. It was noted that for the last 2 years utilisation in July had been low. CL to report with possible reasons. Cruises including the Summer cruise, Cross Channel Easter, London Mini, St Malo in October and the West Coast of Scotland had been successful. A suggestion from M Pulfer for the London cruise to include a pick up the other side of Tower Bridge would be looked at. Graham Hindhaugh asked if more advanced notice of the cruise programmes could be given. CL replied that they are normally fixed before Xmas but recognised that this might not be early enough and that he would review this. Mike Pulfer asked that more notice be given when cruises are cancelled using the Hurst Castle cruise as an example. BL reported on training on behalf of Kevin Hillyer. As a result of SOYC training 20 RYA Certificates had been issued since January These being Start Yachting (14), Competent Crew (2), Day Skipper (4). A range of both practical and shore based courses were available over the winter. Mike Pulfer noted how excellent the courses were and emphasised the need for the practical aspects of using radar to be taught more formally. 006 Operations and Safety Report Paul Wragg presented the Operations Report. Responsibilities included management of equipment, maintenance service, consumables, supplier equipment for the boat operation and marina selection and contracts. This incorporated the Bosun team, management of time critical documentation/licensing i.e. EPIRB, VHF, Sea Start and coding compliance. A great deal of work had been undertaken by the bosuns (Jeff Nellist, Shaun Molloy and Steve Jones) particularly during the maintenance programmes and new boat commissioning. Special thanks was given for their ongoing dedication and contribution. PW announced that Chris Butler was to join the Bosun Team.

3 Concorde had 7,800 ( 13,600 prior year) spent in the last 9 months including a new hood spray, North Sail launder and repair and 2,413 on the engine. Old Speedbird had been disposed of in December 2010 for a part exchange value of 59,000. A timely disposal as high expenses had been expected in New Speedbird had a total of 5000 spent from February to September 2011 including coding, lift raft hire, new life jackets, and rigging mods and commissioning costs. A further 4000 was expected on a new Autohelm. Feedback in respect of the relocation from Port Hamble continued to be positive. MDL Mercury had good parking and marina facilities and members were reminded about Club Outlook card benefits fuel at cost 30 free berths at any MDL marina and ½ price crane-age at Hamble Point. PW noted that the North Sails were still showing noticeable performance improvement over the Elvestrom sails, but reminded all to refer to the check list for pre and post sail guidance to help longevity and performance. Winter maintenance schedules were still to be advised but would be along the planned lines of 2010, to allow 1 boat to be available over Xmas. In answer to a query from Steve Hatch in respect of Speedbird s reefing operating instructions had been put up on the bulkhead to show how to avoid a possible problem. Paul Girling noted that Concorde engine problems were not yet resolved and a decision might be needed on replacing the engine. In response to a question from Mike Pulfer, Chris Butler agreed to check the inventory list on Speedbird and replace if necessary. He emphasised that defects must be put on the log on the boat and preferably on-line as well. CB 007 Finance s Report Brian Gregory reported that there had been an operating surplus of 32k in 2011 compared with 20k the previous year. In addition a profit of 9k had been made from the sale of Speedbird. Total net assets at 31 March 2011 stood at 196K of which the major items were 187K boat value, 62K Bank account, 6K prepayments and creditors, offset by the long term loan 59K. BG commented that the highlights were: increased membership boosting fees, continued good net training income, lower maintenance costs, successful new boat purchase financed from Club savings and a profit from the sale of old Speedbird. In respect of the future it is expected to make a similar surplus for However boat maintenance costs remain a key financial risk and there is a need to save for the replacement of Concorde possibly in early BG reminder everyone that there was a far more litigious environment now and s and Officers liability was more of a concern. 4 008 Patrick Spink presented the Marketing and Recruitment Report focusing on the key objectives of increasing membership, encouraging members to sail and attend social events. Key activities for the coming year included recruitment events, members survey 3 rd annual dinner and continued support for the Ellen MacArthur Cancer Trust. PS gave special thanks to Sue Viney, Andrew Hamblin, Mark Hobson, Thomas Hughes, Phil Hardyman, and Rachel Thiel. The members survey revealed a desire for day trips and longer passages, training is important, and members were happy with the new boat. It was felt that these objectives were being met and that members are generally happy. 009 Membership Report Chris Butler presented the Membership Report. During 2010/11 there had been 50 new, 33 resignations, 21 junior members and 306 full members a club record up from 224 in % Associates leaves a capacity for 12 as set by the Articles. The Sailing Orders now reflected wef 1 st April 2011 that the booking system would be unavailable to members not paying their subs by 1 st April. All new members must complete a DD form to join and all existing members not transferring to DD for 2011/12 will incur an additional admin fee of Successes this year have been retaining more members, continuing to attract new members 148 in last 3 years 50% of membership. Membership is at a steady level to sustain the Club Resignations Hans Karlsen has resigned and has not offered himself for re-election The Chairman gave special thanks to Hans Karlsen for all his contribution and effort during his time as a. Kieran Graham although not an elected but appointed by the Patron, had resigned owing to a move overseas. Election of s The election of directors takes place in accordance with Articles 20.3 and 23.1 of the Articles of Association. Chris Butler stands down on length of service and offers himself for election. Brian Gregory stands as a new candidate. The meeting agreed unanimously to elect both candidates. 012 AOB Mike Pulfer suggested that a future AGM could be held near the Mercury Marina and combined with a social. In answer to a question about a holding a Skipper forum Patrick Spink responded that there was not one planned at present, but it would be organised over the winter period. In closing Keiran thanked the Management Committee for all their hard work during the year and everyone for their attendance and support. He recognised all those behind the scenes for their support the Bosuns, the trainers, Chris Butler for the New Boat project and all the other behind- the-scenes helpers. There had been some great achievements in the last few years. Keiran explained following his appointment overseas that Russ Jones had been
