Approval of minutes of last AGM There were no objections to the minutes from the 2015 FTC AGM, the minutes were proposed by Cathy Roberts and seconded by Chris Roberts and were accepted unanimously. 3. Chair s Report Thank you to all the committee for their hard work & support through the year. I think it might be good to remind you, as I go through my report, of what they do they all play a big part in the successful running of the club but not all of them are high profile. Sandra Letford is our stalwart and patient secretary not everyone can take a back seat at meetings and take notes and she does a great job. Katie Stanley is our Welfare Officer who thankfully hasn t had anything major to deal with this year but is nevertheless on hand and a valuable committee member. She also has the tricky task of allocating coaches to a complicated rota of swim & bike sessions.

2 Nic Harker, our Treasurer, is standing down this year. He has been brilliant and will be a hard act to follow. Following last year s AGM, we have looked into attendance levels and how coached sessions are funded. Nic will be able to tell you more but basically, there are swings & roundabouts and the fantastic attendance at Wednesday Tech Team and Sunday CSS Squad have helped to mitigate lower numbers or higher costs elsewhere. It was not felt appropriate at this time to raise the membership fees but this will be on the cards to bring to next year s AGM. My personal feeling is that an increase in membership will allow a greater investment in coaching & taking the club forward. In that connection, many thanks to Keith Conradi who has been working away at our Clubmark application to Triathlon England. This is now basically approved and is an indication of the high standards reached by Farnham Triathlon Club. We have some commitments for the future, including increasing accessibility and bringing para tri into the club or at least looking at how this can be encouraged. Our application will now be officially reviewed by a focus group including the national delivery manager and Keith will keep us informed. Regarding TE, we have finally been transferred from South East Region to South Central which makes better geographical sense and will allow us better access to things like inter-club leagues which Nick Dennes is v keen on. Nick has done a great job again this year, firstly on the social front with the usual highly enjoyable awards dinner, and on the race front, ensuring club races are organised and volunteers are in place. The first job of the new committee will be to review the past year s club races and agree next year s race calendar, including the season long races. We are meeting on 9 Nov and the calendar will be published shortly after that. We had a couple of new events this year. Last month saw two Farnham Tri teams invited to Berks Tri Squad s Captains Challenge. It was a thoroughly enjoyable relay event and we will be back next year with more teams if we are allowed. Earlier in the year we were lucky enough to have a stand at the inaugural Farnham Bike Festival. It was great and is something we will definitely do again. We now have some lovely posters & a leaflet, showing off who we are and what we do. It was great to see so many people at so many races in club kit this year, and it s thanks to Allie Richardson, who has done a tremendous job with the kit. We will be very sorry to lose her from the committee. We are in the early stages of moving on to youth kit now, beginning with run vests, and various items of leisure kit e.g. hoodies & t-shirts, to cement the team identity. Nick Holmes, it is who keeps the website running smoothly and miraculously posts results from races all over the place. Another unseen but extremely important contribution.

3 Cathy wears many hats she is membership secretary with all that entails, she sends out a weekly to keep everyone up to date with training sessions and events, she delivers event organiser courses and organises several of our own club events. When she s not organising she s usually helping. She is also our main point of contact for our involvement with Hart Tri. And I m pleased to say there WILL be a Hart Tri next year. Cathy has been to a meeting this week with Everyone Active representative. She reported that there are some issues which will need to be resolved, for example transition area and access to the new pool site, and confirmation of the route. FTC involvement would still be required at Hart. Everyone Active also organize two other triathlons, Fareham in May and Chichester in July, and it is hoped that some sort of league between the three events can be put in place. The committee are in discussion with Everyone Active over the possibility of using the new Hart facilities for one or more training sessions. Lastly, another big thank you to Sue Graves for captaining the FTC team in the Southern League cross country series and welcomed Leo Maliphant as the new cross country captain. 4. Treasurer s Report Nic Harker reported that the club had a good year financially starting at and ending with which a gain of On a P&L basis this has been a strong year for the club with a profit of 2697 (vs 300 in 2014/2015 year. Training sessions made a profit of ~ 260 vs a loss of ~ 2500 in the 2014/15 year. Part of this was down to slightly lower pool costs due to the switch from Odiham to LWC for Youth swim sessions in The majority of this change though has come from increased income from tokens, equivalent to 584 additional attendees over the course of the year. Credit for this goes Chris and his coaching team for the energy that has been injected to the swim sessions in particular. Other main changes vs Last Year: Kit sales were 25% lower, Membership income was 6% lower and Coaching outlay was 43% higher. This last trend on coaching is set to continue into 2016/17 as the club recruits new coaches and continues to build on the coaching skills of the existing team. On a cash flow basis, the club s funds have increased, this was helped by two large one time effects from Alton Sports relating to kit sold by the Farnham store between 2012 and FTC records were able to demonstrate that revenue was never remitted to the club at the time. After nearly a year of chasing by Allie Richardson and finally

4 initiating recovery action via smalls claims court, Alton Sports finally refunded the amount due to the club. 3 months of under billing by Aspire ( 605) relating to use of the Aldershot pool between Jan and Mar After repeated chases, Aspire have confirmed that the club s account is clear and have accounted this as a one-time credit. The club continued to improve its financial governance during the financial year: Regular stock takes have been introduced by Allie Richardson (3 over the course of the year) allowing us to getter a better view of sales per item, manage stock levels better and for the first time to include the actual kit sold in the accounts rather than assuming a breakeven position. At the final count of the year (3 rd September 2016) the club held 7190 of stock (valued at cost) vs 7256 at the end of the previous year. After a number of years on the To Do list Nic finally managed to get the signatories changed on the club s 1980s vintage Post Office Savings account. At the end of the 2015/2016 year the club has the following liabilities to offset against closing cash balance of (Est) club tokens in circulation which would need to be refunded were the club wound up and 220 of pool fees owed. Budget: Nic spoke through the proposed budget he had put together based on existing income versus a price increase of 5 on membership. Nic advised a membership price increase of 5 would net the club additional income 1.2k this would be used to increase coaching tools and coaching courses. On a show of hands this was agreed in principal by those who attended the AGM. It was asked why a new bike box was not included in the budget. Ali Wigg advised the proposal would be discussed at the first committee meeting. The question of whether to charge for use of any box purchased would also be discussed. Action: Sandra Letford add bike box to committee meeting agenda. 5. Head Coach Report. Ali Wigg thanked Chris Roberts and his coaching team for all their hard work over the last year in putting together an excellent coaching program. Chris Roberts reported that this year the coaching team having been working on their development as a High Performing Team using a Team business model. This has resulted in greater communication between coaches about aims, sessions and individual feedback. There is more work to do but the direction is positive. A major focus has been developing certain sessions throughout the year

5 Monday Track Night Wednesday Tech Team CSS Sunday Swim Squad This has developed the individual focus for coaching in a way that is motivational and above all performance enhancing for the athletes. With a successful, in terms of achievement if not numbers, Blackbushe track season complete, we are focusing on the Thursday Turbo Team for conditioning improvement through the winter. A recruitment drive for new coaches to enhance the team of 10 coaches has resulted in: 1 x Level 3 Possibly 3 x Level 2 1 X Level 1 to work with youth. Plans for 2017 As we develop the coaches we are increasingly using equipment to enhance the performance development of the athletes. This requires the club to spend money, something for the next committee to consider. The overall focus will be continued development of the individual needs of the athletes. Finally Thanks to the all the coaches who give up much of their time to prepare even before turning up for sessions and then share their reflections after each session. Also thanks to Katie Stanley for the admin role she has done for 3 years. She will be standing down and a replacement is being sought. Youth Report Chris Roberts reported that the Youth have continued with a stable team of athletes, in terms of numbers. We continue to offer the swim on Thursday and have started to run events alongside the adults. The importance of this is to make sure we provide models and identify talent moving into adult sessions. We have implemented a process of passing talent into adult sessions through the communication of coaches. Aims for 2017 Additional sessions are needed and the aim will be to develop these using the ½ day training sessions and delivering multi-disciplines Chris reported that he has identified 6 performance youth who will work together to achieve academy and performance status. We have held one meeting so far and these ideas will develop through the year. 7 The outgoing Chair Ali Wigg thanked the committee for their support over the last year, in particular Nic Harker and Allie Richardson who are not standing for re-election. The outgoing committee stood down Committee Nominations Executive Members Mark Richardson proposed Alison Wigg as Chairman, Sandra Letford as Secretary and Lynda Coggins as Treasurer. The proposal was seconded by Claudia Shand and was passed unanimously. Non-executive Members Sue Graves proposed the election to the Committee of Cathy Roberts, Nick Holmes, Katie Stanley, Nick Dennes, Keith Conradi, Jonathan Porter & Stuart McLay. It was proposed that Rachael Ogorzalek would be co-opted onto the Committee as a nonvoting member. The proposal was seconded by Allie Richardson and was passed unanimously.. 8. AOB London Marathon Draw. The draw was made by Nic Harker. Nick Holmes won the FTC marathon entry with Aidan Wiffen as reserve. Nic Harker thanked the chair, Ali Wigg for her hard work and dedication over the past year. Ali Wigg bought the meeting to a close.
