1 Wisconsin Association of Cheer & Pom Coaches, Inc Board Meeting Date: April 2, 2017 Watertown High School Watertown, WI 10:00am Present: Buchberger, Buchholz, Evers, Gerdman, Gunderson, Hollander, Luedtke, Meinel, Pankow, Poeschl, Putra, Rahjes, Rietz, Sura, Vernezze, Welke, Zabel Absent: LaVelle, Norrish, Saxe I. Call to order by Putra at 10:19am A. Aaron Zimmerman will be meeting with board on April 23rd B. Reminder about board members ethics C. Secretary s report/ approval a. Welke moved to approve 2016 December Board minutes. Buchberger 2nd. All in favor; motion carried D. Treasurer s report a. Final bills are still coming in from competition season. b. Rough report will be presented at next board meeting II. Competition Updates A. Registration Updates a. Some changes will happen and will be based on cheer and dance committee's final recommendations to the board. These decisions need to be finalized by May 31st b. Gunderson will check into uploading a roster instead of individually putting in each athlete. c. Clarify registering managers, athletes, and anyone else that is coming in with team will help at the registration areas at competitions. B. JAM Improvement. a. Dance will be splitting MS 5-9 pom division; will use all schools you draw from and then after registration we will divide equally after registration reaches more than 18. Welke move to table this discussion; Evers & Meinel will work on wording and bring example to April 23rd. Gunderson 2nd. All in favor; motion b. State floor time and JAM; cheer had it and dance did not. Gunderson moved that there will be no floor time at JAM or Cheer & Dance State. Pankow 2nd. Discussed that some MS cheer teams do not have full mats for cheer at their schools and it helps them with spacing. All in favor; 1 opposed; 1 abstained. Motion passed. C. Apparel Update a. Discussed what Embroid Me is doing for the organization.

2 b. Discussed if organization should continue with an assigned person with stipend or have Embroid Me do more and save money c. Meinel moved that we reduce the stipend for apparel to $400 to work JAM, State Cheer, State Dance, and Fall Conference. Welke 2nd. Discussion who will do this and if stipend is the right amount. Have a contract signed with person that does this and assign stipend in August when we do our budget meeting. Stipend should be based on responsibility level and based on board members stipend vs. non-board members. Gunderson will contact present apparel person and Embroid Me to determine what each are presently doing. Kruse moved to amend the motion to remove the $ amount, Luedke 2nd. 15 in favor. 2 abstained. Motion d. Motion to: Apparel stipend will be reduced and will work JAM, State Cheer and State Dance and Fall Conference as amended. 14 in favor; 3 opposed. Motion e. Gunderson moved to review all stipend at the August budget meeting. 2nd Pankow. Discussion that all board members should let Gunderson know what their responsibilities are at the areas they have worked. All in favor; Motion D. Photography contracts. a. Sura & Pankow have been working on YIR but difficult as action shots were less this year. Putra has been in contact with Empire Photography on this issue and their contract. b. Reviewed contract with board. Putra will be meeting with Empire before next board meeting as our contract is through E. WACPC Site directors & School Site Directors need a more clear to do list a. These documents will be worked on in cheer & dance committees b. Differentiate who is doing what and what those responsibilities are. c. Regional Championship banner for all regional events as some have one and some do not. d. Make sure sites are doing things the same; all sites should be using the same updated documents. F. Dance a. Recommend to the board that Dance Western Regional change to Northern Regional and move site to Wausau East b. Videotaping to be discussed in full competition committee c. Score sheets - same for 2018 competitions and then starting in 2018 start to revisit. Sura will have coaches forum when doing training to get coaches in put on any changes as well. d. Challenge/Review Table- will have a rotation issue change to this policy e. Pom Divisions were realigned by new enrollments. f. Change: When deciding to split divisions. When there are an average of 33 or more in a division the following year we will discuss how to split that division moving forward g. Reitz moved that 2018, 2019, 2020 Western Dance Regionals be changed to Northern Dance Regional and be held at Wausau East. Buchberger 2nd Motion

3 to amend by Gunderson to retain the name of Western Dance Regionals. Pankow 2nd. All in favor; 3 opposed; Motion Motion to move Western to Wausau East. All in favor; motion G. Cheer a. Divisions 1. Registration to close two weeks prior to regionals and post final divisions; dependent on being able to order trophies in time 2. Discussed competitiveness of divisions; divisions will not split until they reach 24 teams. 3. Discussed eliminating regionals and doing a 2 day Friday/Saturday event at LaCrosse. This is dependent on financials and if the LaCrosse Center is available 4. Cheer/Dance will be offered only as a 2nd routine; teams must register for another cheer division in order to compete in cheer/dance. 5. Single team divisions will be revisited b. Stunt Groups will be split D1/D2 by enrollment, split when registration reaches 24 teams registered. c. JAM now being held at D.C. Everest d. Regional site locations and alignment of teams tabled until June. e. Discussed score sheets and how to simplify rubrics f. Zabel moved that the board approves a Friday/Saturday state event at the LaCrosse Center if it is deemed financially able, the LaCrosse Center available and with the recommendation of the cheer committee by April nd. by Hollander. All in favor. Motion H. College Helpers a. Gunderson moved for 2018 that we split the college helpers between UWEC and UWSP. Welke 2nd. All in favor; motion passed G. All State Review a. Rahjes shared numbers of finalists b. Discussed needing new signage c. Need to discuss floor at LaCrosse center for Dance at full competition committee. d. More information needs to be sent to coaches. III. Policy Updates A. Transfer students a. Discussed WIAA policy and forms b. Gunderson moved in the case a transfer student registers to participate in cheer and/or dance at the school they transfer to, the coach is required to notify WACPC of the transfer student and the reason for transfer via to the president. Rahjes 2nd. All in favor - motion carried B. Tie -breaker procedure - topic tabled until Full Committee Meeting on April 22nd. C. Vendor policy a. Discussed who we get to be vendors at events.

4 1. Decisions on having more than one kind of the same vendor at a event will be make basic on the event and committee b. Purchase of vendor list 1. If a vendor purchases a membership they can get a list of members that have agreed to share their information D. Procedure for appointing committee chairs a. When we ask for committee interest we will ask for interest in committee chair b. Discussed non board members being on committees and how decisions are made. c. Discussed policies on limits of numbers of people on committees, and how they are decided on, check constitution and time lines on doing this. IV. Judges A. Proposed Joint Chairs to handle the magnitude of this job, protections a. Discussed cheer and dance both doing co-chairs; cheer already has this option, dance does not. b. Discussed concerns and differences, dance could coordinate and possibly have someone to at least help with training. 1. Jacobson and Sura will talk about training together and if it will work. B. Training Dance a. While judges training have coaches forum to start looking into score sheet revisions. C. Training Cheer - tabled until another meeting D. Ethics a. Procedure for disciplining a judge for an ethical violation b. Ethics committee is dealing with this and how prevent from happening c. Shared some of the issues being dealt with and how they are being handled. VI. Spring Fling A. Discussed what the weekend will look like B. Encouraged board to get people on board and registered. C. Board members need to register online and send Reitz room preferences VII. Fall Conference A. Speakers are being contracted B. No Cash Bar but will have snacks and beverages and fun thing set as well as judge/judge coordinator forum for coaches on Saturday as well as learn with WACPC and networking B. Board Game Theme with slogan "GAME ON" C. Send Evers any topic ideas with name of topic and description - some speakers are asking for these. D. Continue to check website for updates on speakers and sessions

5 VIII. Nominations for executive board positions A. President a. Rahjes nominated Sue Putra for President. 2nd by Jacobson B. Treasurer a. Welke nominated Michele Gunderson for Treasurer. 2nd by Jacobson IX. New Business B. Game Day a. Discussion on site as it is regional game day for volleyball and the schools Luedtke has checked into, do not want to commit to the date in the event they host. b Discussed other options so we can stay on October 21st C. Snap Chat Filter a. Buchberger brought up that at Eastern Dance had a snap chat filter that went over very well and would like to see WACPC do one to use at all of our events. Gunderson will look into it for WACPC D. Scholarships have been finished; 20 recipients all will be getting a letter that they will receive a $1000 scholarship each. Hollander moved that the meeting be adjourned at 2:35pm. 2nd by Zabel. All in favor. Motion Carried and meeting is adjourned.
