General Meeting 2. Secretary's Report The minutes for the month of August were approved via an vote and distributed to the Association. 3. Treasurer's Report Motion made by Rod to approve the financial reports for August. Seconded by Trevor 4. Correspondence/Officer Reports WAHA Meeting Update o Meeting was last weekend and regional meeting was last night in Spooner o ADM clinic Saturday, October 12 th from 6-8 PM. Run by USA Hockey. o First 25 associations registered will receive a bag of ringettes, practice balls, and blue pucks o Rod Elkin has attended in the past and thought it was a good clinic o Limit of 50 on ice coaches o Runs coaches through all drills o Bob will send out info to coaches (waha.com) o Not mandatory, but highly suggested 2 and 2 Challenge o Bob signed CYHA up again o Challenge from MN o Bob will need some help Welcome back week Bob will contact skaters under the age of 8 Try hockey for free on 11/2 Transition after 11/2 (Beginner Program) Another free hockey on 3/1 (same weekend as Mite tournament) o Wisconsin Hockey Hall of Fame Running out of room Has room for 4 more plaques and then is full

2 Looking to expand looking for donations from associations in the area. 4 guys from Chippewa have won scholarships from the Hall of Fame and Bob is trying to track them down Went through Playdowns o Only involved for two girls teams (u12 Superior and u14-hayward) o Will be held in Chippewa o CYHA hosting Peewee B state tournament Playing Rule Changes o There was a change in penalties for charging, boarding and head contact 2 minutes and 10 for misconduct total of 12 minutes per occurrence o If you receive a second, you get a game misconduct and you are out for that game and the next game o All officials must wear a ½ shield o Looking in to having some at rink for purchase when needed o Bob has new WAHA book and 4 year rulebook 5. Old Business Nothing to add 6. New Business Raffle Audit occurred on 9/17 calendars and ATV Average # of violations is 4, we had 3 o Need to add physical address of rink and time of drawing o Should have a B raffle license as well (50/50) - Day of sales (need for tournaments) o Required to draw daily or whatever frequency that is published on the calendar If you are selling out to state, purchaser must come to state of Wisconsin to purchase. Only need to keep stubs for 1 year but keep winners for 2 years If there is more than one name on stub, need to divide prize equally among names on the ticket For Bingo, only a family member (not parent/legal guardian) has to be present for the minor to play Workers can have minors play, but can t stand by them or assist them with the numbers 7. Committee Reports Special Events (Rod) Country/RockFest Financial Update o Payment to CYHA $73,000 o CYHA expenses were $5,300 o Net profit was $68,000 o Fest Negotiations list was sent out to Board. Any feedback should be provided to Heidi or Rod Olson or Erik LeMay by 9/30. Beerfest/Springfest Update o Date is April 26, 2014 o Tickets are being printed so they are ready for registration o Will be in conjunction with SpringFest o Potential of Ice Bowl (Corporate Night) on Friday, April 25, 2014 o Kris Johnson & Brad Martin are interested in helping out o Gordy s has committed to do Beerfest again in 2014

3 On-Ice (Scott) Mite Hockey Boards o Bob found a new option or mite boards o Bob talked to a guy at WAHA that has used a set they really like them. Took 10 minutes to set up the first time. o There are two sets available, one is $ (3x3 tubing and 3/8 plastic with kick plates) others are 5900 (2x2 tubing and 3/16 plastic) o Steve is still working on fundraising for the hockey boards Motion made by Pat to buy a set of mite hockey boards (to be determined which option). Seconded by Scott Bob will get more information on options and to board. Motion passed. Ice-In and Try-out Dates o 7 floods done, one more tonight after meeting o 1 st ice availability will be on 9/23. o Bob will work on scheduling ice time o Tryout dates will be Thursday, October 24 (SQ 5:45 & PW 7:00), Saturday/Sunday (SQ 11 AM, PW 12:30, Bantams 2:00) o South Rink ice in date target is 10/27 for lines Concussion Training/Testing o Everything is on website (video and forms) along with testing date o Coaches meeting on 10/21 for concussion training/testing at 6 PM Tournament Update o All going well o is checked daily and getting calls o Registration for 3 teams already o On the Go Photo is set up and has agreed to do tournaments this year PDC o Coaching applications went out today o Heather will send out o Need back by 10/15 Facilities (Pat) Parking Lot o Parking lot is sealed o Lines will be put in when weather cooperates o Once lines are done need to contact CFYB to ask for their portion of the lot Hot Water Heaters o Water heater for Zamboni room is complete o Long term, need to look at moving in floor water heater o Recommendation is invest in a small boiler Compressors started up fine but had to add 300 pounds of Freon o Need to keep on top and possibly do a pressure test next year

4 o Need to consider replacing Freon with newer models Locker Room D o Figure Skating Board still reviewing o May consider replacing current locker room C to fill some dead space at the same time o Then remove bathrooms between A&B and put a door to other bathrooms in North Rink side. Finance/Administration (Randy) CYHA Job Postings o Jobs are posted on CYHA website o Work Assessment: Finance/Administration committee recommended Kim Syverson be appointed work assessment coordinator. Motion made by Rod to approve Kim for the Work Assessment Coordinator Seconded by Steve o Cassie T. is interested in doing First Aid. Bob will connect her with Kyle to see if he can share this responsibility. Approval of Committee and Work Group Membership o Need to coordinate list of committee and work group Membership o To be done at a future date. Proposed Changes to Assessment Policy o Board reviewed changes to assessment policy and major changes: Updated hours/fee for upcoming season Removed cap of 30 hours/activity Increased head coach hours to 50 hours Added exception to Country/Rock Fest that any hours worked for a skater can count for assessment hours, regardless of relationship Removed ability to sign up for a committee at registration to satisfy requirement for prior year hours Motion made by Pat to approve changes listed above Seconded by Scott P o Finance Committee will look at a 5 year plan to show long term plan for CYHA and the benefits of working the hours and Country/Rock Fest, etc. There are no other associations in WI that have two sheets completely run by volunteers. ByLaw Update o Changes were submitted to Steve and the policy was updated. Motion made by Trevor to send bylaws to association and hold voting at December 18 th meeting. Seconded by Scott P Plowing Contract o Randy Reeg will send out to the association.

5 o Need to add to clear fire lane and clearing of north rink exit doors on east side o Self-supplied insurance requirement Player/Parent Code of Conduct o Steve reviewed code of conduct for player and parent as well as the procedures o Will be required to be signed by player and parent at registration o Statement for any guest be changed to my guests (player/coach/player) Motion made by Trevor to approve the player and parent code of conduct and require it be signed to participate. Seconded by Scott P Gordy s/bellatoria Contracts o Steve talked to Gordy s & Bellatoria willing to renew for same terms 5 year terms. o Steve will bring contracts for next meeting to review/approve Motion made by Trevor to approve in-ice advertising agreements for Gordy s / Bellatoria. Seconded by Rod Registration Update o Registration next week (24/26 th ) o The registration fee will increase $25 for those signing up following the Sept 24/26 th dates o GOAL info is on CYHA website starts 9/28 o Jessica Gums is the new coordinator for GOAL program o HS Girls cannot help out this year, so checking with HS boys and possibly U12 & U14. Motion made by Steve to grant hours for SQ based on this year s level and above hour for hour for assisting with GOAL program. Seconded by Brad USA Hockey SafeSport/Screening requirements o Screening every 2 years o Need to have an Association SafeSport Coordinator. Currently the president is responsible unless we have an interested volunteer to fill the position. o There are some policies that need to be reviewed/added o Board Members, Coaches, and Team Managers will need to complete screening process themselves and will have to submit SSN o If Refs have done theirs, they can use for this process o SafeSport Training is required for the association representative. Coaches are not required but Refs are. Recommended that coaches take it this year as there is not a requirement to take or pass test this year, but it will be required next year Miscellaneous items o Scott P will be taking over community service/prison o Bob sent communicating that the handicap ramp is ready for us o Trevor is working on getting concrete for outdoor rink donated o Trevor also working with Tony Kovac from Access Security to do the security system in the rink (Trevor, Pat, and Bob)
