3 Dear Team Coach/Captain: Congratulations to you and your team on winning your 2011 local USTA Jr. Team Tennis league and advancing to the USTA Southwest Jr. Team Tennis Section Championships. The event is being held August 19-21, 2011 at the Bill Ellis Tennis Center and El Paso Tennis Club. This packet contains the information your team will need to make the necessary preparations to attend the Section Championships. Please review the entire packet carefully and distribute the information accordingly to the parents and players on your team. Instructions to register your team for the championship on TennisLink are on the next page. The Team Registration fee for this years event is $100 per team. This fee does not include the mandatory TennisLink processing fees. The host hotel for the event will be the Hilton Garden Inn. Please see the instructions on the next page on reserving your rooms. 4 Championship Team Registration & Hotel Reservation Information To Register your team for the championships: The Championship Fee will be $100 per team plus TennisLink processing fees. Each team is limited to bring a maximum of 10 players. Should a team want to bring additional players, a $10 per additional player fee will be charged and collected at the time of Team Registration Check in. Please notify me ahead of time if you plan on bringing more than 10 players. 7 Player/Parent/Team Captain Sportsmanship Contract The USTA Southwest Section is committed to develop and promote the growth of tennis. With USTA Jr. Team Tennis being one of the most successful junior programs of the United States Tennis Association we will continue to grow tennis at all levels for juniors of any age. In order to maintain the success of the program and the growth of tennis there needs to be a clear understanding of the processes and expectations placed on the coaching staff, athletes, managers, parents and supporters of USTA Jr. Team Tennis and the USTA Southwest Section. The foundation of our program is based on the following areas: fair play, sportsmanship, competitiveness, teamwork, leadership, and participation. This player/parent contract therefore reminds our program participants of the expectations placed on them to establish a truly unique and successful program. It is required that any participant, player or parent, sign this contract in order to participate in the USTA Southwest Jr. Team Tennis program/event. USTA Southwest Jr. Team Tennis Player Expectations: =Players are held to the USTA Code and Friend at Court Regulations. Violations of any regulations will be dealt with accordingly. =Unsportsmanlike conduct will not be tolerated. Players are expected to express proper tennis court and tournament etiquette. Unsportsmanlike conduct includes: -Racquet abuse, ball abuse, profane language, negative signs, obscene gestures, trash talk and taunting, cheating, stalling, faking injury, pouting, berating opposing team, and insubordination to the team captains, umpires, other coaches, tournament directors, and your parents. =Players are expected to have fun with our program and promote teamwork with the rest of their team. USTA Southwest Jr. Team Tennis Parent Expectations: =Parents are expected to support their athlete in a positive manner, being a role model of good sportsmanship and fair play. =Parents are expected to abide by the classic tennis sportsmanship rules, including: -Cheering/applauding when an athlete hits a winner or plays a great point. -Congratulating your athletes opponent and parent(s) (win or lose) on a match well played. -Not making exaggerated audible noises, negative body language, or any other reaction to a suspected poor call, opponent behavior, missed shot by your own athlete, or behavior by an opponents captain, parent or supporter. 7
8 =Parents are expected to treat the team captains, USTA administrators and tournament directors with respect. Please do not ask tournament directors when your athlete is going to play, or levy complaints about a tournament. Please refer to the team captain for such issues. =Parents understand that the team captain, USTA Southwest Staff, and tournament directors can have parents removed from matches at the competition location. =Parents are expected to anticipate nothing but the best experience for their athlete and their involvement in USTA Southwest Jr. Team Tennis. Parents are expected to understand that for an experience to be worthwhile and educational, highs and lows are to be expected. =Parents are expected to understand that acts of nature (that of God and Human nature) play a role in our events and matches. Parents are expected to exercise patience in consideration with the weather, rescheduling of matches, dual match sites, the irresponsibility or disorganization of other programs, and other issues outside of the team captains, USTA Southwest Staffs, and tournament directors control. USTA Southwest Jr. Team Tennis Team Captain/Team Manager Expectations: =Team Captains are expected to emphasize sportsmanship, teamwork, fun, and ethics to athletes in Jr. Team Tennis. =Team Captains are expected to communicate clearly with players, parents and supporters about the policies, procedures, practice, match times, travel plans and expectations. =Team Captains are expected to make decisions in the best interest of their athletes well being, in regards to their safety, health, education, and development. =Team Captains are expected to represent their athletes in captains meetings and act as a liaison between Jr. Team Tennis Coordinators, USTA Southwest Section Staff, tournament directors, parents, and athletes. =Team Captains are expected to lead by example in regards to sportsmanship, honesty, leadership, teamwork, and ethics. 10 SECTION CHAMPIONSHIP INFORMATION & REGULATIONS Team Rosters: Team rosters must have a minimum of three (3) girls and three (3) boys and are limited to a maximum of 10 players per team. Additional players may participate in the championship after submitting the registration payment of $10 per additional player. All rostered player participants of the 2010 USTA Southwest Jr. Team Tennis Section Championship will receive an official tournament t-shirt and player gift. Age Requirement: Players age must be within the appropriate age division and remain age eligible through August 31, 2011 to participate in that division. It is the responsibility of the Team Captain to verify the age eligibility of each player on their team. Team Captain and Co-Captain/Team Manager: Each registered team is allowed one (1) Head Coach/Team Captain and one (1) Co-Captain/Team Manager. The captains will be identified with a name badge provided by the tournament staff. Captains Meeting: A mandatory Captains Meeting will be on Thursday, August 18, 2011 from 6:00pm 7:00pm via conference call. Please assure that the Team Captain from your team is available to attend this meeting. If the captain is unavailable, the team must send another representative. Player Party: The USTA Southwest Section will host a player party on Saturday, August 20, 2011 at 6:00 p.m. at the El Paso Tennis Club for all rostered player participants and team captains. Prizes will be given away in a raffle and dinner will be provided. All players attending must be chaperoned. To assure an accurate headcount for the caterer, any parents, siblings, or friends that would like to attend the player party must purchase additional tickets at $10 each. Please note on the Team Information Form how many additional player party tickets you would like to purchase and include $10 per tickets requested with your form submission. Awards: Championship Winners Awards will be given to the teams that finish first and second in the 12 s, 14 s & 18 s divisions. The Southwest Section will only provide 10 awards for each first and second place team in all flights. Additional awards may be purchased at the expense of the team. USTA Southwest Section Sportsmanship Awards At the conclusion of the Sectional Championships, a Boy s and Girl s USTA Southwest Section Sportsmanship Award will be awarded from each division of play. Captains from opposing teams must nominate a girl and boy for every team match. Recommendations are tallied and a recipient is awarded. 10
11 Team Match Check In: Team Captains must check-in their teams and turn in their completed line-up sheets to the tournament desk 30 minutes prior to the start of the scheduled match times. Please be aware that matches may be played earlier when courts are available. It is the responsibility of the team captains and players to be ready to play when the match is called. Balls and court assignments will be given when team captains check in. Match Order/Format: The match order for the championship will be as follows: -Boys Doubles and Girls Doubles -Boys Singles and Girls Singles -1 Mixed Doubles No individual player may participate in more than two matches within one team match. If a player should double up, it must be done in Mixed Doubles. i.e. The same player may play singles and mixed or same gender doubles and mixed. You may not play singles and same gender doubles. Scoring: 12 & Under Divisions: 2 out of 3, four-game short sets with no-ad scoring. A 12 point tiebreak will be played at three (3) games all. A 10 point match tiebreak will be played in lieu of a third set. 14 and 18 & Under Divisions: 2 out of 3, six-game short sets with no-ad scoring. A 12 point tiebreak will be played at five (5) games all. A 10 point match tiebreak will be played in lieu of a third set. The winner of each team match will be determined by total number of games won. Sudden Death Match Tiebreak: In the event of a tie at the completion of a team match, each team will field a mixed doubles team to play a sudden death 10 point tiebreak. The tiebreak will count as one game for the winning team. The team designated as the home team will keep the official match score sheet during the match. Upon completion of the team match, both captains are to report back to the tournament desk to verify and scores. Both captains must also nominate a boy and girl player from the opposing team as candidates for the Sportsmanship Awards. Warm Up: Warm up prior to the first team match will be limited to five minutes. In all subsequent matches, the warm up time will be limited to a maximum of three minutes. All individual matches must be put on court immediately following the completion of the previous individual match, unless the same player is to play in both matches. A delay in putting these matches out will result in a delay of the tournament schedule. Coaching: Coaching is permitted only on changeovers and only by the teams designated coach or team manager. Coaching during play is strictly prohibited and will be closely monitored. Each team may have only one assigned coach and team manager that will be identified throughout the weekend with a badge provided by the tournament staff. 11
12 Substitutions: If a player suffers an injury or illness prior to the first point being played, a substitution may be made, however, the rest of the line-up may not be altered. Once the first point has been played, a substitution may not be made. Standings/Tiebreaks: The team with the most total games won in each flight division will win the 2011 USTA Southwest Jr. Team Tennis Section Championship. In the event of a tie between two or more teams, the following tiebreakers will be utilized in the following order until the tie is broken: Court Monitors: 12 If two teams are tied, head to head results will break the tie. We will not be using officials at this year s event. Instead there will be court monitors present at the championship site. Court monitors will be roving the area and will be available to help with scoring disputes, questions for the participants, and will help to keep the matches moving along. They will interfere with play as little as possible. Players should be encouraged to play tennis without the need for court monitors to be present for matches. In the case of disputed calls and upon the request of the player or coach/captain, the tournament or site director should be notified and will appoint someone to oversee the match. One of the goals of the championships is to teach players to play by The Code as they graduate to other competitions and to understand the role and availability of officials. Their own misbehavior and/or inability to call lines or trust their opponents not only reflects badly on them but deprives their fellow players of a fair match and thereby requires officiating supervision. Inclement Weather Possibilities: Cancellation: -Matches being delayed. -Having to wait on-site for further instructions. -Matches being postponed until the following day. -A shift to alternative scoring methods. -Players should commit themselves to the championships for the entire event, including being ready for evening/night play. If the championship, or part of the championships is cancelled due to rain or unforeseen circumstances, the championship will not be rescheduled. The USTA Southwest Section will not be responsible for reimbursement of airfares and expenses due to cancellation of the event. 17 Safety Precautions for Playing in Warm Weather You may be playing your matches in conditions to which you are not accustomed. The temperature and/or humidity can get quite high. If you follow the suggestions below, there is no reason why you cannot have good matches and a good time. You will lose fluid from your body through perspiration. Along with water you lose sodium, potassium and other electrolytes. It is necessary to replenish your body with BOTH water and these electrolytes. All athletes should drink plenty of fluids (water, sport drinks, juice, milk, etc.) throughout the day. If you wait until you are thirsty, you have waited too long. Note: your body can lose a lot of fluid, via evaporation, while flying since the air in the passenger compartment is very dry. You should drink 1 cup of non-caffeine or nonalcoholic drink per hour. Drink another cup of fluid just prior to play. In fact, also drinking 16 to 20 ounces of water, juices, or sports drink minutes before your match can further help in avoiding heat disorders. Bring a large thermos with you on court and drink frequently (i.e., at every changeover). There will also be water available on the courts. Water and/or sport drinks are effective. After your match, drink plenty of fluids. It could be water, Gatorade, lemonade, juice, etc. If you prefer, dilute any of these to your own taste. Water by itself does not replace necessary electrolytes. Don't forget to eat! Fresh fruit and fruit juices are excellent source of some electrolytes and carbohydrates, but you may have to make a special effort to replace some salt as well. Wearing white really can help in hot weather. Use cotton/ polyester blends rather than 100% cotton or tightly woven nylon. Have an extra dry shirt available for change. Perspiration can block ventilation when the shirt is soaked and on humid days, the cooling of evaporation is of little significance. Use sunscreen. Use waterproof/sweat proof sunscreen that blocks both UVA and UVB rays. Have an SPF of at least 15, but an SPF 30 or above is preferred. Wear a wide-brimmed hat that is well ventilated and shades the neck as well. Remember, you are allowed 25 seconds between points and 90 seconds at the changeover. Use this time to recover. Take advantage of shade during changeover as much as possible. Change the shirt frequently (and shorts if necessary), and use a cool towel on the face and upper back. SIGNS AND SYMPTOMS OF HEAT DISORDER 1. Heat cramps: muscle spasms, usually due to extensive and repeated sweat losses, fatigue, normal body temperature. 2. Heat exhaustion: extreme weakness, exhaustion, headache, dizziness, nausea, profuse sweating, chills and cool skin, normal body temperature, rapid pulse, sometimes unconscious. 3. Heat stroke: hot, dry skin, headache, nausea, confusion, staggering gait, extremely high body temperature, collapse, unconsciousness, sometimes death. IF ANY OF THESE CONDITIONS (#2 OR #3) SHOULD OCCUR: 1. Call a doctor or emergency vehicle. (Keep applying ice water continuously and generously until medical assistance arrives). 2. Loosen the player's clothing at once. 3. Place player in a supine position in the shade. 17
18 The Honor Code of Ethics The Honor Code of Ethics is prepared under the philosophy that today s opponent is tomorrow s tennis friend. To ensure that end, the code should be used as a guideline during league play. Courtesy The game of tennis depends upon courtesy and fairness. Hosting teams should extend themselves to provide pleasant conditions for their guests. Water (or other beverages) should be placed on each court, and rest room facilities must be provided. Above all, it is important to treat visiting teams like friends. All teams should be courteous and friendly, supporting their opponents efforts at providing a pleasant tennis atmosphere. Friends, Coaches, Children, Parents Friends, coaches, children, and parents are not permitted on the court at any time. Spectators or coaches may not volunteer advice on line calls, scoring, or the conduct of a match. No coaching from parents allowed during play. Conduct of Players The highest type of sportsmanship is expected from every player. If you do not have an umpire, then you must call all balls as if you were a linesman, except that any doubt must be resolved in favor of your opponent. It is your obligation to help your opponent make a call when your help is requested. Do not enlist the aid of a spectator in making calls. It is the server s responsibility to call the score before each point. Calls of out or let must be made instantly. A delay in making the call implies that the ball was not seen clearly and is therefore good. In doubles, if one partner calls the ball out and the other partner calls it good, then it is the opponent s point since doubt has been raised. When the first serve is obviously out, it is discourteous to return it across the net. Never try to take advantage of an opponent by serving before he/she is ready. Your opponent may ask for a let if you quick-serve him/her. However, if he/she either hits the ball or tries to hit it, he/ she cannot claim that he/she was not ready. You must volunteer honestly against yourself such violation such as a double-bounce, ball touching your body or clothing, touching the net or reaching over the net. In doubles, there should be no conversation during the course of play other than brief instructions to your partner, such as mine, out, run, or bounce it. USTA regulations specifically prohibit the following: Loud, abusive, or profane language, racquet throwing or slamming of balls. Stalling. There will be no continuous strolling to the net to use towels or get sip of water or to rest between points. Making a comedy of the match, whether winning or losing. Cheating - the Golden Rule of tennis is that every player calls balls on his/her side of the net as he/ she would want them called on the other side. Intentional waving of a racquet or arms, or making distracting noises. Foot-faulting. A person who unknowingly foot-faults is taking advantage of his/her opponent. The person who knowingly foot-faults is cheating. 18
