Since you have found this letter, you ve probably already looked at maps, found your stall, and met someone from the Central District. The State Board and the Central District, welcome you to the 2014 State Championship Meet. Athletes, the time has finally come for you to have some fun, demonstrate your skills, and compete at the highest level. Congratulations to each of you! As we all endeavor to work through the next four days as a team, you will inevitably discover a challenge or two along the way. Please don t hesitate to talk with your district chair, other state board members, or someone from the Central District to ask for help. Of course, who you ask depends on the challenge. Generally, your first person to ask is your district chair. As we go through each day, please pay close attention to what s going on in the various arenas and if you re not sure, ask someone. It s critical that you be at the arena you are supposed to be for your event at or before your allotted time. No schedule is perfect, but you can monitor the situation. Work with your district chair if conflicts arise, but don t let the problem be you. Remember, we are all volunteers, striving for the same goal as you; to put on an outstanding event, which best serves the high school equestrian athletes in our state. You can help make next year s event better by filling out judges evaluations, meet surveys and putting constructive suggestions in the suggestion box. We are always open to new ideas, suggestions, and ways we can improve. Don t hesitate to corner Candi or Karissa to share suggestions either. Athletes who qualified for the State Championship Meet, you are among the finest young horsemen and women in the state. You are future leaders and competitors in a variety of disciplines; I look forward to your OHSET competition as well as your future leadership. As you compete at the 2014 State Championship, I know you will make us proud of your perseverance, your accomplishments, your sportsmanship and your character. Thank you for being who you are. 3 State Championship 2014 Things you should know before you arrive in an effort to make your planning easier Shavings will not be bulk this year, they will be baled. Each stall will receive 2 bales of shavings at the start of the show; these will be in your stall when you arrive. Additional bales will be available for sale at specified hours. Even tack stalls will have 2 bales of shavings in them at the start so districts will likely have a few extras. If this is not enough shavings, you may purchase shavings at the show; $6 per bag a trailer will be set up near maintenance and will be manned at the following times: Wed, 5/14-5:30-6:30 pm Thurs, 5/15-6:30-7:30 am and 5:30-6:30 pm Fri, 5/16-6:30-7:30 am and 5:30-6:30 pm Sat, 5/17-6:30-7:30 am and 5:30-6:30 pm Plan ahead, these are the only times shavings can be purchased at the show. Price will be $6.00 per bale you will need to transport from the trailer to your stall. All horse trailers will be parked on the hill on the East side of the road, East of the horse barn and Juniper Arena (you can find a map of the grounds at: Please note that the area on the facilities map marked RV Parking will actually be haul in parking. The RV Parking full hook up campsites are just South West of the HDAC and Dairy Barns. Electric only RV parking, we will make every effort to be on grass as close to your district s stalls as we can. Having the horse trailers on the hill will allow us to have more space for spectators and others driving in with vehicles each day. 4 State Championship Meet Special Meet Special Place, and a few special rules 1. Only licensed drivers may drive vehicles on the grounds from Wednesday at 3 pm through the completion of the awards ceremony on Sunday. This includes, but is not limited to: Golf Carts, Cars, Pick Ups, etc. 2. Aside from vehicles with arena duties (like dragging for gaming or feeding the cattle), only golf carts are allowed as alternative forms of transportation. Four-Wheelers, Side by Sides and other motorized rides are not allowed. Bicycles may not mingle with the horse areas they should be kept on the West side of the event center only. 3. Wheel Chairs and medically necessary scooters are the only wheels allowed on the mezzanine in the event center. This means no in-line skates, skate boards, bicycles, etc. 4. Only horses with a cameraman in tow will be allowed on the grass there is no other reason horses should be on the grass. 5. Horses should remain on the Sagebrush Arena side of the event center and/or travel to and from entry gates by way of the asphalt road immediately in front of their barns horses should never be in front (on the West side) of the event center (unless a cameraman is in tow). 6. Only registered athletes may ride or school (including from the ground) a horse at the state championship meet. 7. This is a non-smoking facility; smoking is allowed in your privately enclosed RV or Vehicle. 8. Well behaved, leashed dogs are allowed in the RV Camping area. You MUST clean up after your dog; no matter where you take it on the grounds. They can travel with their owner to other areas of the fairgrounds, but they may not enter ANY Barns, Exhibition Areas, Grand Stand Areas, or any other place where horses may gather (like near the arena or entrance gate). 9. This is a high school event; alcohol for those who are of age must remain in your private camping area. Coaches and advisors are, of course, expected to refrain from adult beverage consumption anytime they have team responsibilities. 10. Remember, times on the schedule are approximate pay attention to how the show is going and be on time.

6 If you place first fi h in an individual or team event, you are eligible to par cipate in the first ever Regional compe on. The top 5 of each event in Oregon will compete against the top 5 of Washington for buckles and bragging rights. The meet will be held in Redmond, OR at the Deschutes Fairgrounds (same place as the state meet) on Friday Sunday; June 27 29, Cost is $100 to each exhibitor which also includes your first stall if you need one bedding provided. Addi onal stalls are $50. Camping is $40 per night. Let your district chair know as soon as possible if you can a end, if you can t we ll want to let alternates know that they may be eligible. Do not bring a horse that has any signs of illness (including nasal discharge, elevated temperature, etc.) If your horse shows signs of illness, quarantine it and contact a veterinarian immediately. Know what normal is for your horse, including temperature. Do not pet or mingle with horses other than your own and if you do be sure to wash diligently, etc. Do not share tack and equipment. Each horse should have their own bits, bridles, etc. Do not let your horse rub noses with another horse. Do not pet one horse and then pet on another horse, especially on the face Every horse should have its own water bucket, feed tub, grooming tools, blankets, etc. Do not share these items. Pour water into buckets without sticking the hose into the bucket, let the water fall into the bucket There will be NO fans allowed in the barns Be smart and use common sense. ALL THE TIME! 1929 NE Walnut Dr. Redmond, OR cbothum@ohset.com A Few Simple Things We Will Be Doing A Veterinarian will be circulating through the grounds in the morning and evening looking for any possible signs or symptoms of illness. Working hard to educate everyone about proper bio-security measures, including the public in attendance. There will be no dipping into troughs for water. A water truck has been rented and buckets should all be filled by a hose.

25 OHSET SCRIBE GUIDE 1. Dress appropriately for the ring. Be neat and clean with long pants, long sleeves and no open- toed shoes. Please remember, NO cell phones in the arena. 2. Obtain supplies from the volunteer coordinator. You will meet the judge and be ready to start. 3. Make notes, as indicated by the judge only, on the appropriate score sheet. If in doubt make a note and ask the judge when the ride is done. If at all possible try to abbreviate words when appropriate. If your handwriting is hard to read consider printing. First and foremost get the score down and ask questions later. 4. Do not discuss or comment on any horse or exhibitor with the judge. Do not say anything that might influence the judge, limit conversation while in ring. After the class, do not repeat comments made by the judge. Leave what you see and hear in the ring. 5. Follow the Judge s direction. Be sure to have Judge sign where indicated and initial any changes that have been made after the ride is done. Be sure you get the number and school of the rider at the start of the go. Verify the numbers on their back. Don t just hear it from the gate person. 6. Score sheets may be picked up during the class so have them ready. Please bring any score sheets not picked up back to the office at the end of the class. 26 OHSET Gate Person 1. Dress appropriately. Pants and closed toed, hard soled shoes at a minimum. 2. Check in with the volunteer coordinator at least 15 minutes prior to the start of the class. 3. Will need to check in horses as they arrive to the warm up and competition areas. The efficiency with which you keep horses lined up and ready makes a HUGE difference to how the class/schedule runs. Please make sure you ALWAYS have riders ready. 4. You will need to communicate with the office if you are missing riders so that they may announce for them over the loudspeaker. 5. Prior to the start of the class determine with judge(s) when they would like the next horse ready at the cone. (Performance only) 6. During timed events it will be critical that gates are opened and shut quickly and safely. Always follow the judge s instructions on how and when they would like the gates opened and shut. You will need to communicate with the announcer who is entering the arena so that accurate time sheets are kept. 7. When judge(s) is/are ready you will need to call out (or over radio) the Athlete Number, and School. It is VERY important that this information is communicated accurately. 8. Consistency is key! Do your best to have riders enter the arena at consistent times in relation to the previous pattern. For example a judge may direct you to send the next rider in to wait at the starting cone when the previous rider begins the back. You should not answer ANY questions about the pattern. Even if you know the answer, you should direct them back to their coach or district chair. If the judge instructs you to tell each athlete something specific be sure to tell each and every athlete exactly as the judge has stated. For example, the judge may ask you to tell the on deck rider that they (rider) may walk around near the cone until the judge is ready for them to begin. 9. Once the class has started, every effort should be made to ensure that the course and environment is the same for every rider. Thank you for volunteering!
