1 Liberty High School Athletic Boosters Monthly Meeting January 4, 2017 Attendance: Present: Jennifer Hardcastle, President Dean Spahr, Athletic & Activities Director Tina Bridges, Secretary Becky Fitzwater, Treasurer Julie Grable, Concessions Jamie Englehart, Membership/Volunteer Coordinator Cathy Chinault, Vice President Rose Bryant, Fall Fundraising Coordinator Not Present: Karen Ramirez, Board Member At Large Carl Grable, Concessions Scott Lindsay, Concession Runner Also Present: Angel Waldo Jeff Waldo 6:30pm ~ Welcome and meeting called to order at 6:35pm by Jennifer Hardcastle.

2 ~ Sign-in sheet was available for attendance. 6:35pm Athletic Director s Report: Dean Spahr: ~ Winter sports are running smoothly. December was light. The busy season will be staring soon. January 20 th & 21 st is the two-day wrestling tournament. January 27 th & 28 th are the girls/boys doubleheaders; JV and Varsity games respectively. ~ The spring schedule is being worked on. 6:45pm Treasurer s Report: Becky Fitzwater: ~ Becky made available and passed out a Profit and Loss statement for July, 2016 December, A Profit and Loss statement for the month of December, 2016 was available and passed out. A Statement of Cash Flows and Balance Sheet for the month of December, 2016 was available and passed out as well. All documents are attached and in the official Secretary s binder with this month s minutes. ~ Of note, net income as of December 31, 2016 is $14, ~ Angel Waldo requested reimbursement for supplies bought for the Bingo fundraiser. Those supplies totaled $ :45pm Officer & Committee Updates: A. General Boosters Information: Jennifer Hardcastle: ~ Jennifer: A reminder to those not in attendance at the December, 2016 meeting, it was decided each team will be required to have representation at a minimum of 4 of the remaining 5 meetings for this school year. Each team that meets that requirement will receive either a flat donation or something off of their wish list. Representation can be either from a parent from that team and/or a coach. Booster Board members will not count. Jennifer made it clear that this incentive was not about having people just fill seats. This is to help increase attendance at each meeting as well as receiving volunteers and/or new members to help in all areas of Boosters B. Officer Updates: Cathy, Becky, & Tina: ~ Cathy: No update at this time. ~ Becky: No update at this time ~ Tina: No update at this time. Other agenda items will be covered during the course of the meeting.

Fundraising: Hall of Fame: Jennifer Hardcastle: ~ The dinner will be held on Saturday, March 11 th. ~ Coach Mandy Carter has spoken with Dr. Ramser s secretary for all pertinent information needed for this event. ~ Track team contacts are still being worked on. It has been 20+ years and quite a few athletes to get in touch with. ~ A save the date will be available by January 11 th. Jennifer asked Tina to post to the Boosters website, facebook, and twitter accounts. ~ Advertising will begin February 11 th. There will be flyer form as well as listings in the Discover Paper, The Villager, and the Warrenton Lifestyle paper. The key to advertising is to reach adults above and beyond the Liberty school families. ~ Dinner will include real dinnerware with linens, flatware, etc. A caterer will be used. Jennifer would like to provide a buffet style dinner with centerpieces on each table and tea and lemonade. ~ The Key Note Speaker is still in process. ~ The flow of the evening will be a Meet and Greet with the Key Note Speaker for approximately minutes while a video montage plays. The speaker will speak for approximately 15 minutes. Dinner will commence. At that point, the speaker may choose to stay and eat or simply leave. During the dinner, each inductee gets introduced, inductee speaks and their video montage plays in the background. ~ Jennifer is still looking for an emcee. Mr. Cox was suggested. ~ Wall space is continued to be looked at to hang plaques and list accolades. Inductees will also receive a plaque. ~ It was decided that tickets would only be sold before the event. Prices are still to be determined. ~ Suggestion: To have a banner advertising the event about the entrance/ticket table at both the two-day wrestling tournament as well as the Kettle Run tournament. ~ Suggestion: If you sponsor the event, sponsor receives a table included with an event program. Spring Event: Tina Bridges: ~ The Lularoe Multiconsultant Sale will be held on Saturday, April 1 st from 3pm to 8pm. ~ Tina is in the process of setting everything up. A couple consultants names were given to Tina to add to the list of twenty.

4 ~ Possible idea to raise more revenue is to involve the kids and have them put money in for different coaches and admins to wear leggings during a school day. The details of the idea are still being worked out. D. Membership/Volunteers: Jamie Englehart: ~ Jamie has the membership list completed and will get it distributed. ~ Jamie still needs a team representative from each winter sport as was done with the fall sports to help with the scheduling of volunteers. Dean will send out an to the coaches. ~ Jamie asked each Board Member to go into Sign-Up Genius and list your dates for reference. ~ Weekly updates will be sent to all Booster members with pertinent information in order to keep everyone up to date. E. Coach s Wish List: Cathy Chinault: ~ The coach s wish list is up to date. F. Merchandise: Tina Bridges Liberty Jackets: Tina Bridges: ~ Jackets were well received for Christmas delivery. All were ordered and received as promised. Jackets may be ordered at any time. Order forms have been put in the merchandise notebook in inside concessions. Inside Concessions: Tina Bridges: ~ Selling of merchandise is going well in inside concessions. ~ As a reminder, Tina has created a merchandise notebook. This is to be used for each sale. Please list each item that is sold as this will help Tina with inventory and replenishing ne ~ If an item is out of stock and someone would like to order that item, please write down all pertinent information such as name, contact number, item, item size, and price. All of these items MUST BE paid in full before Tina will order even if it is an item that is kept in stock. Document how the item was paid for as well. For inside concessions, cash and checks are accepted. ~ Suggestion: To bring all stickers into inside concessions to sell. Tina will get those from the outside shed and bring inside.

5 G. Concessions: Julie Grable: ~ It was suggested to continue selling pretzels on the games where Liberty is playing local teams that usually have larger crowds in attendance. The small table could be set up in the outside cubby area for pretzels, if needed. ~ Krispy Kreme will be sold for the two day wrestling conference tournament in January. The tournament is Friday evening and all day on Saturday. Donuts will be bought for $4.00/box and sold for $6.00/ box. It was suggested to get 50 boxes to sell. Muffins and bananas were suggested to sell on Saturday morning at the wrestling tournament. Chick Fil-A (75 nuggets and 75 sandwiches) will be sold on Saturday only. 7:25pm Questions/concerns from members: ~ None at this time. 7:30pm Next Meeting: ~ February 1, 2017 at 6:30pm will be our next meeting.
