What follows are suggestions for parents on how to prepare for your home swim meet experience and answers to frequently asked questions. The Basics The Swim Bag Water Bottle Nutritious Snacks 1-2 Towels 1-2 Swim Caps 1-2 Pairs of Goggles Team Suit Flip Flops/Deck Shoes Ball Point Pen (Sharpie if you dare) Swimmer s EVENT list for the day from CCSC web site (many kids draw a chart on one arm, leg, hand, etc. Example below.). Swimmer s HEAT and LANE assignments are posted on deck and issued to coaches just before the meet starts. The swimmer will know how to find this information or can ask coach on deck. Toiletries and Set of dry (warm) clothes for after meet. Small amount of money for nutritious snacks at the FOCCSC Café. The Parent Look up swimmers EVENT entries prior to meet on CCSC web site (see attached instructions). Drop off and check in food donations at the Café Meet Volunteers check in with Meet Coordinator on deck (podium by announcer). Tell your swimmer to check in with coach on deck prior to warm up session. Only Coaches, Swimmers, Officials and Registered Meet Volunteers allowed on deck!!!! Tell your swimmer to dry off before going in grandstand!!!! No WET swimmers in grandstands. For everyone s safety. The CCSC requires one adult VOLUNTEER per family for each session your swimmer(s) attend. Contact FOCCSC if unable to fulfill home meet volunteer requirement. No show VOLUNTEERS shall be assessed a fee. Before the meet: Login to CCSC web site using your PRIMARY ACCOUNT registered with CCSC. Follow the Password Reset instructions if it is your first time logging in. You will not be able COMMITT (sign up) your swimmer for a meet, select a VOLUNTEER JOB, find your swimmer s meet entry EVENT information, or view other secure content on the website unless you are logged in. Contact the CCSC office if you don t know which is PRIMARY on your account. Instructions for initial log in will also be available on registration day. 2 Frequently asked questions: What s a Short Course? o MMA is a Short Course venue and the term refers to pool length (MMA is 25 yards long versus a 50 Meter Long Course pool you will see at venues like Warwick, MIT, or Harvard). Is there food service on site? o Yes. The Café is run by Friends of CCSSC and found by exiting pool facility, turning left, and following sidewalks up steps to adjacent athletic building. Proceeds from Café sales help support member swimmers training, travel, social events, gear, and other activities. Restrooms? o In same building as Café. Parents and spectators are not permitted on deck or in locker rooms. Admissions/Spectators? o Seating in the grandstand is first-come-first-serve with line forming at admissions table. Heat Sheets are sold at the admissions table. FOCCSC fundraising items may also be on display. Support of the FOCCSC is greatly appreciated. How do I know a swimmer s specific race (Event/Heat/Lane)? o Heat sheet tickets are sold to interested spectators at the admissions table. Finalized heat sheets are distributed to spectators from admissions just before the meet starts. If I can t go on deck how does my swimmer find out his/her heat and lane assignment? o Heat sheets are posted for swimmers on deck and provided to coaches before distribution to spectators. My swimmer finished a 25 yard event but the scoreboard didn t stop at the end of the race? o Hand times are used for 25 yard events. There are no touch pads at the turn end of the pool to stop the clock. Turn end is the end without the starting blocks. o No, they can t start at the turn end and finish at the touch pads. Turn end does not have starting blocks and is not deep enough to accommodate starts. Scoreboard read dddddddd when my swimmer finished. Why was he/she disqualified? o dddddd is a computer code related to the timing system and not an indication of disqualification. A time is recorded but not displayed on the scoreboard. My swimmer touched the wall at the finish but the scoreboard continued running? o Younger (and sometimes older) swimmers may miss the touch pad or, on rare occasions the touchpad may malfunction. There is a secondary timing button and stopwatch times recorded by the lane timers as backup. Where are event results posted? o Results are posted for spectators in the hallway outside the pool area. Meet Mobile is an Apple and Android App by Active Networks which is a popular tool for tracking live results during the meet. Keep in mind the official time is posted in the hall after verification by the computer room staff. Meet Mobile and other results are preliminary and subject to change. o CCSC web site, New England Swimming, and USA Swimming will post results in day or two following conclusion of the meet and are official results. Who are the people on deck wearing white shirts and holding clip boards? o White shirts are Officials responsible for compliance with USA Swimming rules of competition. Why did the Official raise his/her arm and confer with another official after my swimmer went by? o A raised arm indicates a possible disqualification (DQ). Almost every young swimmer will experience a DQ and it is part of the learning process. The coach receives a DQ slip (explanation) from the official and will address it with the swimmer. o The official is watching multiple lanes so a raised arm may not be for your swimmer.

3 My swimmer missed his/her heat. Do they get another chance? o No. However, CCSC home meets are unique. The kind and caring Meet Referee may be able to squeak them in an open lane, if possible. CCSC meets are usually full and circumstances may not make it possible to give a child another chance. Chalk it up to a learning experience just like a disqualification. My swimmer s bathing suit, cap, goggles or some combination came off, fell down, ripped, disintegrated, filled with water.. the moment they hit the water. What happens? o When a swimmer loses a piece of equipment during a race they will likely KEEP SWIMMING! o Sarah Hawley has a supply of CCSC gear (caps/suits) that might fit your swimmer on site. Inquire at the podium. Teammates also may have a spare to get your swimmer through the meet. o A swim vendor is also located in the athletic building near café for goggles and other swim gear. My child forgot their shampoo (towel, dry clothes, etc. etc.) can I just bring it to them on deck or in the locker room? o NO! If the swimmer really needed the item they ll find you, eventually. Parents not working as a Volunteer during the meet will not be permitted on deck. What CCSC gear is required? o CCSC is a Speedo team. Minimum requirement is navy blue suit, cap with Cape Cod logo (cap optional for boys), and navy blue CCSC T-Shirt. Silicone cap with swimmer s name is optional. o Team jackets, sweatpants, sweatshirts, and other gear are optional. o Contact Sarah Hawley with any questions regarding team gear. General Information Grandstand seating is limited, on a first come first serve basis, and the admissions line gets long very quickly. Be courteous and respectful of others. Your swimmer is not the only one that represents CCSC. Your first home meet may be in the fall or winter but it is almost always tropical inside any swimming facility. Dress in layers and don t laugh at people wearing shorts in February. The swim meet follows a strict timeline. Get your swimmer to the facility on time for warmup. If you have any questions during a meet there are many experienced parents all around you and FOCCSC representatives on site. Volunteers working the meet wear lanyards with name tags and can answer any questions or point you in the right direction. CCSC home meets have a reputation for being well run events and the commitment of the CCSC, swimmers parents, and all our volunteers make it possible. If your address is not recognized it may not be the primary address on your CCSC account. Contact CCSC to verify your PRIMARY address. Once successfully signed in to the CCSC web site you will note additional tabs Handbook, Dues, and Friends of CCSC. Once signed in to the CCSC web site you will be able to register your swimmer for Team Events, register for home meet Job Signup, and locate account and swimmer specific information. The Friends of CCSC tab has other useful information and is periodically updated for your reference. 5 How to find swimmer EVENT entries: Sign in to CCSC website using your primary CCSC account and password. From home page click Team Events. Find your meet on the list and click Edit Commitment button. Your swimmer s events will be listed. Below example is May 26, 2012 ABF Meet (Saturday). Coach Approved column from above example. #1, #5, etc. is the EVENT number. (d1/s1) etc. is day/session the event takes place. The time noted is their SEED time for the event.

6 Why don t they post HEAT and LANE assignments before the meet? During warm-up coaches must check in all their swimmers. If swimmers scratched or are added to an EVENT it may change the number of HEATS and LANE assignments for a particular EVENT. Coach will make sure your swimmer knows how to find their HEAT and LANE assignments on deck. Heat Sheets are sold at the admissions table for parents and spectators and will be distributed prior to the meet (Be patient. Heat Sheets are not finalized until just before the meet begins due to scratches etc. and are printed and distributed as fast as humanly and technologically possible. Coaches, officials, and swimmers get priority. Your swimmer will have access to the information before you do!!) Example event, heat, and lane chart many swimmers use to keep track of their events. Many write the chart on their arm, leg, hand etc. Only Coaches, Swimmers, Officials and Meet Volunteers allowed on deck!!!! How do I find and register for a Volunteer Job/ Food Donation: Follow the above procedure for logging on to the CCSC website and finding your swimmer s EVENT information. Next to the Edit Commitment button will be a Job Signup button. Click Job Signup and follow the instructions at the sign up page. Volunteer positions are available for signup on the CCSC web site on a first come first serve basis during a designated time period prior to the home meet. You MUST sign up before the closing deadline. Volunteer job descriptions can be found on the CCSC web site under the Friends of CCSC tab. You may be reassigned or asked to temporarily assist in another capacity during a meet as needed. Volunteer positions correspond to the session your swimmer (s) will be attending. You are expected to be available for the entire session. FOCCSC volunteers and CCSC representatives are available at registration day to answer any questions regarding volunteer jobs, meet registration, swimmer equipment needs, or any other questions comments or suggestions you may have.
