1 GVR TENNIS CLUB POLICIES AND REGULATIONS ADOPTED BY THE BOARD OF DIRECTORS Updated: Through September, 2017

2 AFTERNOON COURT STANDARDS The Tennis Club Board of Directors is responsible for establishing and maintaining Afternoon Tennis Scheduling Standards and appointing an Afternoon Court Scheduler Chairperson (Herein after referred to as Afternoon Scheduler). The Afternoon Scheduler will assign courts according to these standards. Afternoon Standards: 1) The Afternoon Scheduler will schedule tennis courts after 12:00 PM Monday through Saturday and all day Sunday from April 15 to October 15. Summer courts may be scheduled in the morning according to the priority in 3 below. Scheduling should be given to lesser used centers. 2) For court times, GVR Tennis Club league play has priority over team practices. 3) Priority for afternoon play is: GVR tennis classes, Tennis Club Events, Tennis Club clinics, Tennis Club drop-in play, Tennis Club leagues, USTA or Interclub Matches and team practices, in that order. 4) One official reserved practice time per week per USTA or Interclub team. 5) USTA/Interclub teams may schedule practice time once registered, but no sooner than one month prior to USTA/Interclub season start date. 6) Teams will be assigned a court time based on above priorities and on a first come basis 7) Teams primary match locations are West Center followed by Desert Hills. 8) Teams get two practice courts with optional third court if court is available and/or it is an exceptionally large team. 9) League captains will be assigned the number of courts needed for matches in coordination with the League Chairperson and at the discretion of the Afternoon Scheduler. 3 BALL MACHINE The ball machine can be used all day on a reservation basis. Reservations must be made online through the online reservation system. Court #2 at Las Campanas shall be used by the ball machine, no use of Court #1 or any other GVR Court at any other facility. Tennis Club Ball machine fee for first member is $25; second member from same household $15 per calendar year. Ball Machine Court Reservations 1. The Tennis Club ball machine is permanently housed at Las Campanas and is used on Court # 2 only. Due to GVR safety concerns, Court # 1 cannot be used for the ball machine. 2. Members wanting to use the machine are allowed to reserve it and Court #2, up to one week in advance by signing up on the online reservation system for ball machine reservation. This rule is the same as that used in our current Tennis Court Reservation System. Only one future (active) ball machine reservation per member out a maximum of 7 days is allowed. 3. A ball machine user must scan or sign in with his/her start time on the regular GVR sign-in sheet for Court #2, regardless of whether he/she has made advanced reservations. 4. Advanced reservations for the machine shall be by the hour, on the hour, for one-hour increments in the afternoons. Before noon, the ball machine will be available for the duration of the court reservation 5. Members using the ball machine have priority use of LC Court #2 afternoons and Sundays if they either have signed up in advance, as above, or signed in on Court #2 no sooner than 10 minutes before the hour and before a competing group is signed in and fully assembled. (See exception in #3 above.) If the competing group arrives at the same time as the ball machine user, the spin of a racquet will decide who gets the court. 6. A ball machine reservation for court #2 is considered forfeited if not in use by 10 minutes after the reservation start time. 7. Other players/groups wishing to use LC Court #2 during the Ball Machine hours as stated above must check the online reservation system and the advance registration form for the ball machine to assure Court #2 is available. If there are no advance conflicting reservations for the ball machine, and a group starts play, they are allowed the full 1 ½ court time allowed for regular tennis. 4 COURT RESERVATIONS The following GVR reservation rules have been developed over several seasons of play and are meant to provide the fairest availability of court time during periods of high demand for play: Courts at West, Desert Hills, Las Campanas, Madera Vista and Canoa Hills Recreation Centers may be reserved by any GVR member for play at 6:00 AM, 7:30 AM, 9:00 AM, or 10:30 AM. All other courts and times are either open or reserved for leagues or other scheduled use. A GVR member with reservation capability may reserve one of these morning court time slots in his/her name out a maximum of 7 days. Only one future (active) reservation per member per week at a time is permitted. The online Court Schedule may be accessed 24 hours a day 7 days a week. The current online schedule is available for viewing. No non-gvr members may play on any GVR USTA or other competitive teams. In accordance with GVR policy, no courts will be provided to any team containing non-gvr members. All USTA team members will be encouraged to join the Tennis Club. 5 COURT USE - GENERAL Players who have reserved a court or are playing in an activity with an assigned court are expected to play on that court. GVRTC may assign courts for team play prior to noon between April 1 and October 31. During the Winter Season No Tennis Club community leagues shall be scheduled prior to noon, with the exception of the Double Faulters League. Drop-in playing on both courts at East will take place from sunrise to noon. USTA/Interclub teams may be assigned two practice courts with optional third court if court is available. If the team is participating in multiple concurrent leagues or playing in a league with 5 court matches. Tennis courts at East Center may not be used by the Pickleball Club. East Center courts prior to noon shall be drop-in play with a fair method of play to be developed by the League Coordinator and the Drop-In Captain at East with approval by the TC Board. East center afternoon play shall be for scheduled use as deemed necessary by the TC the same as all other courts. All tennis players (competitive or social) must adhere to the standing GVR policy regarding guest use of tennis courts. Peak season rules shall apply October 15 through April 15. Non-peak season shall be April 16 through October 14 for court use and scheduling. ********** EAST CENTER COURT USE: Drop In will continue with more structure in the fall and winter from sun up to noon No membership in GVR Tennis Club is required, except a coordinator is needed and is a Tennis Club member. Drop In play shall be open to all GVR members and their guests. This group will be under the League Coordinator on the Board the same as all other Leagues and Drop Ins. First 4 sign in and play; roll of dice for partners. Next 4 to sign in play - roll of dice for partners. Once you have completed your play you rotate back in. 6 COURT RESERVATIONS- ON-LINE Courts will be labeled: West TC (West Tennis Center on the Daily Court Reservation Sheets; Desert Hills; Canoa Hills; Madera Vista; Las Campanas; and East Center plus a 1 digit court number. Time Blocks o Morning reservations 90 minutes o Afternoon reservations 120 minutes o Ball machine reservations Concurrent with court reservations in the morning afternoons 1 hour blocks. Court reservations start at 6:00 am daily. Ninety (90) minute Reservation blocks will run until noon. o We will schedule courts for afternoon leagues and events. o We will NOT reserve courts for personal use. Reservations for newly available courts will open at 4:30 pm. Reservations close at 10:30 am the day prior to the reservation time. Court reservation cancellations will stop at 10:30 am the day prior to the reservation time. Daily court reservation sheets will be generated after 10:30 am. The Tennis Club will audit its membership for valid GVR membership. The reserver s name will be public without the ability to opt out. All individuals using the online court scheduling system will be allowed 1 active reservation out a maximum of 7 days. Non-Tennis Club Member GVR Members may pay a Reservation Only privilege fee equivalent to the Tennis Club Dues to use the Online Reservation system. Winter club clinics, drop-ins, community leagues, etc., will resume October 15 th in the fall. USTA and Interclub leagues (non-gvr Tennis Club leagues) will be scheduled to coincide with their respective scheduler. The winter season will be considered October 15 through April 15. The system can be used to register for Tennis Club activities. The GVR Pro may schedule within our system. Notification of Tennis Club activities (i.e.: ball machine; clinics; leagues, etc) 7. Any other items not listed but requested by a Tennis Club member must be approved by the Tennis Club Board either at their regular meeting or through an vote. 8 FINANCIAL The Executive Board may approve up to $500 of unbudgeted expenditures without Board approval. The 50/50 shall have $40 removed before the split. The club s part of the split goes into the General Fund. The $40 is used for additional items to win. The Ball machine coordinator will decide when to order balls and shall have the authority to purchase them as needed. 9 LEAGUE PROTOCOL The GVR Tennis Club wishes to provide opportunities for GVR Members to play tennis in various organized league formats using GVR courts in the afternoon. Leagues which provide this opportunity to all players shall be allocated courts to play on, provided that GVR courts are available and players are signing or scanning in when they play. This League Protocol is intended to support two important GVR goals. The first is to encourage as much GVR court usage as possible. The second is to welcome and encourage as many GVR tennis players to participate in leagues as possible. 1. Leagues will be open to all GVR members and their guests with guest cards who meet league criteria and sign up online or contact the league captains. No invitation only or buddy groups will be assigned reserved court time by the League Coordinator. No League Captain will arbitrarily limit the number of participants unless the League Coordinator indicates that no additional courts are available to accommodate play 2. Criteria will include player level and gender. Players will make the determination of his or her playing level, not the League Captain. See number 8 for disputes. 3. Player level will be stated and include levels not more than two (2) recognized USTA ratings as 3.5/ League captains are required to request additional (or fewer) courts from the League Coordinator to reasonably accommodate the number of players requesting to participate. 5. League Captains have an obligation to play every player each time irrespective of when the player first requested to participate in the league (except those representing less than a full doubles court, but the same players should not be playing each time). If a player wants to play regularly, the League Captain cannot determine that he or she is a sub. If a player wants to be a sub, the League Captain can then play them as needed. 6. League players must comply with tennis protocol as defined in the USTA handbook to remain eligible to play in community leagues. 7. The League Captain determines the format of play. Depending on the format of play, League Captains should generally attempt to match players of similar skills on each court. 8. Disputes will be resolved by the GVR Tennis Club Executive Board. 9. Players, league captains and team captains must comply with above or will not be assigned reserved courts in the afternoon during Peak/Winter (Oct 15th to April 15th) season by the GVR Tennis Club League Coordinator. 10 Leagues: by definition RECREATIONAL: Recreational league: Not competitive. No scores or ranking. No ladders or any method of determining outcomes. Drop in: No levels COMPETITIVE Community leagues: Is GVR only. Has scores, levels of play, defines group of individuals, tracks outcomes. Drop in: Defines level of play. DEFINITION OF GROUPS: Men Ladies/Women Coed Mixed This activity is open to Male players, only. This activity is open to female players, only This activity is open to both male and female players who compete on an equal basis. 11 League Challenge System If it is a multi level league, the challenger plays with like level and gender, to the extent possible, of players on a random draw. In a mixed league it has to be male/female at the same level. Mixed league plays 2 full sets switching partners. Coed and women/men plays round robin of 3 sets, 4 games each set and switch partners. Coed should have 2 of each gender playing. If you win 40% of the games played you qualify. All players and challenger meet on the regular play day. Those who match level/gender of the challenger draw cards the day of league play. They have 7 days to complete play with challenger reserving courts and coordinating with the other 3 people from the league. Only one challenge per person allowed for the league period. 12 TOURNAMENTS - GVR TENNIS CLUB Tournament costs: TC member $10 for 1 st member; $5 for second family member Non TC members $20, includes TC membership Food for non-players $5 GVR Tennis Club tournaments have priority use of all tennis courts. 13 UNRESERVED COURT PLAY The court side sign-in sheets for any day will show all reservations that exist for that day at that site. Open time slots are available on first-come-first-served basis, and may be taken no earlier than 10 minutes before the scheduled time slot. All players must be in attendance to hold the court. If more than one group is ready to sign in for an open slot at that time, a racquet spin or coin flip should be used to determine which group signs in and uses that 1 and ½ hour slot.
