2 Welcome to your Club! This booklet is a brief précis of the Pony Club Movement and the running of your club. It is no way exhaustive. To document the complete workings of the Pony Club movement and what your Club does would take a ream of paper. The Pony Club Association of Western Australia has a comprehensive Handbook which covers all aspects of the pony club movement in Western Australia. Your club has a copy of the Handbook and it is available at rallies. The Aims and Objectives of the Pony Club Association of Western Australia which are enshrined in its constitution, to which your club is affiliated, are: To encourage young people to ride and learn to enjoy all approved kinds of sport connected with horses and riding To provide instruction in horsemastership and to instill in members the proper care of their animals To promote the highest ideals of fellowship, citizenship and loyalty and to cultivate strength of character and self-discipline.
3 The International Pony Club Movement The Pony Club Association is a worldwide organization, with its National, State and local clubs running mounted rallies to the approved formats of the relevant organization. At these rallies the members are encouraged to learn many aspects of horse care and riding, and have the opportunity to take part in various equestrian disciplines at Club, State and National Levels. The emphasis of the Pony Club Association is that of a Youth movement with Safety of the Rider, Comfort of the Pony, Enjoyment of the Rider and Training of their Character and the Progress of the Rider in that order of priority. Pinjarra Horse and Pony Club Inc is a member of the West Coastal Zone Other local Pony Clubs who are members of the Zone are Murray, Serpentine, Log Fence, Peel, Wandi and Baldivis In turn the West Coastal Zone is a member of Pony Club Association of WA Which in turn is a member of Pony Club Council of Australia Which in turn is affiliated to the World Governing Body
4 DETAILS OF THE CLUB To run an affiliated Pony Club requires a lot of manpower. 5 Management The committee meets monthly to arrange rallies, shows, competitions, raise funds and sponsorship monies, organize maintenance & replacement of equipment, & fulfill the club s obligations to the West Coastal Zone and the PCAWA in accordance with its Constitution and Articles. You are encouraged to read the Club s Constitution to understand how your club is run. Rallies The monthly rallies are held on the first Sunday of each month from March to November. These rallies are conducted at the Pinjarra Equestrian Centre, McLarty Park, Roe Avenue, Pinjarra and are divided into four basic sessions: Flatwork (learning the basics of the controls called aids to be able to ride the horse comfortably and safely) Show Jumping (learning the methods to get your horse to jump a series of obstacles) Games & Novelties (learning how to ride your horse at speed with safe controls) Horse-mastership & Care (learning the theory of riding, how to look after your horse, making your horse happy, road safety with horses, first aid, land care, horse injuries and ailments) It is a prerequisite for a member to take part at a rally that a parent/guardian is in attendance throughout the whole day. At the monthly rallies the parents/guardians are required to set up and pack away equipment as per the rally plan which is published in the monthly newsletter. Members MUST notify the Chief Co-Ordinator by phone or SMS no later than 9.00pm on the Thursday before a rally day if they will not be attending the rally. This is VERY important so as to allow the Chief Co-ordinator to plan the rally, organize equipment, ensure groups are rearranged optimally and paid instructors can be cancelled.
6 The time format of the monthly rally is 7.30am Grounds and canteen opened 7.45am - Set Up 8.30am Set up of lesson equipment 9.00am Gear Inspection 9.15am First lesson commences 10.45am Second lesson commences 12.00pm Lunch 1.00pm Afternoon sessions commence 3.15pm Pack Away (The above time format is subject to unexpected change and should be used as a guideline) All parents/guardians and riders need to be available to assist in setting up and packing away equipment at rally days. It is unfair if the same handful of people and riders always are left to undertake this workload. A running chart will be posted each rally with names of people who help. In addition to rallies, parents/guardians are expected to assist the club to set up and pack away equipment at the Club s dressage, hack and showjumping days. These events are our fund raisers and helpers are nominated on a roster. Parents/guardians are asked to help in the Canteen at rallies and at other events run by the club which are our main fundraising activities. The Roster Co-ordinator will ask for mutually agreeable dates for your canteen rosters and the dates you will be available to help out on dressage, hack and show jumping days. If you are rostered on for an event and cannot make it, it is your responsibility to find a suitable replacement. Riders are to attend rallies in Pony Club Uniform. All riders will be gear checked every rally to ensure that their clothing and equipment is to appropriate safety standards and that their mounts are presented clean and tidy. Marks are awarded for attendance and turnout for each rally and awards are presented at the end of the year.
7 The Formal Club Uniform (required for interclub events, representing our club at other clubs and certificate testing) is:- Safety Helmet of ASA3838 standard Navy Blue Woollen Jumper Long Sleeved White Collared Shirt Red Tie Beige, fawn or cream Jodhpurs (not white or coloured) Short Riding boots for all riders under 17 years Long Boots optional for riders over 17years to 25 years Gloves Navy Blue Saddle blanket with red trim. Hair Tied back with ribbon and in full hairnet. Strictly no Jewellery or nail polish Rally Day Uniform As above with the exception of white shirt and tie which may be replaced with long Sleeved Polo Shirt in Club Colours of Navy and Red. Uniform for Instructors and Adult Helpers Instructors, where possible, should wear Pony club Uniform as the riders do, with a hat or cap for shade. Adult helpers are asked to wear trousers or shorts with closed in shoes and a long sleeved top appropriate to the Sunsmart Policy adopted by the PCAWA. Gear Checking at Rallies Gear Checking will be carried out by the rally instructors before riders are allowed to mount. The following items will be inspected for safety and comfort of the horse: 1. Condition and fit of bridle and saddle 2. Safety of bridle and saddle, according to PCAWA Gear Checkers Manual 3. PCAWA badge to be worn on V of jumper 4. No jewellery whatsoever 5. Prescription glasses only 6. The wearing of makeup is discouraged but sunscreen is recommended. 7. The horse/pony must be groomed and feet cleaned out. 8. Bridles No bitless bridles, bits to which rein is not attached or bits that are not smooth are allowed. 9. Nosebands Cavesson, Dropped, Hanoverian, and Grackle are allowed (curb bits may only be used with a cavesson noseband)
8 10. Running martingales (running rings) must have stoppers on the reins and where neck strap crosses martingale. Standing martingales must be attached to the cavesson or top half of crossover or Hanoverian noseband. 11. Stirrups straight iron with tread for leather soled boots only. Stirrup bar on the saddle must be down, leather must be on top of saddle flap. The internal width of the stirrups must be 2cm wider than boot. 12. Saddle correctly fitting English type saddle with 2 buckle girth or single buckle with a surcingle. 13. Whips allowed for eventing and show jumping must have a flapper, must not be weighted at the end, not exceed 75cms. Wrist strap must be removed. Safety The executive and committee take every reasonable precaution to make the club rallies and events safe. However, it is the responsibility of every member and parent guardian to be responsible for their own safety and the safety of others. Certificates The Pony Club structure encourages Riding Members to prepare for and sit certificates which enables them to learn progressively about horse and pony care (horsemastership) and riding (horsemanship). The certificates are designed for the member to progress from one standard of learning to the next. Certificates are standardized across all pony clubs, therefore if a rider changes pony clubs then they are able to continue where they finished at previous club. The efficiency certificates is a step by step progress. The various tests and certificates are: The objectives for each certificate are a guideline and no rider will sit certificates unless the chief coach is confident the rider is adequately prepared. Work booklets are available to purchase from Secretary and these booklets are to be brought to each rally to be used in the horsemastership sessions.
9 These booklets are an indication of the syllabus covered and are used to determine when riders are ready to sit certificates. Full outlines for each certificate are on the PCAWA website but a brief outline is given below Test D D Star C C Star B Minimum Age 8 years 10 years 12 years 14 years 16 years Objectives To gain confidence in riding, handling and caring for a pony. To be keen to learn and improve. To work towards a balanced seat and independence of the reins. To improve the rider s control of the pony. To have an elementary knowledge of the care of the pony. Candidates must have control of their ponies and show a more secure and correct position for flat work and jumping. To attain a balanced seat, independent of the reins on the flat and over small fences. To show control of the pony at all paces. To demonstrate knowledge of horsemanship as outlined in the examination format. Candidates should be encouraged to ride in snaffle bits wherever possible. If another bit is used, the candidate should know the name and understand its action. The rider should be able to maintain consistent contact through the reins. In checking diagonals or leading leg, the candidate may drop the eyes to look at the shoulders, but may not drop the head or lean forward. Ideally the concept of "feel" through the seat should be introduced at this stage. The forward jumping position/s with a steady lower leg should be established by the time of the test. To obtain a secure and steady seat candidates should be encouraged to hold on to the mane or a neck strap over the jump. To become an active rider with knowledge of the aids and how to apply them correctly and effectively. To ride simple cross country and showjumping fences To gain practical experience and knowledge of the care and conditioning of the horse in preparation for a strenuous event. To have a thorough knowledge of the Road Rules for horses as apply to your State. To ride safely and sensibly on the roads and in the country. To become a competent, all-round rider, who knows the reasons for what he/she is doing and is able to assess results. To ride over different types of fences at specified paces. To be capable of riding and jumping any well-mannered horse or pony, and commenting on its way of moving. To be capable of joining in any suitable Pony Club activities of interest to the rider, e.g. eventing, hunting, trekking, gymkhanas, etc. and looking after the horse before, during and after the day s activity. To gain knowledge and practical experience of the care and conditioning of horses and to be able to look after a stabled horse
10 To ride intelligently and with due regard for others on the roads and in the country, with a knowledge of pace and distance. A K H 17 years 14 years 17 years To become an educated horseperson, able to ride with confidence, style and polish on the flat and over fences. To understand the principles of training, including young horses, as taught in Pony Club and be able to put these principles into practice. To be capable of riding and jumping horses of all temperaments and stages of training and of assessing a horse s potential and how it could be schooled to improve ride and performance. To gain wide knowledge of the care and conditioning of horses. To have a sound knowledge of the organization and running of the Australian Pony Club Council and the Candidate s own State Association Knowledge of other societies and organizations connected with horses. Other Certificates To widen the candidate s experience in various aspects of horsemastership. To become an active, efficient rider who is thoughtful for the horse. To improve skills in horsemastership, and other horse related activities. This is an alternative Certificate to C*, between C & B. It is designed for the active rider, and covers many equestrian aspects not included in other Certificates. The "K" comprises a compulsory section and a wide variety of optional subjects. To gain wide knowledge in the care and conditioning of horses and to be capable of taking charge of horses, either stabled or at grass. The H Certificate is a horsemastership test. The syllabus centres on this aspect of work so that it is suited to the non rider as well as the rider. Three years in Pony Club must be allowed for preparation. It is intended to afford keen Associate Members a worthwhile certificate for efficiency in horse management. Certificates and coloured discs (which go under badge denote the stage riders are at.
11 Vetsearch Citizenship Award The Vetsearch International Citizenship Award, commenced in 1994, is awarded to an Associate Member of a Pony Club affiliated with the Pony Club Association of Western Australia who has given constant and practical services to his or her Club. The Associate Members must have been a member of a Pony Club for at least three years, and if a change is made to another Club, a recommendation from the previous Club must be included on the Nomination Form. To be considered worthy of this award, the Associate must have always been HELPFUL and THOUGHTFUL for others, and genuinely interested in seeing that the AIMS AND OBJECTS of the Pony Club Movement are upheld in the Club of which he or she is a member. The Award may only be made once to an Associate. Riding ability and participation in teams, is irrelevant, and is not a determining factor when nominating an Associate Member for the Award. The Club Committee shall decide whether or not an Associate Member is to be recommended to the Zone Committee for approval. Only one nominee per Club per year may be submitted. THE VETSEARCH INTERNATIONAL CITIZENSHIP AWARD IS THE HIGHEST HONOUR FOR SERVICE, AND ONLY ASSOCIATE MEMBERS WHO HAVE GIVEN OUTSTANDING SERVICE SHOULD BE CONSIDERED
12 Pony Club Championship Events During the year the PCAWA runs a number of championship events in the various equestrian disciplines. The major championship events are: Tetrathlon Horse Trials ( ODE s) Showjumping Dressage Games (known as the Prince Phillip Mounted Games PPMG ) Novelties Trooping (known as the musical ride ) The championships are designed to encourage members to participate provided they are competent to compete safely and with confidence. Qualifications of Teams for Championship Events Horse rider combination participants must have attended at least 3 working rallies Age restrictions are at the date of the event Members must be financial Selection decisions at Club & Zone level are final and if you are chosen to represent your club or Zone you must attend to run off or final. If there is any doubt about being able to compete you should not try out for the teams. Your club actively encourages and organizes teams for these events. Such championships are usually conducted over a complete weekend and provides members to meet other Pony Clubbers from around the State Other Events Apart from Pony Club rallies and events, throughout the year, all over the State, there are events in all disciplines conducted every weekend. These include Hack Shows, One Day Events, Dressage Competitions, Breed Classes, Gymkhanas, Novelty Days, Endurance Events and Showjumping. There are such events outlined above to suit all ages and level of skill. The club encourages its members to attend and compete in any of the above. Experienced members and or the instructors will only be too happy to provide help and guidance for those new to these events.
13 Bi-Annual Festival The Pony Club Festival is held every two years over a weekend (oddnumbered years) with events held both indoors and outdoors at the State Equestrian Centre at Brigadoon. The Festival is for individual members of Pony Clubs and is a low-key, fun weekend. There are classes for Riders, Pony Club Mount, Showjumping, Novelties and Fancy Dress in various age groups. Rules for each competition are the same as those for State Championships. Heights for Showjumping classes are lower than for State Championships. Pony Club members may enter individually as many classes as they wish. This bi-annual event is an easy introduction into competitions and a great way to meet Pony Clubbers from around the State.
14 Web Site and Facebook The club s web site is in the process of being updated. In fact any horse lover! The Web Site is a recent addition. As the year progresses more information will be available on the site. The monthly newsletter, results, photo s, training material etc. All members are strongly urged to visit the website frequently to keep abreast of current news and events. Join our facebook page as a friend and keep up with other members. Newsletter The Club publishes a monthly newsletter which provides a communication link on all the happenings of the Club to its members. All members are encouraged to contribute to the newsletter. Results from events you have attended, new ponies, poems, funny stories will all be greatly appreciated by our Newsletter Editor whose details are below:
15 Shenae Tilbee Mobile: Fee Structure 2014 Riding Members minimum age 4 years as of 1/1/2014 $210 for 1st family member, $180 for 2nd family member $150 for 3rd family member $170 for associate members over 18 as of 1/1/2014 Non Riding Members $45 Adult supporter/social Member Fundraising/Sponsorship Fund raising and Sponsorship is an important function for the club. Whilst every endeavour is made to keep the costs of running the club down it takes around $20,000 - $30,000 to run the club each year. This is before any major expenditure on equipment and infrastructure. Everybody is expected to contribute to the many fundraising activities held throughout the year. Also, to obtain funding from Healthways, local, state and federal governments, and businesses it is expected the club contributes on some basis (usually one for one). Greg Kendall is our Fund Raising Co-ordinator this year. If you have a brilliant idea to raise funds please let Greg know. Dispute Resolution Should a dispute arise for whatever reason the club a dispute resolution policy enshrined in the constitution as follows: (a) The first point of contact between the Management committee and the member should be verbally to one of the Executive or Committee
16 (b) (c) (d) (e) If no suitable response is obtained, the Complainee should then put their complaint in writing to the committee. This letter should be tabled at the next committee meeting where the committee must discuss what action should be taken. The Complainee must be given the opportunity to present his/her case to the committee and if necessary produce witnesses or proof of their concerns. The Committee if unable to reach an agreement of action to be taken should consult the Member Protection Officer appointed by the Zone to help resolve the problem. If the Complainee is not happy with the response from the committee he/she may approach the MPO for help in resolving the issue with the Committee. If the MPO is not able to help with an outcome satisfactory to both Club and Member, the Zone must be asked to consider the matter with the aim of helping reach a successful outcome for both parties. PCAWA Policies The State Association has a number of Policies which in turn your club follows and adheres to. These Are: Anti-Doping Policy Member Protection Policy Alcohol Policy Drug Free Policy Healthy Catering Policy Smoke Free Policy Sunsmart Policy Child Protection & Working With Children Policy Privacy Policy Not only are these Policies good citizen governance but are required to be followed to enable access to State and Federal funding and obtaining adequate insurance coverage. These Policies are detailed in the State Association s Handbook Code of Conduct THE PINJARRA HORSE & PONY CLUB INC. TAKES GREAT PRIDE IN ITS APPROACH TO ITS ACTIVITES AND IN PARTICULAR TO COMPETITIONS. THE CLUB SRTICTLY ADHERES TO THE TENENTS FOR PARENTS AND RIDING MEMBERS BELOW. PARENTS' CODE OF BEHAVIOUR If children are interested, encourage them to play sport. However, if a child is not willing to play, do not force him or her.
17 Focus upon the child's efforts and performance rather than the overall outcome, of the event. This assists the child in setting realistic goals related to his/her ability by reducing the emphasis on winning Teach children that an honest effort is as important as victory, so that the result of each game/event is accepted without undue disappointment. Encourage children to always play according to the rules. Never ridicule or yell at a child for making a mistake or losing a game. Remember that children learn best from example. Applaud good plays by both teams. If you disagree with an official, raise the issue through the appropriate channels rather than question the official's judgment and honesty in public. Remember, most officials give their time and effort for your child's involvement. Support all efforts to remove verbal and physical abuse from sporting activities. Recognize the value and importance, of volunteer coaches. They give of their time and resources to provide recreational activities for the children and deserve your support. RIDING MEMBER S CODE OF BEHAVIOUR Ride for the "fun of it" and not just to please parents and coaches. Play by the rules. Never argue with an official. If you disagree, have your parent/guardian or coach approach the official during a break or after the event. Control your temper. Verbal abuse of officials or other riders, deliberately fouling or provoking an opponent and throwing equipment is not acceptable or permitted. Work equally hard for yourself and your team. Your team s performance will benefit and so will you. Be a good sport. Cheer all efforts whether they are by your team or the other team. Treat all riders as you would like to be treated. Do not interfere with, bully or take unfair advantage of another riders Co-operate with your coach, team-mates and opponents. Without them there would be no event o
