2 2. Chairman s Report March 2018 This year has been a little disappointing in attendance of some Club nights/afternoons. This has been caused by illness, holidays and attendance at other clubs, however, we maintain our core membership who come along rain, snow or shine to enjoy a session of shortmat bowls, a cuppa, biscuit and good company. It is an excellent club, with no petty rules, great value for money and gentle exercise. We are all getting less young and less mobile but we still have good fun and manage to set up the mats, chairs and other equipment. I know it is not always easy but we do it. I believe the fall in numbers affects other clubs as well, it is sad that we cannot attract younger members to play this wonderful game. I would like to thank all members who do their best to help out in many ways, particularly Jan who keeps a beady eye on our finances and general items requiring our attention. Our Committee is shrinking and we need volunteers to fill vacant posts. Finally, continue as you are to make this the best Shortmat club in the area. There were no Comments from the meeting members. Ken Smith (Club Chairman 3. Vice Chairman s Report John sent an to Ken apologising for his absence. I asked if he had prepared a report but have not received one, so there is no report at this meeting. John Streeting (Vice Chairman) 4. Team Captain s Report March 2018 It was an exciting finish to the 3T s League Competition this season with the final results going to the wire. We held top place for the majority of the season but dropped to second place, by one point in the final match between Tollesbury and D Arcy. Our team played extremely well throughout the season and I am very proud of their achievements.

3 Brian our former vice-captain reluctantly had to resign for health reasons, so I was on my own making team selection and admin for the matches. Brian carried out his role very well and I missed his assistance. We hosted the 3 T s annual league presentation evening this year and it was a great success. Brenda, thanks for arranging our entertainment, The Tiptree Tappers. Try to come along to this year s event at Tollesbury on Saturday 21 April. Betty asked if anyone could go? The evening is open to anyone. We gave a brief report about previous evenings and Betty has said that she would give it some thought depending on her commitments. Ken Smith (Team Captain) 5. Vice Captain s Report March There being no Vice-Captain we don t have a report this year 6. Webmaster s Report March 2018 I continue to maintain our club website, keeping it current with news and items of interest etc. and I am always open to suggestions about how you would like it changed and/or improved. If you have access to the internet, or a smart phone, tablet or computer, have a look. It is easy to navigate and contains club minutes, the constitution and other important information.. 4 7. Treasurer s Report Jan reports that we have had a loss this year ( 70), however we are solvent and there is no need to increase subscriptions. The main reason for our loss is not enough members attending on club nights/afternoons. We send flowers, donations etc to sick or bereaved members, and will continue to do so. See back page for full Profit and Loss statement. Ken proposed we accept the report, seconded by Phyllis and carried by show of hands. 8. Secretary s Report. As we don t have a secretary there is no report for this year. 9. Election of Officers Ken is resigning as Team Captain and is standing down at this meeting. Vacancies exist for Team Captain, Vice Team Captain and Secretary. Enid thanked Ken for his work as Captain and was seconded by Audrey. Phyllis said that to help out she would take on the Secretary post. Thanks Phyllis that would be great. 10. Tuesday Representative s Report Phyllis mentioned falling attendance but this was also discussed later. She also stated about assistance for setting up and clearing away. Ken said that members get it done with no petty rules, which is one of the charms of our club. Some members have mobility problems but everybody can do a bit to help with lighter things, making tea and coffee etc. Phyllis Gilbey (Tuesday Rep)

5 11. Thursday Representative s Report Falling attendance was an issue, but apart from that no serious problems. Sue did suggest that we advertise in a local paper with a view to attracting new members, but Ken pointed out we have done this before and Tollesbury have but to no avail. Ken suggested that the best way is to use the ol boys network and ask friends and relatives and youngsters to come along and try it. We can also place our poster in the new community hall and library. (Ken will try to find a copy). Pat said we could have a mat out on the Village Fete day to let people sample it. The trouble is youngsters probably don t think it is cool to play the game. Wrong! A gentle reminder to start at hrs. Bill Mackay (Thursday Rep) 12. Shall we continue to play in the League? Discuss This was a lively debate. There has been a little apathy sometimes in getting a team together, but we did exceptionally well this season. The issue is, shall we continue to play in the league? Ken explained our decision would have an impact on the two other clubs, but it is our club s choice. Jan reminded us that we used to get a spare mat out and spectators from both clubs could have a roll-up, sadly we don t get spectators from our own club now! This obviously has an impact on our income on match nights, on Tuesday evenings we need 11 people and Thursday 9 people to cover our costs. Jan always gets good prizes for our raffles and that definitely helps. It is not a major problem as we have sufficient funds to cover the minor losses. Less interest in league matches especially travelling away on dark, rainy, sometimes icy evenings generally added to the No vote but we mustn t forget the social side of the matches and playing on other tricky mats with warm friendly bowlers from the other clubs. We have decided that we will no longer play in the 3T s League, (carried by a show of hands and vast majority), but propose that we hold a number of social

6 evenings inviting both clubs together or separately to play at our Club. We would play, mixing players from all clubs, picking at random as we do on a club night. Ken will contact D Arcy and Tollesbury letting them know about our decision and discussing social evenings and when and where we could play them. 13. D Arcy request to share our facilities if and when their Hall is refurbished. Discuss. Ken outlined the request from Alan at D Arcy, they are hoping to have their own hall refurbished (sometime possibly this year??), and asked if they could use our facilities whilst it is carried out. It was unanimously agreed and we will need to finalise the arrangement. To avoid complications with our Hall committee we agreed we could let them combine with us on club nights and days namely, Tuesday evenings and Thursday afternoons. We would ask them to pay the same as us 2 green fee each. This would help to boost our funds as well. Alan does not know if this refurbishment will definitely take place but funds have been allocated by the council. Ken will talk to D Arcy to let them know our decision. 14. Date of Next Meeting The AGM will be held in March 2019 on a Tuesday Evening. Ken thanked everyone for attending today s meeting. The meeting was declared closed at
