1 Night Shift and Airlock Brief Team Session Delivering to stores out of hours
2 Introduction This package is designed to give you, as a Night-Shift/Airlock Colleague the information you need to safely work in a Pets at Home store after normal trading hours, and how to deal with and report any incidents as they arise whilst on site. We are the largest total pet care brand in Europe and we re one of the top 100 retailers in the UK. You are part of a company where we believe in looking after our pets, our colleagues and our customers as well as we possibly can. Although you are not in store during our opening hours your efforts are a valuable part of the service that we deliver and you need to do your job to a high standard to support your colleagues who work during the trading times. Your efforts allow us to deliver positively outrageous service to our customers.
3 Job Role Night Shift Colleagues - Night Shift colleagues are required to: Work as a team to replenish the store ready for trade the next day. Ensure that all tasks such undertaken are completed quickly and efficiently. Ensure that full communication is given between the day and night shift. Know and apply the health and safety and security procedures. Airlock Colleagues - The role of an Airlock Colleague is to: To hold store keys, whilst on shift and alarm codes for all the stores on the Airlock run. Accompany the Pets At Home Delivery Driver on the Airlock Delivery run. To gain safe and secure access to all stores on the Airlock run, and to allow the delivery to be unloaded. To secure the premises after the delivery has been dropped. To attend each of the stores on the Airlock route and receive full training on the entry and exit routines including the risk assessment, safe system of work, setting of their own alarm codes and use of the alarm panel. Know and apply the health and safety and security procedures. Airlock and Night shift colleagues are required to sign a training acknowledgement sheet to ensure that they have received all the required operational and safety training. This training is delivered by your Area Manager or a Night Shift Manager in a local store.
4 Health and Safety Additional training on the special requirements of working out of hours is compulsory. Extra care must be taken at a time when the stores are being accessed on empty retail parks. When inside the store outside of trading hours, all doors must be secure and all fire exit routes and doors must be kept clear and operational at all times in case of emergency. This allows no one in but does allow the team to escape in the case of an emergency. The golden rule for the Night Shift is Once you are in, you are in. No doors may be opened until the end of the shift (except in an emergency), this means that there is to be no smoking on a night shift and rubbish or pallets can not be put outside until the end of a shift. If you are working an Airlock shift then the doors need to be opened to drop the delivery, please limit the amount of time this takes and as soon as finished secure the building once more.
5 Opening and Closing the store Although there may be some small variations depending upon your location, you must follow the same basic procedures for opening and closing all Pets at Home stores out of hours. The best way to summarise these procedures is in the form of a checklist. Opening Always check the surrounding area for anything or anyone suspicious before entering Ensure the front doors are locked after entering De-activate the alarm system, using your own code Switch on relevant lights immediately Closing Ensure the back door and fire exits are secure Switch off all lights Set the alarm system using your own code Press the final set button Close and lock the front doors
6 Security When working a Night-Shift/Airlock routine you need to recognise that a group of two/three people working or opening a store on a retail park at night presents a more attractive target to criminals than a store full of colleagues and customers! Some security considerations have already been mentioned in the Health and Safety section in particular to the exit and entry from the store, however if you read and understand the security procedures below, then you will feel more prepared for working in store. When entering or leaving the building, care should be taken to observe the surrounding area to look for any potential suspicious situation or behaviour. 2 people are to be present when closing or opening the store If you feel your security or the security of the building is under threat, you must phone the police. The first and most important thing to remember is that, in all situations your personal safety is of paramount importance. You should never take any action to endanger yourself, whatever the situation. If challenged or threatened always follow the procedure below: Immediately do as you are told without question Show absolutely no resistance Do not argue or antagonise the robber/s who may well behave irrationally Make your own safety your main priority If it is possible to do so without being seen, press the panic buttons When the assailant/s have left, immediately write down all the details you can remember including their appearance, accents, etc. Call the police then inform your Area Manager or Regional Director using the numbers on your contact sheet. Under NO circumstances should any colleague or member of management put themselves in a position that would risk their health, safety or security. Should the situation ever arise where to protect the business premises or property would mean a colleague was putting themselves at risk they should remove themselves and call the police
7 Manual Handling Please ensure you follow the procedure on the document index for manual handling however please see key points to remember when lifting. Stop and think, assess the load Position the feet correctly this will provide a firm stable stance to lift from. Get a firm grip Don t jerk the load up or twist at the waist while lifting Move the feet, keep the load close into the body Placing the load down is just as important as the lift, so ensure you still take time to, position the feet, don t twist at the waist, bend the knees and keep the back straight.
