1 BUCS Outdoor Archery Championships 2017 Entry Information Dates Saturday 10 th June 2017: BUCS Outdoor Archery Championships Sunday 11 th June 2017: BUCS Head to Head (H2H) Tournament [No BUCS points] Venue Lilleshall National Sports Centre Address Lilleshall National Sports Centre, Near Newport, Shropshire, TF10 9AT. In order to enable the shoot to run as smoothly as possible the hosts are looking to build a large field party to assist in the running of the day. Entry opening date Tuesday 25 th April 2017 Entry closing date Monday 22 nd May 2017 PLEASE NOTE: This deadline is different to the usual Thursday closing of BUCScore events due to enabling an additional weekend for qualifying scores to be gained, but still allowing enough time for processing and checking of entries. Men s Team (Experienced only): Women s Team (Experienced only): Open Compound Team Championship: Open Novice Team Trophy: Individuals will automatically be entered into the team competitions, provided there are enough eligible individuals from that institution to comprise a team. Please note the following team compositions: Men s Team Championship The team score shall be the highest three non-compound scores from the eligible male competitors from each institution, Experienced only. Women s Team Championship The team score shall be the highest three non-compound scores from the eligible female competitors from each institution, Experienced only. Open Compound Team Championship The team score shall be the highest two compound scores from the eligible male or female competitors from each institution, either Experienced or Novice. Open Novice Team Trophy The team score shall be the highest three non-compound scores from the eligible male or female competitors from each institution, Novice only. Please note that BUCS points will not be allocated where the minimum number of competitors has not been reached, and where there are not enough individual scores to extract a team score. Furthermore, an individual/team must have beaten another individual/team to score BUCS points (i.e. if three individuals compete in an event, only two will score BUCS points). Similarly, medals will be awarded according to the accrual of BUCS Points. For example if there are only three entries in an event only Gold and Silver medals will be awarded. Competition formats BUCS Outdoor Archery Championships (Saturday) Championship (Experienced) Men s Round: Gents WA1440 (90m, 70m, 50m, 30m) Championship (Experienced) Women s Round: Ladies WA1440 (70m, 60m, 50m, 30m) Trophy (Novice) Men s Round: Cadet Gents WA1440 (70m, 60m, 50m, 30m) Trophy (Novice) Women s Round: Cadet Ladies WA1440 (60m, 50m, 40m, 30m) All four distances will be shot in 6-arrow ends. All novices, and experienced Barebow and Longbow archers will shoot on full size 80cm faces at their shorter 2 distances, whereas all experienced Recurve and Compound archers will shoot on 6-zone faces for their shorter 2 distances. BUCS H2H Tournament (Sunday) Qualification Rounds: Compounds WA50m (80cm 6 ring (10>5) faces) Recurve, Barebow and Longbow WA70m

3 Followed by head to head elimination matches; consisting of the best of 5 sets of 3 arrows for Recurve, Barebow and Longbow and five ends of three arrows for Compound. World record status These events will be World Record Status at which World Archery Stars/Target Awards may be claimed by experienced archers only on Saturday, and all archers on Sunday. Qualifying standards and scores Please note: The qualification scores and criteria have changed from previous years. Entries will be accepted as one of following 2 categories: Automatic Qualification Experienced archers will require a 1 st class score except for experienced disability archers (who are entering the disability category) who will require a 2 nd class score. All novice archers will require a 3 rd class score. 2 nd Chance Qualification Experienced archers will require a 2 nd class score. Novices are not eligible for the 2 nd chance qualification. Archers must shoot a score equal to or higher than the qualifying scores listed in the tables below in order to be eligible to compete. All qualifying scores must be shot under competition conditions, at competitions that meet all of the following 3 conditions: At least 5 archers completed the competition and are shown on the results sheet. At least two clubs are present and competing. No more than 67% of all competitors are from a single club (can be university, or external clubs). e.g. inter-club friendly, League legs/championships and Open competitions etc. For the purpose of calculating numbers of competitors in a qualifying competition, the university club for each archer shall be considered, even if they entered the competition under a different club. e.g. An archer who shoots for University A at BUCS is included in the total number of archers from University A, even if they entered the competition under External Club B. The qualifying round must be a round listed in the tables below. In the case that the appropriate novice round is not available, novices may qualify by shooting the experienced round, granted a 3rd class score is obtained. The appropriate round must be shot in competition at, or since the BUCS Outdoor Championships The only exception to this is that an experienced archer who shot as a novice in the BUCS Outdoor Archery Championships 2016 can use that round as the qualifying score, provided a 1 st class score was obtained, but a full distance round is preferred. In all conditions the qualifying score must have been obtained with the same bowstyle as the BUCS category being entered. If an archer is entering both days in the same bowstyle, the same qualifying score may be used for both days. If an archer is entering with a different bowstyle on each day, an appropriate qualifying score must be submitted for each day. If an archer is entering the Sunday only, a 70m/50m round may be used as the qualifying score, with the scores shown in the table below. Spaces on the Sunday will be given first to those entered on the Saturday, and any spaces left will be allocated to Sunday only entrants.

4 The qualifying score is the same for both days, with novices requiring a novice qualifying score for Sunday, even though there is no novice category. The only exception to this, is if using a 70m/50m qualifying score for a Sunday only entry, as there is no novice qualifying score for a 70m/50m round, the experienced qualifying score must be obtained. A qualifying score will need to be submitted for each individual on BUCScore at the time of entry and a URL link to the results list for the qualifying shoot for that archer must be provided. The results list should be either directly hosted on the web, or in a downloadable document. This document should have the following minimum details for each archer: Full name Bowstyle Gender Round shot Score obtained Date of competition Location of competition Any individual who either fails to provide a functioning link to a results sheet or is found to have given a false score will not be permitted to compete. If this is discovered after or during the event, the participant will be disqualified, and any awards will be revoked. If a space has already been used up by the participant, the entry fee will not be refunded and a 20 fine issued. It is the institution s responsibility to ensure the links provided are correct. These can be checked in the Entry Lists that will be published on Tuesday 23 rd May 2017, and corrected up to the deadline for entry changes of 5pm on Friday 26 th May 2017 by contacting Nick Burley via the institution s Athletic Union see Pre-event information, entry checks and target lists below for more info. 5 2 nd Chance Qualification Round Recurve Compound Longbow Barebow Men s Experienced Gents WA York St George Women s Experienced Ladies WA Hereford Albion Novice entries Please note, any entrants who have not held insurance with an Archery Governing Body prior to, and who have commenced shooting during, the current academic year shall be eligible for entry into the Novice categories and should enter the appropriate categories on the online entry form. There will be no novice categories for the H2H Tournament. Queries on the status of a Novice should be directed to Nick Burley. Disability Archery entrants Competitors in the Disability Archery Category are participants with a disability who compete as part of the overall competition in their chosen event; however, in each individual event they can also be eligible to earn a medal as part of extracted Disability Results. The number of medals awarded will be dependent on the total number of entries within each disability category for each event. However all disability scores will still be eligible to count towards the relevant overall team score, and scores will be ranked as part of the overall event for the awarding of BUCS points; no individual disability BUCS points will be awarded. If an assistive device is required please specify what this is, any requirements you have to use this (e.g. remaining on the line) and be prepared to show suitable documentation authorising its use, if no assistive device is required please enter the open category. No evidence will be requested from competitors unless an assistive device is required. Competitors will be required to identify which disability category they are wishing to be entered into on the entry information they provide. The available categories are: OPEN Athletes may have impairment in the legs and use a wheelchair or have a balance impairment and shoot standing or resting on a stool. Open category athletes shoot under standard rules. W1 Athletes may have impairment in the legs and make use of a wheelchair. VISUALLY IMPAIRED V1, V2/3 Athletes may have impairment in their vision. V1 athletes must wear blindfolds or black-out glasses while competing. All VI athletes use tactile sights and are permitted an assistant sitting or standing one metre behind the shooting line to relay information about the position of the arrows in the target, safety and help with scoring. Archery GB membership All competitors must be members of Archery GB and membership cards MUST be presented at registration on the day of the Championships. Entry allowance Please note that each competitor may only be entered into one bowstyle per day. Each institution may make an unlimited number of entries, with spaces being allocated according to the Entry selection process detailed below.

6 Please enter all competitors who qualify for Automatic Qualification into the competitor seeding categories and sort them in order of preference for entry. If the event is oversubscribed we will use this information to allocate spaces. Any competitors not initially allocated a space will be added to a reserve list. Reserve list, substitutions and withdrawals Any institution wishing to make a substitution for one of their allocation must request this via their Athletic Union by 5pm on Friday 2 nd June Substitutions can only be made using those listed on the relevant reserve list and cannot be made after 5pm on Friday 2 nd June 2017 under any circumstances. Substitutions can only be made amongst the Automatic Qualification entrants and can only be guaranteed if they are for the same round and bowstyle. Confirmation/rejection of substitutions shall be given by Tuesday 6 th June 2017 at the latest. If an institution withdraws an entry before 5pm on Friday 26 th May 2017, the entry fee will not be returned. If an institution withdraws an entry after 5pm on Friday 26 th May 2017 but before 5pm on Friday 2 nd June 2017, the entry fee will not be returned and they will be fined 10. If an institution withdraws an entry after 5pm on Friday 2 nd June 2017, the entry fee will not be returned and they will be fined 15. Where an individual develops a new injury/medical condition requiring them to withdraw (during a fine window), a medical note can be submitted to avoid incurring a fine. Furthermore, if an individual fails to show at the event, having not withdrawn, their institution will be fined 20. Notification of a withdrawal should be sent via by an Athletic Union to Nick Burley. Entry selection process The following entry selection process shall be used: All Automatic Qualification entrants shall be taken first. In the event of oversubscription after these entries have been considered, a cut shall be made with preference given in order according to the submitted competitor seeding. If there are spaces remaining after the Automatic Qualification entries have been considered, the 2 nd Chance Qualification entries shall be considered. The submitted qualifying score of these entries shall be converted to the handicap. The remaining spaces shall be filled in order of handicap away from the Automatic Qualification irrespective of bowstyle. i.e. archers who just missed the Automatic Qualification score will have a higher priority than those who just achieve the 2 nd Chance Qualification score. This shall be continued until either the field is full, or all 2 nd Chance Qualifying entrants are shooting. In the event of there still being space on the field, but no space available in the applicable round of the next eligible archer (e.g. next eligible archer is an Experienced Female (shooting the Ladies WA1440), but the only spaces left are 2 spaces on the Gents WA1440), then the next eligible archer for the round with spaces shall be chosen. 7 Camping Camping will be available at Lilleshall National Sports Centre on Friday and Saturday nights at a cost of 9.25 per tent per night. Institutions must request camping when submitting entries on BUCScore, stating the required number of tents per night. Entry process Entries can only be submitted on BUCScore, our online entry system. Please speak to your Athletic Union as they will need to submit your entry on this system and it is their responsibility to manage the whole entry process. Please note: An address is required to be entered effectively within BUCScore as the system uses addresses as unique identifiers. The address used for each entrant must be unique to maintain validity of their entry. Changing or duplicating an address for an entrant may result in the entry being overwritten and therefore withdrawn. NO LATE ENTRIES WILL BE ACCEPTED UNDER ANY CIRCUMSTANCES. ATHLETIC UNIONS: ONCE ENTERED ON BUCSCORE MAKE SURE YOU SUBMIT YOUR ENTRIES AND RECEIVE A CONFIRMATION WHICH SHOULD BE CHECKED IMMEDIATELY. UNSUBMITTED ENTRIES WILL NOT BE ACCEPTED UNDER ANY CIRCUMSTANCES. Furthermore, after entries have closed no refunds will be given for withdrawals. This applies regardless of the reason for a withdrawal. Entry disclaimer BUCS will make every reasonable effort to ensure that its events are run in safe environments. It is the responsibility of all institutions and participants to consider any known medical conditions or disabilities before entering or competing in a BUCS event. If you know or are aware of a medical condition that might interfere with you exercising or participating safely, please consult a medical professional before participating. All participants assume full responsibility for any and all injuries, losses and damages that are incurred while participating in BUCS events. Additional information required for the BUCScore entry form Before being able to enter individual competitors: [1] Please indicate the number of tents your institution will be bringing on Friday 9 th June. [2] Please indicate the number of tents your institution will be bringing on Saturday 10 th June. When entering individual competitors: [1] Please give the competitor s Archery GB membership number. (All competitors must be members of Archery GB and membership cards MUST be presented at registration on the day of the Championships) [2] Please give the competitor s qualifying round. [3] Please give the competitor s qualifying score. [4] Please give the venue where the competitor shot their qualifying score. [5] Please give the date on which the competitor shot their qualifying score. [6] Please give the URL to the results showing the competitor s qualifying score. [7] Is the competitor a disabled athlete? [8] If you have selected yes to question 7, please indicate the appropriate disability category for the individual [Open, W1 or VI] [9] If you have selected yes to question 7, please state any assistive devices the competitor needs. (E.g. Wheelchair, shooting stool, tactile sight). [10] If you have selected yes to question 7, does the competitor require to stay on the shooting line? [11] Please provide any additional information you think may be useful.

8 Pre-event information, entry checks and target lists Please see the downloads section on the BUCS website Outdoor Archery event page for provisional preevent information. A list of entries received by the deadline of Monday 22 nd May 2017 will be published on Tuesday 23 rd May 2017 for institutions to check that all details are correct and advise Nick Burley, via their Athletic Union ONLY, of any amendments required by 5pm on Friday 26 th May 2017 no competitor details can be changed after this deadline under any circumstances. Please note: Any requests for changes to the data submitted on BUCScore may be possible but will be subject to an admin charge of 10 per change. These requests are not guaranteed. No new entries will be accepted during this window, it is solely for corrections to data previously submitted on BUCScore. This list does not guarantee that the entries will be accepted as all entries are subject to verification and the cut which will be made after Friday 26 th May Entries will not be classed as accepted until shown on the provisional target list. Final pre-event information and a provisional target list will then be published on Tuesday 30 th May Institutions will have until 5pm on Friday 2 nd June 2017 to review this provisional target list and request any substitutions that may be required and also to check that no previously submitted or corrected entry information has been incorrectly changed in the construction of the target list. Substitutions cannot be guaranteed unless the two archers being swapped were both entered for the same round and bowstyle and can only be made using those listed on the relevant reserve list and cannot be made after 5pm on Friday 2 nd June 2017 under any circumstances. A final target list will then be published on Tuesday 6 th June Only those persons listed on the final target list can participate.
