The meeting commenced at 7:03 pm AGENDA MOTION by Grant to adopt the agenda as circulated. Seconded by Susie. MINUTES OF LAST MEETINGS MOTION by Bob to accept the minutes of the meeting as amended. Seconded by Gralin. REPORTS Reports are attached to these minutes. All divisions/disciplines/ committee representatives are required to provide regular reports. A reminder to committee representatives to submit to the executive for keeping: agendas, minutes, and brief reports relevant to FLCC. A month end financial statement is sent to each executive member prior to meeting or review. Statements are available to any member upon request. Boat & Motor Purchase The executive found that the 3 existing coach boats were sufficient for usage levels at this time. Extra boats need for regattas can be borrowed or rented as we need. Them. New boat and motor are included in the budget for next year if the need arises. Repair of South finger Due to the ice up, the Early Risers have not able to do repairs. Grant spoke to Bridgita concerning the township land. There has been no change. A public consultation on the entire waterfront is scheduled for fall. Grant will set up a meeting for Emily, the division reps and other interested members to finalize division strategic plans. Cec is looking for a new parka supplier in Canada. So far, efforts have not been fruitful. FLCC Marine Insurance Policy is now being updated to include EQ numbers. The revised constitution and bylaw revision will be sent to all executive for perusal prior to the Notice of Motion. A wide ranging discussion concerning FLCC insurance for 2017 included provision for drop-in paddlers, programs and youth paddlers, as well as Directors & Officers insurance. The executive asked Cheryl, Cec, Jonathan, Sue and Bob to meet with MJ Abbott of CKBC to clarify the position of Flatwater. MOTION by Cec to move to insurance to Central Agencies effective April 1 st.. 2

3 Seconded by Sue Online System Membership Fee Safety Boat Usage AGM Planning MOTION by Susie that the service fee for online payment will be included in the fee charged online. The service fee will be considered an administrative cost to the club. Seconded by Cec MOTION by Susie to set the membership fees at $84 for a single member, $64 for a 2 nd member and $44 for 3 rd family member plus GST Dianne MOTION by Dianne to set the usage fee for coach safety boats at $50 once a week, $100 twice a week for OC & DB teams for regular usage which includes the cost of fuel. Seconded by Bob A Notice of Motion will be post in the boathouse 14 days prior to the AGM Constitution & Bylaws revision will be sent to the executive for revisions and editing Cec will ask Jean Chan to chair the AGM. Treasurer Budgets All budgets are complete except for insurance fees Item E-1.3 Safety Safety Training for Divisions No report Bob will consolidate the Cold Water Policies. Item E-1.4 Facilities/Inventory Paddlesport Dock & Boathouse Glenn is getting quotes for the Hoist Proposal. Bob will connect with Monique Barnett to inquire about CPR Training for paddlers Dock Expansion Project Update The dock plan has been drawn up still waiting on approval from ToL 3

5 Dragonboat Report January 2017 Joyce May January saw very little paddling because of weather and river conditions. Warmer temperatures and rain have only recently seen paddlers back on the river in limited numbers. The weather had also delivered slippery docks and boats full of water, ice and/or snow. A huge thank-you is due those who spent hours bailing and making sure boats were safe and secure. The regular season is 10 weeks away and it is time to organize a work party. Dates, time etc. to follow. The south finger is in serious need of repairs and the DB division will be looking for repairs/upgrades. OC Report Presented by Gralin Doubleday Jan 23, 2017 January began much the same as December ended, iced in boats, frozen channel and freezing temperatures have kept us off the water until just this past week. With conditions now back to normal paddlers will be eager to get back to practices. A few crews made it out to Lotus last weekend to take part in the first Outrigger race of the year, a V12 event that by all accounts it was a true Ice Breaker. The rigging together of the two Advantages to make a V12 for practices leading up to Ice Breaker has been well accepted and crews have taken advantage of its use even with the limited paddling opportunities we ve had this past couple months. Final steps have been taken to secure the purchase of a second Bradley. Assuming budget approval at the upcoming AGM, we will soon be in possession of another competitive race boat; something many members have been requesting for some time. Planning for River Run will need to begin soon, but the extra boats we will require for the event have already been secured. As always, information on any CORA items, your annual membership renewal and race schedule & results can be found by visiting Sprint Report January 20, 2017 Grant Rawston and Emily Raymond Sprint is back in full swing since the holidays. We took advantage of the winter weather this past weekend the Sprint Team headed up to Cypress for a cross-country ski day. The sprint team hosted a successful bottle drive fundraiser on the 2 nd. With the sprint summer race schedule finalized the team continues to train hard for this upcoming season. Field Trips We have sent out information on our field trips and hope to collaborate with the all disciplines to continue to promote and grow the club at the youth level. 5

6 The business model of most sprint clubs across Canada is based on salaried coaches, volunteer and paid assistance from senior athletes that help to keep them in the sport through their university years. Thus our costs for field trips and programs are quite different to a strictly volunteer based system that the rest of the club operates from. We have made great progress in successfully retaining a full time coach for over a year now and although we have done better than expected we still operate on fine margins and struggle to meet competitive rates for paid staff. Maybe it is time to look at the youth programming as a whole in the club as it fits (or not) with our club strategic plan and form a committee to explore a strategy to move youth programming forward sustainably. Voyageur Report January 2017 Debbie Scott The New Years Potluck was hosted by Sharon Good. Thank you Sharon for bringing the Voyageurs together to start the new year.
