1 Hollywood Dodgers Las Vegas Invitational Step-by-Step TeamSnap Registration Procedures 1. Read the Tournament Information ( sheet to determine if your team is interested in participating. Refer to TeamSnap FAQs ( for assistance. 2. Go to TeamSnap ( to register: 3. For new users, click on Create your account. 3/9/2018 Page 1
2 4. Complete the form then click on Create your account. 5. The registration form should open up: 3/9/2018 Page 2
3 6. Complete the form with the following information. Note that all required fields and the Waivers and Agreements section must be completed in order to add the team. Incomplete forms cannot be saved and returned to at a later time. A. TEAM Run your cursor over the s for helpful hints. 1) Name the name of the team. If the team played under a different name in past tournaments, please specify the former name in the Comments under Additional Info. 2) Division select the division for which you are applying. For youth teams, the grade level is as of March 31st of this year. 3) Organization select the team s organization from the dropdown menu. If your organization is not listed, select Other then complete the Other Organization field that opens to the right. 4) Current League Division specify the current or just-completed league division (example: Midget Copper, MB3, Boys 5 th Grade Blue). 5) Team Placement if we are not able to place your team in a division as you requested under item 2) above, indicate what action you would like to take. 6) Prior HDLVI Participation did your team participate in the Hollywood Dodgers Las Vegas Invitational before? B. TEAM REPRESENTATIVE All fields in this section are required 1) First Name 2) Last Name 3) this address will be used to communicate tournament updates 4) Mobile Phone C. TEAM REPRESENTATIVE BACKUP All fields in this section are optional; it might be good to have one other team contact in case we are not able to reach the Team Representative specified above. 1) First Name 2) Last Name 3) 4) Mobile Phone D. 4 E. 1 ST ASSISTANT COACH All fields in this section are optional. 5 G. TEAM ROSTER Note that tournament rosters will be compared against official league rosters. Any variances (new or borrowed players) listed require Tournament Committee approval. Please list any such players in the Additional Info section below. Note that only players who are on current league rosters are eligible to participate. Roster additions are only considered up to a maximum of 8 total players on the tournament roster; change fees will be applied depending on the date of the request. 1) Click on and enter the names and addresses of all of the players who will be participating in the tournament. For players under 18 years of age, the address should be for the player s parent or guardian. 2) Continue clicking on the button and adding player information until you have added all of the members of your team. 3) Click on the Close button when complete, or simply stop clicking on the button. 3/9/2018 Page 5
6 Click to edit the player information (first name, last name, or address) Click to delete the player The players specified in this section will receive a TeamSnap invitation at the address specified to participate with your team in the tournament once you complete the form and click on the button. Players 18 years or older or the parents of players under 18 years of age must complete the roster information in order to participate or decline the invitation if unable to participate. H. ADDITIONAL INFO 1) If any of the players you added in step G above do not appear on the current league roster, click the Yes/No button so it indicates YES. Enter the names of all such players in the Borrowed Player(s) and or New Member(s) text box that appears. Also complete the Impact of Player Addition(s) field. 3/9/2018 Page 6
7 2) Comments enter any other information that you feel is pertinent for the tournament. 3) Submitter Name enter your name (required) 4) Position select your position from the dropdown (required) 5) Address enter your address (required) I. WAIVERS AND AGREEMENTS 1) Click on HDLVI Team Code of Conduct Agreement and read the statement. 2) Check the box to confirm that you read and agree with it. 3) Enter your full name in the Electronic Signature box 4) Click on the button to submit the form. NOTE: Do NOT click on for any team that you already registered. Doing so will result in a second entry with a new order number for the same team. To update basic team information or information for the team representative(s) or coach(es), please the Hollywood Dodgers at hdlvi@hollywooddodgers.org. 8 There should now be 1 item in your shopping cart. NOTE: Credit card payments are not being accepted at this time. 7. Complete Team Registration A. Do NOT click on even if you have another team that you would like to register. (Complete this order first then go back to the registration form specified in Step 3 above to - Add New Team -.) B. Click on when ready to check out. C. Click on to register the team. Invitations will be immediately ed by TeamSnap to the addresses you specified for the players on your roster. See the FAQ section on whitelisting TeamSnap addresses to minimize any issues with the players/parents receiving the invitation. The Registration Confirmation page should appear. 3/9/2018 Page 8

10 A confirmation message is also ed to the user: In order for a team to be considered for a spot in the tournament, the following steps must also be completed: Roster information must be submitted by all adult players and all parents of youth players. Refer to the Player Roster section that appears later in this document. Entry fees must be mailed in as instructed in the Registration Confirmation page with the exception of Southbay FOR, Tigers Youth Club, and West Los Angeles Youth Club. All 12 th grade teams must complete (including signatures of organizational officers) and submit the Conduct Form ( 3/9/2018 Page 10
11 Team Management The TeamSnap application allows for the user (Team Representative/Coach) to track the status of your application. This includes determining which players have accepted/declined the invitation to participate and receipt of tournament fees. To view your team s info and status, log in to your TeamSnap account at then click on your name in the upper right corner of the screen and select My Account : Click on Upcoming Events under My Events and note your team info on the right side of the screen. The Players: 0 (0%) indicates that no players have completed their player information. Invites: 5 indicates that you invited 5 players. Click on Roster to display the team s details. Note that the Team Representative, the 1 st Assistant Coach, and the 2 nd Assistant Coach will currently display as Contacts. A minimum of 5 players is required per team (allowed but not recommended), but since none have accepted their invitations yet, it is showing that you have 0% of your required players. 5 players have been invited. 3/9/2018 Page 11
12 Note the changes in the team info after one player has accepted the invitation. Drilling down into the Roster shows that 20% of the minimum 5 players are now on your roster, and 4 invites remain. 3/9/2018 Page 12
13 Click on to delete a player, to resend an invitation, and to view/edit the player s information such as jersey number, birthdate, address, t-shirt size, etc. Click on to save any changes that you make. Should a player Decline the invitation, it will appear as follows with the reason (if provided by the player) appearing when you pass the cursor over : For any player who has declined the invitation to participate, use the to delete the player. The team details have been updated to show 3 Invites: The remaining players have now completed their player forms, so the number of Invites is now 0. There are 4 players on the roster, but since a minimum of 5 players is required per team, it is only 80% complete. 3/9/2018 Page 13

15 To add a player to your roster: Click on, and the following screen will pop up: Fill in the First Name, Last Name, and address of adult player or parent/guardian of minor player. Click on the button, and TeamSnap will send an invitation to the specified address. The screen will remain open so you can invite additional players. Click on Close to return to the Manage Roster screen. The newly invited player(s) will be listed. The team details reflect the invited player: 3/9/2018 Page 15
16 PLEASE NOTE: You must make roster changes ONLY through the Upcoming Events link. Do not attempt to do so using the Teams link (circled below) under My Account: The Manage Roster interface accessed through the Teams link is for future registrations as indicated on the screen: 3/9/2018 Page 16
17 Adding players this way does not give you the ability to send an invitation to the player (see Yo Da ): Note that the player count did not change for the Hollywood Dodgers Las Vegas Invitational roster. 3/9/2018 Page 17
18 If your team has any scheduling constraints during the tournament weekend, click on the Conflicts link to enter up to two conditions when the team cannot play. The conflicts you enter will be taken into consideration if the team is selected to participate. Specify Before or After, the date, and the time conflict then click on : If two dates and times are entered, the Add Contact button becomes disabled since that is the maximum number allowed. The number of conflicts have been updated in the team details: 3/9/2018 Page 18
19 To look up order information, click on Receipts. An order is generated each time a user submits a form. The first order above is for the team registration (example: HD Star Warriors 9 th Grade Boys) and is associated with the team entry fee. The second order was generated when a player (example: Jabba Hut) accepted the invitation. Please include the last 4 digits of your team s order # (the one with the entry fee) on all future tournament correspondence with the Hollywood Dodgers.
