1 1/27/16 Minutes of the Athletic Board Members Present: Tim Crabtree, Sara Ragar, Loren Menke, DJ Diprima, Tad Boeding, Bryan Bredemeyer, Mike Schneider, Doug Holtkamp, Paul Biegler, Bob Mehmert, Tom Merschman, Kevin Rauenbueler, Tony Johnson, Linda Reding, Paul Wilkerson and John Goetz Motion to approve Secretary s Report by Bob and 2 nd by Loren Motion to approve Treasurer s Report by Tad and 2 nd by DJ Note: $720 on 1/11/16 for Cheerleader Uniforms Old Business Sport Sub-Committees: Mike Sporkman and Mike Schneider have FM concessions working well May need to re-think how we do Homecoming concessions in the future Bryan and Bob will begin doing the JH basketball DJ will be doing the elementary at WP; he will work with Bob and Bryan He will get lists for the 5 th /6 th grade girls tournament Uniform Quilt: Final one was raffled off at the Homecoming basketball game made $375; Andy Snaadt won the raffle Popcorn Machines: The popcorn at South Park main concessions concessions needs maintained Doug will take care of this Tim and Doug will look into getting a new popcorn machine State Championship Banner: Tad reports that the banner is made and has been shipped Plan to hang and re-arrange the banners on Sunday Advertising in the Gym: Loren has looked into this and will continue Sherwood is planning to come to the gym and will get back with Loren Scrolling unit or LED screen Combine this with the Friends of the Athletic Board: ask for a flat donation Soccer 2016: Review Committee (Sara, Josh and Tad) will review the wants/needs for soccer; including grounds keeping Baseball 2016: Review Committee (Tom, Mike R and Tim) will review the wants/needs for baseball; including ground keeping New baseball coach has been having open gyms will reimburse for ball he has already purchased Would like new batting tees, bats and nets John will speak with him about this Detached Athletic Building: Questioning the possibility of building a detached athletic building There is a group that plans to visit Wellman Mid Prairie s building Pop: Tim spoke with the Pepsi representative; said we could shop for our own Pepsi to sell, but then they would take our coolers He also did not think that the vending machine was a good idea for us

2 New Business By-Laws Review: Will plan to review these at the February meeting Fish Fry: Doug reports the Houghton K of C will do a fish fry again on 3/18/16 with the help of the Athletic Board Doug will get a flyer to Linda and she will out Needs to be there to help at 4:30, also need to help with prep work on Thursday before Dr. Dish: Tony will take care of this Basketball Cage: The top to the basketball cage in WP is broken Tim will transfer the extra cage from FM to WP First Aid Kits: Coaches are to bring them to John for him to re-stock Defibulator: Tim will check to see if it out at South Park Fundraisers: Advertising in the gym HTC Athletic window stickers we have 100 to sell out of the concessions stands (charging $5, they cost us $2) Alumni basketball game, 5K, comedy night, father/daughter dance Fish Fry, Cake Auction, Enchiladas Capital Improvements : Light Pole Flags-Tim talked to Dark Side about flags Sound system for soccer and baseball fields- soccer and baseball, Hard Wired Doug will start getting prices for this Portable Pitching Mounds- have been ordered Budget: Paul informs us the School Board got the budget Linda met with Bob, Tim and Loren prior to the meeting, to make it easier in the future Girls Golf: Paul reports that FM girls golf may be joining with HTC School Board to make a decision AD Reports February 6 th and 7 th is the 5 th and 6 th grade girls basketball tournament We will be running the tournament out of West Point and Ft. Outfield net with frame 3. 3 bats 4. 2 tees Baseballs for games have been purchased Motion by Loren and 2 nd by Bob to purchase equipment Soccer: Coach Sean Conrad present, hands out equipment and warm-up request list Sean will bid out warm-ups Michael will get number and sizes Equipment requested is in Spring Budget Spring Budget: John hands out Spring Budget (soccer, tennis & golf) this includes warm-ups and equipment Sean has asked for Motion by Tad and 2 nd by Paul to approve budget Popcorn Machines: Popcorn machine in West Point takes 15:00 to warm up and the one at South Park is broke Motion by Loren and 2 nd by Bob to purchase 1 new popcorn machine, will go between SP main and WP school Advertising in the Gym: Loren has looked into this and reports the 2 options: - Varsity Grout: seen in FMHS, Keokuk and ND gyms They will do all the soliciting and maintain the board; will share profit 50/50 Initially pay $8,400 for board - Ourselves: purchase TV and guard to protect We then have to solicit ourselves We agree to proceed with this ourselves; Paul W. present to the School Board Detached Athletic Building: A group has met Questioning the possibility of building a detached athletic building and concessions in WP

5 Fish Fry: Doug reports the Houghton K of C will do a fish fry again on 3/18/16 with the help of the Athletic Board Need to be there to help at 4:30, also need to help with prep work on Thursday before Hotdog Rollers: Doug was able to fix the Hotdog cooker from FM concessions The Hotdog roller at South Park is rusted out, able purchase rollers at $14.00/roller, we will need 9 Motion by Tim and 2 nd by Tad to purchase 9 new hotdog rollers New Business Stocking Concessions: Bob informs us of the cost comparison between Sonny s and Feath s Questioning if we should continue to stock ourselves or allow Sonny s to do it if we purchase through them Bob and Tim will continue to get price/quantity WP/FM Concession Tear Down: Will plan to do this after the JH Boys tournament (2/18/16) and take to South Park main concessions Turface/Clay: Motion by Bob and 2 nd by Tim to purchase: 4 pallets of Turface, 20 bags of clay and 1 pallet of chalk John will place order State Bowling: Motion by Loren and 2 nd by Sara to give $100 for our student athlete participating in the State Bowling Tournament Basketball for WP: John Hellige has requested new basketballs for the WP gym Motion by DJ and 2 nd by Tad to purchase more basketballs John will place order Fundraisers: Advertising in the gym HTC Athletic window stickers we have 100 to sell out of the concessions stands (charging $5, they cost us $2) Alumni basketball game, 5K, comedy night, father/daughter dance, Fish Fry, Cake Auction, Enchiladas Sound system for soccer and baseball fields: Doug reports that a sound system will cost $1,250-$1,300 for 2 weather proof speakers with a wired mike Motion by Bob and 2 nd by Paul to purchase 1 at this time AD Reports Nothing more Next Meeting: 3/23/16 in Ft. 7:00 Adjournment: Motion by DJ 2 nd by Tad

School board needs to approve the donors Plan to have in mind what TV we want at the next meeting Detached Athletic Building: A group has met Questioning the possibility of building a detached athletic building and concessions in WP Fish Fry 3/18/16: Doug reports we made $3,100 in food, $600 at the bar Will still need to pay Sonny s and the KC s This was more than last year Popcorn Machines: Doug fixed the one in South Park Main Concessions will stay there The new popcorn machine is in will go to West Point concessions The current one in West Point will go to the baseball concessions Hotdog Rollers: Rollers are in and have been replaced will take to South Park main for use when not grilling Cost Comparison: Table Turface/Clay: Will be delivered on 3/28/16 to West Point Lumbar so it is out of the weather will take to SP when needed New Business

Paul reports the school board is OK with advertising in the gym.
