3 SUMMARY OF THIS PROJECT The author of this advertising and marketing plan: My name is Margaret Livingston and I am a senior Girl Scout in troop 1234 from Crotonon-Hudson, NY. I have been enjoying learning the Spanish language. As part of my Girl Scout Gold Award leadership project, which is the highest leadership project in Girl Scouting, I have created this advertising and marketing program to expand your rummage sale to the Spanish speaking community throughout Westchester county NY. To expand the use of this plan beyond this region you may use the 5 flyers in this document and create a list of the organizations in your own community that serve the Spanish speaking people. This advertising and marketing plan really works, and will enable your organization to reach and include Spanish speaking customers, touching more lives and making a bigger impact. The sponsor of this marketing plan: The Rev. Bradley Dyche of St. Augustine's Episcopal Church, located at 6 Old Post Road North in Croton-on-Hudson, NY believed in my vision of expanding the rummage sale to the Spanish speaking community. The annual rummage sale was used as the test case for the marketing program created in the Spring of 2011, and this test program provided a real benefit to those in need. The document you see here is on the St. Augustine's church website and it can be downloaded and distributed to your rummage sale workers for easy use. To create bilingual flyers, simply have your own Spanish translator help insert your sale information. Our website is Why you should use this advertising and marketing plan: You have the ability to make a difference in the lives of others by using this plan. It does not take much time. Some flyers are mailed 4 to 6 weeks before your sale and are distributed by various organizations that have daily contact with the community members that need your help the most. During the two weeks prior to your sale you will need volunteers that can drive to hang flyers at locations you choose, or you may use the locations identified on the driving routes within this plan. I can only say, that by using this program our sale really improved more lives and that small changes can have a big impact. How the sale changed: The Clothing sale at the St. Augustine's Episcopal church has always had the fixed $1 price, but was never marketed usefully to include the Spanish 1

4 speaking community. This year St. Augustine's mailed 1,500 flyers and volunteers hung 500 flyers. The flyers in this document were on the church website so customers could access the information easily. As a result of this advertising and marketing program our customers came from Ossining, Peekskill, Tarrytown, Sleepy Hollow, Pleasantville, Mount Kisco and Croton-on-Hudson, NY. Before this year, we only received customers through advertisements in the Pennysaver (a local classified advertising newspaper), which does not generally cater to the Spanish speaking community. Overview of steps: Use the 5 flyer templates in this document to create flyers to advertise your sale Find areas in your community that the Spanish speaking community frequent Contact food pantries to ask permission to distribute your flyers (4-6 wks before sale) Plan on a 4-week distribution of flyers (some organizations serve different families each week) Create driving routes for people to hang flyers (or use the ones in this plan) Solicit volunteers to hang flyers (schedule them to work 2 wks before sale through end of sale) Solicit bilingual volunteers to translate your flyers and assist customers at your sale FLYER CREATION Create 5 Easy Flyers 1. Translator Volunteer Request Flyer To obtain bilingual volunteers to assist non-english speaking customers at sale Distribute to bilingual Spanish speaking local groups, 3 to 4 weeks before sale 1. DOUBLE SIDED BILINGUAL FLYER (SINGLE COUPON): It is important to make sure you have approval for your flyer from the organization before sending the copies for distribution. You should begin this process 4 to 6 weeks before the start of your sale. Included in this document there is a list of the organization contacts we used. We delivered and mailed flyers to: food pantries, soup kitchens, open door medical facilities, day care centers, and some churches with Spanish services. The next two pages have an example of the double sided bilingual flyer. When the customer presents the coupon at the bottom of the flyer you will understand the level of family need and can help the customer accordingly. The number of coupons redeemed at the sale showed a great level of need in the community. See next page for sample flyer #1 3

8 2. SINGLE SIDED BILINGUAL FLYER (MULTIPLE TEAR-OFFS): This flyer has tear off coupons at the bottom and was created to be posted at places that the Spanish speaking community frequent. The flyer allows customers to access the church website and to get the information regarding the sale. The tear off coupons allow the person to take one part of the flyer and not the whole thing. By obtaining volunteers to distribute the flyers in the laundromats we saw a significant increase in participants from other towns. This flyer should be hung 2 weeks before and during your sale. 11 3. DOUBLE SIDED BILINGUAL SCHOOL FLYER: The local school Bilingual language flyer has two purposes. The first is to advertise the purchase of inexpensive clothing and home items, and the second purpose is to request clothing donations. This will obtain items and customers for your sale. In addition, you should contact the ESL (English as a second language) teachers at the schools in your town and provide them with bilingual flyers to send home to their families. This will enable the local Spanish speaking families to participate in the sale. Make sure to obtain the proper approval from the school for your flyer before making copies to distribute. The approval should be obtained 4-6 weeks before your sale and the flyer should be distributed at the school 2 weeks before the sale. See next page for sample flyer #3 9

14 4. ENGLISH SPEAKING VOLUNTEER REQUEST FLYER: The purpose of this flyer is to gather volunteers to hang flyers on your driving routes. This flyer can be distributed to English speaking local service groups in your community and the youth council at your organization. This should be done 4 weeks before your sale. 20 Instructions Flyer Distribution routes: It is very important to obtain volunteers that hang flyers in laundromats and to make it easier for the volunteers to be willing to participate I created one hour driving routes for locations in surrounding towns. The following pages have our driving routes. The page below has the instructions we enclosed with the driving routes Flyer Distribution Instructions Thank you for helping with this very important community project. 1) Enclosed is a map which lists flyer distribution locations. 2) We have provided tacks, however, you need to bring your own roll of tape since some locations do not have a cork board. 3) At each location place four flyers either in the specified cork board area or on the wall. Each package contains some extra flyers since people may ask you for one. Some locations require you to leave a stack of flyers there, the driving directions will specify which places those are. 4) We are distributing flyers the weekends of (insert dates). We have put flyers in some locations during the week of May 10th. Please note if there are any flyers remaining. 5) Please return your unused supplies to (insert location) so that we may continue to use them. 6) We believe the time required is approximately one hour per route. 18

30 DAY CARE CENTERS: Day care centers are a very important part of your marketing target because many have scholarship programs for needy children.
